Project Server 2013: Remove Task Option Causing Orphaned Timesheet Lines

We are experiencing a major issue with the "Remove Task" option in PS2013 that is leading to orphaned timesheet lines with no related assignment.  This can result in actuals in a project with no corresponding timesheet entry.  We are
using SEM.
The scenario to reproduce the issue:
PM - Assign the task and publish
Resource - Enter time against the task and submit
Resource - Recall the timesheet (the task update approval is still in the PM’s queue)
Resource - Remove the Task from the timesheet using "Remove Task" button or right-click
PM - Approve the task update and publish, only the task update appears in the PM’s queue, not the delete assignment request
PM – Approve assignment deletion
PM – Go into schedule and actuals show against a task with no assignment.
When you return to the timesheet and recall it, the fields are all disabled.  If you click on the task, you will receive an error message as the assignment no longer exists.  The workaround is to have the PM reassign the task to the user, publish,
open the timesheet, readd the task and hours, remove the orphaned line, and resubmit.
As many others have reported, the "Remove Task" option is very dangerous.  We are exploring the recommendation to configure the screen to remove the button, but I am curious is anybody has experience with modifying the right-click that allows
the same "Remove Task" operation.
Opinion:  This feature is awful and extremely unclear.  To the lay user, it reads like it will simply remove the line from the timesheet.  There is no language or warning to the user about the action they are actually taking.

In PS2010 implantation I already used to remove the "remove task" option and others from the timesheet ribbon.

Concerning removing the "remove task" from the right-click context menu, since I'm not a developer and I didn't yet faced this concern, I'll let my colleagues from this forum go further.

  • Project Server 2013 Workflow Task Permissions Breaking Inheritance and Causing Workflow to Cancel

    I have an on-premise instance of Project Server 2013 with a workflow that includes an
    Assigned Task to assign users to Approve or Reject a WF phase. The workflow successfully assigns the task and notifies the user of the task. However, after (or possibly just prior) the user Approves the task, the workflow is automatically
    cancelled. 
    By default, the WF Task List is set to inherit permissions. After Approving an item, it appears that the list permissions automatically breaks inheritance, causing the workflow to cancel. This occurs somewhat regularly after resetting permissions to inherit
    from the parent site. Although there are stretches where the issue doesn't occur. I'm not sure what's causing the list permissions to change. 
    This issue occurs in both our Dev and Prod environments. Has anyone experienced this issue with permissions breaking inheritance automatically?

    According to your description, my understanding is that the workflow was cancled when you created a workflow with Impersonation Step to break inheritance permissions.
    After breaking inheritance permissions, make sure the workflow initiator (the creator) still has least edit permission on the list.
    In addition, please check the workflow history list to find more information about this issue.

  • Project Server 2013 - Remove user from resource pool via sync

    Hello everyone,
    has anyone managed to configure their Project Server 2013 box with a resource pool sync that will actually remove user from the resource pool (disable "User can be assigned as resource" or deactivate users) when the user is removed from the AD
    group(s)?
    Setup: Single box, SQL 2012 SP1, SharePoint/Project Server 2013 + PU March + CU April. 2 PWA instances, 1 in SharePoint and 1 in Project permission mode. Tried on 2 different machines (different setup, accounts, domains).
    Proceedings:
    Create AD user U, AD group G. Add U to G.
    Go to PWA, setup resource pool sync with G, sync.
    U is now in the resource pool, has no PWA permissions.
    Remove U from G. Resync resoure pool.
    U is still in resource pool, still a resource, still active, can still be assigned as resource.
    Adding U back to G an repeating the whole spiel with a resource pool and a PWA group sync of G will result in U being added and removed from the user list (as expected), and U being added but not removed from the resource pool.

    The first article states:

    Unfortunately, this deactivation either does not seem to occur even with a PWA group sync or I misunderstood the article.
    So, did anyone manage to setup their resource pool sync in a way, that new resource will be added, but also be removed from the resource pool?

    you tried to sync the same AD group that you used for the resource pool sync also with a Project Server permission group?
    And on removal of the user of the AD group the project user/resource is not deactivated? Only removed from the group

    even though I might have tried that before, I tried it again in several constellations. It didn't change anything. The the user will be properly added to and removed from the PWA group whenever I remove them from the AD group, the use will also stay active
    (but cannot logon without permissions). However, the user will always remain in the resource pool, i.e. the "User can be assigned as resource." checkbox will remain unless it is cleared manually.
    Having re-read the technet articles, none of the scenarios actually seem to descibe or address the process that I require, or maybe I'm just misunderstanding. Let me just try to outline the core issue:
    Add user to AD group. Sync AD group with resource pool. User is now a PWA resource and PWA user.
    Remove user from AD group, but do not deactivate/delete user from AD.
    (Magic happens!)
    User cannot be assigned as ressource in PWA.
    So, is there anything to make this step 3 happen, or is it just not possible to sync users out of the resource pool anymore unless they are deleted/deactivated in AD?

  • Project Server 2013 - Approved Tasks not applied to Project Schedule

    Environment Details: Microsoft Project Server 2013 SP1
    When an Resource completes a tasks within the Task or Timesheet page at the end of each day, the tasks is routed to the Project Owner for approval. The Project Owner (Project Manager) approves the task. During this process no errors are displayed.
    When the Project Owner (Project Manager) goes into the Project Professional 2013 client to view how the project is progressing, and update the project completion date, the updates is not applied to the project. 
    This worked for some time, but has recently stopped working with no changes made to the environment. Any help would be great, as our project manager's are manually updating the tasks prior to approving them so they can report back on the project each week.

    Sounds pretty serious, but I think something is missing somewhere.
    Make sure that the Status Manager field is the same as the Project Owner. 
    Check to queue to be sure that nothing is stuck and waiting.
    Create a new project, publish, submit, approve, etc and see if it still happens.

  • Project Server 2013 : Edit "In Browser" more than 500 line throws "An unexpected error occurred" Error, something went wrong.

    Dear Experts,
    I have got Project Server 2013. These projects are migrated from 2007 to 2010 and to 2013. All the functionality working fine as expected, But few schedule got more than 500 lines of Task, We are unable to "Edit" those projects "In Browser".
    We have tried in both IE and Chrome, When you try Edit it throws error "Something went wrong, I checked the co relation Id in the logs. I get the below,

    Have you tried re-publishing the projects from MS Project and see if that helps?
    500 tasks are quite a lot for the browser to deal with; I usually recommend switching to MS Project when you have that number of tasks for a project

  • Discussion About The Use Of Project Server 2013 Timesheet Custom Billing Categories (Post SP1 and April 2014 CU Install)

    In support of a consulting company using timesheet custom billing categories to designate project time as billable onsite, billable offsite, and non-billable, I've encountered a series of issues which appear to be associated with the custom billing category
    timesheet lines.  These issues cause timesheet users to get frustrated, and contribute to misalignment between project actuals and timesheet actuals.  We're in Single Entry Mode, no pre-population, SP1 and April 2014 CU Installed.
    I'll enumerate the issues here and pose the question to the community as to whether others are experiencing any/all of these things, and if so,  ask if any workarounds have been discovered.  We're working with Microsoft to validate these independently,
    but I am posing the questions to the community to gather additional information, and hopefully save some folks time in troubleshooting similar issues.
    1.When time is entered on an assignment into timesheet lines of multiple billing categories, only time entered since the last save is getting saved and ultimately sent, on timesheet submit, to the approval center.  Although the previously entered and
    saved time appears in the application interface when the timesheet is re-opened, only data since last save is actually saving to the server or processing through the approval center.  We believe this is the primary cause for timesheet and project actuals
    being out of alignment.
    2."_ Error Loading".  When assignments are added, deleted, or changed after a timesheet has been created, standard timesheet lines are added, deleted or changed (i.e. synchronize) with the assignments. However, for custom billing category
    timesheet lines, they do not change when the assignments change, and they aren’t removed if the assignment is removed.  We believe this causes secondary errors, like the "_Error Loading"  (and others as will be described below).
    3.When a timesheet with time in a non-standard billing category is deleted and recreated, time is arbitrarily moved to standard timesheet lines for the same assignment. If the task assignment is subsequently removed, the timesheet line causes the timesheet
    to break.
    4."Error Communicating with Server". When trying to submit a timesheet, a pop-up box appears indicating that there is an error communicating with the server.  This error appears because a timesheet line is no longer associated with a project.
    In order to submit the timesheet the orphaned timesheet line must be identified and manually removed. One technique we found which helps to identify an orphaned timesheet line is to select a task and submit task progress. Repeat for all timesheet lines until
    you get an error.  The timesheet line(s) with the error can be manually removed from the timesheet, fixing the error.
    5. Unable to Open Specific Timesheets without Error. There are certain scenarios when the "Remove Task" feature is used or an assignment is otherwise removed after creation of a timesheet with custom billing category lines, which causes orphaned
    timesheet lines. These orphaned lines can cause issues when trying to open a timesheet. The issue can appear when timesheets are in progress in multiple periods. In the problematic scenario, time is entered and submitted in one period and subsequently
    the task is 'removed' from another period before the PM processes the first approval request. Process governance can certainly help here, but improvement in the way synchronization occurs between project assignments and custom billing category timesheet lines
    would be great. The error can often be resolved by re-adding the assignment for the problematic timesheet user to the project (which creates a new assignment), and then allows you to open the timesheet.  Then time can be moved from the old timesheet
    line to the new timesheet line, and the old one can be removed.
    In 4 and 5, sometimes we can't open a timesheet without error, and other times we can open it but not submit it. We are not 100% clear on all the different causes for each. Each of these issues are suspected to be contributing the the misalignment of
    data between project actuals and timesheets, which can be a real problem for external projects for which time collected through timesheets are being used to generate invoices.
    Although these may seem like separate issues, warranting separate questions, I decided to post them together because they all seem to be related to synchronization of project assignments and timesheet lines for custom billing categories.
    Any thoughts or suggestions from the community would be appreciated.

    There are many causes for each of the errors mention.  It would be best to put one issue to the forum at a time.  For example, some of these issues occur then tasks are deleted from projects but a timesheet has been submitted.   Depending
    on the scenario, some of these issues have been fixed with the latest service pack.
    Other issues are due to bad scheduling habits with the project managers and so first determining what they have done can help resolve some the issues.
    _error Loading, is because something is NULL in the data and the jave is choking when it build the form. Again, these may be because of delete tasks, resources, projects  or someone doing copying and pasting of rows.

    PS.  Train your PM to not COPY and PASTE rows in project schedules.  It can be done, but it can create problems.  There are over 500 fields and some have unique data and the copy paste creates havic.

  • Timesheet Error with custom Line Classifications in Project Server 2013

    We implemented Project Server 2013 last year and began using timesheets.  We are a billable consulting group.  In order manage our billing, we have created three custom line classifications, "Billable Onsite", "Billable Offsite",
    and "Non-billable".  We do not use "Standard" as a line where time is entered.  We are using SEM.  We have chosen no prepopulation on timesheets.  Our system is updated through the March 2013 update.
    The error we get is presented as "__error Loading" with the title bar of the pop-up reading "Message from webpage".  This occurs when you attempt to add a new line to a timesheet and choose one of the custom line classifications. 
    A confusing aspect to this, while we have prepopulation turned off, the timesheet is populated with "Standard" lines for the tasks that are currently assigned to the user.  We have come up with a workaround that works sometimes but not all the
    time.  When the user receives this error, they move away from the timesheet screen and then return.  They add all of the applicable lines to the timesheet with "Standard" even if they already exist on the timesheet and save.  Then
    they add the lines with the appropriate line classification and the time.  If they receive the "__error loading" error again, then the timesheet can not be corrected.  You must delete the timesheet and recreate.  We have been able
    to recreate the problem in a vanilla install with a custom line classification added.
    Just yesterday, I was able to find a error log entry that may help some of you identify the source:

    More scenario testing today. Tested with both "No Prepopulation" and populate assigned task options! no difference in our instance. We are only updated through March 2013, waiting for IT support. We have previously tried the deactivation/reactivation
    of custom classifications. Tried with and without template, no difference. So the new scenario and findings:
    1. Create a project with 2 tasks, one assigned and one not. Save and publish.
    2. Create a timesheet, do not use an existing timesheet. Here we found, in spite of population option chosen, the timesheet was populated with a Standard line for the assigned task. With no action taken other than creating timesheet, the reporting assignment
    table showed the new entry.
    3. Add an assignment to the other task in the project, publish.
    4. Open the same timesheet period. Now I saw the other task appear on the screen. It did not show in the database. I could not save to make it appear in the database unless I did something else to the screen to make it "dirty". Once I did that,
    I could save and the second Standard line appeared In the database. 
    If I tried to add a custom line class line to the TS when the Standard line was not in the database, I get the error. It doesn't matter if it shows on the screen.
    If it shows on the screen but not in the db, and I attempt to add a non-standard line, it will error, unless I manually add the standard line first.  The user would not know to do this.
    You will not be able to reproduce if you make the assignments and then create the TS. You need to try in reverse order.
    It appears as though there are issues with both the timesheet population options and the code that runs when the TS loads after it's initial creation. I'm wondering why on creation the standard line is created and committed to the db, but on reload with
    new tasks it doesn't' do the same. Also when No Prepopulation is turned on, why my time sheets are always prepopulated.

  • Project Server 2013 Tasks differ in project site and plan

    I have an Project Server 2013 enterprise plan that I created with an associated project site. The plan has tasks added to the timeline. The project site has a timeline webpart but the problem is the tasks added to the timeline differ.
    Does anyone have any ideas what could be the problem here? I checked the timeline webpart and it's correct.

    Yes, I've checked the queue while publishing the project. It's successful without any errors. I don't remember if I checked the ULS logs, but what I suspect is that it will say something along the lines of orphaned tasks in the project site.
    Anyways I've tried a number of things and I think the only 2 options I have are:
    Re-create the project site then sync the plan to it
    Ask MSFT for a script to resolve the orphaned tasks
    For the same of time, I'm going to assess how long it would take to re-create the project site.

    I have updated actuals in tasks page in PWA 2013, and saved it. I tried to import it to timesheet page but the value already exists and the import task progress option is greyed out. i mean, when i enter actuals in tasks page and save it, the value automatically
    comes in timesheet page, then what is the use of Import task progress.
    Am i understood correctly?

    In my environment SEM is not enabled, i want to know how this option "import task progress" will be help full in time sheets.
    Once i enter task hours or task % complete  from My tasks then the actual hours in time sheets  are
    automatically filling.

  • Task Status in Project Server 2013

    Hello,
    I was wondering if someone could give me an overview of the Task Status options in Project Server 2013? I am a current 2010 user but we have not been able to use this feature in the past. Specifically, I am wondering:
    1. Can I assign an entire task to a user? In 2010 I had to assign resources to a task and then update each assignment. I want to be able to assign the entire task and have the user tell me the Physical % Complete, Actual Start, and Actual Finish at the task
    level. 
    2. Is there any kind of built in what-if analysis feature? Can a program manager review the impact of the submitted status before accepting?

    Hi Jessica,
    Basically, task statusing and timesheeting has not changed between 2010 and 2013 versions. The first would be about the need (or not) to activate the Single Entry Mode, meaning a single interface for task statusing and timesheet. This DO matters since in
    case you activate it, the task tracking method will be forced to "hours of work done per period". See in this
    blog the others methods.
    1- From the PM's point of view, you can in MS Project Pro or PWA assign one or more resources to a single tasks, creating then the corresponding number of assignments. From there, each single user assigned on this task will have to enter his own tracking
    on his assignment. As you'll see in the blog, the % physical cannot be entered by the team member, only the % complete if the 1st method is chosen.
    2- About this what-if analysis, the PM can click in the approval center on the "preview updates" before accepting or rejecting. He will be able to vizualise what will his project plan look like in case he approves the task updates versus what does
    his plan actually look likes. See reference

  • Notification to Manager if task/Time sheet not approved in Project Server 2013

    is there any option if any user(Resource) updated his/her task & sent to his/her Manager for approval
    and Manager is not approved ( say in said timeline or days) then some notification should go to one step up (as Reporting Manager of that Manager who not approved task update & time sheet) in Project Server 2013?

    A solution could be to create email subscriptions on an SSRS report containing the non-approved task updates by manager.

  • Task custom field and formula custom field don't correspond Project Server 2013

    Hi people, I have an interesting case in Project Server 2013 SP1 CU Apr:
    I have a custom task number field called AM. This field get's filled by a PSI action with actual material costs from an external system.
    I also have a custom task cost formula field that is called AM*. This field is a formula field that has the formula [AM]. And summary tasks use the formula field as well.
    As soon as I create a project, assign costs in the external system and let PSI fill the values within AM I get correct values in AM. But nothing is calculated on AM*. If I edit the project in the browser and publish, check in and revisit the project
    AM* still isn't filled.
    If I open the project in MS Project Pro the calculation comes through nicely, however I do not want to use MS project Pro to see correct data in browser.
    Some tests I have already done:
    I have noticed that when I create a new calculated task field AM2*, this get's calculated correctly on the already existing task.
    I have also noticed that opening the custom field in server settings and just saving the field creates correct values on AM*.
    What is going on? I don't want to save the custom formula field every day... There are 11 custom formula fields in the environment at the moment.

    Thank you for the quick response. Please note that the fieldnames are [AM] and [AM*]. There is a difference in field name due to the astrix. However I did think about the situation and changing one of the field names all together didn't do anything for the
    situation at hand.
    It looks like some kind of refresh thing, because without changing anything in the custom field just saving the field in server settings will turn op good values. However, values already turned up good in Project Professional 2013. And that suggest

    Never done this so, I am wondering How to go about or what I would need to create a simple PWA page like "Tasks" in Project Server 2013 online where it default to a filter that is set to not equal to the user that is logged on?

    Hi Spiro,
    The "my tasks" page or "my timesheet" are automatically filtered on the user currently connected. Unless you are using workarounds such as status manager or delegation, I see no way to bypass this.

    I am also experiencing issues with this.  After the approval task is completed, the Workflow gets cancelled with the following message

    All other desired workflow actions work as expected.  Emails are sent, project is moved from stage to stage, however as soon as the workflow approval task is completed, either Approved or Rejected, the Internal Status is changed to Canceled and the
    workflow fails.
    What is interesting is when the Approval task is completed, the approver will receive an email notification that the task was CANCELLED or DELETED....
    not COMPLETED, which is what would be expected.
    Has anyone seen this - any potential resolution?

  • Project Server 2013 Task Reassignment Privileges Off? (Works in Timesheet)

    Version: Project Server 2013
    I'm trying to give our users access to reassign tasks.  I turned on "Reassign Task" on the Global Permissions and gave them security to "Assign Resource" on all their categories.
    I've tested this, and the "Reassign" feature is available and working then they are on the "Timesheet" page, but it is grayed out and gives the message:
    "This control is currently disabled.  You might not have the right permission level to use this, you might need to select an object or item, or the control might not work in this context."
    Again, the same task is available to be reassigned in Timesheet though.
    My guess is that this is a Security Permission issue, because my account which I am the Administrator and Owner of the project, I can reassign tasks on both pages.
    Any suggestions?

    Hi Justin,
    Just for your information, as far as I know, the "assign resources" is not necessary for using the "reassign task" feature. The "reassign task" global permission is enough.
    To be sure to understand your issue, the "reassign task" button is available for you as admin or project owner, but not for users which you granted the "reassign task" permission to? Am I right?
    You are talking about global permissions but did you add the "reassign task" to the
    groups permission the users belong to?
    Silly question, but do the users have select a task before trying to reassign it?
