Publishing of SAP DMS documents on local intranet

Hi all,
I have a scenario in DMS where I have to publish documents from DMS on local intranet. How can I achieve this? The documents e.g. are like Environment policy, saftey manual , travel policy which has to be  viewed by each person of a company when he log-in into an intranet. We need to publish hyperlink on intranet such that as soon one click to this link, a document linked from SAP DMS should get opened.
We can do this in portal or through web DMS, but there again one cannot publish hyperlink. User has to search for the document in SAP DMS.

There are a number of ways to do this. The method I would recommend is to create a function module that issues a URL link to the document which can be put onto an external website. You can setup the url to check the SAP authorisation first to ensure that the person is authorised to view the document and to prevent people publishing sensitive links to the website.
This could be done as a button on the main DMS screen so you can create the url directly from the DIR.

  • Duet Enterprise 2.0 -  Accessing SAP DMS Documents

    Hi,
    Is there any possibility to access the SAP DMS documents using Duet Enterprise 2.0 from SharePoint 2013?
    If the answer is No, then what is the starter services in DE 1.0 and why the DMS functionality is included in that and not in DE 2.0, which will be the easy way to access SAP documents from the SharePoint. Is there any alternative?
    Please clear my queries, i'm eager to know the reason behind it.

    Hi Kamal,
    The DE 1.0 Starter Services models are available on the DE 2.0 Software package.  To implement Starter Services for DE 2.0 you should follow all of the steps in the DE 1.0 FP1 documentation with the exception of importing on SharePoint.  I have attached a document with the commands required to import the Starter Services to SharePoint.

  • Migration of SAP DMS documents from RFC Archive to SAP HTTP Content Server

    Can anyone verify the correct OSS for the migration of documents from an RFC Archive repository (non SAP) in SAP DMS to a SAP Content Server HTTP Repository. Most of the OSS notes seem to indicate HTTP to HTTP migrations or based storage category migrations.
    Which is the most suitable for this?

    If you want to move the originals from an archive or vault to a Content  
    Server, please use the DMS_KPRO_CONVERT and DMS_KPRO_CONVERT2 report I   
    would kindly ask you to see teh documentation on DMS_KPRO_CONVERT report 
    in transaction SE38, which explains the whole process and gives          
    necessary information.                                                                               
    This conversion program offers two possibilites:                                                                               
    - Complete migration:                                                    
    The meta data of the document info record and the checked-in original    
    application files are migrated together. The checked-in original         
    application files are transported into the storage catgories.                                                                               
    - Step-by-step migration:                                                
    In the first step meta data is migrated. The original application files  
    remain in the old storage data. The migration of original application    
    files starts after you have processed the files with the integrated      
    viewer and checked them into a secure storage area.

  • How to use XI to retreive document  files from SAP DMS?

    Hello XI experts,
    We have external application php that runs on separate non-sap server.
    I am willing to retrieve document from SAP DMS (documents management system) via XI and forward them to this application. The files are usually ms office format when you display them ( but I am not sure how they are stored in database)
    Anyone can tell me please if I can use XI for this purpose?
    How is going to be the connection and the retrieval done on DMS side ?
    What adapter will be used and how the file will be transferred via XI?
    Also I will appreciate any directions in connecting the php application side. What Adapters will be used , how doc file can be send (I guess as an attachments )?

  • Access DMS documents from MDM ??

    Hello folks
    We have a customer that has SAP DMS (Document Management System from SAP ERP) where the product image files are stored on a SAP Content Server.
    We are planning to implement MDM for rich product catalogue whereby end-users access MDM via Portal, but we need to access some documents on DMS too.
    I know that there is standard PLM iviews that shows DMS documents linked to a Material, can we use these iviews to modify them so that they are launched on request of user after browsing in MDM iviews (managing same material numbers) ?
    Has anyone of you made this ?
    Any hint/help on this is most welcome !

    Hi Sooriya,
    We can get the Product ID from MDM Standard iview through EPCF Eventing. Based on that ID, we can fetch the documents from DMS.
    I am new to DMS. Can you please share some information on fetching document links from DMS through standard or APIs?
    In my scenario, i have to fetch the documents link from DMS for all Master records and store the link in MDM. Also, when a new master s created in MDM, I have to attach/upload documents for the master record and store the document link in MDM. The actual document is present in DMS. When I send the newly created Master data to ECC, I have to link the Master data and the documents in ECC also.

    Dear Kishore,
    SAP DMS - Document Management System
    SAP DMS are for storing documents such as CAD drawings, Materials pictures etc.
    With the document management system, users will be able to view the documents with ease within their SAP systems.
    Installing the SAP DMS requires a little bit of planning on how you want to do it.
    You have to give a little thoughts to stuff such as :-
    1.  The total numbers of documents that will be store monthly.
    2.  The average file size of each documents.
    3.  The capacity of your present R/3 system.
    4.  Your present network bandwidth.
    5.   Document Archiving Strategy.
    6.   Backup and Recovery Plan.
    Additional purchasing of hardware are required, especially if you have large amount of documents to stored.
    With this in mind, you can then decide on how you want to do it.
    You can do this in a few ways :-
    1.  Import the documents into the R/3 system.
    2.  Use an external document server.
    3.  Have a dedicated PCs where all the documents are stored.
    Most companies that intend to used DMS will opt for Option 2 as they does not want to overstretch the R/3 database.
    Options 1 requires you to setup the conversion interface. 
    The conversion interface allows R/3 to automatically covert your files and import it into the R/3 database.
    Here is a simple example of storing documents into your PCs, just to have a feel how the SAP DMS works:-
    For those using Citrix, you have to set this at the Citrix Server where the SAPGUI is located.
    Configure SM30 - V_TDWE_C1
    Put this command in your autoexec.bat
    SET HOSTNAME=PC1234
    Restart your pc.
    You can create/manage your documents in transaction code CV01N / CV02N
    Assigning Documents to a Material Master Record
    Access a material master record in Create or Change mode, and select Basic Data. 
    To create links to documents, choose Additional data -> Document data.
    The Link to Documents dialog box appears.
    Assign one or more documents to the material. 
    If you do not know what the document number is, you can search for it using the search help or by choosing Find document.
    When assigning a document to a material, you have the following options:
    1. Viewing the document by choosing it in the Link to Documents dialog box.
    2. Viewing any originals of the document by positioning the cursor on the document and 
       choosing Display originals in the Link to Documents dialog box.
    To return to the Basic Data screen, choose Continue.
    Save your data. 
    Do award points if you found them useful.

    Hi SDNites,
    My requirement is to upload document in SAP DMS and this document we are receiving from an external system. Can you please let me know,
    1. Is there any way I can provide a link in ECC SAP DMS for the documents which are stored in external system (SAP CRM) .
    2. Also is there any standard FM / BAPI available which uploads a document into SAP DMS (I do not want to pick documents from a local directory).

    1) R U able to upload any other file type to the DIR AA00-0123 (word/ppt/pdf etc) ?
    2) Can u Create a new DIR and try uploading the same excel file? does that get created?

    Dear experts,
    Is anyone have any knowledge on publishing/make available on the web MSDS files which are stored in SAP DMS?
    In case that it's not possible to have this link between internet and SAP DMS, I would like to know how can I send my document from SAP DMS to a load tool in a pdf and xml format.

    this is the "wrong" way to do it. In DMS you have only the raw report and not the final report (in > 90% of the cases). The normal EH&S process which can be used are the following:
    a.) make an EXP_CALL using a job to create a final report (e.g. either as Word or as pdf) togetehr with "meta" data (like material number, langauage etc,.) so that you can search for the document in you Web interface (the normal approach used fequently)
    b.) in the past there has been a add on tpo EH&S which should be still available: take a look here

    I have no idea if this add on is still suported or if it has been improved.
    From the "technical " point. The MSDS is handle in some EH&S tabel (ESTDH) this give a linkt to a document in DMS using the unique document number.
    Only if you have set up your report shipment in such a way that the final report is stored in DMS you are able to use that report in a Web interface. The raw report uses normaly the document type "SBR" and the final report "SBE". You need to check customizing. Normally the SBE finale report is deleted automatically somehting like  10 days after it has been used.

    PS: I assume we are talking about normal WWI report. If you have document of type "IBD" you could clearly make them available on the fly in an Web interface because no data can be added to such a document (pdf is used normally as document type/format)

    Is it by design that DMS documents which are stored in SAP DB are not shown in WEB UI...
    I get and error on the display document that " KPRO unchecked "
    how ever in ECC i can see the document with originals and thumbnails and complete DIR..

    Hi,
    Please check if a storage category is maintained in your system. You can use the Content Server (KPRO) storage type. Launch transaction DC10 and choose the
    relevant document type which you use. Display its details and you will find a flag called ‘Use KPRO’. Flag it to use the KPRO storage type which is recommended by SAP. You can manage your storage categories and KPRO settings by transaction CSADMIN

  • DMS Document upload: does it pass through sap DMS ?

    We have a question concerning the transmission of documents from the client to DMS and the Content Server: does the document need to pass through the sap server ?
    Document upload (create document CV01N)
    Does the document go directly from the client to the Content server OR does it pass through the sap DMS before to be stored in the CS ?
    Document download (read document CV03N)
    Does the document go directly from the CS to the client OR does it pass through the sap DMS server ?
    This could be interesting to know for network performances.

    is the cache server a default funtionality from the content server or any configuration is required from our part.
    is that the cache server acts as the RAM of our system?
    please explain the partitioning or biferfication of the Content server, as you told
    content server is divided into storage catagories and  this in turn in to content repositories,
    please  clarify below points,
    1)any server or PC can be made as Content server by insatalling the content server CD if iam right ?
    2) Practical and funtional benifits of partitioning content server into content repositories is it for authorization and storing data by naming convection or can it also help in copiying data from a specific content repository if needed, ( is content repositories a logical partition or practical partition like B,C,D, F drives of our PC hard disk)
    3) can /should there be multiple content server installation for a particular (production) client.
    4) Can Archiving  be done say by creating a separate content repository inside the same Content server, or is it mandatory to have a separate archiving server itself,
    please give some idea with examples

    We created document in SAP DMS by CV01N but those doucments are stored in PC. But we would like store those .xls, .pdf, .doc files in SAP server. So that users from any locations they can access the open the document.
    Is there any possible way to store those doucments in SAP? Will it affect the system performance?

    hi buddy,
    i guess u hve created the docs using ur previous sap only ... so it is very easy to load the files in ur new sap servers.
    if not then the docs must be in table format like excel one so that u can load the data in ur sap tables using sap std FM.
    .......i thk u need the data to be in ur sap system n not in ur pc...
    but since u r planning tat all ur users shld be able to access it then let me tell u buddy ur server performance will def reduce a lot.
