Purchase Order For Cost Center

Hi,
1. Please explain as I am trying to create a PO and i gave Account type: K(Cost center). I got the following error
"Create Account 140000 as a cost element in controlling area 4000 "
How can i solve this problem. I actually created a cost center : 4000. How to assign a cost element to controlling area.
2.Is it Necessary to maintain the G/L A/c while procuring for Cost center??
Or Cost Center is Sufficient ??

HI Kapil,
For any accounting entry you need to define a General Ledger Account where the details (Amount) of the transaction will be stored.
Just by maintaining cost centre will not help in completing any transaction involving accounts. So you need to  maintain G/L account in the controlling area of your company code.
You can use T Code FS00 to create new G/L account in the chart of accounts.
In the edit cost element Tab you can give the cost center that you want.

    For me it does not make any sense from going from PO to cost center report.
    However, if you want to see the purchase order cost incurred with a cost center, execute KSB1 report. Within the layout, bring "Purchasing Document" field, where you can see the purchase order number in cost center line item report.

    Will it be possible to create a purchase requisition from the MRP run which has account assignment K and default a cost center.
    At the moment I need manually to update the requisition item line with 'k' and costcenter before converting to a purchase order.

    The purpose of MRP run is to make sure that you always have enough stock.
    An order to cost center will not increase stock.
    Means: MRP is not able to create requisitions for cost center consumption. If you change a requisition created by MRP to be ordered to a cost center, then the next MRP run will create a new requisition to stock.

    Talk to  your business team, what  is real requirement now and also consult with FI/CO team
    As payment done, you can go for creating a Return PO and then do  GR with 161 movement type( if excise,do J1IS for to reverse excise and then print with J1IV) and finally go for credit memo in MIRO.
    OR 
    Considering  payment done to vendor as wrongly/ by mistake,so 1st check accounting document number for which vendor (with account number) in t.code:FBL1N & then reverse it with t.code: F-02 and finally clear it with t.code: F-44.Reverse all GR and MIRO document.

    Here AccoutAssigned field is ZEEKN which shows the PO for account assignment...
    Now for that PO see the Field ELIKZ ...if its ticked then its open PO....

  • Report Writer Missing Data for Cost Center+Investment Internal Order

    Hi Gurus,
    I have met a problem on Report writer. T-code KSBB -> Report for Cost Center Group by Cost Elements in diff months.
    The report can be drilled down to call KSB1 to give line items on the cost element by cost center/group.
    The problem is the drill-down report missed the line items for investment orders. ( Compared with manually use KSB1)
    The overhead internal order line items are fine.
    For example, document 001-Apr:
    Dr. Cost Element 1009                 $900  -- BA 90  Cost Center 90000 Investment order 9001
         Cr. Other cost elements.                  $900
    Document 002-Apr
    Dr. Cost Element 1009                 $800 -- BA90 Cost Center 90000 Overhead order 7001
         Cr. Other cost elements                      $800
    In KSBB report, the cost center group for 90000 in cost element 1009 in Apr only has $800.
    And the drilled down report which called KSB1 has the line item for docuemnt 002.
    However, when I run KSB1 directly, the total amount for cost element 1009 in cost center 90000 is $1700.
    Here is what I checked:
    1. I have my ABAPer checked the KSBB program and KSB1 program to debug them in DEV ( DEV and PRD has the same problem). The different to get the data is that in KSB1, it has selected a value type 11 ( Googled: field name is WRTTP, Down payments as expenses. In program: WRTTP means Statistically Actual ) and 04 ( Googled: Actual True Posting. In program: 04 in WRTTP means Actual posting).
    But in KSBB, it only select 04 when I clicked the drill down report to call KSB1.
    2. I am thinking that the cause was on different types of internal order:
    Overhead internal orders are statistical orders.  Investment orders are actual orders.
    Could you help to throw some light on the problem?

  • Separate Purchase order for Planned Delivery cost

    We have a scenario where we buy material from supplier A and delivery freight services provided by Supplier B. We raise a purchase order for suppler A for the material we buy, PO number 450000001
    We add a freight cost condition type in the same PO 450000001 for the freight cost. In the details screen of the Condition type freight in the purchase order header condition tab, we specify Supplier B for freight cost condition type. This is standard SAP feature for freight provide by third party.
    PO 450000001 is printed and send to Supplier A. And now the question is we need a PO for Freight suppleir B, how usually this scenario is handle.??

    I have faced similar problem long back and we do not have solution to that yet. It is a  different thing to create new developement to bring in the particulars in to customised smart form linking the details of freight vendor only from the PO with the help of ABAPer but that did not enthuse my client.
    As has been mentioned by Kl , freightt has to be added to the material to get the actual delivered cost which is more important from the perspective of valuation.
    If we create a service Po for tansport just for the sake of sending a PO to transport then we have to delete the PO after sending it , this will be creating future audit issue as vendor willbe referring that whicle system will be showing that as deleted.
    Any more inputs/contributions in this matter would be very helpful for the community who are interested.

  • Only one internal order allowed for Cost center/GL combination  -validation

    Dear Friends,
    We are using internal orders for controlling department wise budgets.
    my client wants that he be able to post only through one GL account to one internal order
    that is for Marketing dept,(departments are created as cost centers)
    Canteen exp              internal order 1000
    Entertainment exp     internal order 1001
    Gift exp                     Internal order 1002
    that is when GL account canteen exp is used (for cost center 1000 (marketing)) then internal order 1000 can be used but if entertainment exp is to be booked  internal order 1000 cannot be used. in this case only internal order 1001 should be allowed
    We are using real internal order (settlement will happen at end of month)
    Can you let me know if this is possible in standard SAP or any workaround.

    If internal order must be filled in these GL then you can meet your requirement by creating the validation. To meet this requirement three steps are to be created in one validation. One step is created below to make you create two more steps by your self.
    Create validation under Financial Accounting Line Item using transaction GGB0.
    Step 1.
    Prerequisites. (Go to settings>Expert mode and fill following)
    BSEG-BUKRS = '1000' AND (here instead of 1000 you enter your company code)
    BSEG-HKONT = '450000'      (here instead of 450000 you enter GL for canteen expense)
    Check
    BSEG-AUFNR = '1000'
    Message
    Click on pencil icon and create below message or the message you want.
    Intenal Order 1000 is allowed for canteen expenses.
    Assign this validation to your company code using transaction OB28 with call up point 2.
    Similarly you can create two more steps. Thus your requirement can be met.

    I tried creating a purchase order for a service, with account assignment unknown U, with item category D, but after entering the item details in the item overview, it keep saying " ACCOUNT ASSIGNMENT UNKNOWN NOT ALLOWED WITHOUT GOOD RECEIPT", i would like to know why this message is coming up, and how to rectify it, thanks for your anticipated contribution

    You can not use Account assignment unknown U in the creation of service order as system need a cost object with a G/L account during saving of service order which help system to post to required G/L account automatically on further transaction MIGO & MIRO posting.
    You can create contract(ME31) with   Account assignment unknown U & item category D as you do not know from which account or cost object specific  the contract going to be used,so as the contract can be used for all department/cost center./project related in future.And then you can create a release order/call off/service order(ME21N)  with Account assignment unknown K(in case of cost center) & item category D wrt contract  with entering all likes cost object u2013 cost center  , G/L account related with other input data.
    Check any user exit which not allow to create with  Account assignment unknown U & item category D.
    NOTE: if you create service order  with  Account assignment unknown U & item category D,then during SES, you need to enter cost object ( K or P or C  etc) with a G/L account.

    I have 2 questions
    1) we dont have any default cost center maintained any where in the org-structure (PPOMA_BBP), howeverwhenever I go for shopping I can see a cost center  along with GL account, ( I know GL acct is coming from "determine GL account for prod-cat" settings in IMG), but what about cost center where is it coming from ??
    2) second, when we do search help for cost center's in shopping application, we are able to see all cost centers from the back end which I guess is good, but we can see even those cost centers which are blocked!!!, why is this happening ??,

    For First::
    In general the CO Area (here: cost center) is derived from R/3 Backend Enterprise
    Structure and should be re-determined if another acc. objects is
    entered that belongs to a different CO Area. Please also check the
    settings in R/3 Backend IMG, path:
    ->Enterprise Structure ->Assignment ->Controlling
    ->Assign company code to controlling area
    The company code is assigned to the CO Area through the following
    assignment:
    ->Materials Management
    ->Assign purchasing organization to company code
    The CO Area is in general the organizational object in
    highest (CO) level. Assignments to other MM/CO objects are located
    in lower Enterprise hierarchy level. Hence, the CO Area does not
    change if a different CO object of a lower level (here: cost center)
    is assigned to a SRM document.
    For Second::
    The only possibility I see is to set the message to error message in
    the customizing in the backend. The message number is KI 170. When you
    look at the long text of this message in transaction SE91 in the
    backend, you will find the description where to look in the customizing.
    When you have set this message to ERROR, then no purchase order will be
    created in the backend. Instead the shopping basket gets the status
    'ERROR' and the administrator will recieve a work item in his inbox.
    Then he can check the backend and either post the purchase orders again
    after solving the problem, or he can delete the shopping baskets.
    Please check the note for more infos or the documentation.
    Setting the message KI 170 to error message will solve your problem.
    See note 333136.  I would think that if you create
    a PO directly in the backend if you do not have the message configured
    as and error you will be able to create the PO.

    I find the Maintenance Work order to cost center settlement does not post to GL module (FI)?Also, the settlement cost element is primary element define in GL chart of account.
    When an maintenance order is settled with KO88 or KO8G the work order value posted cost center and  the value is display in cost center report but not post to GL module in FI.As I notice only good issue or receive to/from work order is posted in GL but not the settlement of work order.Why?
    Between, Kindly advise what are the report or T-code to view the maintenance order is done the settlement and what are the value is settle for maintenance work order?
    Kindly advice under what circumstance when maintenance work order to cost center settlement is posted to GL(FI module)?

    The error message clearly says that "Cost Center validity starts from 01.10.2014" i.e. in the future period.
    Change the cost center from period in the past date and try.

  • Work Order to cost center settlement with line item detail

    Iu2019m having difficulty finding a method to settle from a work order to a cost center with line item detail.  When an order is settled with KO88 or KO8G the total value for that work order/cost element combination is combined and posted to the cost center as a lump sum with the description of CTR\######.  Users would like to see the individual values that posted to the work order in a cost center report such as  KSB1.
    I donu2019t see anything in the settlement rule, settlement profile or allocation structure that will allow line item settlement from work order to cost center.     Is line item settlement possible when settling to a cost center?   Is there an alternate way to see these expenses as line items in KSB1?

    We've defined an allocation structure that we use for Project System and Work Order settlement and have Receiver Categories established as FXA, CTR and WBS with "by Cost Element"  checked.  Work order costs do settle to the cost center entered in the settlement rule, the problem is it combines all items values as a single amount when posting to the cost center.
    For example:  
    expenses post to the work order under cost element 500000 for $500, $200, $300 and cost element 600000 for $250 and $250.  The settlement rule says to settle to cost center 170000.  When the settlement takes place cost center 170000 is debited $1000 to cost element 500000 and $500 to cost element 600000.  We would prefer to see individual posting of $500, $200, $300 to 500000  and $250, $250 to 600000.

  • KO88 - Error when settling for Cost Center AND Auc for the same Internal Or

    Hi Experts,
    We need to configure Investment Internal Orders that could settle to both Cost Center and Auc, but each assignments with different Source Cost Elements
    We did the following:
    1. Created Auc Class
    2. Created Investment Profile "IMOBIL" and assigned to Auc Class, flagging Auc
    3. Created Allocation Structure "CV" with two assignments:
    01, Source = Cost elements 7000000000 to 7999999999, receiver AUC "by cost element"
    02 Source = Cost elements 4000000000 to 4999999999, receiver CTR "by cost element"
    4. Created Model Order, filling the Investment Profile IMOBIL created in step 2.
    5 Created Settlement Profile ZCV0001, assigning Allocation Strucutre CV, allowing CTR and AUC for receivers, default receiver is "FXA", doc type "AA".
    6 Created ORder Type CV01, assigning Settlement Profile ZCV0001.
    When I post only for Asset Expenses (Source Cost element 7, Assigment 01), the settlement through KO88 correctly settles to AUC, and also creates the settlement rule for cost center (i'm using the strategy to create from Responsible Cost Center).
    But when I post for Asset Expenses (cost elements 7, receiver AUC) AND General Expenses (Source Cost element 4, receiver CTR), KO88 generates an error KD506, saying that for Assigment 02 - AUC I didnt define a settlement cost element.
    1. Assignment 02 is not AUC, is CTR;
    2. I flagged "by cost element", so I don't need a settlement cost element. And also, I was able to post to AUC when the source posting was only for cost element 7.
    Did you face any problem like this?
    I cannot find out what is the missing configuration, or if it is a program error...

    I already created Source Structure and assigned to my Setllement profile (so I assigned Allocation Structure AND Source Structure).
    I don't understand when you say that I need to assign the Source Sutrcture in each rule....because the Source structure is in the Settlement Parameters valid for both rules...
    When I post to Asset Expenses only for the internal Order, the 2 rules (CTR and AUC) are created when I run KO88 (but only AUC rule is settled). This is OK.
    The problem is when I post for both General Expenses AND Asset Expenses, the system is not recognizing that I have 2 source structures, neither is findind that for CTR AND AUC the Settlement cost elements are the original cost elements.
    I'm thinking about changing message KD506 to warning, do you know if this can help?
