Purchase orders Co commitments

Hi
         I am looking at a blanket purchase order but with out the item category. I am not sure where exactly the value limit is specified. The Account Assignment category used is CCtr/ Internal Order. If I see CO commitments in the purchase orders, where could the value limit be defined probably.

blanket purchase orders have item category B.
I suppose that you would like to specify limits in your PO. You can use the normal document type (NB) and item category D as well to enter those limits. In both cases (item categories B and D) you will get the tab limits to enter your limit values. With the item category normal the limits tab is not available in ME21N.
Commitments are set up in the amount of the EXPECTED VALUE. The  commitments creation generally occurs for the delivery date.

  • Change of purchase order versus commitments

    I try to find a way to keep track of changes in a purchaseorder other then changing the amount.
    it happens quite a lot that during a job the job changes. (we use purchaseorders for architects and construction builders)
    so when we have created a purchaseorder in ME21N for 10.000 EUR  10.000 UNITS
    and we get a first invoice of 2500 euro
    we set the invoice in for 2500 EUR 2500 UNITS
    the commitment shows that 7500 still has to be paid.
    when during the job something happens and the amount is raised after mutual agreement to 12500
    then the commitment shows 10.000 which is correct.
    only thing I try to figure out now if there are other ways to do the same thing which are perhaps more handy or if standard SAP has also other options.
    1 way is to make a new purchaseorder for extra work or an additional item line.
    this can work for extra work but for less work the commitment doesn't change when I make it a returnposition  ? why doesn't a returnposition influence the commitments ?
    further on the projectmanagers try to keep on track about the extra work or less work added to a purchaseorder. ofcourse this is visible in the documentlogging but perhaps there is also an alternative that it can also be reported in overall reports with multiple purchaseorders ?

  • Final Invoice not releasing purchase order commitments

    Hi Experts,
    We recently upgraded from 4.6C to ECC6 and have had reports of commitments not longer being released when the Final Invoice is flagged on Service purchase orders.  This is causing many issues since they can no longer flag the last service entry as "Final" because the invoice has already paid.
    Out User's have become dependent on this process so please help.  I have looked in OSS but cannot find anything referring to this issue.
    Any help is greatly appreciated.

    Hi Kiran,
    I think that there is some user exit getting called in place where you have issues. Ideally the final invoice should never check the order as the order can be in teco during invoicing.
    I suggest you to debug it using your ABAPer as the signs are of some code inconsistency. The results are different when you directly click the final invoice and click after once seeing the account assignment,

    If your PO has an IO or WBS or a Cost center maintained in it - Run the Program RKANBU01 in SE38 and it will push all the past data of commitments into the CO objects
    You need to activate Commitment management in OKKP as well as in IO Type... If IO was created w/o the tick ON, then I believe you dont have a choice here..

  • Short Closure and Permanent Closure of Purchase Orders

    Dear Experts,
    Our clientu2019s requirement is to close and block the processing of Purchase Orders for either partly received or no receipt at all.
    The following objectives for the closure of Purchase Orders :-
    1.     The useru2019s should not be able to process the Service or Material Purchase Orders after short closure of the Purchase Orders.
    2.     The Budget commitments for the undelivered Services or Material should get released after short closure of the Purchase Order.
    If a Purchase Order is raised for 100 nos. of a material/services @ Rs. 100 per unit, the total value of the Purchase Order will be Rs. 10000/- and GR has been prepared for say 10 nos, so the value of the GR will be Rs. 1000/-. The Purchase Order is now short closed for 90 nos. Then the following are the objectives to be achieved :-
    1.     The user should not be able to make a GR/SES for 90 nos.
    2.     Commitment Budget for 90 nos (Rs. 9000/- should get released from the Purchase Order.
    We have tried the following :-
    1.     Ticking the Delivery Completion Indicator.
    2.     Putting the Last GR Date
    3.     Making the Message of Last GR from Warning to Error.
    4.     Locking the line item for further processing
    But still the Delivery Completion Indicator, Last GR date and Unlock options are are editable to the user in ME22N and ME23N, where he can remove the tick and date and process the gr.
    Please suggest a solution to achieve the above objective.

    Hi Adwait,
    Reducing the quantity to 90 nos. in the Purchase Order will help in release of my commitement budget. But the line item will still be open to the user for amendment and further processing. If the user amends the purchase order again, the line item can be processed by the user again.
    I want that alongwith the release of the commitment budget the line item should also be permanantly locked for modification by the end user.
    Please suggest further in continuance to the above.

    Creating an Invoicing Plan  
    The following procedure describes how to create an invoicing plan with the pre-Enjoy ordering transactions (ME21, ME22, ME23).
    The procedure described is also applicable u2013 with certain restrictions u2013 to the Enjoy purchase order (ME21N, ME22N, ME23N).
    If you are using the Enjoy purchase order, you will find:
    ·         The Invoicing Plan button and the indicators for GR-based invoice verification (GR-Based IV), service-based invoice verification (Srv.-Based IV), evaluated receipt settlement (ERS), and invoice receipt (Inv. Receipt) among the item details on the Invoice tab page.
    ·         The account assignment among the item details on the Account Assignment tab page
    ·         The Goods Receipt and GR Non-Valuatedindicators among the item details on the Delivery tab page
    Prerequisites
    Vendor Master Record
    Before you can use the invoicing plan with automatic settlement, the Evaluated Receipt Settlement Delivery indicator must be set on the Purchasing Data screen in the vendor master record.
    (If you wish to enter invoicing dates manually, this is not necessary.)
    Purchase Order
    ●     We recommend using a framework order (that is a purchase order with a validity period and a reason for rejection). The invoicing plan can adopt the validity period specified in the PO header.
    ●     PO items for which you wish to use an invoicing plan must have account assignment irrespective of whether a material with a master record, a material described by a short text, or an external service is involved.
    ●     The GR/IR control facility must be set up in such a way that no goods receipt (or, in the case of services, no service entry) is expected - only an incoming invoice. If you wish to have automatic settlement, you must also set the Evaluated Receipt Settlement indicator.
    If you nevertheless wish to allow service entry sheets for the item (e.g. for information purposes only), you must set the GR Non-Val. indicator.
    Customizing
    Under Purchase Order à Invoicing Plan in Customizing for Purchasing, you can maintain data such as the desired invoicing plan types, date categories, and date descriptions.
    Procedure
           1.      Create a purchase order with account assignment (framework order).
    Click  to access the item overview (or the overview of service lines if you chose item category D for services).
           2.      Enter the desired material or service, the quantity, and the price.
           3.      Select the desired item and click  Account Assignments to access the account assignment screen. Enter the account assignment for this item.
           4.      Click  to access the item detail screen. Check that the GR/IR control indicators are set correctly on the item detail screen.
    ○     The GR and GR-Based Invoice Verification or Service-Based Invoice Verification indicators must not be set.
    ○     IR must be set.
    ○     You must set ERS if you wish to have Evaluated Receipt Settlement.
    ○     If you wish to have service entry sheets purely for information, for example, allow non-valuated goods receipt (i.e. select the GR Non-Val and GR indicators).
           5.      Choose Item ® Invoicing Plan. A window appears, in which the invoicing plan types predefined in Customizing are suggested. Choose the desired invoicing plan type and click  Continue.
    You can use the following invoicing plan types:
    ○     Periodic Invoicing Plan
    ■      You use the periodic invoicing plan if the total value of the PO item is to be invoiced in each period.
    ■      The system creates the invoicing dates automatically on the basis of the settings in Customizing.
    ■      The invoicing date and the amount to be invoiced are shown for each settlement period (e.g. month). In the case of the periodic invoicing plan, the amount represents the total value of the PO item.
    ■      You can change the suggested dates and block individual dates for automatic invoicing if necessary.
    ■      You can enter the start and end dates for the invoicing plan.
    ■      With the Dates from and Dates to fields, you can determine that an invoicing plan does not contain invoicing dates extending over the entire validity period of the purchase order but only for a certain period within that validity period. (E.g. within a validity period from 1.1. to 12.31, only dates within the period 1.1. to 06.30.)
    ■      With the Horizon field, you control how far into the future dates can be created. If you enter a date rule that adds six months to the current date here, invoicing dates will be created for just half a year in advance in each case.
    The system automatically creates new dates if you change the invoicing plan or when you invoke the transaction for Updating Periodic Invoicing Plans. See Generating Further Invoicing Plan Dates
    ■      The In Advance indicator allows you to specify whether the invoice is to be created with regard to a prior or subsequent period. (E.g. at the beginning of February, either in advance for the month of February or in arrears for the month of January).
    ■      In addition, fields with information on the existing invoicing plan are displayed (e.g. the calendar upon which the date determination process is based).
    ○     Partial Invoicing Plan
    ■      You use the partial invoicing plan if the total value of the PO item is to be invoiced in several partial amounts.
    ■      You get an empty date overview in which you can manually enter the desired dates.
    ■      If you work with a reference invoicing plan, the system automatically generates dates in accordance with the reference plan.
    You have the following options:
    ●      You create a reference invoicing plan in Customizing for the invoicing plan type.
    ●      You enter an existing invoicing plan as reference plan directly in the invoicing plan for the PO item.
    ■      You can flag a date in field B (Billing/Invoicing Rule) as follows:
    ●      As a down payment (percentage or value)
    ●      As an invoicing date (percentage or value)
    ●      As a final invoice
           6.      Click  to return to the item overview.
           7.      Click  to save the purchase order item with the invoicing plan.
    You can then start the automatic invoice creation process during invoice verification.
    For more information, refer to the section Settlement of Amounts Due Under Invoicing Plans.
    Once assigned to an item, the invoicing plan type (e.g. partial invoicing plan) cannot be changed. If you wish to assign a different invoicing plan type, you must delete the item and create a new one.
    Generating Further Invoicing Plan Dates  
    If you have assigned a periodic invoicing plan to a PO item but have not initially defined invoicing dates covering the entire validity period of the purchase order, you can generate further dates in due course.
    You have created a PO item with a periodic invoicing plan for a certain planned procurement. The purchase order is valid from 1.1. to 12.31. When creating the invoicing plan, you specified one invoicing date per month for the first half of the year. You have not yet planned any dates for the second half of the year because you do not wish information from the invoicing plan to be passed on to purchase order commitments at this stage, for example.
    By mid-June, it is clear that the PO is to proceed as envisaged, and you therefore wish to schedule invoicing dates for the remainder of its validity period.
    Procedure
    To schedule further invoicing dates, proceed as follows:
    Choose Purchase order ® Follow-on functions ® Period. invoicing plan
    Specify the purchase orders for which invoicing dates are to be generated in the invoicing plan and perform the function.
    A log can be created if desired.
    Result
    The system adds further dates on the basis of information such as the validity period or horizon from Customizing, the purchase order, and the invoicing plan.

  • Liquidity forecast - purchase order payment terms

    Dear Experts, I have the following issue,
    We are using liquidity forecast, but we are having a problem because the system does not take into account when a Purchase Order is created with Installment Payment Conditions.  The Liquidity Forecast shows the Planning Date equal to Delivery Date of the Purchase Order, not taking into account the division of the payment term and the days of delay of every partial payment. I would like to know if there is workaround for this issue.

    The splitting of payment commitmentment accrding to the instalment dates are not possible. However it is possible to have the first instalment payment date instead of delivery date. But for this the Payment Term definition should take the baseline date as any of the 3 defaults possible ( Doc date/Posting date/Entry date). That means it should not be "No Default".
    Below reproduction from note 497381:
    "In the installment payment terms, you can enter 'Fixed day' and 'Additional months' for the calculation of a baseline date. In this case, the system updates the entire payment commitment as at the calculated baseline date (fixed day and additional months)."

  • Purchase order not appearing as commitment for next fiscal year in KOB2

    Hi Experts
    Any help on this is highly appreciated.Our Fiscal year 2008 is ending on 27th september and fiscal year 2009 will start on 28th September.
    We have some purchase orders created with delivery date as 30th september which falls into next fiscal year. Somehow these purchase orders are not appearing as commitments in KOB2 report even with data ranges for next fiscal year.
    However we have many similar Purchase orders with delivery date in fiscal year 2008 with same internal order as account assignment and they are correctly appearing as commitments in KOB2 report.
    Can you please let us know what could be the reason for purchase orders with delivery date as 30th september not appearing in KOB2 report.

    Thanks for your continued support on this. I was going through these notes today.
    One observation I made was cost elements in our system were valid till 27th september only when problematic POs were created.However their validity was subsequently extended after the creation of Purchase orders.This might be the reason for system not recognising these POs as commitments.
    SAP Note 534993 seems to suggest that we need to run report RKANBU01 for all such purchase orders to redetermine commitments.I am in the process of testing this out in our systems.
    Could you please let me know if my understanding is correct. Thanks again.

  • Purchase Order Updating by Due Date

    Dear Sirs,
    I am testing purchase orders commitments in payment budget with update profile 000202. This UP updates postings by due date as standard. To reinforce it I market as due date at OF39 to Value Cat. 51.
    However system is still updating POs postings with the delivery date in FM instead of update it with the due date.
    Since I have a payment condition in the PO, shouldnu2019t the system be able to predict a due date and update as we need?
    Does anybody could tell me if it is the regular behavior or if I am actually missing something?

    Hi Gustavo,
    There are two restrictions to using terms of payment from MM for determine the FM due date.
    1) OFUP: only MM-invoice is updated.
    2) Update profile: the update date for payment budget and commitment budget cannot be set to delivery date.
    Since point 2 you have already for due date, please check if your OFUP is customized correctly for due date.

    Identifies costs that will be incurred in the future for materials and services that you have requested or ordered. Commitments reserve funds that will become costs at a future date.
    Use
    On the account assignment objects, Commitments Management portrays the cost side of the procurement process for MM Purchasing. The costs incurred are assigned to business objects, such as orders, cost centers, or projects.
    In Commitments Management, you can specify which object the costs are to be assigned to (for example, purchase order costs). In this case, this is known as an Initial Account Assignment.
    Commitments Management distinguishes between three types of commitments, depending on the account assignment object:
    Order Commitment:
    The commitment is initially assigned to an order.
    Cost Center Commitment:
    The commitment is initially assigned to a cost center.
    Project Commitment:
    The commitment is initially assigned to a project, or to a work breakdown structure element.

    due to funds commitments (commitment for funds commitments):
    - You can use Funds Commitments to reserve funds for costs you are fairly certain to incur, but you cannot yet assign to a specific business transaction (such as, a purchase order or a purchase requisition).

  • Committment is still showing for closed purchase order

    We have a purchase order with cost center for last financial year, We did the GRN and MIRO. Also we did the payment to vendor, However, the committment is still showing.

  • Commitment in Purchase contracts and purchase order

    Hi,
    We are loading contract through LSMW. As account assignment we are just passing the cost center and the account is configure in OKB9.  However for some contract the flag is set in items affect commitments and the wrong account is determine. I want to know if this behavior is normal and why? How do you know how commitment is set up in the system?
    I have also seen that for some purchase order there are commitment lines that have been created in table COOI. Those pruchase order has been created through idoc and here again we do set the commitment flag.

    Please consider that purchasing documents which do not have facility of GR, can not create commitment, hence commitment is not available for contracts.
    In case you want PR commitment to be adjusted against PO, please ensure that along with contract, PR number should also be filled in PO.Here I mean for EKPO-BANFN should be filled in PO then commitment would not be double.
    Case 1 with contract:
    When you post Purchase requisition.
    - Purchase requisition updates commitment.
    - You see purchase requisition amount in the report S_ALR_87013558.
    When you post Contract with reference to the Purchase Requistion:
    - Purchase requistion commitment stays as it is.
    - Contract doesn't update the commitment.
    - You see purchase requisition in the reprot S_ALR_87013558.
    When you post a purchase order with reference to contract:
    - Purchase requistion commitment stays as it is.
    - Contract doesn't update the commitment,
       When PO posted with reference to contract, there is no   commitment reduction for the contract either.
    - Purchase Order commitment is updated.
    - You see purchase requisition and order in the report S_ALR_87013558.
    Case 2 without contract:
    When you post Purchase requisition.
    - Purchase requisition updates commitment.
    - You see purchase requisition amount in the reprot S_ALR_87013558.
    When you post a purchase order with reference to requisition:
    - Purchase requistion commitment is reduced by PO posting
    - purchase order commitment is updated.
    - You see only the purchase order amount in the report S_ALR_87013558.
    The  attached note 151451 describes also the system behaviour.
