R/3 GL special periods - SAP standard purposes?

Hi All,
Is there a standard purpose for each of the special periods in the K4 fiscal year variant (12 monthly periods plus 4 special periods)?
I understand that these can be used for ay purpose, eg year end adjustments, audit adjustments etc. but is there a standard guide from SAP as to what each of p13, 14 , 15 & 16 is for?

Hi
These special periods are available at the end of posting period 12. They are used for 1st close , 2nd close etc.
When they close the period 12 it is called rough cut. This is before passing adjustment entries in the books.
Then adjustment entries are passed and again the books will be closed for this special period. As saia Radha the authorization is available only people who are involved in closing process. Again except GL (S) all the other module will be closed for postings since most of the time special period postings are affected only in GL. Furtther these posting periods are available only at the end of the period 12. Special posting periods are optional.

  • Use of special periods if SAP

    Dear guruz,
Please help to get more information about posting in special periods (13-16) in SAP.
    We have following situation:
After year end closing we need to audit our financial statements for external use (IFRS). As audit lasts several months I cannot afford to leave the balances of new year unuploaded. So I perform the balance carry forward procedure before the audit starts.
Now I'd like to add some corrections in audited reporting by use of special posting periods.
    My questions are:
-does these postings, performed after balance carry forward procedure affect on accounts in future (is this possible to face with problems in the future); Do I have to repeat the balance carry forward procedure?
-is this possible to divide all the postings (for internal reporting and for audited reporting) to be able to see these balances in standard SAP reports (such as S_ALR_87012300 "GL account balances" and so on)  with and without postings made by use of special periods in previous years.
    respect,
    Oleg.

    1. I don't think that assumption is correct.  Bal. c/f program can be run multiple times.  Also, once bal. c/f program is run, if you make any postings in the previous year they are automatically carried forward to the current fiscal year.  Here is the bal. c/f program documentaton.
This program is used to carry forward the balances of the general ledger or another ledger to the new fiscal year.
The program can be run multiple times.
Normally, the program does not need to be run more than once, since postings to the previous fiscal year are automatically carried forward to the current fiscal year, if the balance carry forward program has already been run.
Generally, the balance is carried forward as follows:
Balance sheet accounts are transferred with all additional account assignments.
P&L accounts are carried forward to the retained earnings account. Additional account assignments are not transferred. The transaction currencies are not transferred and are totaled in the local currency.
    2. In your case, if you are using new GL, you can create a non-leading ledger and post audit adjustments only to the non-leading ledger.  You regular postings for the year hit both the leading (0L) and non-leading ledgers.
    3. I am not good at asset accounting - so I can't answer your question on depreciation for audit adjustment postings.

    Hi,
Special Posting Periods are those time blocks which are used for closing entries.  These 4 special posting periods can be used as follows.  But there is no hard and fast rule that these periods should be used only for the following.
13 u2013 To be used from close of the year till the preparation of draft accounts for submission to auditors.
14u2013 entries passed based upon audit observations
15u2013 entries passed based on the adjustments approved by Board of Directors viz., declaration of dividend and transfer to reserves.
16u2013 if accounts are rejected by shareholders & books are to be reopened.(unlikely event)

  • Do you trust the SAP standard rule set ?

    Hello all,
I have the impression that, too often, the SAP standard ruleset has been taken for granted : upload, generate and use. Here is a post as to why not to do so. Hopefuly, this will generate a interesting discussion.
As I have previously stated in other threads, you should be very careful accepting the SAP standard rule set without reviewing it first. Before accepting it, you should ensure that your specific SAP environment has been reflected in the functions. The 2 following questions deal with this topic :
    1. what is your SAP release  ? ---> 46C is different than ECC 6.0 in terms of permissions to be included in the function permission tab. With every SAP release, new authorization objects are linked to SAP standard tcodes. Subsequently some AUTHORITY-CHECK statements have been adapted in the ABAP behind the transaction code. So, other authorizations need to provided from an implementation point of view (PFCG). And thus, from an audit perspective (GRC-CC), other settings are due when filtering users' access rights in search for who can do what in SAP.
    2. what are your customizing settings and master data settings ? --> depending on these answers you will have to (de)activate certain permissions in your functions. Eg. are authorization groups for posting periods, business areas, material types, ... being used ? If this is not required in the SAP system and if activated in SAP GRC function, then you filter down your results too hard, thereby leaving certain users out of the audit report while in reality they can actually execute the corresponding SAP functionality --> risk for false negatives !
Do not forget that the SAP standard ruleset is only an import of SU24 settings of - probably - a Walldorf system. That's the reason SAP states that the delivered rule set is a starting point.
So, the best practice is :
    a. collect SAP specific settings per connector in a separate 'questionnaire' document, preferably structured in a database
    b. reflect these answers per function per connector per action per permission by correctly (de)activating the corresponding permissions for all affected functions
You can imagine that this is a time-consuming process due to the amount of work and the slow interaction with the Java web-based GRC GUI. Therefore, it is a quite cumbersome and at times error-prone activity ...... That is, in case you would decide to implement your questionnaire answers manually. There are of course software providers on the market that can develop and maintain your functions in an off-line application and generate your rule set so that you can upload it directly in SAP GRC. In this example such software providers are particularly interesting, because your questionnaire answers are structurally stored and reflected in the functions. Any change now or in the future can be mass-reflected in all (hundreds / thousands of) corresponding permissions in the functions. Time-saving and consistent !
Is this questionnaire really necessary ? Can't I just activate all permissions in every function ? Certainly not, because that would - and here is the main problem - filter too much users out of your audit results because the filter is too stringent. This practice would lead too false negatives, something that auditors do not like.
Can't I just update all my functions based on my particular SU24 settings ? (by the way, if you don't know what SU24 settings are, than ask your role administrator. He/she should know. ) Yes, if you think they are on target, yes you can by deleting all VIRSA_CC_FUNCPRM entries from the Rules.txt export of the SAP standard rule set, re-upload, go for every function into change mode so that the new permissions are imported based on your SU24 settings. Also, very cumbersome and with the absolute condition that you SU24 are maintained excellent.
Why is that so important ? Imagine F_BKPF_GSB the auth object to check on auth groups on business areas within accounting documents. Most role administrator will leave this object on Check/Maintain in the SU24 settings. This means that the object will be imported in the role when - for example - FB01 has been added in the menu.  But the role administrator inactivates the object in the role. Still no problem, because user doesn't need it, since auth groups on business areas are not being used. However, having this SU24 will result in an activated F_BKPF_GSB permission in your GRC function. So, SAP GRC will filter down on those users who have F_BKPF_GSB, which will lead to false negatives.
Haven't you noticed that SAP has deactivated quite a lot of permissions, including F_BKPF_GSB ? Now, you see why. But they go too far at times and even incorrect. Example : go ahead and look deeper into function AP02. There, you will see for FB01 that two permissions have been activated. F_BKPF_BEK and F_BKPF_KOA.  The very basic authorizations needed to be able to post FI document are F_BKPF_BUK and F_BKPF_KOA.  That's F_BKPF_BUK .... not F_BKPF_BEK. They have made a mistake here. F_BKPF_BEK is an optional  auth object (as with F_BKPF_GSB) to check on vendor account auth groups.
Again, the message is : be very critical when looking at the SAP standard rule set. So, test thoroughly. And if your not sure, leave the job to a specialized firm.
    Success !
    Sam

    Sam and everyone,
Sam brings up some good points on the delivered ruleset.  Please keep in mind; however, that SAP has always stated that the delivered ruleset is a starting point.  This is brought up in sap note 986996     Best Practice for SAP CC Rules and Risks.  I completely agree with him that no company should just use the supplied rules without doing a full evaluation of their risk and control environment.
I'll try to address each area that Sam brings up:
    1.  Regarding the issue with differences of auth objects between versions, the SAP delivered rulset is not meant to be version specific.  We therefore provide rules with the lowest common denominator when it comes to auth object settings.
The rules were created on a 4.6c system, with the exception of transactions that only exist in higher versions.
The underlying assumption is that we want to ensure the rules do not have any false negatives.  This means that we purposely activate the fewest auth objects required in order to execute the transaction.
If new or different auth object settings come into play in the higher releases and you feel this results in false positives (conflicts that show that don't really exist), then you can adjust the rules to add these auth objects to the rules.
Again, our assumption is that the delivered ruleset should err on the side of showing too many conflicts which can be further filtered by the customer, versus excluding users that should be reported.
    2.  For the customizing settings, as per above, we strive to deliver rules that are base level rules that are applicable for everyone.  This is why we deliver only the core auth objects in our rules and not all.  A example is ME21N.
If you look at SU24 in an ECC6 system, ME21N has 4 auth objects set as check/maintain.  However, in the rules we only enable one of the object, M_BEST_BSA.  This is to prevent false negatives.
    3.  Sam is absolutely right that the delivered auth object settings for FB01 have a mistake.  The correct auth object should be F_BKPF_BUK and not F_BKPF_BEK.  This was a manual error on my part.  I've added this to a listing to correct in future versions of the rules.
    4.  Since late 2006, 4 updates have been made to the rules to correct known issues as well as expand the ruleset as needed.  See the sap notes below as well as posting Compliance Calibrator - Q2 2008 Rule Update from July 22.
    1083611 Compliance Calibrator Rule Update Q3 2007

    1035070 Compliance Calibrator Rule Update Q1 2007
1173980 Risk Analysis and Remediation Rule Update Q2 2008
    5.  SAP is constantly working to improve our rulesets as we know there are areas where the rules can be improved.  See my earlier post called Request for participants for an Access Control Rule mini-council from January 28, 2008.  A rule mini-council is in place and I welcome anyone who is interested in joining to contact me at the information provided in that post.
    6.  Finally, the document on the BPX location below has a good overview of how companies should review the rules and customize them to their control and risk environment:

  • SAP standard report to show Inter Company transactions

Basically, we have two companies that are buying and selling between each other. One of the companies is a subsidery of the other. So, the parent(x) can sell or buy from it's sub(Y) and visa versa. At the end of the period, we need to consolidate both companies for reporting purposes, therefore there will be elimination entries which should be identified.
I need an SAP standard report to show these transactions which might still be sitting on each other books unsold

    Dear :
We are using ECC 6 SAP version and we have the t code FBU3  for displaying all inter company transactions. Have you done necessary configuration in OBYF. You can display all related inter company transactions through FBU3.
Your 2nd query corresponds to same credit control area that was assigned to two company codes. In order extend credit limit for a customer who is extended on two company codes which have same credit area. It is not possible you distinguish credit limit for a customer who is extended on two company codes having same credit control areas. CCA is defined at organization structure level and for the distinction you will have to define new credit control area in customization at
    enterprise level i-e
Enterprise Structure.... Definition.... Financial accounting....define credit control area
Assignment.....Assign credit control area to co code
Do necessary customization for SD module
and then in credit management for AR you will have to assign the credit control area to company codes i-e
Account Recv/A/c Payable.....Credit Management.... Assign permitted CCA to Co code
. This is the only way to to segregate customer credit limit for two company codes. Please revert in case of any confusion.

  • Special Periods and Variable Offset

Our fiscal year variant includes 12 periods and one special period (Period 13).  I created a rolling 12 month query which uses variable offsets to define each column.  If the user enters 3/2006, I would expect to see the next columns to show 2/2006, 1/2006, 13/2005, 12/2005....
Instead the query ignores the special period and jumps directly from 1/2006 to 12/2005 - therefore the postings for Period 13, 2005 are not displayed.  From what I've found so far this is standard SAP BW functionality, but has anybody had any luck getting around this?
    Thank you.

    Jeff,
If I enter 13/2005 into the leading column variable, I can see that there are transactions posted to Period 13 which are not included in the results of Period 12.  We have another query where the user can enter a period range using an interval variable for 0FISCPER (i.e. from Period 10/2005 to Period 2/2006) and it brings back results for Period 13/2005.  However this other query that uses the variable offset to define the rolling periods does not return the Period 13 results.  I thought about adding Period 13/2005 to Table T009B, but I would prefer not to set this up in BW without doing the same in R/3, and I'm not quite sure about the implications of adding an extra (not special) period to the Fiscal Year variant in R/3.
    Sven,
I use 0FISCPER for posting period, and I created a structure for the twelve periods.  There is a variable (0P_FPER) for current posting period in the first column, and the rest of the columns use offsets to go back the 12 months.  For example the second column is (0P_FPER - 1), the third column is (0P_FPER - 2), etc.  It seems that my problem is related to the fact that the offset ignores the special periods, while the fiscal period interval variable recognizes these periods.
Thanks very much to both of you for your replies!

  • Special period 13 to 16

    Hi Guys
I have a doubt on special period available in SAP. We have special period 13 to 16 - i really have a doubt what is the purpose of this.
1] For eg - i am opening the special period in OB52.
Can i pass a entry for that period - When i passed an entry - the date i can give is only from jan to dec, otherwise the system will give an error as invalid date.
Now iam giving a date as lost date of my fiscal year and changing the period as 13, the period is automatically changed to the posting date period.
2] I have opened only one period in OB52 i.e  the period 13. Now can i pass entry in any period i.e. from period 1 to 13
The live issue is i have some audit entries which are to be passed on 31st March, by using period 13. When we try this the above doubts came into picture
    Thanks in advance
    Warm Regards
    Bala

    Dear Bala,
We use special posting period to post make adjustment entries. This is how to post in "Special Period" in system :
    1. Go to F-02
    2. Enter desired dates in date field.
    3. In period field enter " Special Period Number e.g 13"
    4. And proceed with normal postings and save the document.
For posting in special period you have to enter special period explicitly, and your Posting Date should fall in Last Actual Period say March or December. In below example date is in March 2014.
Please find below screenshot for your help and reference.
    FB03 :
    FS10N :
I hope this will help you to understand functionality, and solve your issue as well. Just try F-02 in your system and see what happens - see results in FS10N as well.
    Thank you.
    Regards,
    Pankaj Bhalerao.

    - If it is for test purpose only, you could use transaction WE19 (Test Tool).
    - As well you could write your own program and user MASTER_IDOC_DISTRIBUTE function module... but in this case you need to fill yourself the fields of the IDOC
    - as well you can have a look at function group KALE...
    E.g. function module K_DOCUMENT_SEND

    Hi Laxman,
I have checked the program and found out following:
the field "acc_mode" which gets populated by FM "GET_ACCESSIBILITY_MODE".
If this field is initial, then normal list gets displayed and
If this field has value, then ALV grid gets displayed.

  • Inversion documents when using the special Periods with FYV K4

    Hello All,
I have posted some documents in Period 12 and they are not inverting in period1. we are using the FYV as K4 which is 12 periods plus 4 special periods. My business requirement is whatever the documents posted in Period12 to Period 16, they need to be inverted in Period1.
I have tried all different combinations and permitation by changing the consolidation frequency, Document types and tasks. But there is no use and SAP also replied back as per the below. So please help if you have any information regarding this issue.
    25.11.2008 - 16:54:36 CET - Reply by SAP
    Dear Jags,
There is no special handling of the 'special' periods regarding invers-
    ion.
The period initialization task just considers the closing frequency,
which is assigned to the respective task.
According to this frequency, it inverts the previous closing period.
If you use the closing frequency monthly, which contains
also the special periods 13-16, then the following logic applies:
period of execution / inversion period of original document
    01 16
    02 01
    03 02
    04 03
    05 04
    06 05
    07 06
    08 07
    09 08
    10 09
    11 10
    12 11
    13 12
    14 13
    15 14
    16 15
If the closing frequency contains also the special periods, please
execute the period initialization task also in all special periods.
I hope this helps to answer your question. If so, please confirm this
message. For additional questions regarding that topic please turn to
to the information sources listed in note 83020)

    Hi Eugene,
Thank you so much for thinking about this issue and providing one more suggestion. This time also no use by trying in different way.
As you know I am using the FYV as K4(12 periods + 4 special Periods)
    Created the Consolidation Frequencies.
    1.     100 u2013 1-13 Periods
    2.     200 u2013 only period 13
    3.     300 u2013 1-12 Periods
Created the following Period Category groups and period categories.
    1.     Period Group 100
    Period Category 10 u2013 1-12 periods
    2.     Period Group 200
                    Period category 20 u2013 only Period 13
Assigned the Consolidation Frequency 100 (1-13 periods) to the Version combinations.
I have created 2 tasks with one method and one Flexible Upload
    Task
               Task u2013 TEST1
               Cons Frequency u2013 300 (1-12 Periods)
               Period category -  10 (1-12 Periods)
Flexible Upload Method TEST is assigned.
               Task u2013 TEST2
               Cons Frequency u2013 200 (Period 13)
               Period category -  20 (only Period 13
Flexible Upload Method TEST (same as above) is assigned.
Assigned these tasks to the task group within a task hierarchy
    Method
              Method u2013 TEST
              Data Stream u2013 Documents
Data Collection Procedure u2013 Manual Posting
             Doc type - 01
    Doc Type
Posting Level u2013 Adjustment to reported financial Data(01)
            Balance Check u2013 Error
            Application u2013 Other
            Posting u2013 Manual Posting
Inversion u2013 Automatic Inversion in FY
           Key Figures
          TC u2013 Not checked
           LC u2013 Checked
           Translate into GC u2013 Checked
            GC - Checked
           Number Range - 01
Cons Unit Clg Item u2013 Assigned
          Validation u2013 Assigned
    Testing in the cons monitor
TEST1 task is showing up in Period12 in the cons monitor
Posted one document with 2 lines in Period12.
It is not inverting in period1 part of the period initialization task, but it is inverting period 13.
Issue: I am unable to invert the doc in period1.
Even I tried with 2 different doc types and 2 different Flexible upload methods. But there is no use.
TEST2 task is showing up in period13 only in the cons monitor
Posted one document with 2 lines in Period13.
It is inverting in period1 part of the period initialization task, so here there is no issue from the beginning.
    Thanks,

  • SAP Standard objects:modified ones.

    Dear all,
my client wants to have a report where in he can see all the modified SAP standard object so that he can analyse his effort for the next upgrade.
there is already a report existing which does this but not sure if the logic is correct.
It is getitng all the entires from table "ADIRACCESS" and displaying.
I understand i can look at the txn SPAU and SPDD but ofr reporting purpose i waould need to get the tables/ FM which gives me the lilst of objects
any pointers to that would be appreciated.
    thanks in advance !

    Hi Dhruv,
As mentioned by Srinivas the ADIRACCESS table is where all access keys used within your system for modification to SAP standard code are stored and hence should be a good indication of what all / how many modifications to standard have taken place.
As to your doubts, append structures do not require access keys, since creating append strcutures is an enhancement to standard DDIC objects and only needs a transport since in actual, it only is creating a Z table structure.
Also, user exits and BAdis certainly dont require access keys. Again they are enhancement and not modifications and when upgrading they will NOT be overwritten. As SAP mentions, during upgrades all enhancements are retained within the system however modifications if not handled are overwritten.
Hope this helps in a way.
    Best regards,
    Aditya

  • FI Special periods

    Dear all,
Can you tell me what is the purpose of special posting periods in FI. I use variant K4 with 12 normal periods & 4 special periods. What is the avantages of using one special period & using whole 4 periods ?
    Thank you,
    Best regards,
    Tweety.

    Hi Tweety,
Special posting periods in FI are used for posting all kinds of adjustment entries like audit or tax adjustments to a closed fiscal year. Only specific users as identified by the business must be given authorization to post in special periods. Normally you can use 4 special periods but the requirement again is business-based.
    Hope this clarifies.
    Regards,
    Poorna Chandana

  • Can posting with Special Periods possible 4 other than Last posting period?

    Hi Gurus,
My client is following a calendar year specific fiscal year (JAN TO DEC). Now, is it possible to post accounting documents or any documents giving any of the 4 special periods and with posting date as that of March? This is for income tax purpose...
Fiscal Year Variant USED  is K4.
    Regards
    Deepak

    Hi,
This is not possible, as the period has a conversion attached to it internally, i.e., the period is derived from the posting date, as such the special periods (13-16) will only remain in the period field of the document when the posting date is in December.  Else it will be overwritten by the posting date period.
If you are in a non-ECC system, you may look at building an April to March ledger in Special purpose ledger, which will have its own balance carry forward and adjustment postings for the tax year. The SL uses the same postings from the FI ledger, however you can set a different fiscal year variant for the special ledger, so April will become period 1 in SL, while remaining 4 in FI.
    Cheers
    Neeraj
