Re: Auditing Document Access?

Hi guys,
I know you can subscribe to a document to see who has checked out and checked in a document but is there a way to see who has read the document?
Is there an audit trail for user access or other similar events?
I have a requirement from a client to do the above for their procedures to make sure it is being read.

  • Auditing failed access to files and folders in Windows Storage Server 2008 R2

    I've been trying to figure out why I cannot audit the failed access to files and folders on my server.  I'm trying to replace a unix-based NAS with a Windows Storage Server 2008 R2 solution so I can use my current audit tools (the 'nix NAS
    has basically none).  I'm looking for a solution for a small remote office with 5-10 users and am looking at Windows Storage Server 2008 R2 (no props yet, but on a Buffalo appliance).  I specifically need to audit the failure of a user to access
    folders and files they are not supposed to view, but on this appliance it never shows.  I have:
    Enabled audit Object access for File system, File share and Detailed file share
    Set the security of the top-level share to everyone full control
    Used NTFS file permissions to set who can/cannot see particular folders
    On those folders (and letting those permissions flow down) I've set the auditing tab to "Fail - Everyone - Full Control - This folder, subfolders and files"
    On the audit log I only see "Audit Success" messages for items like "A network share object was checked to see whether client can be granted desired access (Event 5145) - but never a failure audit (because this user was not allowed access by NTFS permissions).
    I've done this successfully with Windows Server 2008 R2 x64 w/SP1 and am wondering if anybody has tried this with the Windows Storage Server version (with success of course).  My customer wants an inexpensive "appliance" and I thought this new
    variant of 2008 was the ticket, but I can't if it won't provide this audit.
    Any thoughts? Any of you have luck with this?  I am (due to the fact I bought this appliance out of my own pocket) using the WSS "Workgroup" flavor and am wondering if this feature has been stripped from the workgroup edition of WSS.

    The steps to setup Audit on a WSS system should be the same as a standard version of Windows Server. So please redo the steps listed below to see if issue still exists:
    Enabling file auditing is a 2-step process.
    [1] Configure "audit object access" in AD Group Policy or on the server's local GPO. This setting is located under Computer Configuration-->Windows Settings-->Security Settings-->Local Policies-->Audit Policies. Enable success/failure auditing
    for "Audit object access."
    [2] Configure an audit entry on the specific folder(s) that you wish to audit. Right-click on the folder-->Properties-->Advanced. From the Auditing tab, click Add, then enter the users/groups whom you wish to audit and what actions you wish to audit
    - auditing Full Control will create an audit entry every time anyone opens/changes/closes/deletes a file, or you can just audit for Delete operations.

  • SAP Archiving & Document Access by Open Text installation problem

    Hi!
    Has anybody successfully installed the "SAP Archiving & Document Access by Open Text"?
    Currently I'm trying to Install the "Runtime and Core Services 10.1.0" - a part of "Open Text Enterprise Library Services 10.1.0".
    The install guides I follow: "Open Text Enterprise Library Services 10.1.0 Installation and Upgrade Guide.pdf" and "Open Text Runtime and Core Services - Installation and Upgrade Guide.pdf".
    All the prerequisites a fulfilled, but the process of installation fails with message "The installation of Runtime and Core Services 10.1.0 returned an error".  There is no any log or trace file created during the installation, so I cannot find out what causes the problems.
    System configuration:
    OS: Windows 2003 SP2 32-bit
    DB: MS SQL 2005
    AS: Tomcat 5.5
    JAVA: JDK 1_5_0_22
    Any idea?

    You can implement all basic scenarios of archive link with ADA SAP Document Access by Open Text.
    In your case ADA SAP Document Access by Open Text supports late storing with bar code and early storing with bar code scenarios of archive link
    As well identify document number from barcode ?
    Barcode is for indexing. During late archiving scenario you bind the index (barcode) to the SAP document number (invoice/Sales order..etc) which pop-ups a window for entry of SAP document number.
    Typically real time scenario may be archiving email correspondence to each every SAP documents of sales process right from Quotation to Sales Order so that every user of the corresponding SAP document can view correspondence.
    Similarly for early storing with bar code scenarios storing of all the partial (contract) deliveries with same barcode number to full fill the ordered quantity.
    Of course it depends on these are to be applied to scenarios.
    With this document number can we configure the business transaction to which this scanned barcode could be attached as attachment link?

    You can get sizing inputs at Open Text Knowledge center. For this you need to have login credentials to access the Knowledge Center. It has all the updated information about Open Text Installation planning and roadmaps.

    you have to activate the RepositoryService "AccessDataCollectorService" that comes along with the Document Access Report on the repository where you want to use this report.

    Hello,  I am trying to understand "Audit object access",  I have it turned on and I am capturing all Success and Failures of every file share I have on our File Server.  
    However,  that is my issue.  I am capturing everything.   Is there a way to only capture certain file shares. I noticed that under the auditing tab,   its has "include inheritable auditing........"
    Example:
    In this example,  I want to capture successes and failures for all users who access Events and Images folders. 
    \\Server1\Share1\Data1\Common\Reports\Events
    \\Server1\Share1\Data1\Common\Apps
    \\Server1\Share1\Data1\Images

    Simply disable the current auditing on the root of your folders. Once done, enable it only on the folders you would like to audit.
    Reading such logs is usually a difficult task and time consuming. For that, it is recommended to use a third party tool with a UI for auditing. The one I usually recommend is Lepide Auditor for File Server: http://www.lepide.com/file-server-audit/

  • USB Document Access & Wireless Printing

    I`m interested in an IPad.
    My wife uses an XP based netbook for her job, simple client info document use she does nothing really difficult or demanding with this machine.
    Her birthday is next month and I`d like to replace her netbook with an IPad however I have a few reservations.
    She is not very computer literate nor does she have a consistent wireless network at her job so please keep that in mind when giving advice/recommendations for the reservations and questions I have below.
    1; Will the IPad print wirelessly through my Airport Express?
    2: Is there anyway to access/save documents (.doc, .pdf .xls) from/to a USB flash drive with the IPad?(files cannot be saved wirelessly to Airstash)
    3: Are there any “must have” accessories that any of you feel greatly enhances the use of this tablet?
    If the answer to either of these questions is “no” what do you think the odds are these needs might be accommodated in future versions of the IPad?
    I am considering the 16GB version as I`m planning on upgrading 2nd or 3rd generation.

    Perhaps it isn`t compatible with the Airport express and I`d need an actual wireless printer?
    Concerning the USB storage access for the IPad:
    My wife can`t access the web consistently at her job but I`m beginning to wonder if it`s even a problem considering she could simply stop using the flash drive and save directly to the HD.
    The file sizes she uses are negligible anyway.
    Airstash does look very cool though, pity you can`t save to it from the IPad I`m quite sure they`ll be rectifying this since their amazing popularity seems due to the timing of their release coinciding with the release of the IPad.
    The more I think about it the less the lack of USB connectivity seems a deal breaker.
    Concerning accessories:
    I was going to get an Apple IPad case but the incase book jacket looks much more versatile and attractive.
    I bought a Pogo Sketch for my Macbook Pro but never use it, it`ll probably be a lot more useful with an IPad.

  • DMS Document access through Portal

    Hi Sap Gurus,
    we are in the process of integrating SAP DMS with Enterprise portal 6.5,  and SAP DMS on 6.0 SP 12, ie the latest Version,
    when we try to access or view the documents in Portal, we could only see those which have been maintained through Easy DMS, ie.. the folders and documents created in EDMS only is visible
    The Documents which are created in normal DMS, ie the document types and all the documents are not visible in Portal view. any one who have seen or managed DMS through Portal let me know can we see all the documents through Portal or only those maintained in Easy DMS,
    can we avail all the funtionality in Portal to manage the documents just like we do in DMS. what are its limitation.

    The Kpro Tick is been given to all the document types i have configured,
    i dont know if i have to enable any other KPRO feature apart from this,
    if any one have made DMS and Portal integration, please let me know is Portal access is only for Document maintained by Easy DMS, or it is for all the documents of DMS, (is there any note to be implemented to avail this feature)
    also we are planning to have Trex search engine for Portal file search, can this same Trex be used be  for searching files inside DMS also.
    Points eagerly awaiting.

  • Can't open a pdf file: there was an error opening this document access denied

    Could anyone help in this problem I am facing. I have scanned documents as PDF and they opened nicely but after I renamed the files I am not able to open them. I get the message 'There was an error opening this document. Access denied'. When I try to copy/paste the document I also get the message 'cannot copy accounting 3: access is denied. Make sure the disk is not full or write-protected and the file is not currently in use'. I resterated Windows but still get same message although new files I scan open nicely even if I rename and/or copy/paste. Thank you

  • Document Access via Custom Authentication Source?

    I don't know if this should be under the 'Content Services' forum or this one, so I'll start here. I have a custom content crawler that crawls documents stored in a database. That works fine, but now I want to integrate access control into the equation. The documents that I retrieve have metadata associated with them (i.e. the users/groups from the document repository that have access to the document). Every ALUI portal user has an associated user with the same name in the document repository. I want to set things up so users can only see/view documents that they are allowed to see/view. I'm wondering if I need to create a custom authentication source to get these users/groups integrated into the portal. We already are doing Single Sign-On, but I need to know what needs to be done to pass user/group info from the document repository to the portal. Any thoughts would be appreciated.

I have written a custom crawler and I am having the ACL's that contains the read/write etc permissions for the users and groups, but I am not able to find out how I can pass this information using custom cralwer interfaces.   • Document access via WAN in portal

    Hi,
    I have the following problem. I have installed portal with KM in place A and some users are in place B. Both places are connected via WAN (1Mbit/s). Users in place B have some documents stored in there LAN so they can access them relatively quickly. But they would like to use functionality of KM. When I move their documents to the portal they will access these files over WAN connection. Is there some alternative solution? (users can navigate to the document via portal but than they download them from LAN). Can this be solved by WebDAV or Web repository manager?

    thanks for help but I would like to avoid network traffic between two WAN locations. Imagine that you have 10MB file on network A on some WebDAV server for example that is in network A too. Portal resides in network B which is conntected with network A via 1mbit/s connection. Webdav repository is connected to this portal. I suppose that if you want to download your document from portal you must firstly transfer it from network A to network B (to the portal) and then from network B to network A again (to your desktop).
    My question is: Can I avoid described useless network traffic and download document directly from network A?

    We have a standard functionality of solman with which we can access solman documents
    For e.g goto properties of doc in solar01 or 02 then click Generate URL
    this will generate a URL and copy to clipboard and then press control+v to paste in explorer the doc can be accessed from anywhere with authentication
    Note you need to have activate SICF solmandocument service for this.
