Rebuild Mail Box Folders

How important is it to rebuild mail boxes and if so how often should it be done? Is it the same as "compacting" folders in other mail clients such as thunderbird? What are the consequences of not rebuilding mail boxes? Thanks for a reply.

    Try going to view in mail click view, at the bottom click use small mailbox icons.  Hope this helps.

    For the life of me I can't find where these are now moved to and frustrated. I click on a message and can right click or control click and can go to move to and see my folders. But I can't find where these are in the menu so I can access the actual folder to re-read a message. HELP.....

    They're probably hidden. If you see a button marked "Show" in the top left of your Mail window (the icon is a little triangle in a box), click it, and the folder sidebar should appear.
    The folders under each account can also be hidden within the sidebar - again, if you mouse over the account name in the sidebar and see the word "Show", click on that to expand the folders.

    I like to have mine set for Show scroll bars:  Always.

    The previous Mail did have:

    The above separated the mailboxes slightly.
    Yes, the On My Mac has been removed and everthing comes under one heading of Mailboxes now.
    All my mailboxes are there that I had before though.

    Are the mailboxes you are talking about belonging to other email accounts? You can't get iCloud to receive mail from other email accounts. However if you have 'On My Mac' mailboxes which contain emails you can move these (or their contents) to iCloud easily enough. For each mailbox:
    1.Create a new mailbox with the same or a suitable name on iCloud.
    2. Open the mailbox you want to move.
    3. Hit command-a to select all the messages.
    4. Click and drag on any of the messages to move it to the new mailbox in the sidebar.
    5. If there are a lot of messages, take the dog for a walk because it's going to take quite a long time as they all have to be uploaded
    If you have a very large number of messages don't try to do them all at once.

  • Can you rebuild your mail box?

    My Mail app is working in a very odd way.
    None of my rules are working, despite being active.
    I also have smart mailboxes but Mail simply won't copy mails from a SMB to a standard mailbox (so I can archive them for example). If I drag some mails from a SMB to a mailbox and then click on that mailbox, there is nothing contained within.
    My mail boxes are huge, several GBs in fact (thanks to google imap pushing down around 700 spams a day) so I want to clean things up.
    Is mail simply too bloated to function or is there something else I'm overlooking?

    Thanks for the response.
    I don't need all those messages in an "active capacity", but as many have a legal context I am forced to be compliant with regulations that the US Congress see's fit to enforce on the whole world (SOX, HIPPA and others), so I have to archive them for 7 years.
    I have a collection of rules and smart mailboxes that helps prioritise the flow but now this all seems to be broken and the mail app itself, while still working just doesnt want to allow these filters to work anymore.
    I will try a rebuild and see if this helps.

  • Mail messages are marked "junk" in the outgoing mail box

    For some time all my outgoing email messages have been marked as "junk" in the sent mail box. Today found that if I do not mark my personal information in my address book as "Me" my sent messages are no longer marked "junk". Does anyone know how I can fix the problem so my personal information can be marked "Me"?

    The following procedure thoroughly gets rid of all the files used by the junk filter, so that Mail creates them anew, and should fix the problem in the cases where the simple procedure provided in my first post doesn’t:
    1. Quit Mail if it’s running.
    2. In the Finder, go to ~/Library/Mail/.
    3. Locate LSMMap2 and move it to the Trash. This file stores information about what does and doesn’t constitute junk, and allows the junk filter to learn. Deleting this file is what Preferences > Junk Mail > Reset does. The file was called LSMMap in early versions of Mail; delete that as well if you see it.
    4. Locate any MessageRules.plist (Mail 2.x) and/or MessageSorting.plist (Mail 1.x) files and move them to the Desktop. This is where Mail stores all the rules, including the rule that governs what the junk filter does.
    5. Locate DefaultCounts and move it to the Trash. This file keeps statistics about the number of messages that have been marked as junk, either automatically by the junk filter or manually by the user.
    6. Look for the account folders. The name of each account folder starts with the account type (POP, IMAP, Mac), followed by the account username and the incoming mail server. Open each of the account folders, locate the Junk.mbox or Junk.imapmbox folder within it, and move it to the Trash if present.
    7. Go to ~/Library/Mail/Mailboxes/. Locate any Junk.mbox mailboxes there (their name may include the account name in parenthesis), and move them to the Trash.
    Note: Steps 5, 6 and 7 may be unnecessary. Also, messages in Junk mailboxes with an .mbox suffix are stored locally and will be lost forever as a result of doing steps 6 and 7. If there is a chance that you have legit messages there that you want to preserve, either try skipping those steps, or move the messages to another mailbox in Mail first, or move Junk.mbox to the Desktop (to be imported back later) instead of to the Trash. Junk mailboxes with an .imapmbox suffix aren’t a concern because they are stored on the server and Mail would rebuild them automatically.
    8. Open Mail. As a result of removing the rules file, the junk filter will be disabled now. You may want to either tell Mail to go offline immediately after opening it, or shut down the Internet connection before opening Mail, to prevent it from downloading anything until the junk mail filter has been enabled again.
    9. Go to Mail > Preferences > Junk Mail, enable junk filtering, and configure it however you wish.
    10. Go online again if you went offline in step 8.
    If the above solves the problem and you don’t have any rules you’d like to preserve or recreating them is not a daunting task, just trash the rules files that were moved to the Desktop and be done with it.
    Note: For those not familiarized with the ~/ notation, it refers to the user’s home folder. You can easily locate any of the folders referred to in this post by copying the folder path here, doing Go > Go to Folder in the Finder, and pasting the folder path there.

  • How do I get rid of duplicate "in" and "sent" mail boxes?

    I have installed a new version of Thunderbird on a new machine and used Easy Transfer to move my mail boxes etc from my old machine. The problem is that I now have duplicate "in" and "sent" mail boxes. New in and sent mail only appears in one of them but I can't delete the other. I have deleted all messages in the extra "in" box (they were all duplicates) but have not been able to do the same with the messages in the duplicate "sent" box because the "deleted" folder where they would go is not big enough to take the 16000 messages in there (when I "select all" and "delete" it just says "deleted folder is full" when in fact there's nothing in it; I am assuming this just means it would not take all the messages to be deleted). Help please!

A week ago I think that the I need to organize my mail box so I create some folders and put my important mails into folders and delete some of mails I don't need them anymore. All of a sudden they all gone before two days ago. Can anyone give me some ideas about what's going on? Any luck on saving my mails?

    Did you create the folders under "ON MY MAC"? If you did then it is possible that a file, which keeps track of where your messages are, has been corrupted. This can be fixed but firstly let us determine where you put your messages.

    Please follow these directions to delete the Mail "sandbox" folders. In OS X 10.9 there are two sandboxes, while in 10.8 there is only one. If you're running a version older than 10.8, this comment isn't applicable.
    Back up all data.
    Triple-click anywhere in the line below on this page to select it:
    ~/Library/Containers/com.apple.mail
    Right-click or control-click the highlighted line and select
    Services ▹ Reveal
    from the contextual menu.* A Finder window should open with a folder named "com.apple.mail" selected. If it does, move the selected folder — not just its contents — to the Desktop. Leave the Finder window open for now.
    Log out and log back in. Launch Mail and test. If the problem is resolved, you may have to recreate some of your Mail settings. You can then delete the folder you moved and close the Finder window. If you still have the problem, quit Mail again and put the folder back where it was, overwriting the one that may have been created in its place. Repeat with this line:

    Caution: If you change any of the contents of the sandbox, but leave the folder itself in place, Mail may crash or not launch at all. Deleting the whole sandbox will cause it to be rebuilt automatically.
    *If you don't see the contextual menu item, copy the selected text to the Clipboard by pressing the key combination  command-C. In the Finder, select
    Go ▹ Go to Folder...
    from the menu bar, paste into the box that opens (command-V). You won't see what you pasted because a line break is included. Press return.

    I am unable to create additional mail boxes in the Mail program.

    Then you don't have an IMAP email account and you must be using IMAP email for this. You cannot create additional mailboxes on the iPad with a POP account.
    If you go to your email account in the Mail app and look at the window where your inbox, trash folder and sent folder are - if there is an Edit button at the top of the window - tap that and then tap Add Mailbox at the bottom.
    If the Edit button is not there - you cannot create folders on the iPad. Your email account is not IMAP. Only IMAP email accounts can create folders on the iPad. Any folders that you would already have in an IMAP account would synced to the device as well.

    Background info:
    Emails are downloaded and stored in the Inbox file written one after the other.; they are not stored as individual emails in their own file. So the Inbox folder in the FolderPane is actually a file.
    Any email you delete is marked as deleted and from your point of view it disappears from eg: Inbox and reappears in 'Deleted' folder. In reality it is still in the Inbox taking up space, marked as deleted and hidden from view. Compacting removes all traces of 'marked as deleted' emails and reduces the file size. If a file becomes corrupted and you compact that file you may lose good emails. this can occur if you do not compact on a regular basis.
    It is wise to create a backup on a regular basis.

    Archiving is not a backup. It is a means of storing old emails in smaller files accessible within your Profile mail account. So releasing space in other folders.
    If you have been archiving all emails into just one Archives folder, then you are putting all of your emails into one file.
    Did you set up Archive Options?

    Did you choose to archive by month and retain folder structure?
    By using these options, if you archived last months Sent emails and say you had another folder called 'Family' and you did the same, they would be stored as follows into smaller files, so you should not reach a mailbox limit.
    There will be no emails stored in the actual 'Archives' folder, nor the '2014' or '2014-5' folders, they will be in the relevant folder name - see below
    eg:
    > Archives
    >->2014
    >->->2014-05
    >->->->Family (one month of emails here)
    >->->-> Sent (one month of emails here)
    Suggest you do the following and in this order:
    * create a backup
    * delete any emails not required
    * compact folders
    * set up Archive options and organise emails as shown above, so that emails are only in that months eg: Sent archive Folder.
    * Create another backup when everything is organised.

    Try reindexing the mailbox. This can take awhile if you have a lot of mail.
    Reindex messages.
    If that doesn't work try deleting MessageUidsAlreadyDownloaded3.
    Quit the application.
    You need to look in your user Library. Either hold down the option key while using the Finder “Go To Folder” command and select your user Library in your home folder or use the Finder “Go To Folder” command and enter ~/Library/Mail/V2/Mail Data/MessageUidsAlreadyDownloaded3.  Move the file to your desktop.
    Open the application and test. If it works okay, delete the file from the desktop.
    If the application is the same, return thefile to where you got it from, overwriting the newer ones.
    If you prefer to make your User library permanently visible, use the Terminal command found below.
    Show User Library
    You might want to bookmark the command. I had to use it again after I installed 10.8.5. I have also been informed that if you drag the user library to Finder it will remain visible.
