Receiving tasks in UWL and in R/3 Workflow inbox

We are setting up workflow based on WS50000031 (used in MSS PCR approvals) , it has a subworkflow WS500000033 - ApprovePCR with a task TS50000075 (PCRweb) to approve/reject the PCR adobe form.
Requirement - The approvers approve/reject based on the tasks that they receive in their UWL. They click on the task and the adobe form is launched with options to approve/reject/back to author. However, in the custom workflow, we are including more approvers and these approvers do not have MSS access (or not managers). In other words, they prefer all their work items in the R/3 inbox instead of the UWL. When tested,The work item can be seen in the workflow inbox, but cannot be executed. 
How can we get this functionlaity where the approvals can be done through workflow (R/3) inbox, launching the form in a similar manner (the ones for UWL users)

Mike:  Sorry for making it sound a bit confusing. What I meant by not having MSS access, is that the users are not managers, but still are approvers. Currently they work from their R/3 inbox to work on other work items (other than HR related). As they are "used to" R/3 inbox, they want to approve in R/3.  The idea of giving them a portal role and  setting up an UWL has been rejected.

    This is a follow up thread to the question that I have already posted in BPM forum [Handle to a Task in BPM;. The attempt here is to check if this issue could be simply solved in the context of UWL / rather than BPM.
    Here goes the actual problem description.
    1. There is a BPM process which parallely triggers the creation of a task (in UWL ) and creation + sending of a custom email form (HTML form containing the same task data) to a user at the same time.
    2. If the user approves the task from Email (instead of logging into Portal / UWL), how to automatically close the task in UWL.
    On capturing this event can I use any UWL API to close the UWL task? Will a custom UWL connector help in closing this task in UWL.?
    Any pointers will be highly appreciated.

    CE 7.2 provides Adobe forms for this and that would solve the problem. Also, the close task event could be triggered in CE 7.3. But in CE 7.1, there is no solution for this.

  • Approval of Working Times tasks show in UWL and shouldn't

    Our employees use ESS to record their working time and the managers use MSS to approve that time.  Occasionally the task Approval of Working Times, along with the sender date, name and a Cats attachment, appears in the managers UWL which makes it look like someone has time to be approved however, we do not go to the UWL to approve time.  If this task is clicked on in the UWL a u201CService cannot be reached HTTP 404 u2013 Not foundu201D error is thrown.  The send date of this task does correspond with a date when the employee entered time in ESS which the manager approved a few days later in MSS.  So it appears that occasionally but not regularly or in any sort of pattern, time workflows to both MSS where the managers approve it and to the UWL where we donu2019t want it and sits there and drives the managers crazy.  (Managers do go to the UWL to approve PCRs.)  We have checked the workflow log and cannot see a split.  How do we prevent the time approval from routing to the UWL?

    For me it seems that the the workflow should be turned off. There are ways to disable tasks from UWL, etc. (to not show them), but I would definately take a look to the CATS configurations in SPRO (unfortunately I don't remember the exact path, but it should not be too difficult to find). Basically there is place where you define that which workflow task is send to the manager when the employee releases the timesheet. You can perhaps remove this task from the configuration or perhaps there is some checkbox or something where you can turn of the workflow or whatever. Take look to this first. If you have CATS/HR people on your site, they will probably know what I am talking about.
    Another perhaps good option could be that you do certain configurations for UWL and then the CATS approval application is opened when the managers click the item in UWL -. but I would first try to prevent the work item to be sent to the workflow at all, if it should not be sent there at the first place.

  • Send Task and Receive Task

    In our beta test, we came upon several issues, one of them is when we create a BPMN process that consists of the following simple flow: Start -> User Task 1 -> Send Task -> User Task 2 -> Receive Task -> User Task 3 -> End
    When we deploy and run the flow, it always stops at the Receive Task. But when we remove User Task 2 from the flow and redeploy and run, the process runs fine all the way to the end. I am wondering if this is a bug in BPM 11g where if you put an activity between Send Task and Receive Task, it does not work, but when you do not have a task between Send Task and Receive Task, it works fine. Can someone confirm this scenario please?
    Within the Send Task and Receive Task, we are invoking a BPEL process that has a simple asynchronous service. The Send Task invokes the BPEL process, and the Receive Task has the callback to the BPEL process.

    What does the bpel process do? Does it work with a synchronous bpel process?
    I think you should submit an SR for this since it works when there is no activity between the send/receive.

  • Troubles using Send and Receive Tasks

    Hello friends:
    I'm working with Oracle BPMN 11g. I created tow processes Sending and Receiving. During the Sending process I execute a Send Activity which match with the Receive Task in the Receiving process. The Sending process concludes without problems but Receiving process keeps standing by in the Receive task infinitly.
    When I go to the audit trail into the weblogic server, the Receiving process is executing the Receive task and says that the instace have been entered into the activity but nothing else.
    The Receive task has a defined interface with a parameter called argutent1 Bool type. From the Send task I put true into argutent1.

  • UWL and Webdynpro integration

    We have developed WD Applications for Create/Display Purchase Order. Now, at the end of each process a workflow task will be triggered when the end-user clicks on "Create Purchase Order" button. Then, the concerned Cost Center Manager receives an email regarding the PO.
    Then the manager logs in to the Portal and opens the "UWL" where he can see the list of all the "workitems" in the Tasks tab.
    Now, when the Manager wants to reject the PO, he should be prompted with a box for entering the reason for rejection. Could anyone explain me of how to give the option of "Reason for rejection" to the Manager in UWL when he clicks on the task?
    I hope you can understand my requirement. Please let me know if you need any more clarification. I would greatly appreciate your help.

    Hi Gopal,
    In your case, you can open a webdynpro popup screen when the user clicks on the task item id of the task inbox.
    In the webdynpro popup screen you can give text edit UI element to enter the reason and Reject button to submit the task.
    If you are using ABAP w/f engine..
    Configuration to open customized WebDynpro application when user opens a task in UWL inbox in Portal.
    Go to the SWFVISU transaction in SAP GUI.
    It will show all the taks available in all the workflows in the ECC system.
    Select a particular task and select Visualization type for that task
    Here you have to select u201CJava WebDynprou201D
    And click on Visualization Parameters
    It will open the u201CChange Visualization Parameteru201D screen
    Here enter the WebDynpro application name which needs to be opened when user clicks on task item id.
    You need to confgure this taks item id in UWL standard XML file.

    How to remove options or customize the context menu of the task in UWL.
    I have 4 options(Edit,Remove,Forward,Resubmit) is appearing in the context menu.
    My requirement is to delete Forward option form the menu list and only 3 options
    should appear in the list.

    Hi vikas,
    Go to System Admin ->System Config->UWL Admin.
    select your system alias.
    Click on Click to Click to Administrate Item Types and View Definitions.
    Select your UWL configuration.
    Download DTD as well as XML file through Download Configuration.
    Then you can edit the xml file using XML spy editor or anyone.
    to upload go back to the same page and select the tab...Upload new configuration.
    Do not forget to clear the cache after upload.

    We have a requirement where certain task approvers who do not belong to SRM application hence they can not access SRM directly. But task item is available for there approval in Universal Work List. Can they approve the task from UWL. If not what we need to do so that non SRM users can approve task from portal Universal Work List

  • MSS Approval Report Links to Busines Workflow Task in UWL

    Hello All,
    I have a scenario below that I'm hoping you can help.
    I copied the standard business workflow task "TS31000007: CATS Approval by Supervisor" to create our own task (general task) and link the 'CatManagerApprove' application and 'sap.com/msscatapproval' package to this task in the Workflow Visualization Configuration.
    We then assigned this new task to the time data entry profile for the portal.  Once, employee released the working time, the task is created and send to the Universal Worklist. 
    The manager can then access the UWL and open this approve time workflow task. This task is open to the MSS Approval Report (similar to what appear under the MSS > Tasks > Approve Time by Manager).
    However, I have copied the Approve Time by Manager to our own and changed some of the  order of the column and header text and assigned to the MSS role. 
    I would like to have this CATS approval task open to the same approval report view/layout as in the MSS Approval Report.
    I've tried to change the layout (column order) through portal contents of the standard MSS Approval Report because I thought it was reading from there, but it's not.
    Does anyone know how this can be done or where to point to the MSS Approval Report on the portal.
    Any help would be appreciated!

    We were able to use the launch iview task to launch our specific iview but I cannot seem to get it to recognize the workitem. In other words, when I click on the task in the UWL, my approve working time iview appears but it does not have the data that is from the workflow task item. Attached is the XML code that I used:

    I thought the line <Property name="workitemId" value="${item.externalId}"/> would pick up the work item ID, but it is not working. Any suggestions?
    TS93000001 is our task. approve_ts_data is our iview. It opens in a new window correctly and goes to the correct iview, just is not the actual task data.

    i am trying to implement one simple work flow in the GP, where two steps are there:-
    1>Create Request
    2>Approve Request.
    I haev created collable obect, Action, block and process. I have configure the UWL for the GP fo the 2nd step as approval. I am gettign the created Item respective to the GP in the UWL.
    When i am trying to click the Subject from the Table in the UWL for approving the created request i am not gettign the respective page in place of that i am getting error message like- Could not retrieve process instance: contact your system administrator.
    If any one have solution or input for this please share the same.

    Hi Deepak,
            For bringing the task to UWL you need to create a GPconnector first.I think you have created that already,though your GP is coming on UWL.Now you need to modify the .xml for UWL.
    To modify the .xml file go to system admin->system config->universal worklist & workflow->UWL administration->select GP connector->select UWL GP Config->click on download config.
    download the .xml file and add your GP connector coding there.Below I am giving the modified .xml file.Please do the changes.

  • Can't Open Task in UWL EP7.0

    Yesterday I wanted to fix tehe problem myself and I made reinstalation PS Elements 6.0 from my original CD.
    Nothing new! Doesn't work!
    Than, I instaled this PS E 6.0 on the other computer. And .... the same error!
    Its funny and interesting why it happens between 2013 & 2014 ?!

    I want to allow users to group by task in UWL instead of getting a list of all workitems awaiting their approval.
    Does anybody know how to create a Dropdown containing group by task in UWL?

    Yes, i have found the xml from both the Portal and compared using NWDS. But find no difference.
    The XML file has same word to word contents , i have also downloaded, deleted and re-uploaded the files, but no good results as the filter is not appearing...

    You can do this
    (1) Set the security trace level in the ticket accepting system
    ======================================================
    1. Call transaction SM50 (process list):
    2. Process -> Trace -> Reset -> Workprocess Files
    3. Key combination: F5 (select all), CTRL-Shift-F7 => Dialog box;
    4. Set trace level=3 and ONLY(!) check the "Security" component;
      If necessary, you must repeat these steps for each server (see
      transaction SM51), unless you can use a specific server for
      reproducing the error (for example, by excluding the load
      distribution).
    (2) Run the webdiagtool as per example 3.
    (3) While the webdiagtool is running, please reproduce a failed attempt
    to the backend
    (4) When the SSO fails, wait a minute and then press return in the
    diagtool console so that the resulting traces are picked up
    Please check the configuration in portal, use fully qualified domain
    name instead of host name.

  • Adding notes to decision task in UWL

    We're looking into deploying UWL and I'm running into some "challenges."
    First, we're on  Portal release: SAP NetWeaver 7.0 (2004s) SPS 15, the backend is ECC 6.0 (Release: 700     0015     SAPKB70015)
    What I want to do is to have the "generic decision step" allow me to enter a comment/notes when I select the "reject" option on a given work item, as I've read in numerous forums, WUG emails, etc...
    The "standard" config in UWL for this task is:

    When I created a custom XML for it  (I did it verbatim according to the sample in Darren Hague's book and/or as shown in SAPHelp), and when doing so, I don't event get the decision task options to appear.  All I get is "Forward" and "Cancel Assignment" buttons.

    I had the same problem and it was all the XML.  You need to make sure you register after you create your workflow and custom tasks.  I then copied the generated XML ( uwl.webflow.clientname.xml ) to another file and deleted everything but my custom tasks.  You have to do some modifications to show the decision buttons and have the note be mandatory for rejection or whatever your requirement is.
    I posted this earlier at Re: Dobuts in modifying an UWL XML file.  The XML doesn't show for some reason but if you hit reply on my message at the bottom and quote it, you will see it.  This was a simple version with just one task.
