Records Retention and Archiving in RH7

I am wondering if anyone in Forumland has a solution to
easily identify records in RH that need to be deleted during
records management/retention. For example, I have x-amount of
documents that have been archived for seven years, and the company
opts to delete after that amount of time. Is there a way to easily
identify these documents for deletion?

Are you referring to versions of your RH project? If so, Only
you can identify these and delete them. If not, can you be a little
clearer of what you want to achieve.

    Hi,
    We are planning to delete and load new SPL master data. When we try to use the archiving object SPL_MD , it does not archive and delete all SPL masters. It only archives if the SPL master is marked for deletion. I know we can manually flag a sanction party master record for deleion using transaction /SAPSLL/SPL_MD02. But is there a transaction to flag them for deletion in Mass? Or is there a way to direcly archive and delete them without flagging for deletion?

    Hi,
    Here is the answer I was given when asking the same question: Guess that will help you.
    If I understand the question correctly, you will have to archive the old SPL Master Data using the SPL_MD archiving object. This archiving object will allow you to create an archive of your current SPL Master Data (e.g. flat file) and then allow you to delete all data from the /SAPSLL/TSPL, /SAPSLL/TSPLA and /SAPSLL/TSPLN tables -- these tables are part of the SPL_MD archiving object. Once you have archived and deleted the prior SPL Master Data, you ought to be able to load the new SPL Master Data without any problems.
    This method of course has pitfalls. If you're upgrading your SPL Master Data from the non-extended XML data to the extended XML data of the SPL entities, your audit trails will lose some details (e.g. which SPL entity matched on a specific business partner). Another pitfall is the amount of time it takes to rescreen all of the business partners against the new SPL Master Data. You may also encounter a large amount of blocked business partners as a result. My advice is to definitely test in a non-production environment.

    Residence period: Most of the archiving object residence period is maintained in customizing > Application specific customizing in Archive development tool access through transaction SARA.
    Note: There are some archiving object for which you can't maintain residence period however these archiving object residence period should be manually controlled in write variant.
    Retention Period: This retention period is mentioned in archive server.
    Total retention time = Online Residence period + Offline Retention period.
    2. You can schedule archiving jobs by SARA transaction. This transaction will help in scheduling the job background. Or By using Background user id, one can schedule the archiving jobs by background.

    That sounds like it might be a failure of the students to perform a Save As and check Archive Project when they do. This asks GB to pull all the files it needs into the associated .band document rather than point to them externally (and then risk not having them be there).

  • Retention Policy between Mailbox and Archive Mailbox level

    I have some questions about the Retention Policy between Mailbox and Archive Mailbox.
    I want to apply different retention tag on different Mailbox level. 
    In normal case , I would like apply the Retention Policy for Mailbox after 28 days moving to archive Mailbox and over 365 days to be deleted.
    And the Archive Mailbox should be liked deleted the mail over 90 or 180 days.
    But I found that the archive Mailbox is applied the same Retention Policy as the Mailbox one.
    Is it Normal case ? How can I set another retention Policy for My archive Mailbox ?

    You cannot have a different retention policy for primary and archive mailbox. The policy applied to the primary mailbox also applies
    to the archive mailbox.

    Hi,
    Christoph already answered that question in regard to document info records.
    Regarding documents from OAWD, your question is a bit surprising. The main idea of OAWD is to trigger a workflow for linking an external document to a SAP object (document in FB03 or whatever). This is done via ArchiveLink, so all documents linked via OAWD will appear in transactions like MIGO or FB03. Once more, please refer to the documentation:

  • How to create Live and Archive Streaming URLs??

    I am new to QT Streaming Server, and how it is setup and delivered. Please take it easy on me. Here are my questions.
    Our school has been using Helix (Real) Server to deliver some video content via Live/Archive streaming video. The school will be changing a format to QuickTime Streaming server to move away from Real. We would like to deliver MPEG4 file via Live Streaming and archive. We set up QT Streaming Server and we can deliver video now.
    How do you create and display URLs on a webpage to share live and archive movies? In RealServer, you can list URLs with live and archive, and RealPlayer opens separately and play movie. The videos are lectures so the website will have list of lecture links as we record every week.
    If I click this link, a RealPlayer opens and start playing. Currently, I know that “sdp” file is assigned under RealPlayer. When I changed it to QuickTime Player, the player does not open to play movie. Is there way for me to setup URL to open it in external player? We are not interested in making the movie playable inside webpage. We would like to let viewers have option to stretch the movie player to view larger image if they wish. Strange thing is that when the live movie is played in RealPlayer, the image size is smaller that what we stream (320x240). How is it possible? I am confused…
    How about archived streaming URLs? I have seen sites with embedded movie in the webpage, but how do you make links that when a viewer click the URL, it will start QuickTime Player externally instead of open it in new webpage? Is this possible? In RealServer, you can use “ramgen” code in a part of URL to open RealPlayer to play a movie.
    Any help will be appreciated it.

    Salutations. So today I'm going to confront you with a hypothesis I've composed. Back before Skype had been bought from Microsoft, they had recorded calls and messages and stored them away. Those mentioned things would get run through their system. I've been suggested to use a proxy or an anonymizer. I don't know what either of these are, may I have an elaboration on them? But to return to the man topic and cease the digression, here are a few examples to support my theory.

    first, i'm not sure what those examples are and why do you think that they may prove Skype are recording Skype messages and calls.
    with regard to messages, or let us term them as chat histories, Skype may retain them in their database for a certain period of time for certain purposes.  I'm not a natural English speaker, but in my own opinion, there is a big difference between being retained and being recorded (at leas in terms of the purpose).

    On the other hand, there should be no reason for Skype to record your calls and video calls.  Basically, I think they have no use for it and will get nothing from it.  In addition, recording conversations will require additional resources, storage devices in particular in where the "recorded" calls will be saved.  For a messenger with around 10-20 million (or more users) at any given time, just imagine the amount of space it will require to save your Skype calls and video calls (and assuming that they will get nothing from it).
    Moreover, there may be indeed ways to record calls and video calls, but it can be done by using third party software and can be done by Skype users to other Skype users only.

  • Feature request: record calls and messages on iPhone

    I'm trying to generate interest for some features I think should be introduced. What do you think of this one...
    The iPhone should be able to record calls and messages to save as an audio file on your computer. Aside from providing the ability to keep a personal archive of important or meaningful calls and messages, this introduces another revolutionary new feature:
    Imagine if every call you made on your phone was recorded automatically, so you could review what someone said even after hanging up the phone. Each call could be saved in a temporary location, and recordings could be saved permanently by clicking "Save" on the corresponding entry in the call log. This way, you wouldn't ever have to worry about forgetting what someone said, and you can forever save the memorable phone calls that impact your life. This feature would also be extremely useful for recording phone interviews for later review and transcription.
    This feature would likely be relatively easy to adopt, and would certainly be a revolutionary addition to a revolutionary device.

    Litigation Hold is a legacy setting from Exchange 2010, so you'll probably want to avoid it.Instead,use an "in-place hold" or, in the new Compliance Center, go to 'Retention' and add a new preservation policy so that you can retain both emails and OneDrive documents either indefinitely or for a set period of time. You would need to set the preservation policy to take effect either at account creation, to preserve everything, or before account termination, to preserve the state of their data at the end of their employment, or if there is a legal/HR discovery need. Also, any mailboxes that you want to place into a hold need to have the appropriate licenseassigned (when an account that had a hold and had the appropriate licenseis deactivated and deleted, however, the hold will continue on the mailbox until the hold is deleted or expires,...

    So this has been a question on my mind for quite a while but I just haven't had the time to delve into it.
    I work in the healthcare industry and HIPAA and HITECH ruin my life. So to cover my bases, I am wondering if I should enable archiving on all user mailboxes for every email sent? We have the E3 license.
    I see we have retention policies but what if a user deletes a bunch of emails and 2 months later we need those emails but, poof they were deleted? Wanted to get feedback on what other people do using Office 365.

    perhaps some remarks to SAP Records Management. SAP Records Management (and SAP Case Management) is a powerful infrastructure for creating cross-component application since you can organize any SAP and Non-SAP information object as a record (tree) in a role based view.
    One classical application is the HR personnel record. You collect documents (archived documents as well as DMS documents (with versioning)) together with personnel master data and other information. For each employee there is a record instance.
    Another application is a machine record for a machine producer. It is a collection of SD objects and of engineering documents.
    A record can also be business partner record collecting information about the business partner and for example other records that refer to the business partner.
    Since SAP Records Management is designes as a Service Provider Framework you can integrate any kind of information objects both in SAP and in non-SAP systems.
    So, also SAP DMS services can be wrapped as SAP Records Management service provider and hence be used in SAP Records Management applications.
    The focus of SAP DMS is the handling of engineering documents and their behaviour in production. Based on SAP Knowledge Provider it is more a document management service.
    SAP Records Management is stressing the aspect of building cross component applications and their business flow. SAP already provides a lot of standard service providers but you can also build your own service providers and hence integrate your own objects.

    By the way in contrast to SAP DMS, SAP Records Management is part of NetWeaver.

  • Recording retention on WebEx on Prem

    I have just completed installing WebEx on Prem 2.5.  I am looking for an explanation of WebEx recording retention policy.  Is there a way to set up a quota per user or per system.  My NAS share is dynamic and can grow up to the bounds of the NAS capacity, but I never want to get that far.  I can't find anything regarding this in the Admin Guide.  Thanks for any help.

    Unfortunately, at this time that might be some sort of best practice you could advertise to your end user community. We are working with product management to see if we can build in a feature in the future releases where Admin would have the ability to manage recordings. Still, if you do find this type of old recordings management like you had in MeetingPlace an important feature for CWMS, do not hesitate to clearly define it and share it with your Cisco Account Manager who can then file an Enhancement Request and pursue it with Product Management team.

    RMAN-06158: validation succeeded for archived log

    /oracle/arch/dest2/arcr_1_964.arc recid=19 stamp=368726072
    2) 원인분석
    이 문제는 에러가 아니다. RMAN은 여러 개의 arhive directory중 하나의
    directoy안에 있는 archived file들만 삭제한다. 그래서 나머지 directory안의
    archived log file들은 삭제되지 않고 남게 되는 것이다.
    3) 해결책
    RMAN이 강제로 모든 directory안의 archived log file들을 삭제하게 하기 위해서는
    여러 개의 채널을 할당하여 각 채널이 각 archive destination안의 archived file을
    백업하고 삭제하도록 해야 한다.
    이것은 아래와 같이 구현될 수 있다.

    backup

    Scenario #2:
    1)RMAN이 archived log를 찾을 수 없어 백업이 실패하는 경우.
    이 시나리오에서 database를 incremental backup한다고 가정한다.
    이 경우 RMAN은 recover시 archived redo log대신에 incremental backup을 사용할
    수 있기 때문에 백업 후 모든 archived redo log를 삭제하기 위해 OS utility를 사용한다.
    그러나 다음 번 backup시 다음과 같은 Error를 만나게 된다.
    RMAN-6089: archive log NAME not found or out of sync with catalog
    2) 원인분석
    이 문제는 OS 명령을 사용하여 archived log를 삭제하였을 경우 발생한다. 이때 RMAN은
    archived log가 삭제되었다는 것을 알지 못한다. RMAN-6089는 RMAN이 OS 명령에 의해
    삭제된 archived log가 여전히 존재하다고 생각하고 백업하려고 시도하였을 때 발생하게 된다.
    3) 해결책
    가장 쉬운 해결책은 archived log를 백업할 때 DELETE INPUT option을 사용하는 것이다.
    예를 들면

    두 번째로 가장 쉬운 해결책은 OS utility를 사용하여 archived log를 삭제한 후에

    catalog의 COMPATIBLE 파라미터가 8.1.5이하로 설정되어 있으면 RMAN은 찾을 수 없는
    모든 archived log의 status를 "DELETED" 로 셋팅한다. 만약에 COMPATIBLE이 8.1.6이상으로
    설정되어 있으면 RMAN은 Repository에서 record를 삭제한다.

    Very strange, I issue following command in RMAN on both primary and standby machine, but it they don't delete the 1_55_758646076.dbf, I find in v$archived_log, this "/home/oracle/app/oracle/dataguard/1_55_758646076.dbf" had already been applied.
    RMAN> connect target /
    RMAN> CONFIGURE ARCHIVELOG DELETION POLICY TO APPLIED ON ALL STANDBY;
    old RMAN configuration parameters:
    CONFIGURE ARCHIVELOG DELETION POLICY TO APPLIED ON ALL STANDBY;

  • Size Scale Change - Procedure and Archive Validation

    There is a business need to change size scale. A style can originally be created with size scale of S,M,L, but then changed to 2,4,6,8.
    Currently, I have been archiving the original articles and reload the articles with the new size scale. Questions:
    1. Is there a simple way to change the internal characteristics than to archive?
    2. If archiving is the correct way, please confirm if the following steps are the correct way to archive:
    a. If PO exist, deletion the PO. Do I need to archive PO?
    b. If info record exist, delete info record.
    c. WSP6 to discontinue the listing.
    d. WRF_DIS_SEL to discontinue the sites, vendor, and client of the generic and variants.
    e. SE38 - run programs to delete and archive.
    3. How do I archive info record? How do I archive purchasing and sales pricing created through MEK1 and VK11 respectively?

    In IS-R ECC 6.0, there's a program that will allow you to re-assign the variant-creating characteristic values for varaints such that you could change 2,4,6 to S,M,L. and keep the same variant numbers. I've used it a little, and will edit this post on Monday (US Eastern time) with the program name. I don't know if you can do it en masse, and do not know the downstream impacts that you may encounter,(BI Analytics, BI MAP, additionals with vendors, third-party interfaces, etc.) but it seems to work pretty well. More to follow.
    UPDATE: Okay, try program RWRFMATCHARVAL. This does not appear to have an en masse capability, beyond the generic article level. However, if you have a good ABAPer, you could probably leverage the code to do what you want to do and adjust the characteristic values. Let me know what you think of this.

    I am wondering if I can record audio and midi at the same time in Logic 7 Express. I am running my guitar thrugh a Roland GR 33, and a line out and using the GR 33 to trigger sounds in the Logic's synth section but cant seem to record all three tracks at once. If any one knows how let me know. Oh and I am running the GR Synth and Guitar into the Prosonus Fire Fox and have the GR 33 out midi to the Fire Box as well. So I guss the question is how do I sent up two audo tracks and one midi track to record in real time. Thanks Victor

    Try arming the audio tracks, select one of the tracks, then while holding down the shift key, select the midi track you want to record, arming the "r" on the midi track. Press "record".....
