Recurring Meetings Expired Notice sent to Meeting Organizer

We have 14 month limit on resource room reservations..
Is there a way to get a reminder that recurring meetings are about to expire so that meeting organizer can extend the reservation if required

Based on my knowledge, there is no direct GUI method in both Outlook and Exchange server to achieve this goal.
Maybe we can ask Script Center for help.

  • IPhone + Outlook, recurring meetings not adjusted for Daylight Saving (Arizona)

    Anybody else out there living in Phoenix and syncing with Outlook?
    I have an iPhone 4 running iOS 5.0.1 and I sync my calendar with Outlook 2007 running on Windows XP.  Recurring meetings that were sent from another timezone are not showing the correct time following the Daylight Saving Time (DST) change on Nov. 6.
    For example, I have a recurring meeting for Tuesdays that was originally sent to me July 26, 2011 (during DST, that is) by my customer in California.  In Outlook the time is shown as 8:00 AM Pacific Time.  During DST this meeting was shown correctly in Calendar as 8:00AM.  Today it still shows as 8:00 but should show as 9:00 (8:00 PST = 9:00 MST).
    Phone Settings:  My iPhone's time zone was originally set this morning to "Set Automatically ON" and it had selected Denver although I'm in Phoenix.  I understand that Denver and Phoenix now share the same time.  I turned "Set Automatically" off and selected "Phoenix, U.S.A." then resynced, but the appoinment above still shows 8:00.
    So how do I fix this?  I really don't want my customer to have to resend the invite just to fix an iOS bug. 

    Not sure if people are still looking at this post, but we did finally find a fix for the issue.
    In the end we figured out that one of our exchange mail box users had something faulty in their profile. By "faulty", our exchange admins attempted to move the user's mail profile from one mail store to another, but exchange returned errors when attempting to do so.
    In order to "fix" the issue we ended up deleting the mail profile completely from exchange and then recreating it from scratch - scary prospect when having to do this with someone high up the food chain... (prior export and reimport essential otherwise all data is lost)
    (the user dealt with many meetings for multiple staff, and was a common factor between all users getting the issue)
    I wouldn't call this specifically a MS issue as prior to ipad/iphones, these issues did not occur, and even while it was occuring, turning off mail on ipad/iphones meant the issue did not occur and other email clients had no issues at all
    - so it looks like something in the iphone is not quite robust enough to be able to handle a few errors
    (alternative theory: perhaps it is the iphone that created the issue in the first place??? We don't know when the issue with the actual mail account started and not enough resources to trowel through log files looking for a needle in a haystack)
    Anyway, not sure if this will help everyone with the same issue, but thought I'd share our experience

  • Recurring meetings shifted wrongly after change of one occurrence

    Hello everybody,
    I observe an issue with instances of recurring meetings being wrongly shifted in time after changing date of one of the instances in the respective series (repeatedly and for different meetings/meeting series). It looks as if my current "distance" to UTC (including DST adjustment) is "re-applied" to the meeting instance (i.e. the meeting is shifted 2 hours forward compared to the original time; my timezone is GMT+1 and together with the current DST shift it equals to those 2 hours).
    I use Q10 (SQN100-3, SW 10.1.0.1666) together with the BB Enterprise Server (BES) connected to MS Exchange plus MS Outlook 2007 on the desktop.
    I haven't managed to discover all the dependencies and reproduce it reliably but the pattern is as follows:
    - I have a recurring meeting (typically for half a year).
    - I open one of the meeting instances in MS Outlook and change its date (e.g. move it by one week but without changing the starting and end time). An updated meeting invitation is sent to other meeting participants (I can see that it is correct in my "Sent" folder in MS Outlook and it also appears correctly in the MS Outlook calendar).
    - Other meeting participants respond to my update request (I suspect that the problem is related to processing of these responses, but I cannot prove this suspicion).
    - Later on I check my calendar (either on Q10 or MS Outlook) and realize that the meeting is wrongly shifted by 2 hours (or I don't realize it early enough and others start planning other meetings during the original timeslot since it appears free in my schedule on MS Exchange :-((( ). When checking the Sent folder in MS Outlook, there is no message about any further update of the meeting (which means that I couldn't have shifted the meeting by mistake myself, because MS Outlook 2007 simply doesn't allow you to save a meeting with changed times without sending an update request to other attendees); obviously, all the other participants still have the meeting scheduled with the right (original) time in their calendars.
    I should add that this clearly started happening after I changed my BlackBerry device to the new BB10 version - nothing similar ever happened to me with the older BB devices (and corresponding BES version).
    Anyone observing something similar? Is posting this information here sufficient for having someone from the developers having a look at this issue, or is there some other way how to pass it to the right people?

    I have further analyzed the issue in order to find out dependencies on why it is shifted sometimes and sometimes not:
    First of all, I can confirm that the shift is immediately triggered by opening certain invitation responses on my BlackBerry Q10 (while opening some other invitation responses does not trigger the issue). In other words - if I check the event on BlackBerry calendar just before opening the particular response from BlackBerry Hub and right after opening it, I can observe that it moved in the meantime.
    Apart from the (so far confirmed) fact that it apparently happens only for irregular appointment instances from appointment series (as already indicated in my original submission), I have noticed that even different responses do or do not trigger the issue. In particular, I have noticed that responses from certain e-mail/calendar clients include information about the event with _wrong_ timezone information (as an example, a response from certain Windows Phone client ("PRODID=Microsoft Windows Phone") refers to "TZID=W. Europe Standard Time") and this response does _not_ trigger the issue, whereas a response coming from MS Outlook ("PRODID=Microsoft Exchange Server 2007") and correct timezone information (TZID="(GMT+01:00) Belgrade, Bratislava, Budapest, Ljubljana, Prague") _does_ trigger the issue. Obviously, the main issue is that invitation response should naturally _never_ trigger any update of the original event...
    Hoping that this helps anyone to address the issue soon...

  • Exchange Calendar Sync & Recurring Meetings

    I'm having a problem with recurring meetings in my Outlook calendar.  I have a Touchpad and Pre Plus synced to the calender.  A couple of times when I recieved notice of a cancelled meeting for one occurence in a series, I clicked Remove from Calendar and it was removed from the Outlook calendar on my computer.  It was not removed from the calendar on the Touchpad and Pre, even after syncing.  If I try to delete the occurence from the devices it does not work - on the Touchpad the event disappears for a second or so and then re-appears.  On the Pre it just remains on the calendar.

  • Outlook 2007 Calendar Monitoring: track send event for recurring meetings

    Hi,
    I'm working on an Outlook 2007, VSTO 2010, .NET 3.5 add-in which monitors AppointmentItem objects changed on the user's calendar. Specifically I'm tracking the send event of the currently selected appointment in the calendar view. Currently my add-in is
    set to cancel the send event and call Display() on the selected appointment instead.
    I'm testing with Outlook 2007 SP3. The event handler is fired correctly for non-recurring meetings when the user changes the start or end time of the meeting and for recurring meeting occurrences / exceptions when the user changes the end time, but not when
    the user changes the start time of a recurring meeting occurrence / exception. These are the specific steps:
    Create a recurring appointment with e.g. 3 occurrences, add at least one attendee and send the invitation.
    Set the Calendar to display a Week View.
    Select the top edge of the first occurrence of the appointment created in step 1 and drag it upwards to increase the length of the appointment by half an hour.
    Release the mouse button and press enter to confirm the change.
    Answer 'Save changes and send update' in the popup.
    At this point the addin should cancel the send event and display the appointment, but actually the event handler is not called. This behavior occurs only when I change the start time of an occurrence / exception. When I change the end time the event handler
    is called correctly.
    Do you have any clue why the event handler is only called for the one change and not for the other? How could I work around this issue?

    We have a few users with iphones who are getting automatically generated emails when trying to sync their calendars where they have recurring appointments.
    The message itself is as follows:
    Synchronization with your iPhone failed for 1 items.
    Microsoft Exchange was unable to send the following items to your mobile device. These items have not been deleted. You should be able to access them using either Outlook or Outlook Web Access.

  • Outlook Sync Error with Recurring Meetings on SharePoint Calendar

    We have a SharePoint (Foundation 2010) calendar that users also connect to Outlook (2010/2013). We are experiencing a problem with emailing recurring meeting requests to the SharePoint calendar; the item is received and populated properly on the SP calendar
    but Outlook fails to sync the item.
    The Outlook client then displays a send/receive error: [ Task 'SharePoint' reported error (0x80004005) : 'Failed to copy one or more items. For details, see the log file.'
    ] The error in the log file reads: "Error mapping item #140"
    This issue only occurs when recurring meeting requests are emailed to the SP calendar list. Recurring meetings sync properly with Outlook when the meeting is created directly on the SP site and when created directly on the calendar view within Outlook.
    I will appreciate any insight to this matter.

    This issue may occur if Outlook cannot connect to the Sharepoint List so that
    Outlook changes cannot sync to the Sharepoint. Please try the following steps and check if it helps:
    1. This error message could be caused that the PC with the Outlook installation couldn´t access the CRL from the HTTPS certificated used on the SharePoint server. To check that open the sharepoint Web site, and check the SSL certificate. There is an entry
    for the CRL. Now check from the affected PC if the CRL could be accessed.
    2. Check AAM configuration and we can try to browse the URL
    http://intranet ; then we can recreate the connection to Sharepoint in Outlook, try to sync it and then check the result

  • EX2013 - Remove recurring room reservations from a terminated Meeting-Happy user

    Here's my situation:
    User-A loves meetings! (don't we all?)
    User-A loves making recurring meetings! (that last till the end of time)
    User-A gets terminated (so sad)
    User-A's manager would like me to delete all these meeting's and free up room resources. (and forget about all the meetings)
    I've read a lot that states this isn't really possible without logging into the user's mailbox and doing it all manually. I've also read that this:
    Get-Mailbox ConferenceRoom111 | Search-mailbox -SearchQuery "kind:meetings from:User-A"
    but the output I get is:
    The target mailbox or .pst file path is required.
    I'm completely open to another way of doing it.

  • Firefighter Validity Date Expiration Notice

      Is it possible for firefighters to receive (other than manually) automatically an expiration notice of their firefighter access once the validity date nears or ends?

    Not too sure that AE 5.2 would help here since you are more concerned on the USERID rather than the role
    Here is a thought; I have all of our FF ids defined with the leading characters FF followed by the user id of the person it is assigned to; I also assign the role,Z_VFAT_FIREFIGHTER to the user to allow them access to FF; this role can have expiration dates which will allow AE to get involved; even if it did not, the reaffirm would help in reviewing who has FF access; normally you would probably assign an epxiration date to the FF id; I do this for those that require temporary access
    In transaction SUIM, you can run a report for User>Users by Complex Selection Criteria and select the FF ids and add a date to the "valid until" field under Additional Selection Criteria; this report will show all ids that are valid through that date, including those already expired
    I know this relates to a manual process done at a regualr time but perhaps you can have someone program this process and schedule the job to run lets say weekly (Sunday) and identify "valid through" the next Sunday; this report can then be sent to the person that would review it and take appropriate action
    I'm not a programmer so I don't know what would be involved but it sounds like it may be an option for you

  • AssignedConferenceTypeByDefault setting for recurring meetings

    I know that the default setting for the Lync variable "AssignedConferenceTypeByDefault" sets it so that your conference ID will change from meeting to meeting if changed from its default
    value of true to false.
    What I would like to know is what is the behavior of recurring meetings when this is set to false?
    For instance when set to false, if I create three separate Lync meetings, I will have three unique conference ID's, but if I create one meeting which recurs every week on Monday at 8am, does that
    conference ID stay the same for every one of those meetings, or does it change? 
    We have been doing some testing internally by changing the option in Lync Meeting Options, not changing the AssignedConferenceTypeByDefault
    value and find that recurring meetings retain the same ID and does not change. I am just curious if this behavior will be the same when we change the AssignedConferenceTypeByDefault value
    to false.

    AssignedConferenceTypeByDefault – Determines whether new meetings will be configured, by default, as public meetings. Set this value to True to use public meetings by default; set this value to False to use private meetings by default.
    If you set EnableAssignedConferenceType to false, then no checkbox to customize settings,
    outlook will always create a new private meeting with different meeting id. So when you create a recurring meeting, the conference ID will be the same when you join the meeting everytime.

    Hi John,
    Are you using Outlook for email? If yes, you could set up the meeting in Outlook and then sync to SBO with the Outlook Integration add-on. If other users are included in the meeting, this may be better since you can't invite/include other users in SBO meetings.
    Otherwise, what you want to do is not feasible if you don't want to use Follow-up as a workaround (which I can understand since that's not what it is). It would probably be a SDK.

  • Having problems syncing recurring meetings from exchange

    not only me on this version but many people in our company that use various versions of iphones and iOS are having problems getting recurring meeting exceptions to properly sync in the iphone calendar.
    we use hardware 3GS, 4, 4GS and 5 - iOS versions are from early 5.x.x to the latest 6.1.4
    it only appears to be the exceptions - also, it seems that the iphone calender sync issue is also preventing the recurring meetings from showing up in outlook - when you make an exception to the calendar item - it moves right back to the existing time slow.
    suggestions?

    Turn Off the icloud synch on all devices
    Determine which device will be the inital source of contacts and add all the desired contacts to it. When you are done, turn iCloud synch back on for that device
    Remove contyacts fort the other devices, then
    Turn iCloud back on for contacts on all devices
    It may take a little while for the synch to complete

  • Expiration Notice on ATV Help!

    My ATV gave me an Expiration Notice today. I tried restarting, but just shows back up. I can't get to menu to update software. I tried plugging it in and it doesn't show up on iTunes, so I can't restore it. I'm at a lose for what is left to do. I've used the remote to try to restore, no such luck. I can't find this problem anywhere. I'm not sure what software it has on it, but thought it was up todate. I run the beta iTunes on my pc, but installed 10.5.1 to see if it would show up on it. And it didn't. It doesn't show up at all when I plug it in. If anyone has an ideas, I've searched all over the internet, but nothing seems to help. It was plugged in with an ethernet cord straight to the pc when this happened. TIA

    You will need:
    - A mac
    - A micro-USB cable
    - The Apple TV os (downloaded on your downloads folder, not beta)
    Unplug all the cables. Then, plug in the power cable. Wait a while until the light stops blinking and then connect a micro-USB cable too (don't connect any other cables). Then, connect the micro-USB to your Mac and luch Xcode. Go to window>organizer and you will see the Apple TV on the list on the left. Click on that and then click "Use for developement" and on the notice that comes on your screen (asking a developer acount) click cancel. Then, click on the version of the Apple TV OS and choose "Other" form the list. Navigate to your files and you'll find the os that you have previously downloaded. Choose it and then click Restore. Wait for a while, don't be impatient!!! Then you'll see a notification on your Mac saying "Restore completed". Xcode will continue "waiting for device" but quit it (only if the restore is completed!!!). That's it, connect your Apple TV on a screen and set it up as a new device!

    I need to subsitute a co-worker as the organizer of a meeting setup in Outlook 2010.  Can/How do I do that?

    We are unable to change the meeting organizer, unless delete the meeting request, and let the new organizer send the meeting request again.

  • Display Outlook meeting organizer instead of meeting subject (TMS-XE)

    Hi!
    I'm having trouble displaying the meeting organizer's name INSTEAD of the meeting subject line. Instead, the display is blank!
    We are in the midst of deploying TMS-XE so that we can have Outlook integration with booking meeting rooms and getting the green "Join Meeting" button on the touch pad. Due to existing IT privacy policy, we don't necessarily want to display the meeting subject on the touch pad. However, I would very much like to display the name of the meeting organizer so that people can have a chance of joining the right meeting. :)
    We have "DeleteSubject" set to true, and "AddOrganizerToSubject" also set to true. But I'm afraid that the Exchange behavior is to add the organizer name to the subject AND THEN delete the subject. Or perhaps the "DeleteSubject" setting actually prevents access to the subject field rather set it to a null value. (Or both!)
    Either way, I'd like to find a way to accomplish our goal without creating some kind of intermediary parser.

    I have discovered a workaround to this painful issue.  In the email received from iCloud, click on the big "Accept" button (in the body of the email) and it will take you to a webpage where it shows that you accepted the specific invite.  From that iCloud webpage, you'll see you can download a .ics to add to your calendar.  Download that .ics and open it, and you can save that into your calendar by just pressing the save icon from the Quick Access toolbar (although the Organizer is still not correct...it still thinks it's me).  Strange that the .ics that is attached to the original email cannot be saved into your Outlook calendar, but the one you can download off the iCloud webpage after you accept can be.  It's a lot of clicking to get it into your Outlook calendar, but at least it somewhat works (albeit again without the proper Organizer listed)...
