Reduce document size of Pages document

I am new to Pages. I created a two-page document with text boxes and four photos. I reduced the size of each photo with the REDUCE IMAGE SIZE button. I clicked on "reduce document size" in the SAVE dialogue. I saved the document in PAGES format and a copy in WORD format.
The resulting document sizes are: Pages 1.6mb Word 168kb. The appearance is exactly the same. There was a message when the Word copy saved that some formatting wasn't saved, but it made absolutely no difference to the appearance and ability to edit and move and delete images in WORD.
I want to save the PAGES documents without all the extra formatting but I don't see a way to do it. I can't see making a library of thousands of documents, each between 1.5 and 2MB when I could have the same library take up 1/10th the space and load more quickly.
I am thinking about getting rid of MS OFFICE and going to iWORK 09 for my business, so this is an important issue as there are eight computers making documents all day long.
Thank you.

Thank you for your reply to my question.
The WORD document has been deleted along with all the other "trial" documents. There were too many things I couldn't do in PAGES and NUMBERS that I have taken for granted in Excel and I just can't see going forward without those features.
I think the size of the document was less than 200k in Word... 180 perhaps. I can't recall. But the difference between a few hundred kb and 1.6 mb would add too much overhead when there are thousands of documents to deal with.
Thanks again for your offer of help anyway.

  • Reduce image size in pages by cropping ??

    Hello,
I created a pages document with a lot of masked images in it. the resulting pdf file is massive. As described in the Pages manual, I tried the reduce the image file size (format menu) and the document file size (file menu). But instead of reducing the size by deleting the the parts of the images that are covered by the mask (as written in the manual), it reduces the image resolution, which I don't want.
Question: How can I reduce the image file size by cropping and not by reducing the resolution.
I learnt a lot today in other forums on how to edit quartz filters, so I know how to manipulate resolution afterwards for pdf's for mail and print. Cropping images before inserting them into Pages I don't find a real option. Thank's for yor help.

I reported it to Apple via the feedback button. I also added a little wishlist for the next version.
I think if Pages would crop the excess parts of an image covered by a mask during the pdf export would solve the problem already because imho these not visible parts are often the reason for the massive pdf file sizes. The images are completely embedded and masked in pdf's.
Does anybody know a pdf tool that does that? I tried PDFshrink and PDFpen so far, but they both don't.
Would also be cool to have an Automator action that adjusts resolution via edited quartz filters and crops the invisible stuff off ...

  • Reducing File Size in Pages

I have a book I have written in Pages. It has lots of photos. When I make a pdf, it's about 380 Megs and is larger still in the pages format--nearly 500 megs.
The publishing company online has a maximum size limit of 400 megs for the pdf file. The book is in Spanish, but I'm making a bilingual version which will double the size. Obviously that will be too big in the end.
I've used the Pages reduce file size feature but while it reduces it WAY down, the photos inside are kind of blurry.
Is there a way to reduce LESS? It's all for nothing and your pages file goes from 500 or so to 11 or so megs.
Can I reduce the file's size but not so much?
    Thanks,
    Tom in Arizona

    1. Make a schedule of the image sizes from the Graphic inspector. Use TextEdit or the like. Alternatively hand write it on a print out or as a Text box label over.
    2. Gather up your images in an Images folder. Helps if you dupe and tag the images according to Fig No. or page number at the beginning of the file name (so they fall in order).
    3. Work your way systematically through the images:
         a. Trim the image as it appears in Pages
         b. Change its resolution to 300dpi at size (for commercial printing)
              DO NOT SCALE UP.
         c. Color Correct and add sharpening as needed
    4. Make a duplicate of the file (for safety) and drag back the edited images into their locations. Hopefully you have made the images placeholders.
    5. Use this .pages file to print from if your Printer will accept it, otherwise Print to .pdf so it maintains its resolution.
    7. If keeping the file size down is important, Use Pages '09 not Pages 5 and use as much vector artwork/font artwork as possible in place of bitmap photos.
Thinking ahead and being systematic pays off on any large project.

  • How do I reduce photo file size in Pages?

I am colaborating on a report that contains photos, which I want to exchange with my colleague via email. It's too big as is, but if I choose the Reduce File Size option, Pages over reduces and the photos become blurry and pixelated. If there a way to find a happy medium within Pages, and not be exporting to a pdf? Thanks in advance for any help.

Question asked and answered several times.
Adjust the picture files to fit your needs before inserting them in a Pages document.
    My own scheme is :
build a draft document in which I insert the original pictures (tiff or png)
When the document's layout is OK, grab the dimensions of resized pictures.
Use a tool dedicated to pictures edition (they are numerous even if you want a free one).
    to crop the pictures.
Re sample the cropped pictures with a rez between 80 dpi and 300 dpi according to your needs.
Then and only then, save as Jpeg to reduce the files sizes.
Remove the pictures embedded in you doc and insert the edited ones.
It may be useful to re-start from scratch and copy paste the text components if you applied masks to crop the pictures during the first step.

  • Cmd  brings up dashboard, can I change it? I used to use it to change the text size in Pages

Upgraded to lion and all is good. However, cmd+ has been hyjacked by the OS to bring up the dashboard. I use cmd+ and cmd- to change the text size in Pages. Is there a way to change the Lion keyboard shortcuts to get the functionality back for Pages? The cmd- still works to reduce text size in Pages, so it's even more frustrating that cmd+ does something else.
    thanks in advance

Well on my MBP running Lion 10.7.2 Command+ or - does not do anything, and that is using either Command+ or Command(+ shift)+. I do not have pages installed.
The point is that Command+ and Command- should control the text size in Pages (we're not talking about any othr program, just Pages). Those are hard-set (programmed in the software) keyboard commands for Pages.
In Pages, Command+ should increase the text size, and not bring up the Dashboard. And that is the OP's problem - that command is bringing up Dashboard, which it should not do. Apparently there is some setting somewhere that is causing Command+ to do the wrong thing - and that's what we're trying to find.
So at least on my MBP Command+ certainly does not bring up the Dashboard....
Good - it's not supposed to, nor is that what the OP wants.
By the way, if you use Safari and/or Mail, you'll find that Command+ and Command- adjust the text size in those programs. Ditto Numbers, TextEdit, Bean, and many other programs - it's a fairly common assignment, hence not one which usually needs to be added via Keyboard Shortcuts.

  • Reduce font size in a document.

Hello guys. I've a bit of a problem here. So I have this document downloaded from the internet and I have to print it out but the problem is that it's text size is way too large due to which it is spanning over about 275 pages. Is there any possible way to reduce font size of certain elements which keeping their relative sizes? For example, headings should stay the same but paragraphs should be reduced to about 12px.
    I'm using Acrobat X Pro.

PDF files were not meant to be edited in this way. For such large-scale
changes you'll need to edit the original source file, and then re-create
    the PDF.

  • Reducing pdf size: How can I reduce a pdf document for MAIL?

I am having trouble getting a mail pdf attachment to be accepted by my server. I am looking for a way to reduce the digital size of the pdf (report) so that it will be a size acceptable to my server (tds).  How can that be done?  What steps should I take?

    Welcome to Apple Support Communities.
The Quartz Filter in Finder might help.
Open the pdf file in Preview.
Then File, Save As, (Format PDF) checkmark the Quartz Filter, and select Reduce File Size.
In my test example, a 4 page .pdf file of a newspaper article including lots of text and two large color photos was reduced from 573KB to 147KB.
But do test the results first, by giving the test file a new name instead of saving 'over' the original.
The text remained sharp, but the included photos became noticably pixelated at 100% size.

  • Reduce File Size in Acrobat Pro (9.5.5) Corrupts Graphics in PDF Documents - shows up as black image

Whenever I use Reduce File Size in Acrobat Pro (9.5.5), sometimes some of the images (not all) get corrupted and show up as a black image in the new document.
Actually, the new reduced document looks okay when viewed in Acrobat, but the problem shows up when viewed in the Preview application on the Mac.
I'm using Acrobat 9.5.5 with Mac OS 10.8.6
I've tried re-importing the graphic into a new graphic box, which didn't work.  Thinking there may be some type of corruption with the actual graphic file, I then tried viewing the graphic, then taking a screenshot of it to create a completely new file, and then re-importing the new graphic file into the original document (created in Adobe In Design 5.0.4).  I then export the new document as a pdf, and brought it into Acrobat Pro to do the Reduce File Size.  Same thing happens - black box appears where the graphic was.
I then tried using the Reduce File Size within the Save As function of the Preview application on the Mac - while the graphic remains intact, many of the other graphics in the document are "reduced" too much, to the point where the image quality is seriously degraded, and therefore not usable.
    Any other ideas?

    Hi Anoop,
I can share the graphic file, but not the pdf which contains it (as it contains confidential information) - thanks!

  • Reduce file size makes documents much larger.

In my new Acrobat 10.1.6, "reduce file size" and "optimize" keep making the document much, much larger. Reduce file size even took a document previously at 3.3 mb and turned it into 24 mb. So I took the same document and went back to my previous Acrobat 5, and it actually reduced the file size as expected. What's going on?

I seem to be able to open and reduce file size using Acrobat so I'm not quite sure why Preview is choking on them.
Hi geekinthegarden- This does not surprise me. There are many variations and reiterations in specifications of the PDF format.
Going from Ghostscript language interpreter, to Apple in rendering could introduce complications which we will not be able to sort out in this forum encapsulating a complete description of a fixed-layout 2D documents that includes the text, fonts, images, and 2D vector graphics which compose the documents.
Suffice to say it is not a perfect science.
Print PDF has a compress PDF file option as well as ColorSynch in your /Utilities folder +reduce file size+ option for PDF's. This may or may not be of use.
You found your workaround using Acrobat, this is part of the value of having more than one PDF viewer, good computing!
