Reformatting a large document in Pages '09

I need to completely reformat a large manuscript. I'm lost when it comes to changing the indent of paragraphs (the first in a section must be flush left, but all others slightly indented and right now mine are very wide) and I need to include page & name on top of left page, page & title on top of right page, except on new chapter pages which are without headers. Help?

Create 2 paragraphs:
ParaFirst: +Inspector > Text > Tabs > Paragraph Indents > 0/0/0+
ParaFollowing: +Inspector > Text > Tabs > Paragraph Indents > 1cm/0/0+
Select each in turn:
+Menu > View > Show Styles Drawer > click on little triangle to right of paragraph styles > Create New Paragraph Style from Selection > Name > OK+
Select first paragraph again:
+Inspector > Text > More > Following Paragraph Style > ParaFollowing+
This will make paragraphs after the ParaFirst style automatically become ParaFollowing style.
and I need to include page & name on top of left page, page & title on top of right page
+Menu > View > Show Layout+
+Inspector > Document > Document > Document Margins > check Facing Pages > Header/Footer+
+Inspector > Layout > Section > Configuration > check Left and right Pages are different+
Click in the Headers and type the text you want on each side followed by:
+Menu > Insert > Auto Page Numbers… > Choose whatever format you want+
The Text and page numbers can be formatted as you wish and positioned using tabs.
except on new chapter pages which are without headers.
Go to the following pages of the section and click in the text of of that page:
+Inspector > Layout > Section > Configuration > First page is different+
Go back to the 1st page of the section and delete the contents of the Header there.
When you have everything the way you want:
+Menu > Format > Advanced > Capture Pages… > Name: > Include: > First 3 pages > OK+
+Menu > File > Save as Template… > Name > OK+

  • PDF Presets and Large Documents (High Page and Link Count)

    I created an 824-page book using InDesign CS3 (577 image links - all photoshop or illustrator CS3), all in a single file. When I try to use the PDF presets to create a PDF file(doesn't matter what quality), InDesign crashes. I checked all of the links etc. and everything is okay. If I separate the file into three separate books, I can create a PDF from each. Is there a limit to the number of pages that InDesign can handle? Is it possible that my laptop doesn't have enough resources?
    Any help would be appreciated!

    It would be nice if there was a log file created during a failure. But that would require more resources and compound the problem.
    There is no doubt that the corporate issued Dell is a low-resource machine.
    In the end, this book will be modular so chapters can be added or subtracted as required by the audience. I'll just create three separate mini-books or I'll transfer everything to my machine before processing.

  • Scanned document missing pages

    Have three (3) w/s, two (2) with Acrobat 8 Pro (8.1.2) and one (1) with Acrobat 7 Std (7.0.9) running in Win XPsp2 on Dell Optiplex 745s. One (1) 8.1.2 machine and the 7.0.9 machine have IE7 installed, the other 8.1.2 machine had IE6sp1 installed. All machines have Sophos AV installed which is current and has not caused problems previously.
    A Fujitsu fi-5650c scanner is attached to each machine
    All three have been successfully scanning large documents (100+ pages) to PDF to locations on the network and the machine's HDD for some time. Today, scanning documents over five (5) pages frequently results in some pages in the resulting PDF document being blank. This is regardless of whether scanning to a network location or the local HDD.
    Only event in last week was user letting 2 of 3 machines install Windows updates,(auto updates have now been turned off), specifically KB945553, KB941693, KB948881, and KB948590. Significantly, whether or not the updates were installed, the problem persists. Removing the updates installed during the period has no effect. Acrobat updates are disabled and none have been installed for well over a week.
    Anyone have any thoughts??

    If you have a scanner, it usually comes with OCR (Optical Character Recognition) software. Use that to convert your scan to text and bring that back into Pages.

  • Acrobat 6.0 Professional- Having Trouble with a Large Document-Please Help

    Using Acrobat 6.0 Professional.  Working with a large document (1400 pages, 25 megs).  I broke it into two parts to make it easier to work with.  However, even though the two parts are now 700 pages, they are each still 25 megs.  It appears that each document is retaining the full history of the document, perhaps as restore points.  How do I purge the history so the document is small and more manageable?

    I am not sure if version 6 can optimize PDF files but in version 9, you have to follow these instructions:
    Optimize a PDF
    Note: Optimizing a digitally signed document removes and invalidates the digital signatures. 
    Open the PDF Optimizer dialog box.
    To use the default settings, choose Standard from the Settings menu, and then skip to step 6. If you change any settings in the PDF Optimizer dialog box, the Settings menu automatically switches to Custom.
    From the Make Compatible With menu, choose Retain Existing to keep the current PDF version, or choose an Acrobat version. (The options available in panels vary depending on this choice.)
    Select the check box next to a panel (for example, Images, Fonts, Transparency), and then select options in that panel. To prevent all of the options in a panel from executing during optimization, deselect the check box for that panel.
    (Optional) To save your customized settings, click the Save button and name the settings. (To delete a saved setting, choose it in the Settings menu and click Delete.)
    When you are finished selecting options, click OK.
    In the Save Optimized As dialog box, click Save to overwrite the original PDF with the optimized PDF, or select a new name or location.To optimize several documents at the same time, use the Output options for the Batch Processing command.
    It is worth a try assuming you have this facility in version 6.
    Always backup the document before doing this.

      Hello. I am trying to split a large document (180 pages-a book actually) into smaller documents (chapters). I tried doing it according to this thread http://forums.adobe.com/message/1321374#1321374, but when I choose the pages I want to delete, the text automatically reflows and I end up having deleted pages that I want to keep. I disabled “automatic text flow” or something, but it didn’t help. Why does that happen? Because the text frames are threaded? And what should I do? Unthread them? And how can I massively unthread them if that is the solution? Thanx a lot.

    I'm really late to this thread,  but you can do this manually pretty easily, too, if you want to isolate  each chapter into a new thread (though telling the chapter title style  to start on the next odd page is probably easier). Click the outport on  the last frame you want in the first thread, then click inside the frame  to break the thread. The rest of the story will be overset and the  following frames will be empty, but threaded.
    Put the cursor after  the last character in the last frame and press Shift +Ctrl+End to select everything from there to the end of the story. Cut and paste into the  empty frames. Repeat for the next chapter.
    Thinking about it, this might actually be all that the split story script is doing.)

  • Links in each page of a large document

    I have a 350+ pages PDF document and would like to add a link to the TOC in each page. Obviously not one by one because this would take a lot of work/time.
    I thought to use a general header or footer with the linked text. But I don't know how to put linked text in a header/footer. Can this be done?
    Is there any other way you know to easily add a link to all pages of a large document?

    Another way is to put your link in a button: buttons can be duplicated to all (or a range) of pages. If you don't like a button that 'looks like a button' just use 'no border, no fill', or even an icon to customise it.

    This is not a feasible thing to do. Editing a PDF is a desperate last resort for so many reasons.
    Whatever you need to solve, you are unlikely  to solve it in Acrobat. Probably best to export text and remake it.

    My OfficeJet Pro 8500 A909a will not print large documents. Prints fine on websites, 2 or 3 page docs but nothing larger. Trying to print a mail merge of 450 letters - print spooler goes though normal proces but printer never prints - it just beeps when the print spooler is completed. Printer is installed ethernet on XP. HP check software reports OK. Thank you.

  • Multiple Extracts from One Large Document

    I receive a large (approx 450 pages) PDF document bi-weekly listing data on our 400 employees.  Each page lists one employee with some employees having 2 or 3 pages devoted to them.  The employees are sorted by Employee ID Number.  I need to send each supervisor the appropriate pages for each employee they supervise.  This is done by e-mail.  Supervisors supervise between 1 and 30 employees.
    I need to identify where the appropriate employee is and extract the approrpiate page(s) to the supervisor's file folder in preparation to e-mailing to the employee.  In some cases, the employees for each supervisor might be contigious but most often not.
    An added complication is that employees come and go and may change supervisors.  So, an automated process for each report cannot be easily duplicated.
    How do I do what I need to do in the easiest fashion possible?

    I think that the easiest solution would be to receive the information as 400 separate documents, because then the problem would be reduced to sorting.
    Barring that, if you have a lot of disk space, one possible solution would be to maintain a DOS-style batch file that would create 400 copies of the large PDF in the correct file folders and with the correct filenames.  Each line of the batch file would read something like "copy large.pdf supervisor1\employee1".  The batch file would live in the same folder with the original large PDF; assume that you would navigate to that directory before running the batch in the Windows DOS emulator (Command Prompt).  Before running the batch file, you would need to edit it in Notepad (or other) to account for supervisor or staff changes.  (If you maintain information from week-to-week in the same directories, you might want to make corresponding changes/additions/deletions to the collections of PDF files under each supervisor name.)  After you run the batch file, you would have the not very pleasant task of opening each PDF and deleting the pages you don't need, that is, preserving the pages for the relevant employee.
    Or, check the market for an application or Acrobat plug-in that would allow you to accomplish the multiple extracts more elegantly.

    Hi - i´ll try to make it short. (quite experinced user on Mac and Pages - but hates Word)
    Large document like master/PhD on Pages 09 Version 4.1 (923) (using EndNote X4 for bibliography - but EndNote is not the problem! I tried it without...) - more than a hundred pages. (now with Lion 10.7.2 it seems to be even worse than with SLep).
    Content is numbered with up to four "levels" (like: 2.3.1.2 Xxxxxx). I seem to make a lot of things right because the content at the beginning of the document is correct with all the points (just the content is 4 pages long - and everything including the page-numbers is correct) -
    BUT:
    In the text most "sub-/headlines" or new points are correct - but some are just very wrong like:
    it should be 8.3.2.1 - instead it is 8.3.6 or even 2.1 - and everytime i try to change it its just wrong in another or the same way... - but in any case (as long as i am doing it right with tabs and using the right level) the content at the beginning of the document is correct.
    That is exactly why i hate Word - it just did the same crap (but Word also mixed up the footnote-numbering - in Pages 09 at least all the foodnotes are right).
    Any idea? - the next thing i will try is just to copy every paragraph into a new document - but i doubt that it will help - is there anybody at apple who could help???

    I didn't answer either because I found your writing impenetrable and without the file to work with improbable we could talk you through it.
    It sounds to me like you have simply skipped a sequence somewhere and it has lost track of the numbering, or you got it to restart somewhere in an attempt to 'fix' your error.

    Since HTML documents are printing correctly, it is possible that the large black ink tank in the unit may be clogged.  You can print a nozzle check pattern from the printer to see if the inkjet nozzles are dispensing the ink correctly.  To do this, please follow the steps located here.  Once it is printed, please examine it and compare it to a correctly print pattern here.  If all of the colors are not appearing, including the black grid at the top above the colors, performing print head cleanings on the unit may resolve the issue.  To perform the cleanings, please follow the steps located here.  We recommend performing at least one cleaning and two deep cleanings.
