Regarding Deletion of Chart of Accounts

Dear All,
When I am trying to delete the chart of accounts in development server it is saying that Chart of accounts is used in Special Purpose Ledger and entries cannot be deleted. So i removed all the accounts for down payments received and down payments made. Even then it is giving the same message. Are there any other areas where accounts are assigned for Special GL transactions.

Hi,
Go to Tcode GCL2 and un assign all the company codes to the special purpose ledger.
Now try to delete the COA.
If still the problem exists, then go to GCDE
Press F4 button in the ledger field and check if there are any entries in that list with a Z* table, if yes choose that entry.
Deselect test run check box and execute it.
This will fix your issue.

    The transaction to delete chart of accounts is OBY8. Please read Note 6075 Delete chart of accounts (TA OBY8) which is more useful.
    You can find it in the menu under:
    General Ledger Accounting (new) > Preparations for Productive Start >
    New Installation > Delete Test Data > Delete Master Data >
    Delete Chart of Accounts.

    Definition
    This is a list of all G/L accounts used by one or several company codes.
    For each G/L account, the chart of accounts contains the account number, account name, and the information that controls how an account functions and how a G/L account is created in a company code.
    Use
    You have to assign a chart of accounts to each company code. This chart of accounts is the operating chart of accounts and is used for the daily postings in this company code.
    You have the following options when using multiple company codes:
    You can use the same chart of accounts for all company codes
    If the company codes all have the same requirements for the chart of accounts set up, assign all of the individual company codes to the same chart of accounts. This could be the case if all company codes are in the same country.
    In addition to the operating chart of accounts, you can use two additional charts of accounts
    If the individual company codes need different charts of accounts, you can assign up to two charts of accounts in addition to the operating chart of accounts. This could be the case if company codes lie in multiple countries.
    The use of different charts of accounts has no effect on the balance sheet and profit and loss statement. When creating the balance sheet or the profit and loss statement, you can choose whether to balance the company codes which use different charts of accounts together or separately.
    Structure
    Charts of accounts can have three different functions in the system:
    Operating chart of accounts
    The operating chart of accounts contains the G/L accounts that you use for posting in your company code during daily activities. Financial Accounting and Controlling both use this chart of accounts.
    You have to assign an operating chart of accounts to a company code.
    Group chart of accounts
    The group chart of accounts contains the G/L accounts that are used by the entire corporate group. This allows the company to provide reports for the entire corporate group.
    The assigning of an corporate group chart of accounts to a company code is optional.
    Country-specific chart of accounts
    The country-specific chart of accounts contains the G/L accounts needed to meet the country's legal requirements. This allows you to provide statements for the country's legal requirements.
    The assigning of an country-specific chart of accounts to a company code is optional.
    Integration
    The operating chart of accounts is shared by Financial Accounting as well as Controlling. The accounts in a chart of accounts can be both expense or revenue accounts in Financial Accounting and cost or revenue elements in cost/revenue accounting.     Mater chart of accounts is nothing but the main account that is created at the client level.
    we have 3 COA
    1. Group chart of accounts
    2.country specific chart of accounts
    3. Operating chart of accounts
    we can have maximum 3 chart of acocunts assigned to each company code
    Company code chart of accounts is can be operating chart of account which contains the group of account used by that company...
    If some specific requireement is there for the country reporting purpose than we need to use that and maintain that ,
    Group chart of account is used for the consolidation purpose.
    like we have 6 company codes under one company in differnet countries.. so here they will have one common COA which will consilidate the business of all 6 company codes...

    I have created a new company code in system(copy an existing company code data). When I am going to a new chart of account to the new company code, system display an error message as follows:
    Reset company code data before changing the chart of accounts
    Message no. FC140
    Diagnosis
    You have selected a different chart of accounts for a company code.
    You must, however, reset the company code-specific data for the old chart of accounts beforehand.
    Procedure
    If you really want to allocate a different chart of accounts to the company code, first of all reset
    the company-code specific data for the old chart of accounts.
    First of all you must, if it exists, reset the transaction data for this company code.
    Finally, carry out the resetting of the company code-dependent G/L account master data
    (without the general master data).
    Note:
    When dealing with large quantities of data, resetting the master data or transaction data can be very
    time-consuming. In this case, it is advisable to schedule the running of these reports as a batch run.

    Hi Chris,
    I think you have copied the co. code using Trcode , When you have copied the co code all the gl master records from the source co code is also coiped to to the target company code. these gl masters use the COA(Chart of accounts)  used by the source co. code.
    If you want to assigna new COA now to the target co code then you have to delete all the gl accounts from this new co code you can do this by executing TR Code OBR2. Select the gl accounts, Select the check box for "with general master data" and provide the company code and execute. Now you can assign a new COA to this new company code

  • Deletion of G/L Account

    When ever the transaction data exists in the G/L Account,it will not allow to delete
    the G/L Account in by using OBR2 and it will give the message reset transaction data.when i read the OBR1,it is saying the it will delete all the transaction data.
    Suppose if i use this what will the impact and when it has to be used,what are the different circumstances we can use this in PRD in system.

    Hello
    You can archive G/L account master records that you no longer need. Archiving data means it is deleted from the SAP database and placed in a file. You can then transfer this file to an archive system.
    You cannot physically delete the master record of a G/L account from the system without first carrying out certain preparatory steps. First, the system must check whether the master record can be deleted. Initially, you can only mark a master record for deletion.
    You can do this at two levels:
    If you want to delete a master record for all company codes, you must mark it for deletion in the chart of accounts. If you specify that the entry be archived, this is also deleted from the chart of accounts. The prerequisite for this is that no master records in the company codes are dependent on this record.
    If you want to delete a master record in one or several company code(s) only, you must mark it for deletion in the company code area of the master record.
    To physically delete the master record, you must call up a special program. This first checks whether the marked master records can be deleted. The prerequisite is that there are no longer any transaction figures stored for this master record. Even transaction figures from previous fiscal years that have not yet been archived prevent deletion. Records that can be deleted are archived and deleted from the system. The program prints out a list of any master records that it was not able to delete.
    You should block an account for posting before you mark it for deletion. The only effect this deletion indicator has is to cause a warning to be displayed every time you subsequently try to post to this account.
    Before you use the system productively, you can delete your test data.

    Hello experts,
    I'm searching for a BAPI to achieve some functionalities already done throw transaction FS00.
    After uploading account data from an input file I should:
    - Create G/L accounts
    - Update G/L accounts
    - Mark for deletion G/L accounts
    - Block G/L accounts
    Depending in a flag existing for each line of this file.
    I saw some threads advising BAPI: BAPI_ACC_GL_POSTING_POST to replace FS00 transaction.
    But, I don't see a way to use this BAPI in my case.
    If this BAPI is the right solution then where could I specify the flag for (deletion, update, blocking, creating)?
    If not, then could you please advice me the better way to deal with this issue?

    The case which is missing for me is when I should update an account corresponding to an alternative chart of account (which is normally done via FSP0).
    I'm pretty sure that I could not call directly transaction FSP0 (as I did with FS00) according to documentation of rfbisa00. The response could be 'FSP0 not supported'.
    Do you think that we could deal with this issue also with RFBISA00 for Tx FSP0?
    Or is there another standard code for FSP0?

    when you are in the beginning of the of the project you can generate the EC-CS FS Items out of the consolidation chart of accounts finance Financial statement.
    This saved for me a lot of work and i had to do it anyway because i take over from the periodic extract.

  • Solution for copying individual chart of account segements betw. clients

    I'm facing the problem, that we we have three clients setup on one system. Within the leading new group chart accounts have been added which also need to be added in the other two clients.
    Is there anything like ABAP programs RFBISA10 and -20 which can support me in doing so. To prevent unclarity:
    The respective accounts only exist in chart of accounts segment and i don't want to copy the whole chart of accounts via IMG.

    This was an overly-long post with a lot of irrelevant details and lacking some of the important ones. So I am inferring the following:
    • You are connecting to your mail server via POP
    • You are leaving Mail running on the machine at the office
    • You have the machine at the office set to delete mail from the server
    • At the shop, Mail is set to leave mail on the server
    If any of this is incorrect, please correct me.
    Now, there are several easy solutions. The easiest, if your mail server supports it, is to switch from a POP connection to IMAP. POP was designed around downloading mail from the server one time and deleting it from the server, leaving you with only a local copy. IMAP is designed to leave mail on the server and synchronize local mailboxes with the server. So with IMAP, you could have exactly the same mail in the mailboxes on both machines. Of course, that means the mail takes up space on the server, which could eventually fill your allocated space and prevent you from receiving further e-mail, which means you've got to be aware of the limits imposed by your server and manage your e-mail accordingly.
    If your server doesn't do IMAP, then you can still use POP... you just need to leave it set as is and make sure that you quit Mail on the office machine. You'll be able to download new mails from the shop, and since the shop machine is leaving mail on the server, you'll still be able to download them on the office machine later so you have all your e-mails in one location.

    I have maintained account group P & L in SPRO>Financial Accounting>General Ledger accounting>Preparation>Defined Account Group.
    When trying to create G/L account FS00 it throws error message
    No P4040L statement account type is defined in chart of accounts 4040
    Saying "No P&L statement account type is defined in  chart of accounts 4040"
    Procedure  Define a P&L statement account type in chart of accounts 4040
    When I have given account group with chart of accounts 4040 why still I am getting this error? Once I deleted entry & added P & L in Chart of accounts 4040.

    Step.1 : Create Chart of Accounts - in your case you had created
    Step 2: Goto T.Code OB53, it will ask for the Chart of Accounts enter the chart of accounts you had created.
    Step 3: Once you entered the transaction, there will be two columns  PL Statmt acct type and Account  enter x in the first column and leave the account column blank.
    Step 4: Try to create the GL account you can able to create.
    If you are trying to do the configuration first time, you will face this problem, it is a basic issues when we start learning FICO.

    - Please use the code the same way it is noted in the OACT table. This
    field should also not be blank
    - For currency, please also note it in the csv file the way it is in
    Business One e.g. Euro would be EUR
    Issue Possible reason:
    1, Field     'Code' is blank.
    In DI API Help file 2005 for OChartofAccount, it says that Field "Code"
    is the Mandatory field in SAP Business One when Not Working with
    Segmentation.
    2, Field     'FormatCode'
    The Account Segment Separator '-'.existed in 'FormatCode' field.
    Solution
    1, Field     'Code' is blank.
    For updating existing chart of account with segmentation, This field is
    mandatory. You must fill it with the account code of that account you
    want to update. You can get the code of each account #_SYS00000000XX#
    from OACT table. Otherwise, we cannot update it.
    It is not covered in DI API Help file 2005.
    2, Field     'FormatCode'
    Please delete the Account Segment Separator '-'. For example, change
    11005-000-00-11 to 110050000011. System will identify automatically.
    Please make sure that the field is a Text format cell. You can change
    the format cell by right click the cell.

    Hello,
    I am using SBO2005B and when creating a g/l account in the chart of Account, I am finding that some entries are automatically becomming green text and when I am trying to delete them I am not able to delete them. How to delete them. When I am selecting the green text g/l account in G/l account details in the left hand side I am finding that Titile and Active are blocked and I cannot do anything in it. Your help in this regard would be appreciated.

    When you see a G/L Account in green, it means that the G/L Account has been used in G/L Determination and has been associated to a business process.
    To delete an account showing in Green, you would first need to dis associate the account from the G/L determination and then delete the G/L.
    Please check the G/L Determination under Administration > Definitions > Financials > G/L Account Determination
    If you have already created Warehouses / Item Groups based on this G/L determination, the Accounting setting would have copied to these.  Therefore you might have to dis associate the account from these entries as well.
    If you do not know the how your G/L Accounts are set in your company database, you may first check the setting in Administration > System Initialization > General Settings > Inventory tab
