Regarding UWL workitems

Hello Experts,
We have created Customer workflow in SRM system and was trying to approve the same via Enterprise Portal.
We have done all the required configurations and we are not getting the workitems waiting for approval in the UWL.
Unfortunately, tasks which are completed are visible in the Portal UWL.
When we tried previewing the standard UWL iView from Portal content we are able to see all the In Progress workitems.
The same is not visible in the UWL assigned to the Portal role.
We believe this should  be some sort of permission issue.
Any pointers in this regards is much appreciated.

1) For how many days workitems will be present in UWL if no action has been taken?

    So it seems that the link is not shown due to the fact that a logical system could not be found for the given UWL system.
    Moreover, sometimes we have people logging on to the portal where the task is executable and for others not.  This might be caused by 2 virtual systems we have in our landscape where the connectivity/logical system is correctly defined or buffered for 1 virtual server but on the other it is not!
    Can someone please help us with this

  • UWL Workitem attachments

    Hi,
        When we click the attachments in UWL workitem for leave or travel, the link opens in a SAP GUI for HTML screen. Can we change this to display in a webdynpro screen? Can you please provide any link to documentation in this regard.

    unfortunately this cannot be changed it will open only SAPGUI.

  • Open UWL workitem from outlook mail

    Hello friends,
    I have a requirement to execute/open workitem of UWL, which should open from outlook...
    I have searched for the same in sdn forum and SAP-WUG, but was unsuccessful to find the exact solution...
    I have used 3 technique to achive the requirement, but they are not working and also don't know it is a right approach or not..
    1) Maintained the UWL url in SWNCONFIG-> General setting -> INBOX_LINK_URL
    2) Configured setting as suggested for Extended notification and UWL in link

    3) Maintained link in SWNCONFIG-> General setting -> WD_HOST and WG_HOST

    I am not sure the requirement is possible or not...
    If it is possible then please suggest the right approach and the techniques I have tried are correct or not?

    I am very new to workflow. So I don't know why and where webdynpro application is used in my senario... And I will be very obliged to bare with me if I don't understand any terminology of workflow.
    I would like to share my complete senario with you.
    I have a existing workflow on "COURSE BOOKING" which is already working on production perfectly. And the manager is approving it on UWL for it.
    Now the requirement was given like this... I was told that manager has to search the workitem in UWL and had do refresh many time. So they asked me to provide a link or attachment of UWL's workitem directly in notification mail, so that he only needs to click on that link or attachment and required workitem in UWL will open and he/she could make decision.
          The requirement is very similary to the notification mail generted by program RSWUWFML2, which has 3 attachements and among them 1 is of Execute Workitem, which open up SAP R/3 inbox's workitem directly. Means he doesn't need to search in SBWP...
          So here in my case instead of SAP R/3 inbox workitem, he should open Portal UWL's workitem directly.
    Now I come to your question about "webdynpro application launches workitem". I don't know where the webdynpro application comes into the picture...

    I have an issue - when I execute the workitem from UWL ( which is leave request approval workitem ) it generates the following url.

    But when the SAP_ECC_HumanResources is replaced by SAP_LocalSystem it works fine...
    So my question is where does the UWL fetch the system - SAP_ECC_HumanResources .....
    Note : In SWFVISU i have already changed it to SAP_LocalSystem but still the URL picks up SAP_ECC_HumanResources....

  • UWL workitems not deleted

    Hi,
    not dealt with UWL workitems before.
    Client has a PR WF in the system and workitems go to UWL for Approvals.
    Instead of releasing the PR from UWL, the user has released it from ME54N.
    So now, though the PR is released, it still shows workitems in UWL.
    My question is are there any settings (in SAP, Portal) which could handle this, so that whenever user releases a PR thru ME54N, the workitem in UWL gets deleted.
    Other question, now since the workitems (for which PR was released from ME54N) are there in UWL, what happens if the user again db-clicks the workitem, will it throw an error?
    Last question, what can I do to remove those workitems for which PR was released from ME54N. How can I delete them.

    Hi Aditya,
    As Workitem behaviour is dependent on Status, set the Workitem status to complete using any one of the following FM
       SAP_WAPI_SET_WORKITEM_COMPLETD
       SAP_WAPI_WORKITEM_COMPLETE
       SWU_COMPLETE_R3F_WORKITEM
    I dont know the exact one... so kindly check the Documentation of them and choose the best.
    As far as i know second one would set the status to complete

    Our team is trying to get the UWL workitem count that appears on the Tasks tab in a webdynpro for Java application . Is it possible to get the count .i.e. (New Workitems)/(Old Workitems) in a Webdynpro for Java application?

    PLEAAAASE!!! somebody help us out with this one, we really need to get this done, and given the lack of responses this has got so far, I think it might not be possible at all.
    Just some thoughts on the subject, anyway.
    When creating the UWLcontext, you need to set a user for it (e.g. context.setUser( ) ), so does that mean that I will never be able to get the UWL task list/count for more than one user at a time? and does that also mean that, if a user is set to the UWLContext, in order for it to work, it needs to be authenticated with an ongoing session at the time of execution?
    Again, please, these observations might or might not provide additional help in order to resolve this issue, but at least got to try something...

  • TS20000189 Change trip - uwl workitem execution

    Hi there!
    The standard workflow task TS20000189 Change Trip is used both for changing expenses AND for changing travel requests. In the standard configuration, when clicking a UWL workitem a transaction iView is opened. I want to configure this to open up a WebDynpro interface instead since that's what the users are used to.
    However, the problem is - how to I make the task TS20000189 access the two different applications (sap.com/esstratre/Expenses or sap.com/esstratre/Request in WS20000040 and WS20000050 respectively) or alternatively - the two different portal pages? I can make it access the Expenses application through the xml file, but then the Request application wont open...
    Please help!

    If you want to remove forward and resubmit actions for all the UWL items, it should be simple.
    Open the UWL iview and look for a property called "List of UWL actions to exclude".
    In that property enter the values "followUp" and "forward" separated by a comma.
    followUp - Resubmit
    forward - Forward
    This should remove the two actions for all the UWL items.

  • Problem with Business object attributes in UWL Workitem description

    Hi All,
    I have developed a workflow which sends the workitem for two level approvals. Once the workflow is triggered workitem sent to the respective user for approval. When user opens the workitem in inbox he can see all the data which comes from the 'Z'  Business object in R/3 and he can approve the same. Everything works fine when this process happens in R/3 system.
    The problem comes when user opens this workitem in UWL or this workitem is sent to user mail ID executing  'SWN_SELSEN' report, all the attributes of the business object are displayed in the workitem description  except 2 . These are the Minimum annual salary(GRMIN) and  Maximum annual salary(GRMAX) fields from 'T510N'  table.

    Thanks for the quick reply.
    For storing the Minimum and maximum annual salary values I have created two attributes in the business object which are referring to database fields. T510N is a customizing table. I could see the values for the same, if I test the Business Object or Trigger the w/f in R/3 and check the approval work item in R/3. These values disappears only in case of web interfacing i.e. If I send the same work item to outlook mail or check it in UWL.
    I had checked the same and thought if there is any problem with BO or some other processing takes place before these values are retrieved. But I wonder why this happens only if I process the work item outside R/3 system?

  • UWL Workitem item shows multiple Leave Request for Approval

    Dear All ,
    I ahve modified standard workflow for leave WS12300111 . I have 2 levels of approval . The step which goes to approver is standard task TS12300097 which is calling DUMMY method of CL_PT_REQ_WF_ATTRIBS class .
    Now my problem is suppose 100 people have applied for the leave after managers approval it workitem will go to HR . So in HR's UWL he/she will have 100 workitem . Now supose HR clicks on first workitem in by logging in to ESS . when HR clicks on pop-up comes on the top it has one table sort of thing , here all the 100 leave request r getting diplayed .
    <b>I want Table to dislay only the Leave request of an employee belonging to That workitem.</b> Please help in this regard .

    You will need to modify the UWL XML file. There is a document titled "How to Configure teh Universal Worklist" on service.sap.com you can use to achieve this. Read the section titled Step by Step Decision views.

  • Duplicate attachment in UWL workitems

    We are having NW portal 7.3, SP08,
    Issue:
    Workitems in universal worklist are having duplicate attachment entries, this is not what is expected, as per requirement there must be only one entry visible one workitem,

    As shown in the screen, where multiple objects are visible, we want only one attachment and also last two attachments are repetitive,

    Hi Bhavin,
    UWL retrieves attachment from backend through connectors.
    Please check which one is the relevant connector and see its type to check where the attachments are coming from.
    Then check if they are duplicated for the same workitem at backend too
    If the items are duplicated at backend then you need to focus there.
    If the attachments are not duplicated then let us know the connector type to consider next steps.

  • Displaying Travel Expense form as attachment to UWL workitem

    We have customized the travel expense workflow that is WS20000040.
    When the requestor raises a travel expense request it goes to the manager for approval in his UWL.
    There by default, according to the standard functionality, when approver clicks the particular work item, he can see an attachment attached to the work item, which on clicking, leads to transaction PR05.
    Within that transaction when he clicks 'Travel Details' only then he can see the PDF for travel expense form.
    Our requirement is, instead of opening the transaction, the PDF should open directly as soon as the approver clicks the link.

    In relation to the scenario that you have described you mentioned the following:
    You have customized the travel expense workflow that is WS20000040.
    When the requestor raises a travel expense request it goes to the manager for approval in his UWL.
    Your requirement is, instead of opening the transaction, the PDF should open directly as soon as the approver clicks the link.
    Ok firstly a point to highlight here is have you attempted to reproduce this issue in more than one browser type? Also is compability mode currently enabled on the web browser platform that you are utlizing.
    Ok in terms of background functionality and the underlying operations of this scenario the predefined actions which occurs once a workitem is clicked in the UWL depends on XML configuration or via the SWFVISU transaction.  By default, the item type configuration for the corresponding work items is set to launch the expense report form.
    If you analyze the UWL configuration file and the travel expense XML e.g. com.sap.pct.erp.ESS/MSS - from UWL administration page, you should be presented with the following:
    ** SAMPLE **

    <ItemType name="uwl.task.webflow.decision.TS20000131.ECCCLNT100" connector="WebFlowConnector" defaultView="com.sap.pct.erp.mss.tra.view.TripApprovalView" defaultAction="com.sap.pct.erp.mss.tra.action.DisplayExpenseForm" executionMode="default">

    You should be able to set the predefined open action here.
    Also there are two key points to remember when you are working with XML files.
    XML files and the UWL follow the notion of precedence. Therefore once you make a change in the UWL XML the file needs to be reuploaded with a new priority of high in order for changes to come into effect and the UWL Cache needs to be cleared.
    XML files should be backed up and copied so changes can be reverted easily if required.
