Report Painter - Display settings of variations

Hi,
In my report CO, I have a characteristic which is displayed as a variation. It's a set variable, let's says a group of profit centers (a set of multiple single sets). When execute the report, the value list of variation is always expand-all. It's not quite user-friendly.
Do you know how to set the variation as by default collapse-all? I know that we can do it as I saw in some SAP sample reports. I tried various ways but still not found any useful.

Hello Huong Le,
you can change the setting on the selection screen of the report - but you have to activate the 'expert mode' first: Environment -> Options -> Expert mode.
As soon as you have this activated, the button 'Variation' will show up where you can choose between 'Explode', 'Single Value' or 'Do not explode'.

    actually i am talking the first Top row (which is lead column/ descrption column)
    and first Left column in a report painter.

    currently i am using  "change text" to type in description(english) by manual(), and the problem comes out when i login with other lang, say chinese lang for example, the column and row didn't display any text on it(all blank) after different lang login.
    so just wonder is there any way to have a auto translation when different lang login.

  • Report Painter - Display two characteristics on one line in lead column

    I have a requirement to produce a Report Painter report to display values by Cost Centre and Cost Element.
    The requesting user wants to see the Cost Centre AND Cost Element keys displayed on each row of the report, to allow for manipulation in Excel.
    I have no problem grouping Cost Element within Cost Centre or vice-versa, but am not aware of any way of displaying both key values on each row in the lead column (or anywhere else).
    Has anybody done this?

    Hi Robin,
    the request is not unusual. However, report painter does not allow for two key columns or a key column combining two characteristics. You might consider using SAP Query (with table COEP or COSS/COSP for aggregates) if you do not want to resort to developing the report in ABAP.

  • Report painter:display of G/L with zero amount

    Hi,
    I have created a report in report painter for expenses by profit center. however the system is not showing the G/L for which no posting has been made although i have maintained those G/Ls in the report. Is there any way to display G/L with zero values also?

    Hi, you can try to go the report painter (GRR2)
    Formatting - section layout - Columns make sure the suppress zero columns is unchecked
    and also you can go to Formatting - section layout - Columns  - Treatment of zero rows - Print Zero Rows

    When executing a Cost Centre Z developed Report painter report, The values appearing blank on the face of the report but when drilling down to line item level i can see the value exists. This is not a access/security/authorization error as no crosses on the face of the report.

    but the total lines are not adding to zero. in a another report painter report one of the lines value is not equal to line item total! it is quite a strange behaviour that i have never come accross! any clues?

  • Report Painter: Display only own Libraries in GRR2

    I'm working with Report Painter and Key Users find it troublesome to explore all the library tree until they get their own library...
    Does anyone knows if it is possible in transactions GRR2 or GRR3 to hide the standard libraries???

    I have configured that one but it seems that in transaction GRR2 or GRR3 is checking other Authorization Group (G_803J_GJB = Report Writer: Report Group)
    I will configure both or I will raise an OSS Message with the incident.

  • Report Painter - Display Report

    Dear Friends,
    While displaying/changing Z reports from GRR3 transaction, we are getting short dump.
    The dump does not occur for standard transactions.
    The error occuring is:
    The current application program detected a situation which really should not occur. Therefore, a termination with a short dump was triggered on purpose by the key word MESSAGE (type X).   
    Short text of error message:                            
    RAISE MKES1F12_READ_FPAGE_FCOLUMN       (internal error)
    Please let us know if anything further need to be done with the Z reports after creating them in GRR1.

    In my report painter, there are 2 variations which are 2 seperate fields of a table. I have a request which demands to link those variations to one to display as a hierarchy.
    For example :
    The variation 1 stands for the field of 'Company Code' (GLPCT-RBUKRS)
    The variation 1 stands for the field of 'Business Area' (GLPCT-GSBER)
    The new display of the variaton would be :
    Company Code 1
    |-- Business Area 1.1
    |-- Business Area 1.2
    |-- Business Area 1.3
    |-- ...
    I tried to create a variable for a multiple dimention set, and several settings concerning variation. But they didn't work at all.
    Do you have any ideas to link those 2 different fields??

    Try using Sets. Create set using T.code GS01 and click on Hierarchy Maintenance and create Hierarchy.
    In report painter, select edit - general selection data - select set or Hierarchy, enter the set you have created.
    Next Go to Variation, select business area and select the button explode.
    It is show you Hierarchy of business area in the output of report painter.

    Main Steps in Creating a Report Using Report Painter
    The illustration below shows the main steps in creating a report with Report Painter:
    In this section, you learn how to create a Profit Center Accounting (PCA) report with Report Painter.
    For these sample reports, you should focus on the tables that correspond to the SAP application areas with which you are working. The examples shown in this section have been created in Release 4.6C.
    Sample Report for Gross Profit Margin
    Bungee Corporation wants to use Report Painter to create a gross margin report. This Profit Center Accounting report uses data table GLPCT. The desired PCA report displays the gross margin for each profit center.
    Below is an illustration of the completed gross margin report.
    Prerequisites to Creating a Report with Report Painter
    Before you can create a report with Report Painter, you need to:
    •     Determine the table
    •     Find the library
    •     Create sets
    •     Create variables
    The following sections explain these prerequisites.
    Determine the Table
    Before you can start creating the report, you must decide on the table you need to use. In this example, we use table GLPCT in Profit Center Accounting.
    Find the Library
    Determine the library you want to use for the desired table.
    If you need to create a library, on the SAP Easy Access screen, either:
    •     From the navigation menu, choose SAP menu &#8594; Information systems &#8594; Ad hoc reports &#8594; Report painter &#8594; Report Writer &#8594; Library &#8594; Create.

    Define Columns

    On the Report Painter: Create Report screen, double-click on the first column, Column 1.

    a.     Select Key Figure with characteristics.
    b.     Choose  .
    On the Element definition: Column 1 dialog box:
    c.     In the Basic Key figure field, use the dropdown to select Amount in company code curr.
    d.     In the Available Characteristics frame, select the desired characteristic for column 1 (for example, Fiscal Year).
    If you want to be prompted for the fiscal year at the time of running the report, you must make this a variable instead of a value.
    e.     Choose  to move the desired characteristic to the selected characteristics frame (for example, Fiscal year).
    f.     Place your cursor in the From value field and select the checkbox to the left under  (variable on/off).
    g.     To view the possible entries for the From field, choose  .
    h.     From the resulting selection dialog box:
    &#61607;     Select a variable from the list of available variables (for example, CYear).
    &#61607;     Choose  .
    i.     On the Element definition dialog box, choose  .
    j.     On the resulting Text maintenance dialog box:
    &#61607;     In Short, enter a text for the column header (for example, Curr Year).
    &#61607;     To copy the short text to Medium and Long text fields, choose the Copy short text button.

    Now you have defined the column 1 for your report.
    k.     Back on the Element definition dialog box, choose Confirm.
    On the Report Painter: Create Report screen, define column 2 and all other columns you choose to define. You can define these columns either by:
    o     Repeating steps for column 1
    o     Copying columns
    o     Entering a formula that calculates the difference between columns (for example, between Current Year and Prior Year [variable is Pyear] in a column called Variance)
    Adding a column or formula is similar to adding a row formula. After defining the rows and the columns, the screen would appear as follows.
    General Data Selection
    After you define the rows and columns, define the general data selection screen for the report.
    Example Task: Defining the general data selection screen for the report
    1.     On the Report Painter: Create Report screen, from the menu bar, choose Edit &#8594; General data selection.
    2.     On the Element definition: General data selection screen:
    a.     From the Available characteristics frame, select the fields to add to the general data selection as shown.
    b.     Choose  to move the selections into the Selected characteristics frame.
    c.     Enter the values for each field. (For example, the standard ledger for PCA is 8A to 8E and the U.S. company code in IDES is 3000. This example is a year-to-date report, so all 12 periods are in the range. The standard Version in PCA is 0, the Record type for actual dollars is 0, and CO is 2000).
    d.     To check the selections, choose  Check.
    e.     To create the definition for the general data selection for the report, choose Confirm.
          3.   On the Report Painter: Change Report screen:
    a.     To save the report, choose 
    To include the report into a report group, choose Environment &#8594; Assign report group.
          1.     On the Insert Report in Report Group dialog box:
    a.     In Report group, enter a report group name (for example, ZTGR).
    b.     Choose  .
    2.     On the Create report group dialog box, choose Yes to create and assign to a new report group.
    Display and Execute the Report
    Example Task: Displaying the report you created in the previous steps
    1.     On the SAP Easy Access screen, either:
    o     From the navigation menu, choose: SAP menu &#8594; Information systems &#8594; Ad hoc reports &#8594; Report painter &#8594; Report &#8594; Display.
    o     In the Command field, enter transaction GRR3 and choose  .
    2.     On the Report Painter: Display Report screen:
    a.     Double-click on your report.

    o     Settings &#8594; Print page format to change the layout of the report output.
    5.     To transfer the report to Microsoft Excel or Lotus 123, from the application toolbar, choose  .
    6.     On the Options dialog box, select the radio button of your choice and choose  . Note that for the report to open in Microsoft Excel or Lotus 123, you need to have these applications installed on your PC.
    7.     To get back to the original display of the report, select Inactive on the Options dialog box.
    Understanding the Report List
    After executing a Report Painter report, several additional functions can be applied to the output to make your reports as meaningful as possible. You can:
    •     Sort on each column.
    •     Highlight rows that meet the threshold criteria, for example any amount greater than 6,000.
    •     Drill down from any line item. Drilling down you can access ABAP programs, transaction codes, SAP Queries, drilldown reports, or other Report Painter and Report Writer reports.
    •     Launch SAP Graphics.
    •     Send the report through SAP mail.
    •     Save as an extract to be brought up later.
    •     Expand and collapse rows.
    •     Change the layout settings.
    •     Display the report in Microsoft Excel with office integration.

  • Report Painter for Non Leading Ledger (Error GH113)

    Hi,
    Kindly note that we are in the process of enhancing a report for Monthly Balance Sheet as per our client's requirement. The report is based on  report painter and we want to add Ledger as an input selection so that the report can be run for Leading Ledger(0L) and for Non Leading ledger(CL)as well .Initially there was no ledger selection and the report ran only for Leading ledger (0L). However when we try to run it for non leading ledger CL it throws an error message GH113 (more than one ledger not allowed in drill down report.)
    Our ABAP Consultants have investigated this issue and suggested that for field (RLDNR) ledger the program is picking up "CL" as per input selection  , However 0L is also getting captured thereby resulting in conflict and consequently throwing error GH113.
    Concern
    1) Does this report has a constraint that it  can be run only for leading ledger and not for  non leading ledger?
    2) Apart from report painter form are there any other default setting which extracts "0L" and puts in the report.
    Also note that the report painter form settings have   been checked thoroughly and ledger has been defined as local variable for input selection.

    Thanks for your quick response. I have already added the ledger as part of report selection and declared it as a local variable so that input selection is possible. but When I select the non leading ledger "CL" and try to execute report it throws error message GH113.
    have checked all the settings in report painter form and not too sure as to from where the report is picking up Leading ledger "0L" although as a part of input selection i have selected non leading ledger "CL"

  • Modifying DIsplay of Report Painter Report

    Hi All,
    There is a report designed in Report Painter, for display of balances of Profit Centers. It has options of executing without entering Profit Center value, or entering any values for the Profit Centers.
    But when the report is executed without entering a PC, it displays all the line items, even though they are zero value. But when it is executed with a PC, it does not display those line items, which are having zero value. The client wants the line items in both the cases, evenif they have zero value. So the display is to be modified, so that it will display the line items with zero values also.
    Can someone let me know how the report can be modified please?

    Hi Sameer,
    Once you execute the Report,
    go To Settings ---> Report layout
    Here in "Rows" Tab, there is a section for Treatment of Zero Rows.
    Select "Print Zero Rows".
    This should resolve your issue.

    I am facing a problem as the report painter report only shows the description for the objnr (charasterstic) and not the key and description thoughin the format key and description is set. Kindly suggest me the how to overcome this problem.
    Example of the problem-
    The problem is that the report displays the descriptions (like u201CRéseauAiru201D on the first line) and not the code (E100/002831/EP-AIR) that we wish in the lead clolumn.

    Once you execute the report and the output is displayed....
    Go to Settings > Char Display > Choose "Key and Description"
    Then Choose menu Report > Save Definition

    I've report painter issue. When out of a report is printed, and when it is longer than one page..... the column header description is not getting displayed on second page.
    how can i show column header description on subsequent pages?

    I have the same issue. I have also de-selected the 'Allow row to break across pages' for the whole table but still the table breaks and continues on the next page.
    I see that the question has been answers correct but no solution provided. I would appreciate if you could post the solution.

  • Report Painter -  Report not displaying all values

    Hi All,
    We are executing a report for Manufacturing variances by Product group which is created through report painter.
    In the output of the report in rows product wise data is displayed and columns are volume, price .. are there.
    Out of 8 products displayed in the report for one product volume is being displayed blank. But when I double click it is displaying actual line items,
    Can you please let me know why for one product it is showing blank inspite of data existing.

    So the  report is actually showing undeterminable values..
    this is the prblem
    Ex in the report
    Col1    500 USD
    Col 2   200 USD
    Col 3   300 USD
    Col4    100 EUR
    Col5    300 USD
    In this case the system cannot show the total figure for the amount row because one of the amount is in EUR. So it shows a Black X in the EUR cell.
    That is the reason why you wont get this problem for one single company code but get this for multiple company codes.
    To avoid this use controlling area currency as the key figure so that all will be translated into one currency. Or unit of measure if you are dealing with quantities.

    I made some reports by report painter. The problem is that when I run these reports, they can't display the items which doesn't have any posting data. But my customers want to display all items whatever it has been posted or not , can you give me the solution?

    In the change report screen in GRR2 go to menu
    Formating--> report layout
    There in the rows tab select the radio button, Print Zero rows
    and in the columns tab select Print Zero columns radio button,
