Request Approved, Requires Purchase Req Release

Hi All,
There is a PR wherein releases is done by the Approver.
Even after  they have been released in SAP, but continue to appear in Approver's email asking for approval.
Please guide....

    Hi,
    I have set-up MM Workflow to notify a user to release outstanding reqs. I used BUS2105/TS20000159 This works as expected. However the business want a summary of the req details to appear in the message. The standard message has no description. It just shows the Purchase Req No in the Subject Line.
    I was hoping to call BUS2105 ->Method->PurchaseRequisition.GetDetail1. This calls BAPI: BAPI_PR_GETDETAIL and would give me the details I require. I would then populate this data in the body of the message.
    I am pretty new to Work Flow and was hoping you could guide me in the steps required to achieve this please?
    Any help would be greatly appreciated.

    Hi,
    Firstly create a workflow container element of type as key parameter in the business object
    1 .Create a step in the workflow
    2. Create a task in the workflow
    3. Assign the businees object in the task..
    4. Create a container element in the task
    5. Create binding between the TASK and METHOD of business object
    6. Create binding between Workflow container element and Task Container element.
    7. Then in Basic data of workflow ( HAT ICON) go to start events and assign the business object
        and the event which has to trigger the workflow.
    8. Create a step called mail so as to know whether it has triggered the workflow when the Business
        object had triggered.
    or
    Switch on the event trace (SWELS) and check the event trace SWEL... if the workflow is triggered you would find reciever as workflow..
    If you still have to view graphically the goto
    Tutorials> Business Workflow> and see the topic how to create activity step in the workflow.

    I understand PR can be released if release strategy is applicable. Can I reject if I don't want to approve PR ?

    Hi,
    In your case u need to activate / use workflow for carrying out the required PR rejection scenario.
    For that, pls. use standard PR workflow template  WS00000038, make copy and modify the same according to your requirement.
    Assign release codes on this and run the cycle it will send message to the requester inbox once the particular PR get rejected.

  • Purchase req release through workflow

    Hi all,
             i am under the process of releasing purchase req in workflow its a overall release there are two business objects for that one is bus2009 and the other is 2105 actually 2105 is for overall release but there are no attributes for that particular object if i need to add any value as expression in my mail do i need to create my own attribute or is there any other way to handle this.....

    The required value that is required for Release is Release Code. If you are using Standard Wflow then this is passed along with event only you have to make sure you have proper configuration in SPRO. The PR number gets passed automatically thu event. You can make use of Workflow Template WS00000038.
    Any custom stuff you can code in Attribute but in that case you have to create a subtype of standard Business object and then code in it and then delegate it. You can delegate by
    SWO1->Give Business Object Name->Settings->Delegate

  • Creating Roles for Purchase Req. release strategy with classification

    Hi friends,
    Since I have created Purchase req rel strategy where I have four release strategy
    1. For Plant 1 When value <= 5000 (Officer) will release , release code 01 release release strategy r1 and rel code L1
    2 For Plant 1 When value >= 5000 (Manager) will release , release code 01 release release strategy r2and rel code L2
    Now the manager will have 2 release code,if  officer is absent he could release the requisition.
    Same has to be done for plant 2
    The release Group and code needs to be assigned to the Roles , could anybody tell  me  where i could know about roles and will be able to create roles and assign authorisation objects to the Roles , and release group and code to the enduser.
    though its a basis job , since I have no idea , I mean I have never worked with Roles ,as now I have created the Release strategy with classification I need to assign authorisation objects to the Roles as I have four release strategy
    1. For Plant 1 lower value of requisition 1 codeL1(Officer)
    2  For higher value of requisition 2 code say Li and L2(Manager)
    Manager should have 2 codes if  officer is absent he could release
    Same has to be done for Plant 2

    1) Create a Role
    2) Add the authorization Object  M_EINK_FRG by taking the manual option
    3) Assign Release Code and Release Grp
    4) Assign the Role to the User ID which has the authorization of the Release Code and Grp.

  • Purchase Req Release Reset After Addition of New Component in Service Order

    Hello,
    We have a scenario where we create a service order, add some operations, and then some components to the operations. Note that we are set up to use the same purchase req for all components so all components, regardless of operation, are on the same req.
    We then release all lines on the purchase req and continue on to convert to purchase orders. In some cases, the PO's are then received.
    Now, it is discovered that we need to add addtional components to the same service order so we do that. These new components are added to the original purchase req. Upon saving the service order, all of the previously released lines have reverted back to unreleased. Very frustrating since some of the req lines are already converted to purchase orders.
    Note that the changability flag is set to 4 for our release indicator.
    We are at a loss as to how to fix this. Anyt insights are appreciated.

    @Sebastien: We are using collective PR's. If we cannot solve, we will entertain individual PR's
    @Maheswaran: It's MM from the PR perspective but since it is only happening when the PR's are tied to the service order, I asked here. We are releasing at the line level of the PR.
    @Linganna: Are you talking about an enhancement to create individual PR's? That is taken care of in configuration, no?

    While configurating add P group as one of charactaristic.Then maintain values of all P. Group in this charactaristic
    While defining Release strategy Do not tick against Approvers P group which means release strategy will be skiped for him
    ( Release strategy--classification here u difine value for P Group skip P group here)

  • Need Table/T-code to find purchase req release date

    Hi Experts,
    I work on different kind of req's like
    1) MRP req's
    2) Work Order req's
    3) Project req's
    4) Manually approved req's
    As per my observation every req gets released in a different way(Iam an SAP MM enduser iam not an expert in SAP)
    I need your help to find out the way to know the release date for all type of req's instead of manually tracking.

    By using CDHDR & CDPOS iam getting the required result howevere the problem iam facing is identifying the req line items.
    The way iam following in CDPOS is first iam filtering the Filed name EKGRP then iam checking the table key & then identifying the particular req line item.But the problem is when iam downloading the report to excel the line item value is becoming Zero.Please advise.
    For Example req# 25613998 Line item 10
    Table key value in the system report is 510002561399800010 & the field name is EKGRP
    when I download the report in to excel the table key value in the excel is 510002561399800000 in excel iam unable to identify the particular req line item #.
    Please help.

  • Purchase Req release strategy help

    PR's generated from MRP are being blocked, however when I convert a planned order from MRP into a PR it is automatically released. I want MRP generated Reqs to be also released. I tried creating a new class, characteristic and strategy group but ran into problems when assigning the class to the group. Basically we just want all reqs created from MRP to be released and not go through workflow. Any ideas? My inital thought was to use the creation indicator EBAN-ESTKZ with the value of B (MRP) and U (converted planned orders)

    error is because ur trying to use another class add the charactaristics ib existing class and configure release strategy

  • Purchase req. release - who is authorized

    I have a purchase requisition with 3 release code. How can i see who is athorized to make the release?
    I don't know if this is Profiling or not.

    Use Tx SUIM and the option below it to search for Users by complex selection criteria.
    In the Authorisation Object field put M_BANF_FRG and then in the revealed field the specific values for Release Group(s) and Release Code(s) you wish to search for Users by.
    Execute and list of Users returned.

    In Standard SAP, credit memo request has a credit billing block. It has to be released by an authorised person. But for my client
    it has to be approved by 4 persons. In case of returns, Credit for returns also needs to be approved by 4 persons.
    Client wants Yes or No  pop-up screen
    The chart Showing Approval for Credit Memo from four users, if all four users approve u201CYesu201D Credit Memo can be issued. And it cannot be issued if any of the four users doesnu2019t approve for credit memo.

    In our project,we have a similar requirement.
    For this,we have developed a "Z" table which has the fields as "Credit control area",Customer credit group from,customer credit group to,Refund value from,refund value to,Approval Levels(values like Cash colletion credit manager,Senior order sales manager etc....These values were maintained in Domain),First Approver,Additional Approver,Additional Approver and e-mail address for rejections.
    The values for First,additional approvers will be fileld with position numbers which were created by HR team.
    Based on the Sales value,a work item will be created in approver's mail box i.e. in SBWP T.Code.If no action has been taken,then an escalation is going to send to managers of these three approvers.This Heirarchy will be mainatined in HR module.
    Please check with your ABAPer for developing this logic.

  • Purchase Order Release Strategy Approval

    HI All,
    I have an issue with the Purchase Order Release Strategy, I need to set the Release strategy at 2 levels.
    Level one will have 1 approver
    Level two must have two approvers.
    The scene is:
    Level one will approve all purchase orders betwee 400 to 5000 euros.  1 approver only
    Level two will approve all purchase orders above 5000 euros.  2 approvers.
    The problem is that the level two approvers must have the same Purchasing Group, Release strategy and Code, that is.
    Pur. group G70, Release Group GC and release strategy DF.
    I have completed the customising and the Release simulation is working correctly but when the PO is created the is no release strategy proposed.
    CL20N is completed for both levels and works correctly for level one approval but not for level two
    Can any please help

    Hi,
    May be in your case the values are not properly designed in release strategy for PO Value (ZPO_GNETW) release characteristic.Now go for creation of following release characteristics
    1. PO Order Type (ZPO_BSART),
    2. Company Code (ZPO_ BUKRS),
    3. Purchasing Organization (ZPO_EKORG),
    4.Plant (ZPO_WERKS)
    5. Purchasing Group (ZPO_ EKGRP) and
    6. Total net PO Value (ZPO_GNETW)
    Create one release class ZPO_CLASS & then add all above release characteristics
    And then design your release strategies as required.
    AND under release characteristic for PO Value (ZPO_GNETW) keep following values
    A. <= 400 EUR
    B. 400.01- 5000 EUR
    C. >5000 EUR
    As you already created Release Group GC & release strategy DF (1st level), now create another release strategy DS (2nd level).
    NOTE: As you needed one releaser at 1st level and then two releasers in 2nd level. So create three release codes C1 for 1st level and C2 & C3 for 2nd level.
    In designing release strategies for PO , you can keep value 400.01- 5000 EUR with release codes C1 under DF release strategy and Keep value >5000 EUR with release codes C2 & C3 under DS release strategy.

  • Approval procedure in Purchase req or PO- ECC 6.0

    Hai,
    Can we set up a approval routing procedure in  Purchase requisition  or PO so that if a specific buyer converts / creates the PO -  and it's over a specific dollar amount - that it goes to another buyer for approval ?  Our department has a very high volume and we want to be able to allow a third party or user to create PO's on their own, but only below a threshold. 
    Someone mentioned that if 1 ) buyer number and 2) dollar amount are both fields in the classification functionality, we can set-up the above procedure.
    But, I do not know how this works. Can anyone suggest any solutions and briefly explain how to set this up?
    We are running ECC 6.0.

    I've listed down VERY BASIC steps below but hopefully it could guide you through configuration.
    Below is an example for Purchase order approval:
    Assumption:
    a. 2 Buyers
    -   B01 = Buyer 1
    -   B02 = Buyer 2
    b. Amount
    -   <=100USD = No Check
    -   >100USD = Other Buyer Check
    1. /nCT04 Create 2 characteristics (Buyer and Amount)
    2. /nCL02 Create Class for PO approval (Class type is 032) and assign Characteristics created in step 1.
    3. Define Release Procedures for PO (IMG> Materials Management> Purchasing> Purchase Order> Release Procedure for Purchase Orders)
    3.1 Release Group - create release group and assign class created in step 2.
    3.2 Create release code B1 and B2 (assuming that either buyer can approve the other's work)
    3.3 Release indicator = R for released, B for blocked
    3.4 Create 2 Release strategies
    3.4.1 RS1 = B02 checks B01
    Release Code is B2 (for Buyer B02)
    Classficiation (Buyer=B01; amount is >100USD)
    3.4.2 RS2 = B01 checks B02
    Release Code is B1 (for Buyer B01)
    Classficiation (Buyer=B02; amount is >100USD)
    Note: This is a very basic example and you need to play around with the other system settings.  Also, it is possible to determine values dynamically via user-exit if the requirement is more complex.

  • Release Stratergy User in Purchase Req.

    We are using user exit to determine the Purchase Req. Approvers. In ME52N/ME53N under the Release Strategy Tab there is a table which shows the Approver name and description against each Release code. In our case we have multiple approvers against each release code, but the system show only one against release code, Is there any way to show all the approvers there(i.e.multiple rows against each release code).
    To be precise  all I want is that  my Purchase Req. Release Strategy tab should show all the approvers along with release codes .Please advise.

    Hi ,
    I think what you are looking for has little to do with the worlflow. All you want is that your Purchase Req. Release tab should show all the approvers along with release codes .
    The idea is good but is not possible using user exit or workflow . You can go in for implicit enhancement for displaying all the possible approvers in the ME54N transcation.
    How workflow can help here is by passing the relevant Work item to all the approvers.

  • Issue with Purchase Requisition Release Strategy (Approval)

    Hi There,
    I am facing an isssue with the PR Release Strategy. Please read the description below.
    When a PR is created the PR Release Strategy is getting determined correctly. But the problem is that for example, if the Strategy has found a two level approval, the system is allowing level 1 user to approve both the levels, which should not be the case. User 1 should be allowed to approve only Level 1.
    Though the system is currently allowing the same user to approve both the levels. If User 1 approves only Level 1 and saves the PR then the PR approval notification goes to User 2. So there is nothing wrong with the workflow or notification.
    It is just that system is allowing the User to approve both the levels.
    Any help is appreciated and rewarded.

    I believed releases strategy correctly designed with release prerequisites.
    Now need to check following in basis side by having a purchase order release matrix.
    Lets say you have following release codes
    C1 & C2
    AND
    Having following users
    U1 & U2
    Now give authorization to user U1 to release with release code C1  and user U2  to release with release code C2 ONLY.
