Restrict expense type in Expense report

Hi Experts,
We have some expense type which are paid by company for corperate credit card given to employee and rest expense type are cash for which employee need to be reimbursed.
So, we want that in Create Expense Report in ESS only cash expense type should be displayed instead of the whole list of expense type.
Please suggest how this can be done

Hello Ash,
Restricting an Expense Type is already available in the               
Enhancement Package 2 for ERP2005 which I think would be a better     
solution for your released. Please see note 1045303.                                                                               
Furthermore, please kindly see the documentation available in         
service.sap.com/tm.                                                                               
If you like you have the alternative to create an User Exit on which  
will check the Expense Type if it is valid for this User or not before
saving the trip data.                                                                               
Enhancement name: FITR0003: User Exit: Save Trip (PR01, PR04, Pr05,   
TRIP) - before assigning trip number.                                                                               
Enhancement Name: FITR0005: User Exit: Save Trip  (PR01, PR04, PR05,  
TRIP) - after assigning trip number.

  • Travel Expense Report - Error when changing expense type

    Hi:
    Our system: ESS SP7; NW2004S SP13; ECC 6.0
    In the travel and expense system when the user is editing a rejected expense report - the following error is occuring.
    While changing each line item in an expense report to a different category user is encountering an error. As a result all original info gets dropped out of the fields. This problem did not occur each time the expense type was changed; only twice out of the 6 or 7 lines that the user changed.
    Please advice.

  • Restrict Access to Expense Report template for a Responsibility

    Hello,
    We want to restrict access of a Expense Report template to a specific responsiblity.
    Is there a way to do it.
    Basically we have around 3 Expense Report Template. But we want to restrict access to one of the template to a particular responsibility.
    Any help in this regard is greatly appreciated.

    To my Knowledge the only option I think right now to restrict the template for an Responsibility is to do is there is check box Enabled/disabled where you define the templates ,Try to disable that check box and see , I think when you try to create an expense report from Internet Expenses after you do this , you cant see the template you have disabled it in the List of values for that Responsibility . I hope that works .

  • Expense type is not showing in creating expense report

    Hi all,
    I have done the configuration for Travel management. Expense types are created in : Financial Accounting -> Travel Management -> Travel Expenses -> Master Data -> Travel Expense Types -> Create Travel Expense Types for Individual Receipts.
    Also schemas has defined. When I try to create the Expense report using Tcode TRIP, I can see all the expense types, but when I do it from portal, expense types are not showing.
    Please tell me what configuration I am missing.

    When you execute this link, a dialogue opens where you need to enter the trip provision variant and trip schema.
    Enter the expense type and limit the dates.

  • Programmatic expense report interface?

    I am trying to enter expense reports into ERP 11.5.9 programatically. I went down the path of using the Invoice Gateway, but I ran into a snag when our accountants mentioned that the invoices I am entering are tied to an employee (i.e. an expense report wherein the employee's record is duplicated in the vendors table), not a project. Sure enough, when I carefully observed them entering one of these invoices, I saw that they were choosing type "EXPENSE REPORT".
    I tried changing AP.AP_INVOICES_INTERFACE.INVOICE_TYPE_LOOKUP_CODE to "EXPENSE REPORT", but the Payables Open Interface Import rejected the invoices with the error "Invalid Inv Type Lookup: Invalid invoice type lookup code". Looking in AP.AP_INVOICES_ALL, I see many invoices with this invoice type. I'm guessing that either the Invoice Gateway doesn't do invoices of this type, or I am missing fields in AP.AP_INVOICES_INTERFACE that are dependent when "EXPENSE REPORT" is the invoice type.
    Is there a way to use the Invoice Gateway to enter expense reports? If so, what is the magic recipe of required fields? If not, is there another way to programmatically enter expense reports?

    Reading through the Oracle Internet Expenses Implementation and Administration Guide, I see that there is already a concurrent process called American Express Transaction Loader. I am indeed writing a program to parse an AMEX spreadsheet of airling billing charges and turn the data into ERP invoices. I will look more deeply into this concurrent process in the hopes that it does what I need.

    The American Express Transaction Loader is not a complete solution for me. The documentation indicates that it is still necessary for the emloyee to enter an expense report, and for manual matching of credit card transactions to expense reports to occur. Since the company purchases the airline ticket for the employee, it is not possible for the employee to enter an expense report, as he doesn't even know the amount or credit card number.
    I can parse the AMEX credit card report myself. I'd like to use this data directly in the creation of expense reports that are complete. Our AMEX report contains all the information I need to match the invoice to an employee (or vendor, if you prefer).
    So back to square one: how do I programatically enter an expense report? Is there an interface? Or is it fairly safe to insert data into the AP tables via SQL?

  • Expense Report Expense Program errors in R12.1.2

    Hi gurus,
    I am trying to run the Expesne Report Export Program and it is erroring out the Reject code is (INCONSISTENT SUPPL SITE).Here we have to Sources
    1:XpenseXpress
    2: EXTAMEX
    and when i run the export program for source 2 the invoices are getting created and when i run the export program for the source 1 the records are getting rejected with the error (INCONSISTENT SUPPL SITE).
    The interesting thing is the vendor_id(12759) and vendor_site_id(462101) for both the sources is Same.The data for which I am running is the data from the 11i Production Instace for the previous day.The error I am getting is in R12.1.2 Instance.
    I searched the tables ap_suppliers,ap_supplier_sites_all,hz_parties and hz_party_sites_all the supplier is active it has site's defined every where only thing i Observed is for the same vendor we have Vendor_site_codes as [M5H 1T1(site_id :424663,M5H1T1:462101).This is what i could research and found out.I am struck Here

    please check the vendor type should be "Employee".
    Try to create a expense report for the same vendor site manually you will get the exact issue.
    If still getting issue please send the exact error code/desc and vendor site screen shot.

  • How to delete the automatically created receipt in the expense report

    Hi experts,
    I am getting an error "no expense type for estimated costs has been defined. cannot save" while creating a travel request for an employee.
    Base on the reply from Raynard which posted on Re: FM for  trip exp
    It's because "The estimated cost in plan and request are now included into fund management. So if you have active funds management, the entered estimated cost are used to make availability check and commitment. Therefore you must create an expense type in view V_T706B1. Under 'amounts are' you have to choose 'estimated cost, no reimbursement to employee'."
    How ever, because the linkage with funds management, I faced the problem and also ckecked out the reason from SAP Help that "After the trip takes place, the user needs to manually delete the automatically created receipt in the expense report."
    Anybody can provide the solution how to automatically delete this receipt before user create the expense report??

    Check the BADI "TRIP_WEB_CHECK" method "USER_CHECK_GENERAL_DATA".
    Here based on the schema you can modify the "estimated cost" field.

    We have implemented Oracle iExpense Module, in which SSI needs to customize the ‘Create Expense Report’ User Interface (OAF page)
    Specifically on this page (‘Create Expense Report’), we need to hide/show certain input fields based on the ‘Expense Type’ selected by the user.
    What is our Approach?
    I have identified ‘VO Extension’ (BC4J View Object Extension) as the standard approach for meeting this requirement.(Recommended by Oracle)
    What I want to do is , Extend the underlying oracle’s VO object, add a transient attribute type ‘Boolean’, generate the RowImpl of extended VO, write logic in Getter of transient attribute, to return TRUE/FALSE based on expense type.
    Using personalization add the SPEL expression to the field we want to Hide/show.
    What is going wrong?
    I extend Oracle’s VO
    I add a transient Attribute.
    Execute the Page, this gives an error : JBO-26000: A Generic exception occurred during loading Customizations
    What we could do?
    We could extend and add attributes to other oracle’s VO(s) on this page, which means we know how to do VO Extensions

    Created a new OAWorkSpace and new OAProject

    Create a new VO (ssi.oracle.apps.ap.oie.server.DetailReceiptBasedVOEx) , Extend Oracle's
    VO oracle.apps.ap.oie.server.DetailReceiptBasedVO
    click .jpx file to go to Subsitution and replace oracle's VO (DetailReceiptBasedVO) with custom VO
    (DetailReceiptBasedVOEx)
    Click Run Option in JDEV and -Djbo.project=OAProjectLast (OAProjectLast being name for our project)
    Run "GeneralInformationPG", enter "propose" field, press Next.

    we can go to "about this page" so see that the substitution is done properly.

    I removed the subsitution => page works
    I extended the VO, "without" adding transient attriute , made the subsitution => page works
    I tried adding a transient attribute of type String / Varchar2 => page does not work, same error , no luck !

  • Payment of Expense Report invoice created from credit card transactions

    We are implementing corporate credit cards into iExpenses using the company pay method. When expense reports are created from aquitting credit card transactions and exported into Payables does anyone know if it is possible to pay the expense report invoice that has been created without needing to run the Create Credit Card Issuer Invoice program? The reason for this question is that I want to avoid running this program as our credit card provider direct debits our account from our bank account rather than us transmitting the funds to them and don't need to create an invoice for the credit card provider. Any assistance would be gretly appreciated. Thanks

    You can use the badi TRIP_POST_FI   .you can create custom table & mention the different symbolic account number  & change your  symbolic account based on your expense type by using the above badi. While you do FI posting  your expense types will get posted in two hit two different G/L account
    It will surely solve your problem.. I had same issue in my earlier project which i have done the above solution.

  • Expense Report Export does not create Invoice in AP

    Hello,
    I have created several expense reports in AP (Running EBS R12, I am not using iExpenses), but when I use the Expense Report Export request, the invoices are not created. I have looked online and found some plausible solutions. None of them have worked: I've made sure the Employee payment method is set up; the Usage rules for payables are also set up for Employee Expenses in the payment processing transaction type. In the Payables Option screen, I have selected the Automatic Employee as a Supplier option.

    I found the answer and I am posting it here in case someone else needs it:
    You need to run the Expense Report Export with the Debug Switch on (you can find this under the request's parameters). When the output is ready, just select "View Log..." and search for the "REJECT CODE"; it will let you know what went wrong with your expense report. In my case, the suppliers I was using had invalid liability accounts. As soon as I updated them, the invoices were generated.

  • Hide a column (Includes Tax) on iExpense (create expense report) OAF Page .

    Hi All,
    I am having small issue and I have never worked on OAF before. I have a requirement where I need to hide a column on OAF page.
    When logged into iExpense home page, and click Create Expense Report
    1.     Log into iExpenses in Oracle Applications.
         (N) iExpenses > Expenses
    2.     In the Shortcuts below the Expenses Home tab, click Create Expense Report.
    3.     Enter the general information in the respective fields, such as purpose, expense cost center, approver, reimbursement currency, and expense template. Indicate if you have foreign currency receipts.
    4.     Click Next.
    5.     Enter the expense information: date, receipt amount, expense type, justification, and details.
    In the above page, one Check box option called (Includes Tax) column is there. I need to Hide this column from that page and that too only for a particular ORG.
    The main reason behind this is, that checkbox is always checked and users sometimes while creating expense report, unchecking that checkbox which is creating some problems in the tax side calculations.
    Any idea of how we can chieve this.

    If you are on the personalization page, you should be able to the page structure. It will all the page components. Find your relevant table, expand it and personalize the column you need to hide.

  • Importing Expense Report from legacy to Oracle Payables??

    All,
    I need to import ER from legacy to payables. I used ap_expense_reports_headers_all & ap_expense_report_lines_all tables. But the "Expense Report Program" is not picking up the data from the tables though i populated all the required columns of the tables!!! When i open the "View Output" it says "The conc.request did not create an output file"!!!
    Can anyone tell me what could be the reason behind the failure of the program?
    Do I need to populate anyother column to resolve this issue?

    Steps to import into AP
    Navigate to the Accounts Payable Responsibility
    Go to View -> Requests -> Submit a New Request -> Single Request -> OK
    Submit the Expense Report Export Program, after specifying all the mandatory parameters
    Source parameter should 'Oracle Internet Expenses'
    To view the expense report created
    Navigate to the Accounts Payable Responsibility attached to the User
    Go to Invoices -> Entry -> Invoices
    In the Invoice Workbench Window query the Invoice Num field with the Name of the Expense Report created in the previous step. The Invoice is displayed in the Invoice Workbench with the Type as Expense Report

    Hi everybody,
    I am having one query regarding Expenses workflow.
    Currently expense report is getting approved through worklist. As per requirment we want to approve it through email.
    To achive this functionality I have Added #WFM_OPEN_MAIL attribute to the message. ((new) AME Expense Report Approval Message) which is attached to the approval notification).Idealy it should work but still we are not getting Approve/Reject buttons in the email.
    Kindly suggest where I am maknig the mistake.........

  • Expense Report Template -Accounts code not appearing when imported to AP

    Hi Gurus,
    I defined Expense Report Template for OU1, and for the courier expense i defined account code as 01-110-7410-00 ( Co-Dept-Courier Expns-IC)etc. with expense type as courier.
    But when i submitted Expense Report using the same template and when imported to AP,accounts codes are 01-101-7610-00(Co-Dept-Salary-IC). Its totally wrong iaccounting treatment. This wrong acount codes came from HR whch assigned in Asssignment for Purchase Order Information.
    Please provide your suggestions.
