Retention Policy is not auto archiving email
Hi, I created a new Retention Policy and attached 2 Retention Tags.
I have a mailbox that is 18 GB and i need for all items\folders to be transferred to the same folder structure in the archive.
The archive is presently empty, i only see a deleted items folder and the retention policy is not moving emails automatically.
The Retention Tags attached to the policy are:
Tag Type: Personal Tag, Age Limit for Retention 365 days, Move to Archive
and
Tag Type: All other folders in the mailbox, Age Limit for Retention 365 days, Move to Archive
I also tried running the start Start-ManagedFolderAssistant cmdlet.
Any advice would be greatly appreciated.
Thank you,
Hi,
For the personal tag you created as follows, and users need to apply this tag to items from Outlook side.
Personal Tag, Age Limit for Retention 365 days, Move to Archive
For the "All other folders in the mailbox", if you choose the option of All other folders in the mailbox, then this would be a DPT. The DPT is applied to any folder that doesn't have a Retention Tag associated with it.
The action "Move to Archive" moves a message to the user's archive mailbox. If the mailbox user doesn't have an archive mailbox, no action is taken. So please make sure you have enabled archive on this user mailbox.
Once a retention policy is applied to a user mailbox, then the retention policy tag for an item will appear in the header in the Reading Pane. Please check whether you can see the retention policy description when you open a message in Outlook.
Best regards,
Belinda

Retention Policy between Mailbox and Archive Mailbox level
Dear All
I have some questions about the Retention Policy between Mailbox and Archive Mailbox.
I want to apply different retention tag on different Mailbox level.
In normal case , I would like apply the Retention Policy for Mailbox after 28 days moving to archive Mailbox and over 365 days to be deleted.
And the Archive Mailbox should be liked deleted the mail over 90 or 180 days.
But I found that the archive Mailbox is applied the same Retention Policy as the Mailbox one.
Is it Normal case ? How can I set another retention Policy for My archive Mailbox ?
Best Regards
Vincent ChiYou cannot have a different retention policy for primary and archive mailbox. The policy applied to the primary mailbox also applies
to the archive mailbox.

Why does aol not auto enter email addresses when I compose an email?
why does aol not auto enter email addresses when I compose an email?
what a ridiculous decision to change from "starts with" to "contains".
I have a further problem - having selected the address I want from the umpteen options pulled from my address book, I then press enter to add another line for another address.....and the first address I selected changes to a completely different address!
And also addresses from the address book which previously appeared only in black now randomly appear in red.
help please! -

anyone else having same problem for about the last week or two with your gmail account not auto pushing emails to your phone? In order to get my emails now i have to open gmail app and the hit refresh to get emails this has only been broken for about a week or two. I went into my email account on my computer and made sure all setting are correct and still isnt working also went in and made sure all setting on phone are correct still nothing.
I would try the "CLEAR CACHE" procedure to see if it fixes this first. It's fairly benign and is a quick way to clear any garbeage in the phone before going to extremes like Factory resets, etc. So try this and report back.
Wiping cache partition
Power off
Power On Holding Home Key
When Andy with Exlamation Point Shows up Press BOTH Volume keys
Use Volume Keys to navigate to "wipe cache partition" and tap power button to select
Wait for it to finish and select reboot system -
Retention policy and deletion of archived files
hello, I 'am a novice DBA having a backup question.
Our retention policy is set to 14 days; weekly we have full database backup; daily we have an incremental backup.
See scripts below.
The drive "\\is003s012\rhea\rman" where the backup files reside has files older than 2 months.
I expected these files to be deleted already by rman.
I can't find the cause why these files are not removed.
The database backup jobs are running fine ; logs file do not contain any errors and once and a while you see that rman removes obsolete files.
list expired / report obsolete do not return any files.
thanks for the assistance
chris

Thanks for the info; my current setting for this parameter:
SQL> show parameter CONTROL_FILE_RECORD_KEEP_TIME;
NAME TYPE VALUE
control_file_record_keep_time integer 7
I found another thread that elaborated on this: Re: CONTROL_FILE_RECORD_KEEP_TIME vs Retention Policy in RMAN
a) RMAN Retention Policy set to recovery window of 30 days means backups and archivelogs that you need to do a Point in Time Recovery to before 30 days do not get obsolete.
b) CONTROLFILE_RECORD_KEEP_TIME=7 will keep (potentially, if space pressure in the controlfile) the records of these files for only 7 days
Effect: Your old backups and archivelogs (+7 days) are no longer known by the system and will not get deleted (automatically or by delete obsolete) and your recovery area/backup location/archive destination will get filled up with old files.
Therefore set b) > a)
Based on this I changed the parameter:
alter system set CONTROL_FILE_RECORD_KEEP_TIME=35 scope=both;
Even tho the 'stale' backupsets are still invisible (still getting 'no obsolete backups found' when doing REPORT OBSOLETE), I guess that's because it will take a while (23 days?) for the CONTROL_FILE_RECORD_KEEP to catch up to the RMAN Retention Policy of 30 days)....

Retention Policy Recurrence Not Working
I have created a Retention Policy which starts a workflow (see below). The workflow starts a Task Process to remind the owner to review a document and then decide whether it needs to be deleted or kept. If they choose to delete the document,
it gets deleted automatically by the workflow. If they choose to keep the document, I would like the process to re-start after, for example, a year. I have set the Recurrence to 2 days for testing but it never re-starts. Any suggestions please?
J SykesIs the latest version of the workflow the one with no previous version date and time in brackets?
Just so I fully understand...... does this mean that every time I make a change to my workflow and publish it, I have to change my Retention Policy to use the latest version of the workflow???
Thank you

Passport does not auto complete email addresses
when typing email address, the old BB used to suggest and auto complete email addresses. Now when i start typing an email address it shows a button "LOOK UP ..." then it shows the list of possible matches once i press the button. what do i need to change to make it do matches automatically without the need for the button push.
I have seen alot of people complain about this but no solution.Auto complete and the suggestion are two separte functions.
With the contacts in my contacts app there is no issue with me doing either.
Possible you have the email address in a different contact field?

Firefox will not "auto fill" email addresses in Yahoo mail. How do I get this to work?
This used to work. I have a new laptop and am not sure if this is a laptop issue, a Yahoo issue, or a Firefox issue. It is very annoying to have to go to my address book every time I want to send an email because names are not recognized. This was not a problem on my previous lap top. I also think that this was not a problem with the previous version of Firefox.
Odd that grant_cm reported this a year ago, and it only started happening to me in the last week or so. What's more, email autofill with Yahoo still works for me in Safari on my Mac. I prefer the Firefox browser, but this issue is a real pain, and what's more your CAN'T insert a list from you address book. Sure would like to know what happened and how to fix this.

I'm trying to create a retention policy that will auto archive after 5 years and retain indefinitely.
I also want to make one that if a user deletes an item, it's not deleted but instead archived and retained indefinitely.
After being on hold with M$ for 1 hour 13 minutes, the agent is going to "Check some resources" and get back with me.
Any help?No, Retention Age is calculated on message age, and not purged before this. Read more here:
How retention age is calculated
You could simply tell the users that email is deleted from the deleted items after 7 days, instead of a given day. If a given day is necessary, you could run search-mailbox
with the deletecontent switch on a
schedule.

Auto Delete email in an Archive?
Is it possible to set a retention policy on a mailbox archive to auto-delete archived files over a certain age?
We have mailboxes that get extremely large amounts of QA related email (>1 million per 3 months and over 25GB), and I want to use the archive to off load some of the 3 months of email from the main mailboxes. But I still want to delete anything in these
archive mailboxes over 3 months old, as QA no longer needs them.
Is there any way to do this on an archive mailbox?You can use retention policies to delete items from the archive mailbox. See the answer in this post:

Relation between RMAN retention period and control_file_record_keep_time
RMAN backup keeps the backup metadata information in the reusable section of the controlfile.Its depends on the parameter CONTROL_FILE_RECORD_KEEP_TIME. CONTROL_FILE_RECORD_KEEP_TIME specifies the minimum number of days before a reusable record in the control file can be reused.
In the event a new record needs to be added to a reusable section and there is not enough space then it will delete the oldest record, which are aged enough.
Backup retention policy is the rule to set regarding which backups must be retained (whether on disk or other backup media) to meet the recovery and other requirements.
If the CONTROL_FILE_RECORD_KEEP_TIME is less than the retention policy then it may overwrite reusable records prior to obsoleting them in the RMAN metadata. Therfor it is recommended that the CONTROL_FILE_RECORD_KEEP_TIME should set to a higher value than the retention policy.
Formula
CONTROL_FILE_RECORD_KEEP_TIME = retention period + level 0 backup interval + 1
For e.g.
e.q. level 0 backup once a week with retention policy of a recovery windows of 14 days then in this
case the CONTROL_FILE_RECORD_KEEP_TIME should be 14+7+1=22

RMAN>AS documentation says
"Besides affecting datafile and control file backups, the retention policy affects archived logs and archived log backups.
First, RMAN decides which datafile and control file backups are obsolete. Then, RMAN considers as obsolete all archived
log backups that are older than the oldest datafile or control file backup that must be retained."
Now i connect to SQL and create two big table for filling the redo log file and then get it archived.Please
consider it here that i am getting archived before any taking backup i.e backup database in order to make
archive older then the oldest datafile.

RMAN-05021 configuring retention policy on standby
Hello all.
Running Oracle 11.2.0.2 on Linux (x64); single-node instance.
We've the following setup:
bvlive (PRIMARY)
bvstby2 (STANDBY)
We currently have a retention policy of 21 days, and backup space on the standby is starting to be an issue.
Initially, I thought I could reconfigure this on the standby - but RMAN won't allow this:
STANDBY:
RMAN> CONFIGURE RETENTION POLICY TO RECOVERY WINDOW OF 14 days;
RMAN-00571: ===========================================================
RMAN-00569: =============== ERROR MESSAGE STACK FOLLOWS ===============
RMAN-00571: ===========================================================
RMAN-03002: failure of configure command at 10/15/2012 10:09:50
RMAN-05021: this configuration cannot be changed for a BACKUP or STANDBY control fileWhich makes sense when I think about it. I saw this thread retention policy is not configure but get different results:
PRIMARY:
RMAN> configure retention policy to recovery window of 14 days;
old RMAN configuration parameters:
CONFIGURE RETENTION POLICY TO RECOVERY WINDOW OF 21 DAYS;
new RMAN configuration parameters:
CONFIGURE RETENTION POLICY TO RECOVERY WINDOW OF 14 DAYS;
new RMAN configuration parameters are successfully stored
RMAN> show all;
RMAN configuration parameters for database with db_unique_name BVLIVE are:
CONFIGURE RETENTION POLICY TO RECOVERY WINDOW OF 14 DAYS;STANDBY:
RMAN> SHOW ALL;
RMAN configuration parameters for database with db_unique_name BVSTBY2 are:
CONFIGURE RETENTION POLICY TO RECOVERY WINDOW OF 21 DAYS;Which also makes sense; so I'm not convinced the original poster solved his problem. I've seen a few threads about this which involve:
1. shutting down standby
2. configuring retention policy on primary
3. taking a backup controlfile from primary
4. copying it across to the standby
5. restarting standby using the backed-up controlfile
But then this seems to be for RAC, which we're not using.
It occurred to me that I could use the KEEP UNTIL option when taking backups, but ran into; ORA-19811: cannot have files in DB_RECOVERY_FILE_DEST with keep attributes (i.e. I can't use KEEP and store backups in the FRA).
Can anyone please advise on the best way to get the retention period down on the standby, ideally without having to rebuild the standby from scratch?
Thanks,
Ray
Edited by: ray_h on 15-Oct-2012 03:33Hello all.
@ P. Forstmann: thanks for confirming.
@ S Rao: Yep - this is the link I had in mind. Tried it out and it worked. One thing to note is that I didn't have to rename datafiles - presumably creating the standby controlfile negates the need for this in 11g (indeed, the alert log shows these two lines when you mount):
Set as converted control file due to db_unique_name mismatch
Changing di2dbun from bvlive to bvstby2which put my mind at ease when the rename commands failed, saying the files didn't exist
@ mseberg: Typically, our MOS license ran out just as a useful link shows up.
Thanks everyone.

Personal tags in Retention Policy only working in OWA, not Outlook 2010 client
Version: Exchange 2010 SP2
Client: Office Professional Plus 2010 SP1
As we don't want to enforce retention or archiving policies, but still give users the options to add tags to folders I set up new Retention Policy with the following tags only:
-Personal 1 Year move to archive with age limit of 365
-Personal 2 Year move to archive with age limit of 730
After enabling the Archive for a test user and adding their mailbox to the retention policy, in Outlook client assigned the "Personal 1 Year move to archive" tag (from Ribbon) to a folder with email going back several years. I ran Folder Assistant
in PS for that mailbox, but nothing happened.
I then assigned same tag to same folder using in
OWA and it worked immediately after running the Folder Assistant.
ManagedFolderWorkCycle is set with default setting of 1 day.
I have seen other posts and have tried the above in non-cached mode with no change.
I posted this in the Partner Network forum too but not much luck there
Has anyone come across this before?
Thanks,I decided to document exact steps trying to use Message Management on a different mailbox. Steps and results below. Note all these steps
were with Outlook in online mode:
Executive summary
Adding tags to a folder in OWA works as expected. The same process in Outlook client (even in Online mode) does not.
1. Enabled Archive for mailbox
2. Assigned Policy
3. Opened Mailbox in Outlook client (2010 Professional Plus SP1)
4. Assigned 1 Year tag to a folder with emails going back 2+ years
5. Ran "Start-ManagedFolder Assistant" on Exch Svr
6. Opened mailbox in OWA, folder does not show as having policy assigned
7. Opened Outlook
8. Checked in Ribbon if policy still assigned to folder, none showing as selected
9. Checked Archive, only some mails moved to archive, many that are much older than 1 year not moved
10. Re-set same tag in Ribbon
11. Closed Outlook, re-opened, tag still not showing as assigned
12. Opened Mailbox in OWA
13. Added 1-year tag to another folder with emails going back 2+ years
14. Re-ran StartManagedFolderAssistant on Exch Svr
15. Opened Mailbox in OWA
16. All emails correctly matching the tag moved to the archive
17. Policy added to folder in OWA showing as assigned correctly
18. Policy added to folder in Outlook not showing as having a tag assigned
19. Opened Outlook
20. Tags in Ribbon still not showing as having policy assigned
21. Properties of folder changed through Outlook showing as having “Parent Policy”
22. Properties of folder changed through OWA showing correct tag/policy -
My auto archive is not working
Hi all
Running Exchange 2013 CU2 with Outlook 2013 clients. It seems based on the event viewer that my managed folder assistant is not archiving emails based on the retention policy set. I know it works for a very few, such as myself, but majority it does
not and no matter if I start it manually or anything it does not work for most users. I need to try and fix this cause most users inboxes are reaching capacity and they have to manually move emails.
I have three exchange 2013 servers. Two built in DAG for HA and one setup as email archive server.
SteveHi,
Based on the description, when the retention age expires, you want to move messages to the archive mailbox. However, this retention policy didn't work for some users.
First, I recommend you check it these affected users have enabled archive mailbox. If the mailbox user doesn't have an archive mailbox, no action is taken. And please make sure these mailbox are not put on retention hold.
Besides that, please run the start-managedfolderassistant cmdlet for one of these affected users again to check the result. After you run this command, please check the application log and make sure the Managed Folder Assistant process this mailbox successfully.
If the steps from above don't show any changes, would it be possible to create a new retention policy and assign it to a test mailbox to check the result?
Best regards,
Belinda
