RFX response Workitem in UWL of approver even if it is closed

Hello experts,
In a scenario, if the RFx response is closed, that is 'transaction completed'. But still the work item appears in UWL of the approver and 'Approve' button is enabled. Can anyone tell me how to close the RFx response, so that the work item does not appears in UWL of the approver?

I am working on ESS/MSS workflows...Everything is configured and also workflow is developed...When i try to execute a workitem from UWL to approve a PCR, i am getting a message in the status bar as "work item exucuted(new processing status:"in process"). But it's not launching the SAP transaction for approval.

Workitem is not getting approved even it gives success message in UWL

Hi,
I have a Claims and Approvals - Domentic Education Workflow.
When 1st line approver tries to approve a workitem then it gives success message that workitem has been approved but when approver refreshes his UWL this workitem still exists in his worklist and even its status doesn't get changed to Approved.
This taks is not defined as General Task.I had even synchronized using TR - SWU_OBUF but still issue persists. I can Complete a workitem using Tr SWIA but I am not ure how I can Approve given workitem from R3 side.

Even i faced similar issue. First thing, if "Delta pull mechanism" not enabled from portal, it will take time to refresh the UWL.
second thing, if that workitem not approved and you are looking for approval from R3 side, then got SWIA tcode and input the workitem against 1st parameter "Identification" and execute(F8), it will takes you into next screen, in this screen, select the workitem and press "without check"(shift+F5), it will prompt " Approve, Reject " buttons. Now you can take decission on this workitem.

After approver reject RFx response(QUOT), is that possible tho open back?

We are now implementing SRM 7 EHp 1 and with workflow in RFx creation and evaluation. During RFx evaluation, once the approval reject the quotation and the status will turn into REJECTED. Is there anyway to open back the quotation in order leave it as rejected.
There is few scenario we facing at the moment.
1. 5 lines item. Bidder A been partial award 3 items and Bidder B partial award 2 item. Both quotation route to approval in awaiting approver status. If approval reject bidder A quotation and put a remark to purchaser that bidder B should get the full award (5 items). Is that possible to handle by the system?
2. 5 lines item. Bidder A been partial award 3 items and Bidder B partial award 2 item. Both quotation route to approval in awaiting approver status. The approval reject bidder A and accept bidder B. Could system handle the 3 items back to the sourcing cockpit?

Kindly refer to the thread Re: Quotation in Release Rejected Status, how does the purchaser can review it? , to solve your issue here.
As per the standard functionality delivered with SRM 701, purchaser user should be allowed to view the details for the Rejected RFx response and he also he will be provided with the Undo Reject option to re-submit the response for approval to the purchasing manager.

I am working on a workflow in SD related to bidding/entitlement management. There is a client request that, the user should be able to select multiple workitems in UWL and then click 'approve' to approve the multiple workitems selected. If so, how?

Hi,
Normally UWL iViews appears with radio button for each of the workitem in the list.
It can be customized using Decision Views. For e.g. converting radio boxes to check boxes to enable
mulitple choices etc.
Look into Decision View configuration part of the UWL.
Hope it will give some pointers.

Once RFX response approved the other responses should delete

Hi All,
We have one requirement, Using SRM 7, RFX is sent to 4 bidders, all of them sent the responses, now Buyer has decided to go one of the Bid, once the RFX response is approved all the other responses should get rejected and the notification should sent to them.
Did any one already using this scenrio please help how to proceed.

I've tested this scenario, you need to accept which ever you want and reject remaining bids.
Other wise for the remaining bidders status will be shown as submitted not rejected.

UWL Mass Approval XML changes or Custom App

Dear Gurus,
Please help us in understanding the solution to mass approval issue. Shall we go for XML changes or go for a new custom development in wda/wdj
I have tried modifying XML method for leave approval but the issue is :
1. Tasks drop off from manager UWL with success message but the workflow goes to cancelled step and does not update the status of the employee request from sent to approved. can this be handled by workflow guys.
2. On doing XML changes in both views(normal and subview for mass approval), I lost hyperlinks on my workitems , so I could not launch any application even in the main view where approver shall approve items one by one.
I need help to understand if the above 2 issues can be addressed.
Further we have more than 10-12 types of approvals in our UWL down the line. So is it a good idea to configure XMl or just go and create 1 Master custom applicaiton to address all approvals and give mass approval facility in that alone.

Dear Piyush,
we have been successful in writing our custom FM and we are calling the standard FM's in our abap box. leaves get approved on executing the custom FM from R3. however from portal UWL, still we are getting the same error message. I think our portal is not able to call the ABAP FM.
Error Message:

Collaborators in SAP Sourcing 10.0 must not view RFx responses unless assigned as scoreres

Dear SAP Sourcing Specialists,
We are implementing SAP Sourcing 10.0 We assign collaborators on an RFx as
with the collaborator approver role before it is published, and these collaborators
review, edit and approve the RFx and then it is published to suppliers. After responses are received from suppliers and RFx is now in
Closed for Responses phase, we do not want these original collaborators to view the RFx responses unless they are assigned as scorers.
How do we achieve this? We tried to re-assign the Review collaborator role to these collaborators but they can still view RFx
responses.
Steps to reproduce the issue:
1.Create an RFx in SAP Sourcing 10
2. Assign collaborators with approval role
3. Collaborators approve RFx
4. Move RFx to Open for Responses
5. Suppliers respond to RFx
6. Rfx closes. RFx becomes "Closed for Responses"
7. Log in as one of the collaborators
8. We do not want the collaborator to view RFx responses unless assigned as a
scorerer

Why don't just use standard functionality in Page Customisations?
You can Hide/Unhide a Tab with Dimension Field <%USER_GROUP%> and Group Reference.
It's a clean, standard way and guaranteed to work and not break anything.

Good, Extended Notifications should always be used (where available) instead of RSWUWFML2.
You say:
"I am sending my workitems into outlook using the extended notification. I can aopprove and reject the workitems from the mail."
Could you say how you did that - approve and reject from the mail? Are there buttons in the email?
Other people have been asking this in the forum.
You also say:
"However, i need a functionality where user can click on the logon link and approve/ reject from workitem."
Why would anyone want to go to the workitem if they can approve/reject from the mail?
In the link to the UWL, does it include the workitem number?

UWL Claims Approval Error

Hi All,
I have configured the Claims service in ESS and i am getting the work item in UWL in approver's tasklist. But when i click on the task item, it redirects to SAPR3 EASY ACCESS MENU and gives the error that WORKITEM CAN ONLY BE EXECUTED USING THE PORTAL AND UWL.
I have maintained the SWFVISU transaction for taskid TS18900010 and given the APPLICATION NAME and PATH. But still no use.
Can anyone plz advise on this

Error in opening Workitems from UWL

Hi All,
I am trying to open a transaction from the workflow using a dialog task.
when i execute the workitem from SAP business workplace the task gets execute properly.
but when i try to run the same task from UWL it opens the SAP easy access screen.
All my other workitem like leave request approver are getting opened properly from UWL.
This might be related to some UWL configuration. I searched all the forums there are many similar questions but could not get any answer.

please find the following solution .it will definitely work .
If you leave configuration is done.
There was an incorrect data in your system. To do these please follow following process.
delete this request using
PTARQ> Delete documents (RPTARQDBDEl)
Please read the report documentation before
deleting the request but it should be safe as it is
a development system.
Please delete this with the above information or delete all
the records for the approver.
After this,, there will be some incorrect workitem in approver inbox.
You need to clear that also by Tcode - SWWL.
Also try following
Can you check if the Pernr used
has correct information like It0105 etc, also the rules are
correctly defined.
For the Employee, First of all check the Period Work Schedule also
the Quotas of the pernr needs to maintained in 2006, Please do
this customisation and it should solve the issue.
Maintain the absence quota in the IT2006 and then try once.
Also make sure that the Settings in Webmo and PTARQ etc all is done
The pernr belongs to the a Rule and have absences defined for him.

SRM Open Public RFx Response

Kindly we use SRM 7 Extend Classic Scenario and follow the follow scenario
1- Create SC and Approve it
2- Convert SC to Public RFx document and approve it
3- Supplier create RFx response
4- simulation log on is complete and each permission submit it
now system should be ready to open supplier response to check best price but when I try to open any supplier response I got the following error

Did you send a Quotation with price? or with price $0,00?
If you would like to do a RFI without price, define the Detailed Price Information field with the value"No price".

RFX Response Header : Fill Display Fields on Header Level

Hi Gurus,
There is a requirement at the client place to add the Display only field for RFx Response Header. Based on this required I have done the following activities.
1. From 'Define Customer Display Fields on Header Level' in SPRO i have appended the ZFIELD in the Response header structure.
2. From 'Configure Control for Fields on Header Level' in SPRO i have made it visible true.
3. From 'Fill Display Fields on Header Level' SPRO i have Enhanced the /SAPSRM/BD_PDO_FE_FILL_HEADER with implementation. And have given required filter criteria. In the implementation Class it has the return parameter as CS_HEADER_DATA. Where i could fill the my ZFIELD.
The field is now displaying in the SRM portal. But the problem is that the ZFIELD is not being filled with any value, even though i supplied it.
Is there any step that is missing to set the value?

Hi,
The main technique is to do your calculations in PAI of the screen for additional data B for the line item but as you said it is accessed only when you goto-> item -> additional dataB
So you can do one more thing...do the calculation in PAI/PBO of the screen first and in userexit_save_document_prepare recalculate again and overwrite the old ones(or calculate for only the ones which are initial in the item) ..so if he goes to additional data B screen you give the user what he wants and if he doesn't userexit_save_document_prepare takes care of it
user can go to additional dataB only a line item at a time so the chance that he takes all the line items one by one is less(for huge number of line items)..so you just calculate and overwrite the fields in the in the userexit if the field value is empty...or you can recalculate for all the cases and overwrite just in case there may be a problem....
in the screen of the additional dataB
Write logic for calculating the field values
so in the userexit you write like
if the fields are initial..
calculate
else
*already calculated from the screen because user has viewed it
endif.
So you are safe that user can see what he wants and you can reassure that the value will be calculated and stored on the SAVE from user exit

UWL - Leave Request item still in UWL after approval

Hello,
we are facing the problem that the leave request items have still state "new" after the approval and don't change the state.
But in the list the leave request is not visible any more... so the approval worked.
I found the discussion: Approved items in UWL remains in the status "new". and Leave request workitem in UWL status update issue but that didn't help.
Does someone know what to do?

It is now completed and that's great. Unfortunately the items are still there. I am only able to see the new items in the transaction. The old ones are not visible but I need to delete them. Tomorrow I will ask some WF guru to help me fix it.
I also think that there is still a problem with the configuration of the UWL / backend WF. It could be that ne required jobs are not planned. I was happy that the UWL worked so fast but now....

Leave application is working properly to place the leave request and to approve the request, But am getting this below error when employee try to open the rejected leave request workitem through UWL.
Application error occurred during request processing.
