SAP EasyDMS

Hello Everyone,
I have one requirement for mass upload/Download documents in DMS. I read certain discussions which held earlier & decided to go for Sap Easy DMS.
Is this right decision ? I have integrated this with ECC & it is working fine as of now. As i am short in time, Pl Advise, How i can provide specific authorization to specific users, will ECC authorizations be captured here.?? Pl also suggest what is the flaws & limitations in EasyDMS.
If users create there specific folders, will it show to everyone?

I want to create folder & add PDF files per projects there. Like we have many projects & user want to see the files per project. Can i do this in easy dms. Inside the folder project, he also wants files of production & marketing separately & report in future. Can we use folders functionality here.? Also can we export report in excel from easy DMS which we generally do from SAP DMS ( CV04N). Pl suggest.

All document types not visible in SAP EasyDMS

Hi,
We have configured a no. of document types in DMS ( in SAP R/3). But only a few of those are visible in the SAP EasyDMS ( Web GUI). We are not able to figure out how to make those visible. I am completely new to EasyDMS. Can anybody help?

SAP EasyDMS with Citrix

Most of the functionality should work, if not all. I haven't tried it myself, but lets see... 'Drag and drop' may not work. What'll happen when I double click a Word file in EasyDMS. Technically, it creates a temporary copy to c:\temp (based on configuration in SAP) and opens it. I have used citrix only once and I noticed that C drive of user session on Citrix machine is mapped to C on the client, which means the file will be created in C:\temp of client and opens using word installed on the local machine. May be, same logic will work for 'Offline' working.
As I mentioned, I haven't tried it myself. If you do, let us know.

EasyDMS - search by date range for characteristics of type date

Hi Folks,
I have a characteristic of type date in the additional data of a DMS document. If I enter the date (for example validity date) as 08/31/2009 and search using cv04n and give a date range for the characteristic (i.e. 01/01/2009 - 12/31/2009), the search result will bring up the document.
However, I cannot do this from the EasyDMS find function. I need to specify an exact date. This is not very helpful for user who need to find documents with a validity date between 01/01/2009 - 12/31/2009 for example. Is there a way users can search for date range in EasyDMS find function?

To search a date range with EasyDMS Client you have to set the registry key
\HKEY_CURRENT_USER\Software\SAP\EasyDms\Generel\DateSearchPick to Value 0
Then you can use the input field like in SAP-Gui. (01.01.2009-31.01.2009)
If you set the value to 1 or the key is not defined you can only search for one specified date.
If you don't find this key on your PC create it as dword.
Maybe you must restart you PC for takeing effect.

Easy DMS - where does it store available systems list

Hello,
We have Easy DMS installed. If the client has a saplogon.ini file, this seems to be picked up in the list of Available Systems. If there is no other SAP software installed, systems can be input via the [.] button.
Does anyone know where this information is stored? I would like to investigate copying it between PC's. It does not seem to create a saplogon.ini

It is stored in registry.
path: - HKEY_CURRENT_USER\Software\SAP\EasyDMS\RfcCache\AAA
where AAA is system name.
Hope this helps.
EasyDMS also reads the saplogon.ini file alonmg with this data.
Note:
If you are using SAp GUI 720 release you may have to use the environment variable posted in this thread for easydms to read the correct saplogon.ini file.

Dms and Edms Problem

Dear All
I face One problem is I add document from DMS (SAP Gui) it not show in EDMS but When I Store Document from EDMS ,a document show in DMS both document are store in FTP serve which i found but I cant understand why this happened I do this operation from Same user also.

Thats the way the easyDMS solution has been conceived.You would have to utilize the 'Find/Search' feature for accessing documents already created in R/3 DMS.
In easyDMS,the structure consists of a 'Public' folder,a 'Private' folder and 'Search' result.By default,only the 'Search' feature is available when you login into easyDMS for the first time.Thereafter,the system prompts you to create a 'Public' followed by a 'Private' folder.
'Public' and 'Private' folders essentially are documents in SAP easyDMS in hierarchical structures and save the files in the style of Microsoft Windows Explorer.'Public' folders provide quick access information and documents for all persons involved in a project and 'Private' folders serve as personal folder of the documents.

I have installed SAP Easy Document Management 6.0.0.0: SP03 Patch 01..
When I save a new document under SAP easyDMS..I'm not able to assign document type and characteristics to the document..
For this I learnt I should have FM Z_EASYDMS_GETDOCTYPES..
Can any one suggest..is there any note to implement this FM or I should create them manually..and how the document types used in R/3 to be included in the FM..

Hi,
I found "settings" instead of "Preferences" when I right click SAP Easy Doc Mgmt...
but I could clk on the button 'RFC Cache' as the same way mentioned..
when I log off and re-enter the SAP Easy Doc Mgmt I get the error pop-up "Error in rfcCall: CPIC-CALL: 'CMSEND : rc = 25..when I click ok then I get another pop-up 'Error initializing BAPI_DOCUMENT_GETLIST'..when I give ok for that also another pop-up 'Error in rfc call: FU_NOT_FOUND' comes up..

Disable AutoCheckin in Easy DMS

Hello All,
I want to disable the AutoCheckin functionality of originals in Easy DMS. I was reading that it can be done by changing the registry value of parameter 'Disable Autocheckin' from 0 to 1. I am not able to find this parameter in the registry files. Can someone kindly tell me the full path in the regedit as to how to reach this parameter.

Easy DMS - Preferences lost

Hi
We have a couple of users that experience some issues with the "Preferences" in the EDMS gui.
When they change some of the values i.e. "Timeout for the RFC Connection", the values alway change back to the old value.
Certain users' EDMS GUI does not remember the last system they logged into as well as their user names and they have to select it again from the drop down, and type their user names again.
This happens on SP9 patch 2 and the new SP11 as well.
Has anyone encountered these issues and have possible solutions?

as u are saying this is happening on couple of PCs, make sure u r not deleting registry entries manually/or by some other application.
esp registry hkcu/software/sap/easydms/...

Easy DMS - disable / control thumbnail generation

Hi,
I have set up DMS and everything works fine, except...
EasyDMS ist producing thumbnails from various files and I don't know where to control this behaviour. I have not set up anything according to thumbnails in SPRO. In EasyDMS preferences is nothing to change and the registry gives no solution, too.
It's generating bmp thumbnails even from jpg's, curious!
System is ECC 6.0 with EasyDMS 6.0 SP07.

Please set the registry entry under this path. Create en REG_DWORD type entry - name it 'DisableThumbnails' (without qoutes) and set it to 1. Then restart easyDMS.

Easy DMS Installation

We have recently upgraded to component SAP R/3 Enterprise and I would like to install Easy DMS.
I would like to know how much work is required of our basis team to install this, just so I can test how good it is?
Is it a lot of work to get going, if not could I do it? is it a simple process?

There are whole lot of documents that would be helpful to start with. Directions for installation are available along with the configuration guide.
SAP EasyDMS makes the document management a lot easier and has got all the properties of a MS explorer. You can create, view and edit documents. In case you need more info please post and would be happier to assist.

Approval Process in Easy DMS.

Dear All,
How can we use approval process in SAP EasyDMS. we have status network as Inwork,Request for approval and Release.
The person who uploads document will be authorized to change the Inital status from "Inwork" to "Request for Approval". The next superior person will release that document.
Now issue is how does the approver will come to know about the document which is requested for release. By using search method in SAP Easy DMS he gets a list of doc's which are having the status "Request for Approval". Is it the right method or do we have an alternative, to address the above issue.

Yes, you are right! In standard behaviour this is the only method or you can create a receipient list and approver will get the intimation in SAP mailbox ( t-code SBWP). If you want more advance that user needs to get intimation in his external mailbox like outllok, lotus note etc. then you can use Workflow. This can be achieved with help of Abap'r ( workflow) person.
In standard you are right.

How to reduce the ACL context menu in edm

Hello,
I need your help.
We want to use the ACL for documents. Now we want to reduce the context menu because there are to many items are listed for us.
e.g.
admin
wirte file
write
delete file
delete
read file
read
None
We want only "admin", "write file" "read file" because it ist do diffucult for some users do decide which entry ist necessary. The big problem is to know which entry is for what authorisation. Or would you have supposed that "write file" have more rights than write?
We tried to reduce the entries in the tables but it was not successful. I found also no user exit were I could to take corrective action.
I hope you have an idea and can help me.

Hi Andreas,
There is a provision for customizing the context menu options in SAP EasyDMS!!
To enable specific items in the context menu,the registry settings need to be altered.You would have to create the registry entry "DisableContextMenuItems" of type REG_SZ and highlight the entries you wish to hide/disable.Also,refer SAP note 983648 for more details.
