SAP inbox: Automatic Purge?

Sorry if this isn't in the right section but I tried my best.  Is there any way to automatically purge a person's SAP inbox?  We have a few people who get over 100 messages a day and they refuse to delete any of them.  I would love to be able to set up a rule that automatically deletes messages if said messages are n days old.

Sorry I had an idea that you are probably well familiar with SAP. No issues still.
Minimum number of documents means the minimum number of documents you want to be deleted. These are read documents and not unread ones. So your statement " provided that there are at least 50 unread documents being preserved? " is not correct per se. Unread documents wont be deleted by SOY9.
minimum age of documents is already clear to you.
In Target group you need to give user id.
For better understanding do test run.

    Hi,
    I need to configure, such that Idocs with certain error messages will be automatically transffered to the users inbox (SAP inbox) based on the plant in the Idoc.
    Understand that to achieve this, will have to maintain the org plan in transaction PPOME. But what are the other  things that need to be done?

    Rajeev Kasturi uses almost 10 pages in his book SAP R/3 ALE and EDI TECHNOLOGIES to explain.
    You have to do a complete workflow basic config including not only org plan but also org usnits, positions, assignments.
    Activate event triggering and linkage
    Acticate workflow generally
    configure partner profile parameters for receiver of notification
    Set ALEAdmin in EDI system table.

  • Automatic forwarding from sap inbox to outlook

    Hi,
    I need to know where i can globally set for all users in SAP so that their sap Inbox emails get forwarded automatically to their email address configured in SU01.
    It does not have to be an individual setting needs to be done for all existing users in sap.
    Any direction on this ?

    If u r using ECC system then when have Transaction SWNCONFIG.Here message can also configured such that it is one per notification etc. as well as forwarding is also possible.

  • SAP Inbox messages automatically forwarded to SOST

    Hi,
    We are in SMR7.0 Sp7.
    We have scheduled the deadline monitoring job SWWDHEX and system is generating the message for latest end reached in the useru2019s SAP Inbox as a notification. We understand that the message from SAP Inbox can be forwarded to users email using the automatic forwarding settings through SO12.
    However we notice that an email is sent to the user through SOST/SCOT even though we have not maintained the SO12 settings.
    Is it standard SAP behavior that a SAP Inbox message is automatically sent to SOST? Or is there any other setting (other than SO12) , that enables the forwarding of SAP Inbox message to SOST? We would like to stop this automatic forwarding of SAP inbox message to SOST.

    No. Forwarding is standard behavior. It is general behavior, This, you can see in normal R/3 also..
    If your problem is NOT resolved as i said, shout BASIS consultants. They will make it worked.
    Alert mechanism is different , in SRM 7.0, alert mechanism is given .

  • Issue in sending mail to SAP Inbox from Workflow

    Hi All,
    I need to send the mail to the creator of the document about the user decision. If i am executing the workflow through the event ( ouput type) , the workflow processing in SWIA is complete but the mail is not sent in the SAP Inbox. But If i try to manually execute the workflow, mail is sent to the SAP Inbox.
    I've used WF_INITIAITOR in the Expression. I need to send the mail not to the approver but to the creator of the workflow.

    the event is also triggered from my Id but in that case I do not recieve any e-mail. None of the users recieve the e-mail in the SAP Inbox for the mail step after the decision.
    In workflow Log the last step shows the details as
    name of the manager and the workflow background for mail sent step as shown below

  • Mail not in SAP inbox.

    Hi Gurus,
    I am new to workflow.. I have created a workflow from one of the examples of User Decision and SendMail.
    After i recive the work item .. i have three options: Approve, reject and cancel.
    when i click aprrove ior reject, i am supposed to recieve mail in my sap inbox..
    But i am unable to see the same/get the same..
    Can neone tell me if some settings need to be in place..?

    Please check the setting in SWU3...
    there Maintain Runtime Environment should be maraked as Green tick mark...
    If not...please do the Perform Automatic customizing...by clicking the second icon at the top....
    Then test your workflow....

       In Our Project we are forwarding SAP INBOX Notifications to External email ids using
       below settings from SBWP .
    SBWP->Settings->Office Settings.
    Here in the Automatic Forwarding Tab we are maintaing the Emaid Adresses .
    With this setting , IT forwards all the SAP INBOX mails to the email ids which we maintained in settings.
    But we want to Filter the Notifications.

  • Forward from SAP Inbox to Outlook

    Dear Experts,
    User would like to forward automatically  all his messages from SAP Inbox to the external mail address.
    In Inbox->Settings->Office settings->Automatic Forwarding Tab the user define address to forward and assign Forward all documents .
    The only messages that are forwards to the external mail address are in class "documents" ,
    But class "workflow"are not forward to the external mail address .
    Please advise where is the problem to forward also the class "workflow" to external mail address.

    I have activated WS 20000317-   BUS2038   CREATED,    BUS2038   INPROCESSAGAIN & WS 65400037     QMSM      RESPONSIBLEISCHANGED in configuration for notification workflow .My requirement is to send the notification automatically to the concerned person i.e person responsible field in notification screen .Now when I am checking in SAP inbox there are so many notifications of different types like breakdown , general & also preventive request which I have scheduled through background job i.e IP30 in workflow , overdue entries & incorrect entries group .
    Can anybody pl tell me why all these notifications are coming as these are not sent by anyone? Also what does these workflow, overdue entries & incorrect entries mean in SAP inbox?

    BUS2038-Created (WS 20000317) Work flow would be triggered at the creation of any notification in the SAP System. That is why whenever a notification is created either through IP30 or manually, the work flow would be triggered. The point to ponder here is that the notifications listed in the particular User inbox should have the same Person Responsible as the User. If not then there must be a problem as you have customized it to be emailed to the appropriate Person Responsible.
    The Over Due Entries are those entries for which deadline has been missed. Suppose the notification was to be performed on High Priority basis with start and end date specified. Now the person responsible does not complete the notification in the time specified in the notification then the notification would be moved from inbox to Overdue Entries.
    Incorrect Entries are those entries for which a correction is needed. There is either no Person Responsible given or the Person Responsible does not correspond to a user, any correction regarding the receiver of the email message.

  • SAP Inbox mail not working

    When I am sending mail from my SAP Inbox to other User SAP inbox, mail is not going into other user sap inbox.
    Let say User A is send SAP inbox email to User B sap inbox, User B does not get email in his SAP Inbox even we selected Receipent type "SAP Logon Name". Instead mail is going to email address mentioned in SU01. I removed email address from SU01 even mail is not coming to SAP User Inbox.
    I think this is defualt configuration sap has provided in all SAP system but some how it is not working.

    Dear Manish Patel!
    Please check whether you have activated the mail system group in your system. In this case the received mails will go automatically to user's home mail address, defined in tr. SU01 for user.
    To check the mail system group:
    -Tr. SO16 >> Tab "Mail sy. grp." >> check the checkbox "Send to home Addresses of Users"
    If this is set, please uncheck it (check the checkbox "No Mail System Group") and test the behaviour again.

  • SAP Inbox-Idocs

    Hi,
    Couple of questions on Idocs in SAP Inbox.
    1) If the error Idocs are mapped to be automatically transmitted to the users SAP inbox, then if the users reprocess the Idocs successfully using BD87, will the Idoc disappear from the users SAP Inbox?
    2) If on successfull reprocessing the idocs do not automatically disappear (ie if the answer to the above question is no) from the users inbox, then how can they remove them from their SAP inbox?
    Any help would be appreciated.

    The Idocs have already been mapped to the users SAP Inbox. So the question is that if the users reprocesses the Idocs from BD 87 will they automatically disappear form their SAP Inbox or they have to do something to remove them from their SAP Inbox, after they are successfully reprocessed.

  • Error While Opening PDF File in SAP Inbox

    Hello Experts,
    I am facing a weird error in SAP Inbox while opening a PDF files (both created by custom ABAP programs as well as the one attached to a new SAP Inbox message from my desktop & sent to my Inbox as a test).
    The error states that "This file does not have a program associated with it for performing this action. Please install program or, if one is already installed, create an association in the Default Programs control panel.".
    I checked TCode DC30 also & found an appropriate program is already maintained for PDF.
    I couldn't make out more out of this error message. Any inputs in this regard will be highly appreciable.

  • Attachment in portal not getting displayed in SAP Inbox

    Hi All.
    While creating travel expense requests from Enterprise Portal, travelers create few attachments and then save the travel expense reports.
    A workflow then gets triggered and these travel expense reports reach SAP Inboxes of the checkers [in the finance department].
    The issue here is that these checkers do not have access to enterprise portal and they expect to see the attachments [that the traveler has created via the portal] via corresponding work items in their SAP Inboxes u2013 which currently is not happening!
    I checked the trip transaction that got created [in the backend / in SAP] and found the u2018attachment listu2019 menu option in GOS being disabled [may be because there is not even one attachment that has come to the backend!]
    What needs to be done so that the attachments can even be viewed from the backend / from SAP Inbox? Please suggest!

    Hi,
      You may have to check with the stylesheet, Check if the iVIews are using portal stylesheets from portal theme. If you want to use WD style sheets, The parameter for the web dynpro to use special theme "sap.useWebDynproStyleSheet" should be "true" (configuration adapter->webdynpro->sap.com->tcwddispwda) in visual admin. If you want to set this option for particular iViews only, then from the WD iView properties, set 'Supply Portal stylesheet' property to 'No'.

  • Credit block SAP inbox message

    Hello All,
    This is my actual requirement:
    When the sales order goes into a credit block, KRML output triggers SAP inbox message to the credit manager/credit representative as per the output records maintained.
    In standard SAP, the inbox message is read as
    "Order for customer XXXX blocked due to credit limit being
    exceeded."
    where XXXX denotes the customer number.
    My requirement is to bring out sales order number, Sales order value, Ship to party name, Reason for Credit block (Like Oldest open item, dynamic check etc) etc in this SAP inbox message.
    I checked KRML output mails and titles and i added the above fields as eg. &VBAK-VBELN&, &VBAK-NETWR& etc but this is not getting reflected in the SAP inbox message.
    I am unable to figure out from where the standard mail message "Order for customer XXXX blocked due to credit limit being exceeded." is coming from. If the source of this message can be found, other fields can be added to it as per my requirement.
    Please let me know if anyone has any idea how to achieve this.
