Search in RoboHelp

Happy New Year everyone!
I found an article that provided a solution on how to categorize search results in RoboHelp. I could not post comments or ask questions on the site and thought that all the RH Gurus on this forum can help me. Please look at the referenced site.
http://www.helpscribe.com/2008/02/full-text-search-vs-keyword-search.html
I use Robohelp 10 and replaced the code in the whfhost.js with the code on the site. I get an error on the search pane. Has anyone tried this method and has it worked?
Any other alternatives?

Hi,
Thank you both for your replies. I just realized that I had posted the wrong link. The post I am referring to is:
http://www.helpscribe.com/2008/10/improving-webhelp-search-results-in.html
I am trying to improve the search in my WebHelp project and right now use most features RoboHelp offers. Synonyms, keywords in topics, and use other options given in the Search section when generating WebHelp. I wanted to see how effective it would be if I categorize the topics like mentioned in the post.
If you have tips and tricks to achieve this goal, please share it with me. I am also looking for any tips or rules followed when entering metadata on topics.

  • Full-text Search in RoboHelp

I have downloaded JavaHelp using Sun Download Manager (download and extract JavaHelp) to activate Full-text Search in RoboHelp. But, while generating Help in RoboHelp, I get an error that JavaHelp is not installed. I am not able to understand how to Install JavaHelp. Please help.

That's the way it worked in X4 and later versions up but not including RH8. RH8 includes phrase searching in webhelp.

  • Using external search without RoboHelp server

Is it possible to index pages external to your project in
order to conduct searches without having RoboHelp Server?
    Thanks

    Hi, rune1io
From what I understand, the (PPT, DOC, XLS, TXT, and PDF)
files would have to be included in the project, either in baggage
files or placed in the root of your project folder on the server.
Here is a snip from the online help regarding this:
    <snip>
    Enhanced indexing support for Search
In RoboHelp Server 8, for all the WebHelp Pro and FlashHelp
Pro projects, you can search for any topics and baggage files (PPT,
DOC, XLS, TXT, and PDF) included in a project. You can also add a
reference to these files in a topic, and the baggage files are
    displayed in the search results.
For server-side indexing, you can copy the required baggage
files to the project folder. The RoboHelp server reads these files
and re-creates the index at the time of scheduled scanning. Also,
if you do not include these baggage files in the project, the
server still indexes them, provided they exist in the project
    folder.
    </snip>
So it seems that a link to an external file via HTTP or FTP
would not be indexed. I will try to seek further clarification on
this, but that's the way I read it.
    Thanx,
    john

  • Why does a topic that is not in the TOC show up in a help search?  RoboHelp 9

I have two book (.xpj) projects in one directory.  They each have their own TOCs, but the directory has all the topics for both projects.
In project A, the generated help output TOC looks correct, but if I do a search, I get a topic that is not in project A- it is not linked to the book.  It is linked to project B.   Do you know why the search would come up with this topic?
What determines the topics that appear in a help search?
    Thank you,
    Erin

It's about a thousand years since you could have two projects in one folder. (Well at least ten. )

  • Search in RoboHelp 8

I migrated a project from RoboHelp 5 to RoboHelp 8 and now the search is not working.  I don't know where to start to check.  Thanks

Peter, can you link to the post by Rick Stone? I searched for it with no luck.
I have a search problem of my own with RH 8 - generating WebHelp. I tried several suggestions from another thread:
    - substring on/off
    - change dictionary
    - define keywords in index and search for a specific defined keyword
    - generate new layout
    - generate new layout in a different folder
    - move all project files to a new location and generate to a new folder
    - zip project and send to coworker (she has same issue on her machine)
    - create new project with a couple topics of dummy text
The issue I have is this: When I generate the layout and test the Search function, it returns the first 12-15 words of the default first topic. Doesn't matter what the search term is - whether it's for a specific keyword or a commonly occuring term in the project.
It's a very small project (the Word version is 45 pages) and I haven't really departed much from the default settings in RH8. I'm sure there's a setting I'm overlooking but no idea what it could be.
Any ideas? Two-topic dummy project (with 0 formatting and no tweaks except to generate a smart index) attached.

  • RoboHelp 8 vs. 9 - Search Functionality Comparison and "All of the Words" vs. "Any of the Words"

    Greetings!
Our organization focuses a lot on the accuracy of our searches, which is a necessity when we have hundreds of very lengthy topics (no matter how well organized they are).
I finally completed a detailed comparison of the search functionality of 8 and 9 and came to the realization that 8 is a disaster, while with 9 things get better, but there's still TONS of room for improvement.  I have reported this to Adobe and so far there has been no official response. There are many blogs on here related to the search functionality, but I thought it may be a good idea to try to sum some of them up. I do hope that someone somewhere at Adobe runs into this and shares with all of us why Adobe's Search functionality is still in the 20th century!
I hope this helps everyone else who is curious to know about how the tool's search functions work and whether it's worth upgrading from 8 to 9 at this point. I have included some examples which are in a way internal to us, but they will give you a good idea of what to expect and I'm quite confident you'll be able to recreate them on your side in seconds.
I also wanted to ask a question or two, and if anyone can assist, that would be greatly appreciated:
Currently if we search for several words at once (not exact phrase), both 8 and 9 perform an "Any of the words" search which always returns too many results. Does anyone know a way to change the default to an "All of the words" search? For years I have not encountered a tool out there that doesn't have the option to modify this, alas with RoboHelp 8 and 9, we can't find a way to do it (with or without modifying the source code).
Out of curiosity, are there any other tools out there which offer Conditional Tag (or similar) functionality and which behave better than RoboHelp? (easier to maintain, less buggy, web interface, etc)?
RoboHelp 8 vs 9 - Search Functionality Comparison Table with some Examples:
    Search Example
    RoboHelp 8
    RoboHelp 9
    Expected Results
    (based on industry standards)
    1. Searching for Exact Phrase "Correspondent Banking"
Such a search returns topics which contain "Correspondent Banking" and "Correspondent Bank". The last one is included because "Bank" is the root of "Banking". The topics that contain the exact phrase appear at the bottom. When we click on any of them, we're not automatically taken to phrase so we have to scroll and look for it or use CTR+F.
Identical behavior except that when we click on the topics which contain the exact phrase, we're taken straight to it.
When we hear "exact" we expect "exact" and nothing else. Unfortunately, both versions keep searching for the roots of each word as well and incorrectly display those results at the top. Adobe has made it clear that this is a part of their functionality, BUT this is something we would not expect to see for exact phrase searches that are in quotes.
    2. A Non-Exact phrase search of "Geographical Limits of market area"
The tool automatically performs an "Any of the Words" search instead of an "All of the Words" search. This is also related to the question I asked above this table. As you can imagine, this is returning almost every topic and it becomes virtually impossible to find what we're looking for. It even returns topics which contain "of" and nothing else.
    Identical behavior
There to be an option which allows us to choose what the default search would be - "Any of the words" vs. "All of the Words"
    3. Exact Phrase search of "low-score" with a dash
None of the topics that were returned contain the phrase. As some of you know, RH8 has problems with special characters, including dashes.
RH9 returned only the topic that which contains the phrase and we were taken straight to it when we open it.
The expectation is to see exactly what RH9 currently offers. Unfortunately 8 has a big problem with these types of searches.
    4. Exact Phrase search of "2.4"
This is similar to the one above. Adobe doesn't like periods as well. It doesn't not find any of the topics which contain this phrase. In our case, this is a section number and sometimes people want a quick way to get to a specific section or sub-section.
We were hoping that this will be fixed with 9, just the way they fixed the dashes. Unfortunately, still ZERO results returned.
Expectation is for the topics which contain that exact phrase to be returned, no matter whether there's any special character inbetween.
    5. Exact Phrase search of "300,000" or $300,000"
The tool only returned several random topics which contain "000" as part of larger numbers. The topic that contains "300,000" was not on that list, even though it also contains "000".
    Identical behavior
Expectation is for topics that contain the exact amount to be returned, no matter if there is a coma or a dollar sign anywhere within the phrase.
    6. Exact Phrase Search of "525-B5". Goal was to have a special character, a letter and numbers.
    ZERO Results returned.
Only the docs that contain the phrase were returned and nothing else. It seems that this this was addressed in version 9 and now it behaves as expected.
Expectation is only for the docs that contain the exact phrase to be returned.
    7. Exact phase search of "log" in order to test the Substring Functionality
Here's an extract from Adobe's Support Site:
“Substring search (WebHelp/Pro, FlashHelp/Pro) - If you enable this feature, a search for "log" returns topics containing the words "catalog" and "logarithm." Substring search takes longer than whole-string search.”
So with that in mind, we decided to test if turning the substring searches on and off does exactly as advertised, unfortunately the answer was NO. We even used an example almost idnetical to what Adobe provided on their site.
With Substring Searches disabled, we searched for the word "log". Unfortunately it returned words like "logbook" and methodology". How is that possible?
    Identical behavior
Our expectation would be only for docs that contain"log" to be returned, no matter whether substring is enabled or disabled. In our case it was disabled.

    Hi there
Out of curiosity, why is it that you expect to hear from Adobe? I'm hoping it's not simply because you posted here. Certainly we have Adobe folks that visit here and we are thankful for that, but it isn't to be expected.

  • Search external files on RoboHelp Server

With the RoboHelp Server (previously called the RoboEngine)
installed on a server, you can add external files to your WebHelp
or FlashHelp project and have the Search tab also search the
contents of those files (PDF, DOC, XLS, PPT, and HTML). All you
have to do is create an HTTP or FTP link to the external files and
the RoboHelp Server will scan them and add them to the search
    index.

    Hi, rune1io
From what I understand, the (PPT, DOC, XLS, TXT, and PDF)
files would have to be included in the project, either in baggage
files or placed in the root of your project folder on the server.
Here is a snip from the online help regarding this:
    <snip>
Also,
if you do not include these baggage files in the project, the
server still indexes them, provided they exist in the project
    folder.
    </snip>
So it seems that a link to an external file via HTTP or FTP
would not be indexed. I will try to seek further clarification on
this, but that's the way I read it.

  • Searching for Acronyms

    Hi,
This may have been answered previously but couldn't find answer. Am using RH7 WebHelp. I have many pages with acronyms in title and body. Searching in RoboHelp by the acronym brings no results, except for a couple of Word docs and .pdfs that have the acronym.
Is there any way for users to be able to search using an acronym? I am upgrading to RoboHelp 8 and am not sure if this is possible with new version.
    Thanks!

    Hi there
There's a little used feature in RoboHelp that may help with this. You might open the Index designer and list the acronyms there.
Just tell your users it's "Enhanced Search". Not sure who coined that term. LOL

  • ADA Fixes for Robohelp: Frames & CSS Issues

    Fellow Robohelpers:
I am attempting to resolve a set of major issues within Robohelp 8
    a) Frames are not properly named in Robohelp 8. Is anyone aware with which files to change (post generation or pre-generation of outputs) to rename Frames so the visually impaired user is clearly informed which frame they are on
b)When you disable CSS, the navigational elements (frames) become a jumble. They do not function correctly (TOC, Index, Search) since Robohelp is heavily CSS dependent and hides objects (text fields, the various left hand navigational elments) behind CSS.
Any reccomendations how to resolve these, or insights as to how to make Adobe aware of this! I have been reaching out to them about this for quite some time! I am hoping capturing a workaround for at least a) will make the tool one step closer to ADA compliance (screen reader compliance)
    Thanks
    Yaseen

    Hi,
I guess your output is WebHelp. First, try to create 'Section 508 compliant' output or pure HTML output. This may solve quite a bit of your problems.
If you don't want that output, this is what I think:
    a) RH nests a lot of frames, but start looking at the launch file, the csh.htm file, whskinfrmset01.htm and whskin_frmset010.htm. Note that if you change the names of frames, this may cause some scripts to stop functioning...
    b) As for the CSS issues, the only way to make that work is to manually sort out all problems and amend the javascripts.

  • Is Forum Search not working?

I have been trying to search the RoboHelp forums and no matter what I enter, I get
no search results. Is this not working for some reason?
I have cleared my browser history and closed/opened my browser.
I have signed off and signed back on.
I get no results for any search (even just searching for the word WebHelp).

Thanks -- have not been on the forum for a little while.
I did notice the Search Forums search field does work, but not specific to individual forums.
At least I was able to find what I was looking for.
    As always, thanks again Peter.

  • What is the Preferred RoboHelp Output?

    Hi All,
My developer and I have determined that our desktop application cannot use Microsoft HTML Help output since .CHM files cannot be accessed from the network.  Therefore, we're struggling to determine if we should use WebHelp or WebHelp Pro instead?
I have searched the robohelp HELP and these forums, but do not see my specific quandry discussed anywhere.
As well, what's Adobe AIR?  It seems that this is a free utility, yes?   And with WebHelp Pro, it says we need RoboHelp Server... is that an additional cost?!!?  We seem to be able to use WebHelp Pro without "Robohelp Server" - so far.
    Any insight would be helpful!
    - Karen

    Hi Karen
CHM will work on a network drive if you modify the Windows registry to mark the location as being safe. This would need to occur in the individual registry for each PC accessing th CHM. So it's likely not optimal.
Certainly you can go the WebHelp Pro route, but if this help system is intended to be installed on server environments at client locations, you would need to purchase a RoboHelp Server license for each client you install on. I'm sure that would make Adobe very happy, as you would need to purchase RoboHelp Server licenses at $2,000 or so each. Not only that, but their IT staff will love you as well because they would then be tasked with installing, configuring and maintaining a new server setup. But, it's an option if you want to go there.
Adobe is hedging their bets a bit on AIRHelp. The whole AIR technology is new on the scene. There is an AIR runtime that each user would need to install as a first step. Then you would need to package your output as AIR and each user would have to install the help on their machines in much the same way as they install applications.
My guess is that the best output type for this would be standard WebHelp.
    Hopefully this helps... Rick

  • Script to "Reset size" for all images in a RoboHelp project

New UI. Quick fix to pull new screenshots is hampered by the size constraints of graphics.
Is there a (third party or built in) script that will reset size for all the images in a RoboHelp HTML project?
    RH8, RoboHelpHTML bulished as WebHelp.
PS the filter in Adobe Forums doesn't allow me to limit the search to RoboHelp HTML and WebHelp; I don't have any other Adobe products, so all the hits don't apply.

    Thanks for this script!
What needs to be done to convert a .jsx into an .exe executable that I can add to the RH Toolbox (pod) and run it in a project on my terms, rather than import into the project so it runs (whenever I compile?)
What is the ReSize tool for that already exists in the toolbox?
