User in my case donot want to check mail via SBWP.
can i send some link to my outlook which redirect approver to workitem present in SBWP.

Hi Jonathon,
in our last project, we faced the same problem and resolved it with a standard notification CO:
- we put a notification CO (+ action) in front of the action you mentioned (that one that generates the UWL's workitem and provides the CO for manual processing)
- the notification's addressee will be the current processor, who is also the guy to do the manual processing
- the notification email contains a link to the process' current workitem, which is the action you mentioned (e.g. a webdynpro form or whatever the manual processing is)
The result is, that there will be an automatically sent notification, followed by the normal manual processing. And our client was happy to be able to customize every single email.

What do you mean by "send the work item"?
If you mean "send information to a user that there is a work item waiting to be executed", read the FAQ and/or search this forum for RSWUWFML2.
If you mean "send the work item to the correct recipient", your best choice is to learn how to use rules and set possible agents. Read the FAQ and/or search the forum or SAP documentation at <a href="help.sap.com">help.sap.com</a>.

Need to send work item to mutiple users at top level in PR release strategy

Dear All,
We are using workflow WS20000077 for PR release strategy.
Now the requirement is, at higer level, say at Board of director level, the work item should go to mutiple users and any one can approve/reject the work item. In other words, upto the board of director level , the workflowwill send work item to respective users as defined in release strategy, only at the Board of director level it should send work item to multiple users.
So how to send work item to mutiple users at a particular level in release strategy.

Hi Fawaz,
Your requirement can be achieved if you use Organisation Plan for agent assignment.
In the plan, you create position for each stage and assign the position ID in the worklfow section of the PR release strategy against the release code in MM.
The work item will goto all the users assigned to that position. this way is very flexible too for future agent change. only change the user assignment to the position.

Sending work item to Lotus Notes

We are using SAP 4.7 and Lotus Notes 6.5.
As work items are created, an email is sent to the recipient's Lotus Notes internet email address (using RSWUWFML2). It contains a link to the work item. This works fine.
We can use the "New message" option in Business Workplace to send an email to an internet email address (in Lotus Notes). This, too, works fine.
But.... if we select a work item in Business Workplace, then choose "Other functions" and "Send mail", and send to the same internet address as the "New message" method, the email is received in Lotus Notes - the receiver and sender info appears correctly - but its header now has a note similar to "Please respond to [email subject line] <WORKINGWI.000000383111.%BOR_TRADER%@ abc.com>". If the recipient tries to send a reply, it wants to send it to this "respond to" info which, of course, fails.
In addition, the email has a text attachment that says:
"Go to the following URL:
If the link is not to a valid server, log on to the SAP system and check the following object:
System:DEV200
Client:
BOR Object Type:WORKINGWI
BOR Object Key000000383111"
Obviously this attachment information means absolutely nothing to the users.
This problem only seems to happen with the "Other functions" "Send mail" option on a work item.
Any suggestions on what is causing this and how to fix it?

We have experienced what, from your description, seems to be an identical problem.
In our case the emails are generated from Audit Management in our development system.
Have you solved the problem and manage to find an explanation to these problems?

Changing template for "email work item "

Hi,
TFS Web Access has the possibility to send the work item in an e-mail. (The enveloppe on action bar).
By clicking on this Icon, a new window opens with some basic work item information.
I suppose the content of the e-mail is based on a template.
My question is: Is it possible to update this template (red box)?

As far as I know there’s no default way to change that template, please refer to the discussions in this similar post:

How to send a work item ( Mail ) as open tasks in WEB UI

Hi,
I have a requirement as to send a WF work item of mail text to WEB UI as open tasks. Upon click of te link; the mail txts comes there with the link detials to the service contract number and service contract quotation. Upon click of the links it need to redirect to the respective documents.
The requirement is as such that 60 days prior to the contract end date we need to trigger a mail that 'the contract expires in 60 days,do you need to renewal it'. This text need to go to the WEB UI respective agent of this mail as tasks. Upon click of the task description link need to navigate to the mail text with the details of the contract and quotation numbers in link. upon click of the lnk it needs to navigate such that they can change accordingly and the contractrenewal process is completed.
How to acheive this one.

Sending Mail to Outlook : U need the Following things done for this:-
1> Use the Mail Step in the WF and Choose the Receipient as the E-Mail Address and Give the E-Mail Address there.
2> Check the Configurations that need to be done in Transaction SCOT. SMTP Server Settings are done to get the Desired Results.
From the external mail, they should have the flexibility to approve or reject PO.

Obsolete and batch users can receive work items

Dear Experts,
Currently, we have found a problem that obsolete and batch users can receive work items by manual forwarding from someone. The roles and responsibilities of obsolete users were removed and users have been locked. For Batchuser, it's only created for some certain job with limited roles.
Could you help advise if this's a behavior of workflow or it's from some authorization problem? We have concern for business impact since no one is really handling work items and important messages are out of sight.

Hello,
This is standard behaviour. It is even possible to send work items to users who do not yet exist (e.g. someone who is due to join the company).
The easiest way to workaround is to set up a substitution for any users that get locked and for background users. Personal substitutes can be maintained directly in table HRUS_D2, you could possibly write your own maintenance transaction for this if it is to be an ongoing issue.

I am trying to configure Extended Notifications. The problem is that I get a "Execute Work Item: Invalid Link (SWN155)" in my mails. My question is what I need to add to parameters INBOX_LINK_URL and WD_HOST to make this work. Please provide examples if you have a working scenario.

Have you checked OSS for possible fixes? It might that this was something that was clearly a bug, and not matter what you do, it will not work, unless you implement some fix.

Bulk Work Item

Hi Experts,
Like Bulk Mail sending mail to different ppl. Passing values from multicontainer to expression. I want the same to happen in Activity. As i have requirement where i need to send workitem to 3 ppl based on division. Each division may have more than one deciding authority, I need to send work item to all those ppl. Users i have got in one multiline container and when i pass that container to workitem expression, workitem is not been sent to thos ppl.
Plz guide me on how to send bulk mail. remember the no of users vary from division to division.

Thanks for your reply and sorry about that short forms i was in a hurry.
I am doing credit limit check workflow. When a sales order is saved and if it exceeds the credit limit for that particular customer.Based on that sales order i need to send notifications in display mode (or) call the release screen for collesponding SAP users based on the sales division. There are 10 sales divisions and in each sales division there are atlease 3 users.
So i have maintained a ZTABLE with sap user ID and i have written a method and passed list of users as multiline container to Workflow activity expression.
I want to send work item to all 3 as we do in bulk mail.But when i pass as expression to work item in this case work item is not going to there inboxes.
Please guide me how to do this.

Hi Poornima,
RSWUWFML is very old, you should use RSWUWFML2 at least but if you are on release Basis 6.40 or above you should use Extended Notifications. As mentioned in the other posts you need to restrict your selection criteria by task TSXXXXXXX. The task associated with the work items you want to send a notifcation about. You need to open the workflow definition and open the step in th definition that corresponds to the work item.
Another way would be to highlight one of the work items in the users inbox SBWP in the backend and click the "Details" button in the toolbar. You will see the task ID listed there.

Outlook 2010 using Exchange 2010 - cannot send this item after updating draft email

I have a client who has the following setup.
SBS 2011 server (Exchange 2010) and a Windows 2008 R2 Terminal Server (with Office 2010 SP1 installed).
This particular user has a Windows XP PC with Office 2010 SP1 installed (joined to SBS 2011 domain).
This user creates a email at their office on their PC and saves it in draft to continue working on it when they get home.
At home they RDP into the terminal server and load outlook and start updating their saved (Draft) email. They then try to send it and the following error pops up. "Cannot send this item".
If they try to save the changes they have made it pops up with "The operation failed".
I have tried various settings all with the same results.
Office 2010, Office 2010 SP1, Online mode and Cache mode (on the Windows XP PC).
Any ideas?

OK. After further testing I have narrowed it down to the email signature?
If I save a draft email in Outlook on the Fat client (Windows XP + Office 2010), then go straight into Drafts folder and open the email and add one line of text and try to send or save again it fails.
If I don't have a signature, it works fine.
I currently trying to determine what part of the signature it doesn't like (it is quite a large signature, multiple images and a disclaimer etc). I'm having mixed results - I can remove the signature totally from the draft email and then it will save
or send fine.
Strange that it can save the email to Draft in the 1st place but doesn't like updating it a 2nd time???
I have also created a new outlook profile (online mode) with the same results.
