What type of documents can we send with Bid Invitation? What are the advantages using cFolders with Bid Invitations.

Foll are the settings reqd:
--.define a LS for cFolders( you have to duplicate SRM LS if it is on the same server)
-->define an RFC destination for this system (even if same as SRM)
-->define a backend system of type cFolders in SRM SPRO
-->activate SICF cFolders service (with external alias)
Normally the collaboration area should be displayed in document tab in the Bid inv screen.

Change document for bid invitation
Hello!
I have created some customer fields in a bid inv header. Now I need to track changes in these fields. How can I do it? (because in CDHDR I don't see any changes for cust fields)Now I see changes in cdpos cdhdr tables
But changes are not shown in the version tab
The version management in SRM is a different concept from the "change document" you observed in CDHDR, CDPOS tables, even though they are both options for tracking changes. If you have seen change entries in CDHDR, CDPOS tables, chances are you would be able to see them by clicking the button "Display Change Document" in your document header tab, next to the "Changed On" field. -
Hello everyone,
I have a problem with sending mails to the bidders.
i have created a vendor. The output format for this vendor is mail. I have given the email id also.
when a request is created, it gets automatically converted to a bidding invitation. but the mail does not go to the bidder.
Could someone tell me what i should do about this?

In SPRO -> Supplier Relationship Management -> SRM Server -> Cross-Application Basic Settings -> Set Output Actions and Output Format -> Define Actions for Document Output.
In this for Bid Invitation (BBP_PD_BID) action profile in action defintion Processing time we have chagned from "Processing from selection report " to "Processing when saving document".
Then mails are getting generated automatically.Also you need to have the SCOT settings in place for the mails.

Why the sender of the bid invitation to the suppliers turns to the approver after the bid invitation has been released. how to change to the creator of the bid invitation?

There are two ways a bidder can receive / send his bid. One is via mail and the other by looging into portal using his own user i.d & password provided by the purchaser.
As mentioned by Yeu Sheng Teo the bidder gets a mail whenever a bid invitation is sent to him / her.
He then logs on to portal with his user i.d & password and selects the bid invitation and submits his bid which the purchaser can access using Process Bid Invitation link and the status against the particular bidder shows a bid submitted under Bidder / Bids tab.
You maintain the contact person for bidder / vendor using personal data tab in Manage Business Partners link.There you choose employee as contact person and maintain User i.d & password and communicate the same to vendor / bidder.

Hello Folks,
We have a requirement were alerts needs to be sent to Bidder i.e. 24 hours before the deadline (time/limit) as maintained under Bid Invitation.
For this the following configuration is doneu2026
Maintain the event and event schema for Bid Invitation (BUS2200). Under Event schema you specify the triggering event: No Bid Submitted, Published_Again etc. and also the deadline value.
Then assign this event schema to transaction type Bid Invitation.
Then maintain the Alert category SRM_BID_INV for Bid invitation here you specify the recipient either fixed one or role specific.
Currently the triggering event set is No Bid Submitted for alert category SRM_BID_INV and the deadline value is minus 24.
Issue 1:
When a Bid Invitation already published, reaches its deadline limit i.e. 24 hours before the deadline limit. System should trigger alert and notify bidder that only 24 hours remaining to react hence please submit the bid.
Currently this alert is not getting triggered for the deadline. Does it have something to do with Negative Deadline value?
Issue 2:
A new triggering event u201CPublish againu201D was set with deadline value Zerou201D0u201D.
Now when a bid Invitation was published again system sends alerts to the Bidder notifying of the changes which is correct.
But then system is sending the same alert thrice. How can we control this so that only one alert is sent per Object ID.?
Issue 3:
As specified earlier we had set up the recipient for Alert Category either on a fixed basis or role specific.
As a result of this every alert for Bid Invitation is routing to the same list of recipients.
Wanted to know, is there any other way apart from implementing Badi or setting rules to determine the recipient at runtime for a particular Bid invitation.Only these recipients should be notified via alert.

WS14500028 BADI WF for Bid Invitation: No workitem is sent to the inbox
Hi All,
I was tasked to troubleshoot the existing workflow of the client. The workflow was able to determine the approver who will receive the workitem for his/her approval. However, the workitem is not seen in his inbox. Since there has been no workitem passed on to the approver's inbox, the workflow stays hanging and the document could not be converted to PO and Confirmation.
What do you think may cause the problem? Does it also involve the implemented BADI? Does the BADI only determine the approver or does it also control the workitem to be passed to the approver?
Please let me know your recommendations and suggestions to this problem.

I think I've met you before here in the Philippines (I just started learning workflow that time).
I was able to do those steps. However, the log says that the BADI WF for BID Invitation No. xxxx, GUID xxx has a waiting status and there is no icon present under the agent column.
What do you think is the problem?

How to set up time zone for Bid Invitation
Hi,
Our client is using Surrogate Biddding. Buyer send bid invitation in SRM and when he enter Quotation after recieving in SRM, System showing "Bid is already closed", thought it has time to close.
Where i have to maintain this time zones in SRM system for Bid Invitation.

You can find the timezones of the BP's in the ADRC table, field TIME_ZONE. You can set the timezones in Tx STZBC.

I assume you are looking for attributes automatically populated, when a user
creates a bid invitation. Did you try to work with a template and define the
bid invitation in the way required and create a bid invitation based on the template?
Another option is to define the attributes for well defined categories and let the
users use the "propose" button.

Approval WF for Bid Invitations
Hi,
Is it possible to setup approvals for publishing Bid Invitations? We only see one WF (79000006 - One-Step Approval of Bid Invitation). We tried and it did not trigger a approval step. Appreciate any suggestions on how to setup approvals for Bid Invitations.
We are using SRM 4 with Classic Scenario.

Reviewer functionality for Bid Invitation
Hi,
We have activated the 0-step approval WS14500026 for Bid invitation. We need to add only Reviewer for the the Bid invitation. I dont want the approver. But if i try try adding only Reviewer, it is not going to the reviewer's inbox as the automatic approval is carried out.
1) If I add an approver, it is going to the reviewer's inbox. But when approval is completed, it is removed from the reviewer's inbox. Also if i try to execute the workitem before approval, there is no option to enter any comments by the reviewer.
do i need to do anything for that?
2) I need only the reviewer functionality and not the approval functionality.Is it possible? If so wht shld i do for this?

can you please check the authority of the reviewer you are entering in your system?
if he is authorized , then it should be possible for him to make changes in the workitem.
check wether the reviewer has got the same authority of the manager you are using. -

Automatic Grouping of Requirements for POs and Bid Invitations
Purpose
This report groups together requirement items to which a valid source of supply has been assigned (for grouping into purchase orders) and whose product category has been enabled for grouping (sourcing option in Customizing).
In cases where assignment is automatic, the system sets the requirement as Transferred to Grouping.
In cases where a source of supply is assigned manually, the purchaser has to choose the function Transfer to Grouping in the sourcing application for the requirements.
You should schedule this report periodically, and make sure that the report is run separately for each document type (purchase order, bid invitation).
Prerequisites
You have assigned each relevant product category to a sourcing option for grouping, for example, Automatic Grouping, Sourcing for Item Without Assigned Source of Supply.
For more information, see the Implementation Guide (IMG) for Supplier Relationship Management: SRM Server -> Sourcing -> Define Sourcing for Product Categories.
Features
Report BBP_SC_TRANSFER_GROUPED provides the following functions:
For automatically grouping requirements into purchase orders:
It selects all requirements that have a unique valid source of supply, and have been set up for grouping. You can use selection criteria to further restrict the requirements that are selected.
It groups requirements by vendor. In other words, it groups together all of the requirements that can be sent to the same vendor.
You can use a Business Add-In (BAdI) to make additional groupings. If the standard system groups together certain requirements, but you want to create them in separate local purchase orders, use the BAdI BBP_GROUP_LOC_PO for this purpose.
Note that there are some limitations to creating purchase orders this way. For example, it is not possible to group together requirements with different vendors in the same purchase order. This report uses the same differentiation criteria as the sourcing application (for example, business partner, company code, product type).
It uses function module BBP_PD_PO_CHECK to check the assignment to a source of supply. The report passes on requirements to function module BBP_PD_SC_TRANS_MULTI_LOC_PO, where they are grouped, and converted into a purchase order.
In a production run (that is, not a test run), the system issues error messages to the Application Monitor. Example: A contract item assigned during sourcing is no longer valid when grouping is about to occur. This error appears in the Application Monitor. The system moves the requirement item to the worklist of the sourcing application.
The Application Monitor assigns errors to one of the following categories:
Shopping Cart: Automatic Grouping
Purchase Order: Automatic Grouping
If necessary, you can copy this report, and change the selection criteria to suit your needs. You can start the report in test mode.
Note: In the sourcing application, you can determine which requirements are planned for the next report run by choosing Find -> For Grouping.

Im looking for the tables in which are stored the information of the BID Invitation.
I already found:
CRMD_ORDERADM_H
CRMD_ORDERADM_I
BBP_PDIGP
BBP_PDORG
But I can not find the tables in which are stored:
- Vendor information (bidders)
- Opening and Closing dates of the Bidding process
- Information about Purchasing Organisation and Company responsable for the bidding process. (= names, not the org.unit code!)
