Service Entry Approval in Workflow
hi,
i have developed workflow for service entry release. When executing workitem in SBWP, workflow getting executed , but service entry sheet is not released. I doubt the release strategy for service entry sheet have to configure correctly for the agent as in PO release strategy. but there is no agent assignment for service release procedure as in PO.Please provide solution for this...
thanks in advance!!
Hi,
This might help you... have not done this myself
You will have to go for an enhancement for this with some Z tables here ...
At the first level you can hold the approval using a decision step for an agent decided by some Z table ... on approval you can forward it for normal approval (what you have), on rejection decide the process you want to follow...
The second time the user approves, your service entry sheet is finally approved.
Besides this use some user exit which will check your first level approval status in some z table...
Regards
Gautam

Service entry approval process in MM-SRV-SUS by client engineer
Dear Experts,
We are implementing the service entry process in the classic scenario. In the new process, the service agent of the supplier will enter the service entry sheet from the SUS. Once triggering of the service entry sheet is completed, the service entry sheet will have the status of 'No Acceptance'.
Here comes the client requirement. The client wants to have two step approval process for service entry sheet. In the first step, the supervising engineer of the client will approve the service entry sheet. Then the next step of approval will be financial approval which will be done by the cost center manager.
In the existing process in SAP MM, the supervising engineer of the client enters the service entry sheet manually and goes through one step approval of the cost center/org unit manager approval. The existing approval process is implemented with release strategy available in ECC.
How can the new approval process be implemented? What characteristics should be used to enable the system to find the first level approver i.e. the supervising engineer? is it achievable through release strategy?
Any idea or thought will be highly appreciated.
Thanks and regards,
Ranjan
Ranjan SutradharDear Masa,
Thanks for the advice, I still have one more question.
Does this mean I don't have to follow SAP's advice stated below?
In the Plan-Driven Procurement with Supplier Integration business scenario, you can use Supplier Self-Services (SUS) and SAP Materials Management (SAP MM) in conjunction with each other.
SAP MM is used as the procurement system, since this scenario involves the procurement of direct materials.
*This business scenario is not suitable for the procurement of services or indirect materials*
In other words are there any consequences for using the MM-SUS plan driven procurement scenario for services instead of direct materials?

Getting Account-Determination related Error during Service Entry Approval
Dear Sir,
We have created a Service Order (Purchase Order) with Account-Assignment Category as "Q" and Item-Category as "D" . The In the Purchase Order , Account assignment given was a WBS Element and appropriate GL for expense booking was also mentioned .
Subsequently , we did Service Entry (ML81n) .
Now during the approval of Service Entry Sheet , we are getting following error...
"Account determination for entry 9000 KBS 0001 not possible" .
We request to kindly guide us as what steps need to be followed to resolve this error . We will be highly greatful for the given kind help pl .
With Regards
SaniaHI
.1. In OBYC, check the Account Determination check box is not ticked. This means the account determination is not done from OBYC. It is done as per the account assignment entered in PO. 2. Check OMJJ go to OMJJ and enter teh movement type 101and go to Account geouping folder and click on it
all the line which has KBS in TEKey check the Check acc *** check box than you will not get this error.
3.Goto OBYC double click KBS and enter your valuation grouping code and assign to the G/L accounts and save -
Workflow issue with Service Entry Sheets
I wonder if you can help. We currently use workflow for the approval of service entry sheets. Whenever they are approved we get an email in our workflow master account which states : The work item "Exception in Workflow for Entry Sheet 1000XXXXXX" (ID 000004014168) of type B has the status ERROR. Initiate a correction measure so that the respective workflow (ID 000004012293) can be continued.
When we go into the Service entry sheet it has a green light and there is no issue, so we just file the email. It's irritating though as we have to check everyone.
Does anyone have an idea what could be causing this or where I could start to look?sorted

Auto change Posting date to current date in Service Entry on approval day
Hi Guru
The scenario is:
User is creating a Service Entry (SE) ML81n
The Posting date X is taken automatically as today's / sys date in SE
The SE goes for approval in Approver's inbox.
Approver is taken to SE when presses approval button on X+1 date i.e. the next day.
In SE the posting date is still the same as X
Posting Date automatically change to X+1 in SE.
(I found that this issue does not have link to workflow, i ts only in ML81n we need to look in. or there may be other opinion)
Pl help in understanding to get this change automatically done.
Best RegardsThere are two date fields in the accept data tab.
1> Document date: The date at which the service entry sheet was created
2> Posting date: When the entry sheet is created but not approved then
document date and posting date are the same. The document date is updated only when the entry sheet is approved.
If there are multiple levels of approval, the posting date will reflect the date last approval and will be updated with the date of final approval when the sheet is finally approved.
Hope this has helped you !

Best Practices for Service Entry Sheet Approval
Hi All
Just like to get some opinion on best practices for external service management - particularly approval process for Service Entry Sheet.
We have a 2 step approval process using workflow:
1 Entry Sheet Created (blocked)
2. Workflow to requisition creator to verify/unblock the Entry Sheet
3. Workflow to Cost Object owner to approve the Entry Sheet.
For high volume users (e.g. capital projects) this is cumbersome process - we looking to streamline but still maintain control.
What do other leaders do in this area? To me mass release seems to lack control, but perhaps by using a good release strategy we could provide a middle ground?
Any ideas or experiences would be greatly appreciated.
thanks
AC.Hi,
You can have purchasing group (OME4) as department and link cost center to department (KS02). Use user exit for service entry sheet release and can have two characteristics for service entry sheet release, one is for value (CESSR- LWERT) and another one for department (CESSR-USRC1) .Have one release class for service entry sheet release & then add value characteristics (CESSR- LWERT) and department characteristics (CESSR-USRC1). Now you can design release strategies for service entry sheet based on department & value, so that SES will created and then will be released by users with release code based on department & value assigned to him/her.

Approval for revoking service entry
Hi All,
I have one requirement that system should ask for approval of manager if the user revokes the service entry. Currently there is no release strategy for service entry in the system as the user is only creating and accepting the service entry sheet. They are fine with this, but if user revokes the already accepted service entry then it should ask for manager approval. Is it possible.
Thanks.Hi,
This is not possible as User have full authorization to revoke the service entry sheet.
But you can try based on workflow.Do check with workflow consultant whether he can add an logic.

Cancelling Material Receipts generated from approved Service Entry Sheets
Several service entry sheets were entered twice into SAP and approved for Vendor . Upon approval, material receipt documents were created and because the vendor is ERS, invoices were created and paid. Manual credit memos have been processed in AP so the vendor has been charged back but the GR/IR GL account won't clear without the material receipt reversals.
To properly credit the job and debit the GR/IR GL account for this duplication, reversing material receipt documents need to be created. Anybody knows how to do the correction?
please advise.Hi,
Please follow the below steps.
01. First Cancel the Invoice
02. GO ML81N and in change mode you will get rewoke service entry sheet, a pop will come for posting dates enter the posting dates. and save . It will change the reverse the GR document created through Service entry. Set deletion indicator if you want.
Thanks & Regards,
