Shared documents and UCM

We are in the process of replacing our shared network drives with UCM in my organization, and during our information audits we have discovered that many folks throughout the organization make rampant use of shared Excel files. We are now being asked how UCM can support these documents, and we have no answers.
Does anyone know of a UCM feature or component that would allow a shared document to be opened and edited by multiple users in realtime? I'm thinking like Google Docs type functionality.

Phil,
UCM itself is a document management system, so it has almost no control about what desktop application can or cannot do with a document.
However, UCM controls check-out and check-in of a document, and there the rule says that a document can be checked-out (-in) by a single user only. The exception is so-called folio which is an XML construct able to reference multiple documents - thus, a single user can have a single document checked-out, but the folio is kind of checked out by multiple users (a good use case is a book consisting of chapters written by many authors).
Nevertheless, even the standard mechanism, that is, a file (Excel sheet in your case) checked-out by a single user will not prevent editing by multiple users. Only the design will be lame - the file while being edited will have to be stored outside UCM and it will be checked-in by the single user when done.

    Ok 1st one. The warning restriction message relates to this line in main.cf:
    smtpd_helo_restrictions = permit_sasl_authenticated  permit_mynetworks  check_helo_access hash:/etc/postfix/helo_access  reject_non_fqdn_hostname  reject_invalid_hostname  permit reject_invalid_helo_hostname
    The last reject occurs after the single word "permit" and is ignored.
    However, that's not the problem.
    I'm not exactly sure what's happening, but this might be a clue.
    It would appear that either postfix is not being able to create the socket for private/policy or it's somehow created with the wrong permissions.  You might need to ramp up the debug level to get a better idea.
    You could check if it's being created by "netstat -a | grep private/policy" in terminal.
    My guess is that it's not being created because there is no setup statement in your master.cf file, but I don't understand why postfix would be looking for it if it isn't set up.  Private/policy I think relates to grey listing.  Maybe gives you a hint.

    "Shared Documents" is nothing more than a document library that automatically gets created when certain site templates are used (e.g., Team Site.) In SharePoint 2013, you will notice the library has a display name of "Documents" but a URL path of /Shared%20Documents/.
    Other than that, there is nothing special about it. If you don't have one and you want one, you can create it just like any other document library.

    1) An organizational observation:
    To view all these topics (and the associated sub-parts) in this "Sharing, commenting, and collaborating" section, requires a lot of link clicking. It would be better to put all or most of these topics on a single page.
    2) I think it would be good to clarify the differences between sharing documents and sharing scripts.

  • Can multiple people edit and update a shared document in Numbers?

    Hi!
    Just a quick one for you guys!
    I have recently discoverer 'Numbers' which is great! I then discovered you could share a spreadsheet which is perfect for us as we quiet often need to be working in the same document from our iPhones. However, we do not seem to be able to see each others changes on the shared document. Is it actually possible for us to both work in the spreadsheet and it automatically update each others spreadsheet or is it that when we are done editing, we can only send it to our own iCloud?

    If you share an iCloud link, you can all edit the same document through a web browser.  But it has to be a "full" web browser.  Mobile Safari on the iPhone can't handle it.
    If you're editing the document in Numbers for iOS then others won't be able to see your changes. You'll have to email or share a link to your edited version.

  • SharePoint 2013 document library, permissions to upload and view shared document only

    SharePoint 2013 document library I want to give access to client where they can upload and view their uploaded document and can see all documents shared with them.
    I have managed to show all document shared with them only by deactivating a feature but now they can't upload any document, If I create a permission set to allow them to upload documents, they will see all other documents as well which are not shared with them.
    Any suggestions?

    Hi Sharaqat, the best way to handle your situation is to have a separate library or site for the client. You could use item level permissions per Thilosh, but fine-grained permissions become a major headache. You could also use web parts and audience
    targeting, but that's not truly secure.

    I am thinking to have a separate document library for client, where they can upload/view/edit etc, we will upload documents in a "secure" library with a column saying this is a private document or public document, if we mark a document public,
    a workflow will move that document to the client's document library. I don't think there would be a problem to move a document from 1 library to another in a workflow.
    That's the easiest solution I have found so far.

    "302 Moved Temporarily" is a web server error (I googled it - see e.g. http://www.checkupdown.com/status/E302.html)
    Two recommendations that you can try:
    - do not use 'localhost' - use computer assigned name, or at worst IP address
    - in my system, Server URL is set to http://ecm-base:16200/cs/idcplg (from ODC). Try to modify yours accordingly.

    You can import documents with a thing called batch loader.

    You would need to create an application or script of some type to generate a batch load script for BatchLoader to execute. The process for this is different with every company and source (e.g., file system, sharepoint, etc.).
    As for exporting, use a tool on the admin applets page named archiver.

  • Error when after creating My Documents and shared repositories

    Hi all,
    after setting up a fresh SAP Mobile Documents installation on NW 7.4 and creating the My Documents and shared repositories we see the message "repository not available" when logging in to the MCM User web interface. The NWA log shows the following errors:
    Connection failed: Cannot access http://localhost:50000/cmis/json: Connection refused: connect
    org.apache.chemistry.opencmis.commons.exceptions.CmisConnectionException: Cannot access http://localhost:50000/cmis/json: Connection refused: connect
    Creating sharing home folder for user svcmcm failed: org.apache.chemistry.opencmis.commons.exceptions.CmisRuntimeException: org.apache.chemistry.opencmis.commons.exceptions.CmisConnectionException: Cannot access http://localhost:50000/cmis/json: Connection refused: connect
    Testing the connection to http://localhost:50000/cmis/json in the destination sometimes yields a negative initial result, followed by consistently positive results.
    Do you have any ideas or suggestions?

    Hi Alex,
    thanks a lot; we are now able to connect and access Windows network shares after assigning the Content Admin Role to the MCM Users Group. We now however have the issue that our AD users can access all of the share's folders that the service user (assigned to the file system repository) has rights to. How can we enforce the individual user rights from the AD?

    What kind of folder and which ID?
    Assuming you are wanting the folder objects created from the New Folder button in the ribbon, try this search by Content Type:

    Note that several IDs are returned; the ID (GUID) of the list item and the list's ID column (1,2,3, ....)
    Your example returned an ID property, but it was a URL.

    I am about to take a work trip away for a few weeks and will need to create word and spreadsheet documents and share them with my colleagues back in the office. Does anyone have any tips on the best apps to do this? I'm concerned that the iWork apps might be problematic with the .pages and .numbers native formats, given that my colleagues work on ms office in a windows environment. Also, the google docs mobile experience seems to be pretty clunky, so I'm hoping someon out there has the perfect solution! Thanks in anticipation.

    There is no perfect solution, especially for those who need to create more complex documents (tables, etc.) and spreadsheets.   If your files are simple Quickoffice will do the job; you can set up a shared dropbox for those at the home base to access and interact with it directly through the app.  For heavy duty lifting you may want to consider accessing your  work desktop remotely using Splashtop, Logmein, gotomypc app, etc...

    I can not share my screen (I can share documents and whiteboard) even after having Add-In installed.  When I click on Share My Screen, the window which asks what I want to share (e.g., desktop) does not appear.  Doesn't seem to be pop-up blocker issue. 
    I am able to do this on my personal laptop (installing the Add-In did the trick for that).  Have rebooted and it still doesn't work ... at a loss ...

    I use documents to go and am pleased with it. and the premium version also supports cloud storage and syncing.

  • How can I use pages.app to edit an iCloud shared document?

    Sharing a pages doc on iCloud is pretty easy. However the recipent/collaborator the document is shared with appears to be able to edit such document only through the browser on iCloud. What if the collaborator has his/her own pages.app installed on the Mac, is it not possible to somehow link or download the shared document so that he/she can use his pages.app on the Mac to do all the editing and viewing?

    The second option assumes a service other than Apple's icloud with more direct file management. For example: Download the DropBox apps and set up an account (basic account is free). Load the files to DropBox via Pages using Open in another app, or via the dropbox website in a browser on a computer (the latter would be much quicker). From the Dropbox app, you can open them in Pages and save the file there. Box will do the same thing.
    But honestly, just because particular files exist in icloud doesn't mean you actually have to open them on a specific device. Might be much easier to get creative with some folder naming and leave them as is.

  • Using Shared Variables and Initialize Front Panel Binding (to PSP)

    I use LV DSC RT 8.2.1
    I have a Vacuum System That includes signals from - Pumps failure, Valves status, Vacuum gauge, start Pump ...
    Each signal is read by a FieldPoint. 
    All the relevant FieldPoint Channels are read by the Server (a computer in the Ethernet Network) and published to the network in the form of Shared Variables.
    I have a client VI that is reading the Shared Variables published by the Server using Front Panel Binding.
    Problem : 
    Some of the Bindings are in the mode 'Write &Read' and that causes some initialization problems.
    For example - Valve #1 is Open, and then a User start running the Client VI, (the Valve #1 Status mode is 'Write & Read")
                           if in the VI the status of Valve #1 is closed (before running it) then the Valve status is changing to Closed.
    I want the Client VI to first read the Physical status of the instrument and then to change the Value if the User changes it.
    But that's seems to be a problem when using Front Panel Binding... (is it?)
    I know I can Deploy a lvlib in the Client Side and Item Bind to the Shared Variables or Use DataSocket.
    (Is DataSocket is a Reliable method when connecting to Shared Variables? What are the disadvantages when using DataSocket?) 
    What is recommended by those of you that are experienced or by NI ?

    The issue that you are seeing by having "Write & Read" bound items on both the server and client side is essentially a race condition, you don't know which one is being read/written at what time. To resolve this issue I would take a look at some of the documents below.

    You mentioned not wanting to have two sets of shared variables (one on each side), but this is a great method to resovle this issue, that, or you can develope some sort of hand shaking to prevent these race conditions.
    I would suggest that in the future when using these forums you try to ask only one question per thread and make it more concise. It's hard to tackle multiple questions and such broad questions as "I want to know all the ways that I can connect to Shared Variables, and I want to know the advantages and disadvantages." I suggest this because we want you to get your questions answered and more concise questions will result in quicker and better answers.
