Shared Folders in mail

I'm running a OS X Leopard Server mail server. Since a few days a folder called "Shared Folders" appeared in all mailboxes. Within this shared folders folder there are several folders with strange names:
._-Dong-seeiuqi
._-Jolie-seignora
.-seer1990
._-seetrus2005
.-seeun1990
._-seiklab
There are now users with these names on my server. I would like to know how this could happen and what it is, and eventually how to remove them.

  • Proper way to delete 10.5 mail accounts and shared folders

    I have always used the procedure written by Ben Masters that is available at topicdesk.com for my 10.4 servers, but I have a 10.5.8 server that needs some spring cleaning and I am wondering if this is safe for a 10.5.8 box as well?
    I also have several Shared Folders that are the same on all users of my mail server that I didn't put there. 1. How do these get there. 2. How do I delete them. 3. How do I set these up for a client if requested.

    Yes, this will work on 10.5.x as well. Although using SirAdmin is much easier.
    SirAdmin can also be used to manage Shared Folders.

  • Will Apple Mail (iOS) support RFC 2342 ( Shared Folders)?

    Wie use some iOS in our corporate environment, but are constantly stressed out by the fact that Apple Mail does not "see" Shared Folders on our IMAP-server ( listed as #shared/... In the server's .mailboxlist). Wie use these folders for archiving.

    No hair but i got it now...
    Was so easy that i overlooked it.
    i just had to put an alias into the postfix conf
    aliases: "test: dummy+test"
    Voila!
    At the beginning i thought there is a easy solution, cause on the old server it was doable in the web frontend. I overlooked that there were more steps involved in the background.
    If anybody knows a smarter solution pls tell me

  • What happens to shared folders/mail when I disable/remove a mailbox in Exch2010 and which is better to get space back?

    We have a number of old mailboxes taking up room.  The users are long gone and I looked into removing them.  The clients of these users have been moved to others.  The users had shared folders that held this info.  I have a few questions
    about the removal.
    1. Is there a difference in time before space is given back if I disable versus remove the user in EMC?
    2. If an ex-employee had folders that others are sharing, what happens when I do the remove/disable?  Will the folders still be out there on the people who had it shared or will it vanish from them too?

    "Best practice" is going to be defined by each company.  I worked for Microsoft for 13.5 years, assisting over 100 large companies deploy either Windows or Exchange, and none had the same definition for their "best practice". 
    If you need access to a mailbox for a time period, you figure out a way to keep it.  If you want any terminated employee's mailbox gone tomorrow, it is gone tomorrow.
    I am a fan of having some sort of process that runs periodically to clear out unnecessary mailboxes and accounts, but if there are business reasons for keeping them around, that needs to be defined into the process.  In my current company, terminated
    accounts are kept for 30 days, mailbox included.  We give mailbox access to a different employee if required and tell them that if they need anything, they need to pull it into their own mailbox.  Then, when the account disappears, the mailbox goes
    into the dumpster.  So, if someone forgot to pull a message, they tell their boss and live with the consequences.
    But again, that's just another example of how it might be handled.  You get to define what will work for you, including pulling your business units in to help with the definition.

  • How prevent shared folders to be added as attachment in apple mail?

    The thing just happend. One of the network users wrote a new mail (in apple's mail app) and instead of attaching one file, the user by accident double clicked the shared folder, and mail started attaching the 8.1 Gb folder. This never happend before and I like to prevent this. Should I go to server admin>afp>sharepoints? And unshare the folder? But are they still able accessing the files?
    Help is appreciated. Thanks in advance.

    Your current approach will not likely work, as there is no means to selectively set permissions for an application in the fashion that would be required here.
    You'd need not only need indication of and the involvement of the active mail client, you'd also need some way to deal with either the specific type of data involved or the specific quantity involved, and I don't know of any means of communicating that across the mail client and the security system. (Blocking all access to Shared files is easy. Blocking just mail attachments? Not so easy.
    I can't think of a way that would work here with a typical access control list (ACL) implementation scheme (Mac OS X has decent ACL support), short of a whole lot of kernel customizations or something like a programmable sending-related trigger scheme within mail, and AFAIK, there are no "outbound" rules within Apple mail client.
    And is this case hunting fleas with anvils? (read: Something that's possible, but a whole lot of work.) How often does this particular case arise? If it's happening frequently and is not being addressed by some targeted training, then you probably don't really have a technical problem, you probably have a personnel and/or managerial problem here, and those don't lend themselves to technical fixes.
    To pursue the maximum message size within the Microsoft Exchange product, then you have an Exchange qustion and not a Mac OS X (Server or client) question.
    I don't run Microsoft Exchange servers, so I have no particular familiarity with the settings and options of that product. Based on some quick Googling, have a read of Microsoft's [Understanding Message Size Limits|http://technet.microsoft.com/en-us/library/bb124345.aspx] as a start, or Google around for the details of whatever version of Exchange is in use here.

  • Sharing by Photo Mail - no longer works and programme closes.

    I have used Elements 10 for some time, on Windows 7 Home and with Microsoft Outlook for e mail.
    Have had no problems in the past sending photo's using the Share / Photo Mail option.
    But problem has arisen "out of the blue", and I can no longer do this.
    In Organiser, I select Share / Photo Mail / Next / Select the photos / Next / Select recipient from the list / Next .....
    At this point I am now getting message " Element 10 organiser has stopped working. A problem has caused the programme to stop working correctly. Windows will close the programme and notify  you if a solution is available".
    This does not happen if I use the option for Sharing as E Mail attachment. In that case, the programme selects Outlook and adds the pictures as attachments with no problem at all.
    Problem only arises if I select the Photo Mail option - though this has worked perfectly in the past, using Outlook.
    I do have Outlook selected as the e mail under the Sharing section of Preferences.
    I am not aware of having made any changes to Elements that may have caused the problem. Nor any other changes in Outlook or other programes
    Any ideas please?

    Ooop's - all seemed OK this morning, as reported. But have tried to open programme tonight without success ! I can get the Welcome screen, click on Organiser - but progress bar operates for short while and then just "hangs".
    Using Welcome and clicking Editor opens the Editor, but I cannot reach Organiseer from there - using button at top right corner.
    Must have deleted an essential component ?  I suspect that the only option is now to remove Elements and do a Re Instal.
    When I inserted the original disc (at start of my problems in the hope that it might show a 'repair'option) it came up with message asking for confirmation that it could remove the programme. Did not proceed further with that - but am just wondering if this is something that it does automatically before proceeding to re instal ?
    If so, do you think it best to go along those lines rather than use the Windows Add / Remove option first?
    Just then worried about your suggestion to delete the two folders PSE 10 - as not sure of the significance of this (forgive my lack of computer programme knowledge).
    Thanks for the screenshot, but have never been able to find that screen - either directly within Elements or via Windows Explorer.
    Will delay further action pending further advice / comments and can I just re iterate that Elements has been working perfectly for many months on my Windows 7 computer and without my having to set it to compatibility mode for earlier versions.  

  • How do I make Outlook 2010 shared folders sync immediately?

    I have shared folders with a lot of collegues, where we receive mails, which we frequently access and process. A problem we have though, is that the mails that e.g. I access, do not turn up as "read" for my collegues. They still show as unread.
    Is there a way that this could be sync´ed realtime?

    Hi,
    The users may have downloaded the shared folders in Outlook, this is kind of like Cached Exchange Mode & Online Mode, if we switch to "Online" it will be more "realtime".
    Check the following setting:
    File -> Account Settings -> Account Settings -> Double click on the Exchange account name -> More Settings -> Advanced tab -> Untick the checkbox of "Download shared folders" -> OK.
    This will abandon shared folders cache and should improve the performance in your scenario.

  • Sharing folders

    Hello,
    I have messaging server 7 installed on solaris 10 x86 machine.
    In comm Express I was trying to a share folder.
    ex.
    user 1 and user 2 are able to share folders
    user3 and user 4 are able to share folders
    however user3 or user4 are not able to share folder with user 1 and user2 ...and same in reverse.
    folder is shared still while searching for shared folders it says no shared folders found for this user.
    the difference here is that user1 and user2 are on same mail host and user3 and user4 are no another.
    Does this make any difference? or should I check something else also?

Enabling shared IMAP folders for users on different mail-stores requires that you configure distributed shared folder on each of the mail-store systems. This is all documented in the manual:

  • New Outlook 2013 Installation - How to configure for default pop email and access exchange 2003 server for shared folders only

    I have successfully installed and configured outlook 2013 to access my pop.integra.net email accounts.  We have an 2003 exchange server we use for shared folders which I am having difficulty accessing.
    My preference would be to set up my access to the exchange server and use the same data folders for email as are in use for my pop email account.  In outlook 2003 this was simple, but in 2007 on up it seems this feature has been hobbled.  Is there
    a workaround to get both accounts to use the same database?
    Next issue is if I use the Mail client wizard under Control Panel to set up access to the exchange server - everything looks fine but when launching outlook I receive the following 2 error messages:
    "The resource that you are trying to use is located on an unsupported version of Microsoft Exchange.  Contact your e-mail administrator for assistance."
    "Cannot start Microsoft Outlook. Cannot open the Outlook window. The set of folders cannot be opened.  Your Microsoft Exchange administrator has blocked the version of Outlook that your are using.  Contact your administrator for assistance."
    Obviously the optimal solution is to upgrade the Exchange Server - assuming that is not an option - are there any workarounds?
    Any assistance would be appreciated.

    Downgraded to Office 2007.
    So now have a new Windows 8.1 laptop with outlook 2007 installed.
    From what I have been told this should allow me to connect to the Exchange2003 server
    I set up the pop account - works fine
    set up the exchange account through Mail.exe and am unable to launch outlook.
    "Microsoft Exchange is Unavailable"
    "Retry - Work Offline - Cancel"
    Then
    "Cannot start Microsoft Office Outlook.  Cannot open the Outlook Window.  The set of folders cannot be opened.  The information store could not be opened."
    The data file path is the same for both the pop account and the exchange account:
    C:\Users\Scott\app data\local\microsoft\outlook\outlook.pst
    How do I get this to work?

    I can't see that that shared folder in communications express when i go to manage folder --> subscribe
    Tells me no shared folders even when I search the user public out.
    Any idea what would cause this?

  • How to reproduce the weird phantom shared folders issue (._-blah@blah.blah)

    I have the known issue of the weird phantom shared folders in /var/spool/imap/ with filenames like "^_-blah" that show up as folders with names like "._-blah". I have only 2 folders like this and haven't had new ones show up since July 14th.
    I've read the old threads on this and would like to try implementing the fixes, however I need to be able to reproduce the folder creation in order to test the success of a potential fix. And I cannot figure out how to reproduce it. I have tried sending mail to ".[email protected]" and/or mail from (and Reply-To) ".[email protected]" via command-line sendmail (postfix) on my Mac laptop on the local network of the server. No combination of those seem to result in a new file in /var/spool/imap/
    1. How can I reproduce this issue? I confirmed that I've not installed any Software Updates between Jun 14th and now (to make sure it's not that it was patched with some update that I installed).
    2. What is the appropriate way to delete these (after I confirm reproducibility, apply a fix, and confirm subsequent non-reproducibility)?

  • Shared mailboxes / shared folders

    Is anyone working with shared IMAP mailboxes (ie. mailboxes shared betwen several users) within Mail?
    I have some nested mailboxes on the server which I an trying to share between a few reps:
    mailboxA
    mailboxB/mailbox1
    mailboxB/mailbox2/mailboxY
    mailboxB/mailbox2/folerZ
    Only mailboxA will show in Mail. But all mailboxes show correctly in Thunderbird and webmail.
    Is there a trick to getting this working in mail 10.4?

    We can try this on this issue:
    Go to File tab -> Account Settings ->
    Account Settings -> E-mail tab, select your account and press
    Change button -> More Settings ->
    Advanced tab -> Cached Exchange Mode Settings section, untick
    Download shared folders -> OK.

  • De-subscribing/subscribing to IMAP shared folders

    Hi!
    In Mail.app I haven't found a way to select/deselect which of the IMAP shared folders (on a Cyrus IMAP server) I want to subscribe to.
    And the main problem with this is that it insists on subscribing to log folders with thousands of unread messages showing up all the time, and then it always tries to cache all this on my laptop ... (I know I can prevent it from caching email, but that's a poor solution, as I am then no longer able to work offline ...)
    I found a posting on Maxosxhints dated 2005, stating that this functionality (being able to subscribe/unsubscribe to shared IMAP folders) should be available in Mail.app shortly ... But I guess it still isn't?

    As far as I know, you simply control click on the account that you wish to manage subscriptions for.
    Then:
    1) Select "Get Account Info"
    2) Click on Subscription List.
    3) Deselect/select public/shared folders.

  • Unwanted 'Shared Folders'

    This is what I'm seeing inside /usr/bin/cyrus/admin/:

    Shared Folders/Deleted Messages (\HasNoChildren)
    Shared Folders/Drafts (\HasNoChildren)
    Shared Folders/Sent Messages (\HasNoChildren)
    I found a thread from '06 where someone discovered that the problem happens when a group name is the same as a user name. When he changed the short group name, the problem went away. Sure enough, I realized I did have a group name with the same short name as an (admin) user. However when I changed the short group name and restarted mail service, these unwanted shared folders did not go away.
    On a possibly related note, I have also found the same stuff inside /var/spool/imap:
    /var/spool/imap/^_-akstcmydomainmnsdgs
    /var/spool/imap/Deleted Messages
    /var/spool/imap/Drafts
    /var/spool/imap/Junk E-mail
    /var/spool/imap/Sent Messages
    /var/spool/imap/user/user1

    etc
    My imap users are seeing these shared folders in their mailbox, and I don't want them to. I cannot delete these shared folders using an email client. What is the best way to delete them? Thanks in advance for your assistance.

    ok pterobyte heres the log entries and the header part of messages causing the problem. At the moment the reason the 2 shared boxes are showing up repeatedly is cause there in my queue so qmgr is trying to send them, it creates the error in the log and bingo the shared box appears. The mail DID NOT come from in house as the header snippets will show. (i pulled both raw email files from the /var/spool/postfix/deferred/ to examine) It appears and I'm only guessing cause I'm no expert but someone from the outside is trying to relay a virus/spam through my smtp with some sort of back door in the coding of the from header. Both e-mails in the queue look like spam and have a MIME attach that looks virus like.

    I am trying to use SirAdmin to delete them, but I always get Permission Denied when I do that.
    I am using my admin user to login to the server with SirAdmin.
    How can I get rid of these folders?

    Don't use your normal admin user for this - create a "siradmin" user (specific name not important). I cannot remember though why this was the advice - so maybe redundant now.
    Add that admin to /etc/imapd.conf so that 'admins' line reads like...
    admins: cyrusimap siradmin
    After logging into SirAdmin, select the shared folder and add an ACL for the siradmin user, with ALL permissions. Then delete the folder. You have to give the user delete permissions before being able to delete it, strange but true
