SharePoint 2007 Workspace...Archive Agendas

Greetings, thank you for looking at my post.  Situation is I have been given until the end of the week to archive an old meeting workspace (contains 2 years of meetings but has not been used for a year).  Archiving the document libraries is OK,
it is the agendas that I can't figure out a good way to archive.  What wouold be ideal is the ability to export the agendas to a different format such as excel or pdf.  What I am hoping to avoid is going through each indivicual agenda list and
exporting...
Any suggestions that you have would be much appreciated.

perhaps you can try these steps for testing:
1. Created a site with the ‘Basic Meeting workspace’ template
2. Added 4 new Agenda items, two of which had the ‘Owner’ field set to ‘ariz’
3. Created a custom View ‘View Standard’ & set a filter to Owner : ariz– only two items were displayed
4. On the filtered items displayed clicked on Actions > ‘Export to Spreadsheet’
5. Opening the IQY file in Excel 2007, we got the correct result – only 2 items were exported
there is a by design issue here, for example:
1. In a Team site, clicked on the Calendar on the Quick Launch bar
2. Created a New Item and created a new meeting workspace for it using the ‘Basic Meeting workspace’ template
3. Added 4 new Agenda items, two of which had the ‘Owner’ field set to ‘ariz’
4. Created a custom View ‘My View’ & set a filter to Owner : ariz – only two items were displayed
5. Went back to the team site & created another calendar item
6. Linked it to the meeting workspace created in step #2 above
7. Added 4 new Agenda items, two of which had the ‘Owner’ field set to ‘ariz’
8. Created a custom View ‘My Second View’ & set a filter to Owner : ariz – only two items were displayed
9. On the filtered items displayed in the custom view, clicked on Actions > ‘Export to Spreadsheet’
10. Opening the IQY file in Excel 2007, we got 4 records – all the agenda items whose owner was ‘ariz’ were exported
This shows that if we have multiple agenda items on a workspace then the filter set in the custom view is not fully respected; however if there is a common parameter like Owner: ‘ariz’ then all the items corresponding to that filter would be exported.
because:
- the items in the lists (agenda or objectives) are filtered depending on the InstanceID (set in a cookie) when displayed in the site
- there is one hidden list called “Meeting Series” into object model, which will store all the meeting Instance ID, so we need to take each meeting Instance ID from hidden list
- each occurrence has a instance ID; when exporting to spreadsheet it exports the whole list without any filtering
- it is not possible to filter the data that is exported to the spreadsheet.
- we cannot create a calculated column referencing the InstaceID as this data type is not permitted in a calculated column.

    It seems you installed mixed version Office2007/2010/2013 on your client machine?
    I would suggest you remove all Office 2007 and 2010 version, and reinstall Office 2013(include Office Tools->Microsoft SharePoint Foundation Support component) on your machine, and make sure "Open SharePointDocuments class" add-on is enabled
    from IE11, then check if it could fix the issue.
    If above works, please test again after installing the Office Communicator 2007 r2 on your machine.

  • Office 2013 cannot open documents from SharePoint 2007 with IE 11.

    One of my client cannot open word documents (office 2013) from SharePoint 2007 with IE11.
    Are there any compatibility issues among Office 2013/SharePoint 2007/Internet Explorer 11?

  • Sharepoint 2007 as content server for DMS?

    Hi,
    Knowing Sharepoint 2003 is not able to act as DMS content server.
    Does any know if the new Sharepoint 2007 has this function to act as DMS content server?

    iam also coming across the same requirement where in client is already using SharePoint as a common document Managing software,
    in your Case as You have solved the Problem, did you buy a new server and installed content servewr in it, and integrate it to Share Point server?
    or did you use the Same existing  share point server to install content server on it,
    i guess in that case there will be duplication of all the Original files,
    one, the original file is Available in the Share Point server. and Secondly, the same original file is checked in into the storage catagories if the same share Point server is defined as Storage medium for SAP DMS, ie same Share Point server acting as Content or Archive server.
    please help me in Understanding the things clear iam little bit confused,
    Alternatively to access the Documents in the Share Point server and Store the same original File in the Content server (or it can be the same SharePoint Server acting as Content server(installing the content server CD on the Share Point server)). can we go to create 2 Datacarrier and Datacarrier types,

  • Tools for load testing SharePoint 2007

    Please advice a tools, which i can use for load testing a SharePoint 2007. We had one issue with performance and want now to detect a reason. So i need to simulate a load testing with 500-600 users for one SharePoint page.
    I have found some information, that i can use a Visual Studio Test Edition, but my level of MSDN subscriber has just a Visual Studio. May be there is another free tools for this...

  • How can I filter a Sharepoint 2007 libarry list based on current user login?

    Hi all.
    I would like to know how I can filter a SharePoint library list based on current user login.
    Suppose I have created the followings:
    1) A SharePoint form library containing bunch of uploaded InfoPath form data.
    2) The InfoPath form template contains a promoted text field called "TargetUser" to store user domain login (ex: DOMAIN\JOE) and every InfoPath form file in the library has a valid domain name stored in the "TargetUser" field.
    I have created a custom view for the form library and would like to filter this view so only items whose "TargetUser" field matches current user's login ID are displayed.
    I went to Edit View page to customize the view and tried to use the [Me] function but I got a "Filter value is not a valid text string" message instead when clicking OK. Apparently [Me] returns a Person/Group data type and the filter cannot compare its value
    to that of "TargetUser".
    I tried using text functions (ex: TEXT([Me],"") hoping to extract default string value from [Me]. The filter accepts the parameter without any error but the resulting fitlered list does not display any items at all.
    I have googled this subject for hours but I have not found any solution.
    It would be greatly appreciated if anyone can help me to create a functional filtered list.
    FYI, my SharePoint 2007 installation is just WSS 3.0 + Form Server. I do not have MOSS 2007 (so no MOSS 2007 web parts or web services).

    Here's what I usually do in order to accomplish this.  Ultimately you'll need to have 2 different fields.  There's the one you already have, with DOMAIN\username stored in it.  Then you'll need an additional field as a "person" column type. 
    Call it "TargetPerson" or something.
    Create a sharepoint designer workflow that runs each time an item is created or changed.  One action:
    Set FIELD to VALUE.
    The first FIELD is "TargetPerson", the VALUE is your "TargetUser" field. 
    Once this is done, then the person value is stored in the person field.  This is the field that you can filter by "TargetPerson" is equal to [Me]

  • Sharepoint 2007 - Creating a form to capture timesheets data, but need to track updates to previously submitted data

    Hi,
    We are using a basic version of Sharepoint 2007 and do not have access to InfoPath. I have created a list to allow team members to submit their weekly time on specific activities.  How do I go about tracking any changes to previously submitted data?
    For instance, a team member enters 5 hours for Activity 1 and submits on April 1.  on April 10 they realize they submitted too few hours and want to go in to edit the 5 hours to 12 hours.
    From a reporting perspective we already pulled a report (export to excel) and have the 5 hours listed for April 1. If the user goes in to edit their time sheet from April 1, we don't want the data to just override the 5 hours, we want some sort of flag to
    show the hours went from 5 to 12 hours.  How do we do this?
    As a work around, I added a question at the beginning of the survey/list asking is this a new submission or an edit. I thought if they select edit and were taken to a screen that allowed them to select the date (April 1), the activity and the new hours that
    I would have all of the previous data plus these 3 columns with the additional data: "Edit", "Activity 1", "12".  Instead the original data was over written and all I show are blanks for the previous questions and the edited
    info ("Edit", "Activity 1", "12").
    What suggestions do you have so that I can maintain the integrity of the original data and flag for my Project Manager which data needs to be changed in previous reports.

    I think the best way to answer your question would be to create a simple form and try various submissions. Be aware that unless the e-mail system is controlled, e-mail submission is not recommended due to client configuration issues of e-mail. Your question sounds like online submission would already be something you are comfortable with. In that case you can submit form data in 3 different ways: HTML, FDF, or XML. It can also be submitted as a PDF by saving the form, but that does not sound like what you need and also gets into issues of whether folks are using Reader or Acrobat.
    Also be careful (or try both) about using forms from within Acrobat and the forms created by the link in Acrobat to Designer. Once you go to Designer with the form you can not come back for editing in Acrobat. Normally you would create the basic form in a word processor or layout tool and then add the form fields in Acrobat (or Designer if that is preferred).
    I will let others address the anonymous and yet confirmation check issue.

  • SharePoint 2007 (WSS 3.0) migration to SharePoint Foundation 2013

    I have a requirement to migrate a SharePoint 2007 (WSS 3.0) farm to a SharePoint Foundation 2013 farm. The WSS 3.0 farm has SQL Server 2005 Standard running so no restrictions on the size of the content database. The SharePoint Foundation 2010 and 2013 farms
    will share the same SQL Server 2012 Standard instance (as I know WSS 3.0 will have to be migrated to 2010 before 2013). I also have two other WSS 3.0 farms (so three WSS 3.0 Farms, lets call these A (250GB), B (90GB) and C (60GB)) that I need to migrate
    into WSS 3.0 Farm A before the migration to SP 2010.
    My question is, can I migrate a 400GB WSS 3.0 site collection to SP 2010 or will I have to split this into separate site collections? I have read that there is a best practice limit of 100GB per site collection but this does not stop a larger migration from
    happening. Obviously over time when the migration has completed to SharePoint Foundation 2013 the single site collection will grow and grow so perhaps now is the right time to split this out into, say, year named site collections, but surely this will incur
    an end of year process to create new site collections and a custom dev headache due to different locations to send newly created sites?

    The answer is Yes, and you are correct about the best practice of a limit of 100GB,
    although, document and record centers (e.g. non collaborative) can go much higher.

    That being what it is, your sites will perform better if you find a topology that allows the content databases to be under 100GB each.  You can use Move-SPSite to accomplish that feat.
    You'll want a separate instance for 2010 and a separate instance for 2013
    and finally, put some quota's in place and then governance document\statement that informs users that 100 GB is the max for any given site collection that uses collaborative features (calendars, lists, workflows, etc.)
    The simple path is explained on technet, go from 2007 to 2010 (you can inplace upgrade if you want) then go from 2010 to 2013, database detach and attach is only way.

  • How to auto populate data from one list in SharePoint 2007 into another list based on a key value?

    As a part of new requirement in my project I am supposd to work on SharePoint 2007. I have one List (BCExtract - Main list) with all data related to an Application (like ID, name, app manager RTO etc).
    I have created another list which has form to be filled by a user (with details about his/her applications). My requirement is that when the user enters AIT ID then the page should refresh (probably after hitting enter) and other details like Application
    name, RTO etc which is present in another list gets auto populated depending on the AIT ID (unique column) entered so reduce the burden on the user.
    Please suggest me how this can be done. I do not have permission for obtaining SharePoint Designer and I do not know JQuery. Infopath is ok but if this can be done through SharePoint 2007 alone then it would be great.

    You can either use jquery/jaavscript or infopath form to achieve this. There is no default way to do this.
    I would suggest jquery because you can put script in newform/editfor.aspx page using content editor webpart. Refer this link for jquery:

    If you use infopath form, then you need to create two data connection to get data from both lists. Later you can set value in fields based on selection using rule. This can be possible without code.

  • Urgent : proc_MatchSchedSubscriptions blocking SQL process (and so SharePoint 2007). Event log is managed by this procedure and contains millions of entries

    We have an intranet platform with 8000 users on SharePoint 2007.
    We currently have issues every day around 9am or 8:30am : The intranet is not responding (white page loading during minutes) until we kill a process in SQL that is blocking every other process.
    The process that is blocking other calls a procedure called : "proc_MatchSchedSubscriptions"
    This procedure manage 3 tables :
    SchedSubscriptions
    EventLog
    EventSubsMatches
    We notice that the Table EventLog has 1.3M entries after 4 days (this table is cleaned every weeks right ?).
    This is a really an issue because if we don't kill the process, the intranet won't work at all. We have to do that almost every morning.

    Assuming that you are on the latest SharePoint patch level, I would recommend opening a ticket with Microsoft. Any edits to the SQL databases will result in your environment being in an unsupported state.

    Increased Batch Size from default 1000 to 32000, still that error.
    Thought, this was List size problem, but small lists still do not export.
    Also, the same lists perfectly export from SharePoint 2010 using the very same component.
    Any solutions for this error ?

    The reason was the  difference in List's names on web portal and the name of list itself.

  • Master Page Gallery contents renders in old Sharepoint 2007 style after upgrade

    I have a site collection that is still rendering the Master Page Gallery items in the Sharepoint 2007 style instead of the Sharepoint 2013 style, and I can't pinpoint where this is coming from.  I'm sure it's from a resource that was customized some
    time before our Sharepoint 2010 upgrade, preventing the view from upgrading properly at this point.  I'm looking for advice on where to look to get to the root of this issue.
    Possibly other libraries are affected, but it is most apparent in the Master Page Gallery.
    Here's what the items should look like in Sharepoint 2013.  In html, the item name column dropdown menus are populated with div elements, and it has a blue background dropdown arrow when hovering over it.
    Here's what this site collection renders.  In html, the item name column dropdown menus are populated using table elements, and it has a solid border with a different dropdown arrow when hovering over it.
    Functionality wise, this is preventing master pages and page layouts from being checked in and checked out and approved from this view.  I'm only able to do these changes using the sitemanager page for this site collection right now.
    Other information:
    - There are other site collections and web applications in this same farm that are not affected, so I don't believe it is a modification made in the hive files
    - I've tried making new views of the master page gallery with no success
    - I've compared the contents of the AllItems.aspx form in this collection with the AllItems.aspx in a working collection and could not find any difference.
    - I suspected that the ListViewWebPart is not current, but I can't find where I can check on this and possibly reset it to site definition.  I reviewed all webparts in the _catalogs\wp gallery but can't find a webpart in there that is named ListViewWebPart.
    So, the million dollar question is where else should I be checking to get to the bottom of this?  Thanks!

    For your issue, you can view the Upgrade Status page in Site Settings to verify that upgrade has succeeded for a site collection.
    To view upgrade status in Site Settings 
    1.Verify that the user account that performs this procedure is a site collection administrator.
    2.On the Site Settings page for the site collection, in the Site Collection Administration section, click Site collection upgrade.
    3.On the Site Collection Upgrade page, click Review Site Collection Upgrade Status.
    4.The Upgrade Status page for the site collection is displayed.

    Also you can  go to _layouts/15/reghost.aspx (Site Settings -> Site Actions -> Reset to site definition) and reset the master page gallery to site definition version.
