Sharepoint 2010 Designer workflow Custom Task Form

Hello,
could you please help me to customize the WF Task form using SharePoint Designer?
My requirement is to create the SPD 2010 WF with custom task form where i can add the controls as per the form requirement and I need to add Attachment control too to upload the file on Task Form. 
Could you please advise me that how can I achieve it using SPD only (Without Infopath form)?
(Through Infopath its pretty easy to customize the Task Form, but I need to customize it through SPD only)

Hi Santosh,
For your demand, you can  change the workflow task form to aspx pages and than customize the page .You can edit the content type created by the workflow to use the aspx pages :
Publish the workflow and it will have the task form created .The form name will be like Approval_x0028_25_x0029_.xsn .
The content type created by the workflow will also have the name Approval_x0028_25_x0029_.
Open the Tasks list in SharePoint Designer .Find the content type Approval_x0028_25_x0029_and edit it .
In the Forms section ,you can change the display form and edit form to be aspx pages for the content type  .The workflow task will use the aspx page .I used the default task forms in my test and the URL is like:/Lists/Tasks/EditForm.aspx.
Save the changes .

    Hi all of the above work, our question is how to control the RTF (Rich Text Field) look up values to the InfoPath 2010 form in the HTML email?
    How to FORMAT the RTF look up value? in the HTML email
    EXAMPLE
    we have a InfoPath 2010 form published in the SharePoint 2010 custom list library there are 5 RTF fields (Notes1, Notes2, Notes3, Notes4, Notes5) there are other plain text fields, date fields, and other field types in the form
    We use a HTML table to make the email look like the InfoPath form, so when the users fill out the form and they get the email notification everything looks the same.
    Our problem is the EXTRA LINE SPACE in the RTF look up values
    We want to remove any leading spaces, and line spaces between HTML table cells
    Our Workflow has the HTML in a Workflow variable, as you know it does not support remote CSS it has to be in-line style for any formatting we want all cells to have
    valign="top" the email should align at the top of the cell, all field types do except the RTF look up values they make the email look bad and they contain a lot of white space.
    Please test this in your enviroment

    there are some notes that perhaps you may check:
    Use the same font for all the controls to ensure consistent spacing between rows.
    Choose Size from the Format menu, and then choose To Fit from the menu that appears. This adjusts the size of each control, depending on the font set for the data that appears
    in the control.
    NOTE: The Print Preview and Output To commands use different algorithms for calculating text width; therefore, the text may occupy more or less
    space in the RTF file.
    Reduce the amount of blank space above and below the report controls. Any vertical
    space between the controls is converted to whole lines
    in the RTF file. For example, a
    space of .02 inches can increase to .1667 inches in the
    RTF file.
    Make sure controls on the same output row are not too close to each other or overlapping. This can cause the Output To command to omit the controls or to align the columns incorrectly
    in the RTF file.
    Use the Align command from the Format menu to ensure that a row of controls is aligned properly on the report. If a row of controls is not aligned properly, the Output To command may place the controls
    in different rows, causing extra blank
    spacein the RTF file.

    Does anybody know sharepoint 2013 designer workflow custom sendemail activity. Current OOB sendemail action from designer workflow cancels the entire workflow when sendemail fails.

    Hi Amit,
    What error did you meet when you used the OOB ‘Send Email’ action?
    I suggest you fix the error rather than creating a new workflow ‘Send Email’ activity.
    Of course, you can also customize a workflow activity to send email, there are two acticles about creating a custom workflow activity for your reference:

  • SharePoint 2013 Workflow Custom Task Form

    Hi..I am working on SharePoint 2013 workflow using visual studio 2013. In this workflow, i am creating tasks and i want to make a custom task form.
    My workflow contains serial tasks. When each user approve, he should specify the next user.
    I have added a custom content type and assigned it to my tasks but all i can do is taking the outcome from the task form as integers.
    I want the user to approve and choose another user so i can assign another task to him.

    I believe what you're looking for is the Collect Data from User function, however I don't see that anywhere in a 2013 workflow. This did exist in 2010 workflows.
    What you can do is to change this to an InfoPath form and run the workflow that way, assuming there isn't anything you absolutely need Visual Studio for.

    Can SharePoint 2010 designer be able to move a file from one library to another using workflow?  I tried to use the copy list item but it won't show my destination library.  I prefer not to use the 3rd part workflow like

    Hi Brain,
    From your narration, I undersatnd that you want to move document to another library across site or site collection. However,
    the copy list item action is used for coping list item to another library or list in the same site, so you can’t achieve it through ootb workflow action. So to move document to another library across site under the same site collection, then you can use site
    content and structure. If across site collection, then I suggest you use that the 3<sup>rd</sup> part workflow action.

  • SharePoint 2010 Designer Workflow - Pause Until Fails Succeeds

    Hi,
    I have created a SharePoint 2010 Designer list workflow, which contains a step to pause until date time.  My issue is this step works inconsistently, sometimes it will execute after few hours some other times it will fail.
    Given screen shot is a case which execution delayed.  Pause until set 4:10 pm but worked at 2:46 pm only.  Please advice.

    There seems to be some issues in your timer job , you can use STSADM to view the status or activate the job if not active as explained here(STSADM should works for 2010 also) -

  • Help Renaming Workflow Custom Task Forms

    I've got a custom workflow which has a few "Start Custom Task Process" actions. When I created them, the default names were Task (1), Task (2), etc. But I have renamed the Task within the Workflow. When I look at the Form's section of my Workflow in SharePoint
    Designer, the File Names for those forms are Task_x0028_1_x0029_.xsn, Task_x0028_2_x0029_.xsn, etc. I can open the Form's in InfoPath and do the editing I want to, but I cannot get them renamed on the SharePoint server.
    I've tried going to the Task Lists from within the Workflow via Customization>Open Task List, and then renaming them from there but that doesn't work. I've also tried renaming the actual file via Navigation>All Files>Workflows>Workflow Name but
    that just breaks the link to the form when the task is executed.
    Does anyone have any suggestions on how to rename these and have them show up with the proper name within the "Forms" section when working on the workflow?

    I've found that when creating a "Start Custom Task Process" action -- the task is given a name, which by default will be "Task n" ... Even after renaming it --
    prior to saving/publishing -- the name of the XSN file will be "Task_x0028_n_x0029_.xsn" and the name of the content type is still "Task _x0028_n_x0029_" -- which isn't ideal ....  in large organizations with multiple workflow taks, this can get
    really hairy, really quick. 
    While there are no errors or conflicts -- if these can't be renamed, they might as well be referenced by GUIDs and not have human-readable names!
    Fortunately, the tip from Dennis at the bottom of this post describes perfectly how to rename the file by the back end .... it likely isn't for the feint of heart, changing the XML file [doing so inproperly can break the workflow] -- but it does work. 
    In addition to that tip, I'd recommend revising the name of the content type from Site Content Types -- this can be done from the UI and there's no need to edit the wfconfig.xml with the changes.
    EDIT:
    One more thing, the  "Copy & Modify" function within SharePoint Designer which can be used to make copies of workflows -- when using this function, the custom task will be created as  "Task (n) copy" and will need to be renamed.

  • SharePoint 2010 designer workflow assoicated tasklist not showing columns added by collect data

    Hi,
    We had a SharePoint designer workflow in production. This is a reusable workflow, and this workflow uses collect data action to get some of data from users. Through collect data action, we added 7 columns(default task list), which have been used in logging,
    email template and other places in the rest of the workflow.
    Suddenly we find all the references to task columns(added through collect data), are not showing up in the workflow. If we try to add those collect data columns, it is not showing in "Field from Source" field as shown below.
    Here Association Tasklist field are not showing.
    If we again try to select columns, we find that all the columns that we added through collect data
    no longer visible in associated task list.
    Please help.

    Please can you confirm which version of Outlook your users have (and if they are all on the same version)? All my none 2007 users lack the Edit Item button, and have to use the links in the body of the email, which I believe is simply due to the fact that
    2003 et al lacks the same SharePoint integration options as 2007.

  • Cannot update due date in SharePoint 2010 Approvel Workflow generated Task

    Wondering why due date cannot be changed by users with List permissions on a Task which was generated from the built-in Approval workflow.
    I can have the workflow set the initial due date. The business process dictates that at times the due date need to be updated on the Task before they are completed (shift to the right or whatever).
    The column settings for the due date field do not seem to be set as read only??? why can the not be updated by users/admins?
    If the due date must be updated by a workflow how can a workflow be manually be run...like an administrator business process feature?
    BTW...this project mandates that all processes are run with OOB settings (codeless).

    Ok, found the answer to this on another post: click on the workflow status field of the workflow that generated the tasks. Then click "Add or update assignees". Very nice!

    Beside the way you mentioned, you can also try to reassign the task from the task list directly. Thus you can enter a new duration for this task and SharePoint will generate a new task.

    My form work fine, but when I make changes and republish it, it doesn't update (I see old form). What I tryed:
    IISReset
    Clear all cookies and cache in IE
    Retract solution, restart VS2010, reboot computer.
    Change assembly number, guid.
    I have no ideas, what can I try for republish my form with changes.

    PS: sorry for my writing. English is not my native language.
    PPS: when I save new Form to new location and add it to the project, it works.

    I've found how can I republish changes. But it seems more like crutch than solution, but it works:
    After republishing InfoPath form, I delete file from project (DEL on ApprovalForm.xsn in Solution explorer) and after it add it again. (Add/Existing Item). And then redeploy! Hurray!
    Is there any way to redeploy a Task Form directly on the server without importing it in Visual Studio again? I am using some data connections in my task form which are different for different environments (staging, dev. etc.). Seems like I've to create a separate
    Workflow WSP file for each envrionment. Any comments?

    Hi Amit,
    If your task is created by a workflow (first) and stored in a separate task list, you can create another workflow on this particular task list, then each workflow instance would check if current task is expired (not approved/rejected), then
    determine if update current task's "Task Outcome" as approved (and update task status as complete), and then create a retention policy on this paricular task list to trigger the workflow on due date .

    Based on the error message, I recommend to check if the user with issue has user profile generated in User Profile Service Application.
    Please also check the ULS log for detailed error message and a screenshot of the workflow steps for further research.

  • Issue in sharepoint 2013 designer workflow kickoff

    We are facing issues in sharepoint 2013 designer workflow kickoff. When we kick off custom designer workflow using AD user with contribute/approve access, sendemail from task does not send an email. When we kickoff using administrator account task in
    the designer workflow sends an email. There seems to be multiple issues with kickoff. and it even does not give any error task gets created but send email does not work.
    Another issue in another approach-
    We are also not able to kickoff using one AD account which we are not login in everyday. If we kickoff using this account after 2/3 days kickoff says invalid state of object for that user. Once we login manually with that admin workflow kick off account
    again kick off starts. We do not want to let current user kickoff the workflow. 
    In both cases we are using new AD import in sp2013 and sync is done every 5 minutes.

    May be a permission issue, see whether the contributor  has enough permission to participate in the workflow.
    Also try to set Design permission to test and see whether that works.
