Sharepoint 2013 outgoing email Office365

We use Office365 for email, and Sharepoint 2013 is on premises.
We have the SMTP server setup and configured, the problem is that with Profile Synchronization in SP2013, Sharepoint seems to be using all of the users individual email accounts to send alert and workflow emails... so Office365 is rejecting a lot of our
emails because the users don't have permissions to send as the email we configured in our SMTP.
Are the options limited to disabling profile sync or granting every user send as permissions for that email address?
For the time being we have put all users in a group, and granted the sendas permissions for that whole group.
Any help on finding a better solution would be greatly appreciated.

In our SMTP we get badmail.
For example one of these badmail is and NDR from the postmaster to [email protected]  letting UserA  know that their message to UserB could not be delivered.

    I have configured the following for SharePoint 2013 Incoming email.
    CA - Incoming email - enabled
    Automatic and received mail from all servers
    email server display address:

    smtp installed on one SharePoint server and configured with
    defautl domain:  spservername.domain.net and alias domain: 
    spmail.domainname.net
    emails are receiced in SharePoint lists / library are working when incoming email settings using the default local smtp domain (spservername.domainname.net) but not working when using the alias domain (spmail.domainname.net).
    Can anyone advice of what I have done wrong or missing in my configuration?

  • SharePoint 2013 Workflow Email Reminder 3 month, 1 month, due date email reminders

    Hello, 
    I am trying to create a list workflow in SharePoint Designer 2013. 
    Basically, there's a column called "Revision Date" that will trigger the workflow to send a 3 month (before), 1 month (before) and day of email reminder (based on the date entered in the column "Revision Date").
    I step up the workflow using stages for the 3 month before, 1 month before and actual revision date.
    Example, if I change the item's revision date to today (4/8/2014), it will trigger the last part of the workflow and send an email saying that the Procedure is due today (and logs in the history that "3 Month Reminder NOT Sent" and "1 Month
    Reminder NOT Sent").
    If I enter the item's revision date as 3 months before (ex. 7/8/2014), it will start the workflow and send an email saying that the Procedure is due in 3 months (and logs in the history "3 Month Reminder Sent" and waits for the 1 month reminder
    date to push forward with the rest of the workflow...)
    However, if I set the item's revision date to 1 month before (ex. 5/8/2014), it will send the 3 month reminder email then the 1 one reminder email. I can't get it to skip the sending of the 3 month email and use the "Else" is Stage: 3 Month-- <Wait
    for 1 month date (Vairable:Date4) then log "3 Month Reminder NOT Sent">.
    Any ideas on what I am missing to trigger the Stage: 1 Month without sending Stage: 3 Month first?

    In case anyone is looking for the same information...
    I was able to simply "fix" the workflow by adding a loop and a 30 day pause.
    So the workflow will now "pause" until the variable date then send out the email reminder which then then repeat every 30 days until the actual revision date.
    Seems to be working in test.

  • Configuring outgoing email on premise other than port 25 in SharePoint 2013

    hello,
    I tried everything to get email alerts, but emails are not coming. I tried changing port number in IIS6 . I followed and saw many different articles on net to configure outgoing email settings.     , still emails are not coming. What am I missing here?

    Hi,
    According to your post, my understanding is that you wanted to configure outgoing email on premise other than port 25 in SharePoint 2013.
    As the article said, there wasn't a way for SharePoint to select the outgoing port.
    The workaround is to send Emails to SharePoint Server OS itself over port 25, and then Windows server  SMTP in turn route the Emails to Microsoft online over port 587.

    For Host Controller Service error- This seems to be a search error, are you sure you are referring correct error from log ?. For this error you can try -
    - Please try to restart "Search Host Controller Service" from central Admin site -services
    - Restart Timer service at server
    - Replace node.ini from working server to your server  - as explained here -

  • SharePoint 2013 on-premises integration with third party email account

    the Email sending issue from SharePoint is causing too much time waste 
    First let me explain how our SharePoint is deployed
    Sharepoint version : 2013
    Deployment type : on-premise
    Authentication : from Domain controller also hosted locally 
    domain name ; say domain.com this domain.com is same as our website address hosted on godaddy
    SharePoint computer name on local DNS :  sharepoint.domain.com
    OS and IIS : 2008 r2 , IIS 7.5 
    Network firewall : 25 26 ports  opened for sharepoint , both incoming and outgoing.
    Server firewall : turned off
    Email configuration Attempts by IIS 6.0 
    We tried following setting on IIS 6.0 SMTP local server properties
    In General tab
    qualified name was shown as : sharepoint.dts-solution.com
    IP assigned : sharepoint server IP  , advanced putted two entries of IP with ports as 25,26
    In Access tab
    Authentication : selected as Anonymous 
    Connection : All except below list : empty list
    Relay : only the list below , one entry as 127.0.0.1 and other is local static IP of SharePoint server
    in Delivery tab
    outbound security : Basic authentication : accessed user in AD and given the right password, also checked with annonymous -not working 
    outbound connection: all default values and port = 25
    Advance : fully qualified domain name = sharepoint.domain.com , DNS test showed success, rest every check box unchecked 
    On sharepoint central management settings
    Outbound email = sharepoint.domain.com
    from and reply to address = [email protected] 
    IIS 7.5 SMTP settings 
    In IIS 7.5 sharepoint application we added SMTP settings as smtp server = godaddy out going smtp , user name as [email protected] , password = godaddy password , port : godaddy outgoing port  .
    Godaddy account 
    Our website hosted on godaddy with same name as domain.com
    open relay not possible on emails.
    Results
    After setting alerts on SharePoint sites and assigning tasks with alerts we receive email in queue folder but they never get forwarded. We just wish to use any of our email *.domain.com to send outgoing emails from SharePoint . Its been a while we have no

    As I understand, you are using SharePoint 2013 integrating with third party SMTP server which provides email function.
    From SharePoint side, I'd suggest you refer to the link below to configure email integration:

    If you have already confirm that message is sent from SharePoint, while stuck in queue on SMTP server, then the issue might be related to relay on SMTP server. Since the issue is related to third party product, we do not have enough resource here,

    We wish to integrate our on premise SharePoint 2013 notifications and other related stuff with our Domain emails hosted on GoDaddy servers. 
    We are unable to find the related support content on internet.
    We have integrated email via SMTP with our outlook already. So far my understanding is that we have to add SMTP settings in IIS Sharepoint Application and then adding these settings in Central admin settings.

  • How to Construct the Email To activity in SharePoint 2013 Workflow

    I have a created a custom workflow and custom association and initiation form using SharePoint 2013.
    My Assn. form is fine.  I pass in the people picker (Active Directory group) value to my workflow just fine.
    Now on my Init form I use the passed in value from people picker and display a list of users and email addresses from the people picker group.  The list of users and email addresses are listed in a table with a check box to the left of each row. I am
    using JQuery, Knockout and MVC web service to retrieve the values from the group.
    All is well.
    Now my users pick who they want to send the email to.  Let's say they pick two users!
    When the user clicks the submit button, I have JSOM code which starts the workflow and sends in the 2 users email addresses as an argument to theworkflow.
     Note:  I tried sending my two emails as a collection and failed.  So i converted it to a string.  The variable is called strUsers.
    Since the argument is a string and Email Activity requires the To attribute to be an array, I use the BuildCollection<String> Activity to convert my string to an array.
    Now in my workflow I use WriteToHistory Activity to write out my BuildCollection variable (recipients).  Here's what is sent to the workflow history... [email protected];joejones@yahoo,com)  Note:
     Both names are bogus and I'm not Joe Jones.
    I then configure the email Activity and set to To property to my BuildActivity variable (recipients).
    When I deploy my Visual Studio 2013 solution, and attach my workflow to a publishing page, I am getting this error after I submit the Init form.
    An unhandled exception occurred during the execution of workflow instance.  System.ArgumentNullException.
    Does anyone know of an example of how to set up the Email To collection value.
    Note:  I tried using comma and semi-colon for my string (strUsers).  Neither worked.

    Out of the box , You cannot set alerts for SharePoint group. You may try -
    1- Create a group in active directory, add users to the ADgroup. Add that ADgroup in Sharepoint and configure alert.
    2- You can set up a new user and change their email to that of a distribution list, and then assign the alerts to this user.
    3- You can create a custom workflow/action or event receiver that will send an email to a distibution list or programmatically traverse the SPGroup's members and send them the notification email, whenever an item is added or changed.
    4- You can try this , this was for WSS3 -

    Email attachments from SSRS email subscription are not being uploaded to an email enabled SharePoint 2013 document library.
    I have tested the library using a standard email (with attachment) to the library and this works fine. 
    I have monitored the drop folder on the server and I can see both emails being picked up in drop and processed by SharePoint.  The email sent from a regular email account is uploaded with the attachment, whereas the email sent via SSRS subscription
    email is uploaded and the attachment (report) is missing.

    An update on this.  The email when sending from SSRS subscription is received in the library and the attachment is contained within the .EML file uploaded.
    The behaviour that I would like from SSRS subscription emails are to just have the document and not the email.
    Below is a snippet of the .EML files I quick copied from the Drop folder.

  • Emailing external user using a workflow in Sharepoint 2013

    I am currently trying to create a list where the user can upload a document, input an email address (external) and an expiration date. I then have a workflow that will send an email on the expiration date. The problem I am getting is that Sharepoint 2013
    doesn't like emailling externally.
    22/01/14: I have since found that this isn't a problem with exchange, as Sharepoint is trimming the addresses out of the original workflow. Does anyone know how to stop this.

    Side question - I need to configure incoming email; since I have multiple WFE Servers & APP Servers and based on Q&A at the link below (is the hotfix part of the December cumulative update 15.0.4551.1511 or I have to apply it separately)?

    Note that the SPLockJobType will be changed to Job in the December 2013 CU for load balancing purposes.

    It is not recommended to run Incoming Email on more than one SharePoint 2013 server due to a synchronization issue Microsoft identified (hence the job lock type change).

    As of the December 2013 Cumulative Update, you can have more than 1 server in a SharePoint 2013 farm running the Incoming Email service as the LockJobType was changed back to None. The change is part of the Dec 2013 CU.

    Not with the out of the box functionality. So for things like Alerts, you'll be stuck with the farm or Web Application outgoing email address.

    I need to save a copy of an outgoing email from SharePoint Server 2010. So is there any option in SharePoint to save a copy as audit or do we need to write custom thing for this? Any idea how to achieve this .  pls share your thougths  if you done

    One thing to note - there's a limit if you are using SharePoint Designer workflow to send the original email - it cannot email back to another SharePoint email-enabled list. You are  'protected' from yourself.
    We had an instance where I needed data to cross site boundaries in a site collection, and I had to do it through workflow. So our 'hack' was to email another Exchange mailbox set up specifically to relay emails. That mailbox had a rule to forward the email
    back into SharePoint.
    Terribly clumsy but it works. A SharePoint workflow email cc's the Exchange mailbox, which then forwards the email back to an email-enabled discussion list used as an email store.
