Sharing a numbers file

I have a numbers file and I'd like to allow two or more people to make changes to it at the same time.  Any suggestions?

If you share link via iCloud then the recipients can work on it simultaneously through their (PC or Mac browsers) at icloud.com. 
They can also download the document through the Tools menu, but then they won't be able to all edit it at the same time.

  • Sharing a numbers file with joint apple id

    I want to share a numbers file between my iMac in my user account, my wifes mac mini in her user account and my wifes iPad.
    I thought the way to accomplish this would be to create a second joint apple ID that is used for sync'g documents in iCloud. Niether of our existing Apple ID's use documents in iCloud.
    I assumed that with the joint ID created I should sign out of my Primary ID on my iMac and sign back in using the joint ID.
    However, it appears this doesn't work.
    When I start to sign out, in system preferences, I'm asked if I want to keep the contacts - response "keep the contacts". The next dialog says that if I sign out then the Calendars and Reminders linked to iCloud will be deleted from this mac. Not good.
    Can anyone suggest how I can get access to the Numbers file from the three accounts or educate me on what I'm doing wrong and what I need to do to get this working.

    How can one change a password for a numbers file shared in iCloud ? I have lost the password ...
    Unfortunately I cannot open the file now either on my Mac or from iCloud.
    Nothing in settings that would allow to reset password to a file.

    I would like to send a Numbers file, but every time I send it through email or upload to .mac the file is viewed as an archive file. Is there something in the attributes that needs to be changed.

    As every iWork's ones, a Numbers document is not a file but a package which is a special kind of folder.
    Several mail applications are unable to work with such objects. This is why we must pack them as archive files (most often .zip ones).

  • Why do my numbers files not email properly?

    Disclaimer: I'm fairly computer savvy and have a good amount of experience in using Numbers (mostly Numbers'09).
    I've recently encountered a new problem when emailing numbers (.numbers) files.
    They are not coming through correctly.
    This may be a "new" issue with the recent upgrade from Numbers'09 but I'm not sure since I have not had the need to send a numbers doc from one person/computer to another since the update to the new version of Numbers.
    Here's what happens:
    The file sends with no problem. I'm able to receive the file with no problem.
    I CANNOT OPEN the numbers document.
    When i receive the document it is not coming in the full size. For example: A document that is actually 324K in size is only being received as 8K.
         - I am unable to preview the document.
         - It appears to have no data
    In an attempt to self-solve the problem - I saved the file that I'm attempting to send as a "Numbers 09" version. I was able to send and open this successfully.
    The computer that I'm on/sending to/opening in, is running the current version and the SAME version of numbers as the other computer (version 3.2).
    I'm quite confused and have not been able to find a solution on my own.
    If anyone has run into this, has an idea or has a solution it would be HUGELY appreciated!

    I don't really want to switch my method of filing simply for sharing purposes.
    Perhaps a solution for now could be to revert a document to Numbers '09 before emailing?
    When Numbers 3.0 was released in November 2013, many people were stunned that a so-called upgrade had lost so many features. But slowly (through this forum working together) it became clear that Apple had provided several safety-nets.
    - Numbers 3 did not replace Numbers '09 on any computer. Numbers '09 was moved to a folder named iWork '09 inside the Applications folder. It still works on OS X Mavericks just as it always did on previous versions of OS X.
    Numbers 3 did not replace the icon on the Dock. That icon continues to point to Numbers '09.

    - Documents and templates created in Numbers '09 will carry many of the "lost" features into Numbers 3.
    - A document "stolen" by Numbers 3 can not be opened in Numbers '09. Numbers 3 has Menu > File > Export To > Numbers '09... to revert that document. However, reverting a document created in Numbers 3 will not magically install lost Numbers '09 features. They are gone (for now).
    - Numbers '09 and Numbers 3 run happily together at the same time. Just be sure which version you use when opening a document. Use Menu > File > Open or Menu > File > Open Recent.
    With each update (Numbers 3.0 to 3.01, 3.1 and now 3.2) many features have been restored. They may now live under a different menu, button, or Inspector (Format Panel).

  • Unable to open Numbers file in iCloud using Numbers 2.3 (iWorks 09)

    Using my iMac (OS 10.8.5) and Numbers (2.3), I am unable to open a Numbers file built on my iPad2 (7.1.1) and stored on iCloud. I get an error message indicating that I need to upgrade Numbers on the iMac. The version available to download on the App Store is 3.2.2 and seems to require Maverick to run. i don't really want to spend the money on either, but will if I have to obviously. (DISLIKE). Are there other options? And will the upgrade also force me into iOS 8?

    You will need Mavericks to use Numbers 3. I don't use iCloud right now but it seems some users are experiencing difficulties at the moment with the iOS 8 upgrade. To Use Numbers in iCloud you will need iCloud Drive which requires iOS 8 and Yosemite on the Mac. Yosemite is not out yet.
    I sync my Numbers files between my iPod and Mac using iTunes and file sharing. It is a little clunky but gets the job done. You can also email files.
    It has been said on these forums that Numbers 3 is a free upgrade- I can't remember. I don't do a lot of printing or find and replace and Numbrs 3 has suited me very well. It is said to be more applescript friendly and of course that whole cloud thing. '09 will still be on your computer.

  • Retrieve data from one numbers file and insert it in another?

    My goal is this:  I want to essentially link two numbers files.  I need data from several different tables in different sheets to automatically populate cells in a totally separate numbers file. 
    Here is why:  I have very detailed orders that all feed (link) to summary pages that are shared with clients.  I also need that same summary information, however, to feed to another file that calculates the margins.  The summary pages (sometimes dozens of pages) are critical for clients to see, but as you can imagine, the margins tables must never be seen by the clients. My preference is to have them be totally separate files so it eliminates the possibility of the margins table every being accidentally sent to clients.
    I'm wondering if applescript is the only or best way to accomplish this, or if there might be a more simple solution.

    It may be done with a script but as I have no info about the structure of the document and about which values must be passed, I can't help you.
    More, I doubt that you are sending the Numbers document to your clients because this app isn't widely used.
    My guess is that you print the file in a PDF.
    The number of pages in the PDF will dramatically change if you include the sheets containing the margins so, it would be easy to check if you built a wrong document.
    To do the trick with a script, it seems that the easiest scheme would be:
    duplicate the original file
    add the columns required for the calculations
    create the formulas and insert them
    copy the relevant columns
    paste them in the original document.
    I'm reluctant to work this way. The risk of errors is too big.
    Here is an alternate scheme.
    In your document, change the layout so that columns which are supposed to be seen by clients are contiguous.
    This way, you may easily hide the columns which you want to keep 'secret'.
    I don't know the way you are working but with a bit of luck, once the formulas are built, maybe you have no need to unhide the 'margins columns'.

  • Cannot save numbers file, permission denied

    Permission denied trying to save a spread sheet. Tried the repair permissions and nothing. I really do not want to reboot as I have spent too much ime working on the spreadsheet.

    Just ran into this same problem with Saving a pre-existing Numbers file under Snow Leopard / OS 10.6.8.
    Solution for me was to notice, in the Finder, that weeks ago, I had previously moved the problem Numbers file into a locked folder that I was using to protect its contents from accidental changes. (The file itself was not locked!) I had forgotten that I had done this! "Insufficient permissions" or "possible full disk error messages" on attempts to save it resulted.
    Try this: First, check if the problem file is locked in the Finder.
    Select the Numbers file that is giving you trouble in the Finder,
    then press Command+I to open its Get Info window
    In the General section (NOT in the Sharing & Permisions section) check to see if the Locked box is checked.
    If it is, Click it to uncheck and unlock the file
    Close the Get Info window
    If the problem file itself was NOT locked - follow this same procedure for the Folder in which it resides, as well as any folders above it in the Finder hierarchy.
    Actually, if you just OPTION+CLICK on highest folder in which the problem file is nested, you will open it AND open all its sub-folders. If ANY are LOCKED you will see a tiny padlock icon over its lower left corner. Just unlock them as needed and you should regain full access to your problem Numbers file …assuming your problem had the same cause as mine.

    Do you mean to delete them from numbers, or from the shared folder location in the upper right? The previous poster was addressing the second. If you want to completely delete something from the iPad, you must do both, the trash can icon when e current workbook is in front of the list, and swipe to delete from the shared folder list. It's two completely different locations.

    I tried reinstalling numbers aplication syncing with icloud but this is permanent.
    Last time i had use it i was sharing the file sending an email as an xml file.

    Thanks for your post. It set me searching again, as I had the same problem. And contrary to "most of us" I occasionally do use Numbers on Mac and Pad. It appears the problem is not with iOS. Files are uploaded smoothly from the Pad to the Cloud. The problem then is to download it from the Cloud to the Mac.
    And contrary to what Apple seems to suggest, this is not quite seemless. So it appears to be a Numbers/ OSX issue and not iOS.
    The solution I found on the support site was to connect the iPad via USB to the Mac and sync. In which case you may just as well disable iCloud for Number, unless you have more than one iOS machine.
    There appears to be another way to sync it, which comes halfway to the "seemless", as it does not require the USB connection.. It is presented as a sort of afterthought. http://www.apple.com/icloud/features/documents.html)
    1. go to http://www.icloud.com/iwork and sign in with your iTunes account.
    2. go to the Numbers file.
    3 access any file synced from your iOS machine, or drop the file from your iMac that you want to sync.
    Presumably the same goes for Pages and Keynote.

  • Large footprint of Numbers files

    I am new to both Excel and Numbers. Although I am geared towards using Numbers because I am already comfortable with Pages, after generating a Numbers file and Exporting a copy into Excel, here are the file sizes:
    Numbers - 147kb
    Excel - 52kb
    This is not really a problem except for when you need to email a Numbers only file.
    Is everyone else working with larger file sizes compared to Excel?

    It's perfectly logical.
    Saving the document created from the Blank template with no change creates a 92 Kb document.
    Every iWork 's document contains a huge set of datas which describe the object which, maybe, we will use one day.
    This why I sent this report to Apple's Bugs Hunters:

    About documents format.
    Just an example.
    At this time, a document created with the Word Processor's Blank template containing a single letter A is a 46596 bytes document (using the A4 paperSize).
    It's really awful !
    Every structures defining tables, TOCs … are stored in the document.
    Is it really useful to do that ?
    Why not install them during the iWork installation in
    Library/Application Support/iWork '09/
    with other shared resources and grab them only when we open the document (and of course carefully drop them when saving it).
    Doing that would reduce drastically the size of the documents.

    I transferred a numbers file to my iPad and made changes, added sheets, etc. Then tried to export the file back to my computer thru iTunes apps. When I opened the file on the Mac, none of my changes were in the file, plus the date on the file was like 1970. Anybody know what is happening and how to fix it? I have a lot of work that I am unable to transfer back to my Mac, which is the point, isn't it?

    did you hit the "export to itunes" from within the numbers app? There are two copies at one time on your ipad when transfered that way. the working copy in the app and the original in the "shared folder" that itunes sees. You must export to itunes from the app, then confirm to overwrite the copy already in the shared folder. now when you transfer from the itunes program on the desktop, you will see the new changes.

    That is sadly correct, unlike the Docs to Go I originally had on the Palm. There is another app I have, called Spreadsheet which will allow this although the process of transfers is not as direct. Air Sharing like D to G, also allows only viewing. Files of Files Lite is also just a viewer.

    Are you sure you don't still have Numbers from iWork '09 on your MacBook Air. My Mid 2012 does. To be certain you can look in the Applications folder to see if there is an iWork 09 folder. You can also use Spotlight search to see if it will find that Numbers as well as the current one.

  • I can no longer access a password protected Numbers file with the correct password. Error message only says the file "cannot be opened."

    Suddenly I cannot access my password protected Numbers file with the correct password. I have the correct password written down so I know I haven't made a mistake.
