Smart Album "Managed" doesn't behave as expected

Hello,
I have a smart album in my library that I use to track managed files ("file status = managed"). My expectation is to click on this, it shows me the files under library management, I select them all and then Relocate Masters to a folder in the file system.
This works well with one exception. Lets say I have a relocated image and I edit this in the external (PS) editor. When I come back to Aperture, I have 2 files in a single stack - the master which is relocated and the new version which is not.
When I select my Smart Album, I would expect to see the new version that was just created. However, it doesn't appear. If I go back to the 2 images and split them out of the stack then go back to the smart album, the version IS shown.
I clearly don't want to split all my stacks or micro-manage every new version I create. Is this standard behavior? Is there another way for me to achieve this?

This might work. Click the magnifying glass to the right of your smart album name. This will bring up the dialog box to set the parameters of the smart album. At the bottom left corner, check the box for "Ignore Stack Groupings". This should allow the smart album to search through all of the stacked photos and not just the images on top of the stacks.

  • Smart Album "Referenced" doesn't behave as expected

    I'm a little confused and hope someone can explain.
    I've decided upon a purely referenced model, keeping my master files on an external drive. I have setup a few smart albums that display: managed, referenced, and missing images.
    I am under the impression that all my images are referenced. So the following surprises me and I'd like to better understand what it means:
    When I select "All Photos", I see a total of 645 images.
    When I select my "Managed Photos" smart album, I see zero images (as expected).
    When I select "Referenced Photos" smart album, I see 35 images (not expected!).
    For the latter, the smart album is setup with: Include if ALL the following match: Rating >= Unrated; File Status = Referenced.
    When I go back to "All Photos", select them all, right-click and bring up the "Manage Referenced Files" dialog, it shows 630 files on my external hard drive and no other files identified. This suggests to me that 15 images are NOT referenced, but that doesn't jive with the smart album views above.
    Any help interpreting this would be appreciated.

    OK, I've found out my error.
    I didn't realize that when you create a smart folder, the 'smarts' only apply to the images in your current context. I.e., if you happen to have an album selected, then the smart album is created to only work on that album.
    I deleted my smart folders and started again by selecting "All Photos", then creating the smart folders.
    Now things are working as expected.

  • Is there a way to burn multiple smart albums to DVD?

    I just finished shooting a wedding.  I have made a number of smart albums for Reception, Dance, Ceremony, etc...
    Now I would like to burn all of these albums onto one DVD to send to the client.  But I would like each album to be in its own folder on the DVD.  I could go the long way and export each album into a folder on the desktop and then put them all in a burn folder.
    Is there a more automated way of doing this, such as a plugin maybe?  After a little searching I found BurnToDisc from Blue Room software but it looks like you can only select one album at a time to burn to DVD.  I would like to be able to select all 8 or 9 albums and have them burned in one operation.

    so unfortunately I was right. Smart Albums behave differently then regular Albums one of the biggest differences is the way Folders and Smart Albums interact.
    With a regular album if it is in a folder clicking on the folder shows the images in the album. With smart albums this doesn't happen, the folder doesn't show the images in the smart albums it contains.
    A few work arounds off the top of my head:
    convert the smart albums into regular albums. With the smart album selected and in browser mode click on the magnifying glass icon at the top right to open the browser filter HUD. At the bottom of the filter HUD is a button New Album with Current Images click it and a regular album with the images from the smart album will be created. Once you've done this to the smart albums the procedure I wrote should work.
    You could manually create the folders in the Finder and export each smart album individually to the corresponding folder you created.

  • IPhoto '11 - Create album of photos NOT in any Smart Album

    I've searched these forums and couldn't find anything to help me out.  I'm using iPhoto '11, and have converted all my albums to smart albums, primarily using keywords.  In my old scenario, using albums, I could create a "to file" album of photos that are not in any albums. 
    However, now that I'm using smart albums, there doesn't seem to be a way to identify a way of finding photos that are not in any pre-defined smart album? 
    Most of my smart albums rely on two or more keywords (ie. date and event), so I can't use the logic "if it has a keyword", that doesn't get photos missing from any smart album.
    Any suggestions on manual or automated ways to do this?  It would be nice to have a 'photo not in a smart album' criteria.

    No. A Smart Album is really a list of images found in response to a search. So you're looking for images not found by another search, and that's not a criterion for a Smart Album.

  • "Place is empty" Smart Album - not working as expected

    Hey just trying to figure out why when I make a Smart Album with the only criteria being "Place" "is empty" I get no pictures.
    About 10,000 photos in library, several hundred if not thousands have a "Place" tag under places.
    I would expect this Smart Album would display all of the photos I have not tagged with a place, or have no GPS data already.
    What am I doing wrong?

  • Screensaver based on smart album doesn't respect stacks

    Here is my issue. I want to select all my holiday photos to appear in my screensaver. I have done this by assigning them all a colour category and creating a smart album to select that colour then pointing the screensaver at the smart album. This works fine. The issue is that my photos are stacked to hide duplicate or similar versions. However, regardless of whether I select "stack picks only" or not, the screensaver uses all the photos.
    Strangely if I manually add the photos to an album, then it will only ever use the stack picks - the exact opposite behaviour to the smart album. This appears to be a bug as surely a smart album and a normal album should appear the same to external applications.
    A further issue is the screensaver seems to be weirdly biased toward certain photos. There will be perhaps four or five photos that come round over and over again (interspersed with others) until the screensaver ends. It's not always the same four or five, but some photos appear more likley to get 'stuck' than others.

    The screensaver photos in the album are accessed via the Media Browser. The Media Browser used two things to access your albums in the Aperture library - the Aperture preferences file, and the previews you have build. Changed settings in Aperture may not be visible until after quitting aperture to ensure, that an updated preferences file has been written.
    The Media Browser however does not respect the setting "stack picks only" - it will always use only the stack pick, independent of the setting.

    You can use previews to distribute your Aperture pictures in movies, on the web, on DVDs, in slideshows, and in podcasts. You can also download your Aperture pictures to devices such as iPod, import your Aperture pictures into iPhoto, or use them to create Pages documents. The Media Browsers in the iLife and iWork applications support browsing Aperture libraries. For each version in the library, Aperture provides two JPEG files to iLife and iWork: a 240-pixel (longest dimension) JPEG thumbnail that is shown in the Media Browser, and the JPEG preview image (at whatever size you specified for it). If a version has no preview, the image is not made available to the Media Browser.
    Note: When images are within stacks, only stack picks and album picks are shared. If you want iLife to have access to an image in a stack and it’s not the pick, you need to extract it from the stack or make it the pick.
    If you see images in the screensaver, that are not the album pick or stackpick, then something is wrong; try two things:
    Quit Aperture and log off and log on again, before viewing the screensaver, to ensure that the preferences file is updated.

  • How to I get photos to show "in the last week" smart album

    The images will not show in this pre-set smart album. They do show in my son's library, but not in mine. As far as I can tell all the settings are the same. What am I doing wrong?

    Do you a filter set by any chance?  Clear the filter of the Browser by clicking the "x" at the right side of the Search Field.  The gray text in the field should say "Unrated or Better".
    If that doesn't do it, check the Smart Album settings.  Select the Smart Album, then click the magnifying glass.  Are the settings what you expect?

  • Smart Album : Inconsistency in the Date Type format used inside Aperture ?

    Hello,
    After using Aperture 2.0 for some days, I tried to create a Smart Album using as creation option for the Album the Date + "is in the Range" option which is leaving two blank fields for filling the two dates which are supposed to be the date limits of the pictures that the user wants to select.
    My OS X is set to the italian language so our date format is the dd/mm/yy type.
    When I tried to insert some dates in our format (dd/mm/yy) the SmartAlbum seemed to not work at all (not selecting any picture, or was coming out with weird results).
    After checking carefully that there was no filter set which could prevent the correct visualization of the pictures I had no explanation for the problem.
    At first I thought that this specific option was buggy as the other Smartalbum creation options (Keywords etc.) seemed to work properly.
    Then I had the idea and I tried to use the english format (mm/dd/yy) for the two dates inside the date range fields and to my surprise everything worked properly.
    So basically it seems that Aperture recognises the dates correctly only giving in input the american date format mm/dd/yy.
    What is not so noice is that there is no check on the date limit correctness so basically it is possible to really mess up with the dates.
    I'm also actually surprised the Aperture doesn't complies with the OS X date type which could seem the logical thing to do or at least is not consistent with the date type management inside the program because for example the pictures Dates are instead correctly listed in the List View of the browser according to the OS X date type (dd/mm/yy).
    I was wondering what is happening in countries where the date separator is not the "/" but the "." like typically used in Germany which would add another variable to the software routine which is interpreting the date input fields.....
    Maybe this could help other non english users who could have been confused like me on the same issue....
    Did you notice the same behaviour ? Am I missing something ?

    Smart Albums will search in the Folder/Project that is shown at the top of the search HUD as well as all Folders and Projects "below" in your structure. However, it will not search through any Albums in that structure. Here is an example:
    You images are always stored in Projects (yellow icons) and lets say this is how it looks:
    FolderA/ProjectA (this Project stores: ImageA1, ImageA2)
    FolderA/ProjectB (this Project stores: ImageB1, ImageB2)
    Let us say that you have two Albums like below but there is an image from ProjectB in AlbumA, which looks like this:
    FolderA/ProjectA/AlbumA (this Album has pointers to: ImageA1, ImageA2, ImageB1)
    FolderA/ProjectB/AlbumB (this Album has pointers to: ImageB1, ImageB2)
    If you create a Smart Album below ProjectA it will only show ImageA1 and ImageA2 since it only search ProjectA and not AlbumA.
    This may be the issue you have.
    Are you 100% sure that the Project your Smart Album is pointing at does include the images you are trying to search through. As you see above then it won't find them if they are only in the albums below that project.
    Here are a few rules that I follow in order to avoid getting confused over where my images are located: A) Only include images in albums below a project that are stored in that project. B) Create all my smart albums at top library level and if necessary add extra filters like project name.

  • IPhoto 9.4.3-keyword "" not working correctly in smart albums

    Every May I work on the 5th Grade recognition slideshow (using Keynote) for our 5th grade students.  In iPhoto, I always give photos the checkmark keyword after I've placed that photo so that I know it's been added/used.  I have many smart photo albums with keywords like "5th graders 2012-2013" and others like the checkmark. 
    None of the smart albums seem to be recognizing and using the checkmark even though it's one of the smart album criteria.  For example, I have a smart album called
    "5th grade-already used" which has the criteria Match All:  Keyword is "5th graders-2012-2013" and Keyword is "✔".  However, even after giving some photos the checkmark keyword, this smart album shows up empty.
    Similarly, I have another smart album called "5th-Still to use" which has criteria Match All: Keyword is "5th graders-2012-2013" and Keyword is not "✔". The photos that I've placed the checkmark on are STILL showing up here.
    These smart albums have always worked before.  Has anyone else noticed issues with the checkmark keyword not working properly?  It has to have happened with an update sometime in the past year.

    When I went to open the library using iPhoto Library Manager, it had to upgrade the library to work with this version of iPhoto.
    That's normal.
    Option 1
    Back Up and try rebuild the library: hold down the command and option (or alt) keys while launching iPhoto. Use the resulting dialogue to rebuild. Choose to Repair Database. If that doesn't help, then try again, this time using Rebuild Database.
    If that fails:
    Option 2
    Download iPhoto Library Manager and use its rebuild function. (In Library Manager it's the FIle -> Rebuild command)
    This will create an entirely new library. It will then copy (or try to) your photos and all the associated metadata and versions to this new Library, and arrange it as close as it can to what you had in the damaged Library. It does this based on information it finds in the iPhoto sharing mechanism - but that means that things not shared won't be there, so no slideshows, books or calendars, for instance - but it should get all your events, albums and keywords, faces and places back.
    Because this process creates an entirely new library and leaves your old one untouched, it is non-destructive, and if you're not happy with the results you can simply return to your old one.

  • Problems with smart albums iphoto 08

    Hallo,
    I can't create a new smart album. When I try to create an album there are no options to create a rule.
    When I try to edit one of my smart albums the part where I can edit the rules doesn't open. Sometimes iphoto shuts down at this point.
    I allready deleted iphoto.plist - but nothing changed.
    When I start on the same computer with another account iphoto works without problems.
    Any help?

    This tells us that iPhoto is ok and the problem is local to the specific account or Library. Let's see if it's the Library:
    Download iPhoto Library Manager and use its rebuild function. This will create a new library based on data in the albumdata.xml file. Not everything will be brought over - no slideshows, books or calendars, for instance - but it should get all your albums and keywords back.
    Because this process creates an entirely new library and leaves your old one untouched, it is non-destructive, and if you're not happy with the results you can simply return to your old one.

  • Using Smart Album to Set Desktop Images

    Aperture 3.2.1 and OS X 10.7.2
    I'm trying to set my desktop picture to rotate through an Aperture Smart Album.  Not that it should matter, but the Smart Album is basic -- one star or better, Stack Picks Only.  That Smart Album is easy to set up in Aperture and there it works as expected.  But in the Screen Saver & Desktop module in System Preferences, upon choosing that same album, the browser shows all of the versions in each stack, whether they're the pick or not.  In Aperture, of course, I only get the Pick because I have that option enabled. 
    Any thoughts on why this is happening?

    Smart albums containing images from stacks behave differently when used to create a product (Media browser, MobileMe Gallery, SlideShow, PhotoBook).
    The common effect seems to be that the option "stack picks only" determines how the album is viewed in Aperture, but not, what will be included, when you use images that are part of a stack for a product. With Photo Books, Slideshows, and Galleries you will only get the Stack picks included, regardless of the "stack picks only" setting. Only the Media Browser seems to respect the option "stack picks only". when this option is not set, all images in the stacks will be used on the Desktop or in the screensaver, when it is set, only the stackpicks will show.
    But in the Screen Saver & Desktop module in System Preferences, upon choosing that same album, the browser shows all of the versions in each stack, whether they're the pick or not.
    That behaviour I cannot confirm. I defined several smart albums with stacks, and only the stack picks did show up in the Deskstop and Screensaver preferences, also in the Media Browser in Pages and iWeb, when the option"stack picks only"  was set. But I was careful to quit  both Aperture and "System Preferences", before changing the Screensaver settings.

  • PSD files smart album...

    Hello. I have lots of PSD files in lots of albums and rolls, and I want to put them all together in an album.. How I can do this? Using the ".psd" sufix doesn't work either with File Name or Version Name categories... Can anybody please help...?? Thank you

    You should have no trouble doing this.
    Just create a Smart Album at the root level of your Library (click the Library icon, then create the Smart Album to do this). Click the magnifying glass icon next to the Smart Album's name to open up the Smart Settings HUD for the album and type ".psd" in the search field.
    Also important: Turn on the Ignore Stack Groupings checkbox at the bottom of the HUD. The insures that the Smart Album will look INSIDE your stacks and not just at the "picks" when looking for .psd files.
    The result should be a Smart Album in which all your PSD files are automatically shown. I just tried it on my system and it worked perfectly.

  • Smart album date range broken?

    With earlier versions of iPhoto I've set up smart albums for date ranges, and then exported everything in the smart albums for archiving.  When I upgraded to Mavericks and iPhoto 9.5.1, several (but not all) of these appeared as empty.  I didn't worry about past albums too much since they've already been archived, and set up a new one from 1.1.2013 to 25.12.2013.  It worked OK at the time, but looking at it again today, it is also empty.  If I right-click, the "Edit Smart Album" option is greyed out.  But under "View | Smart Album Info", I see that the starting date is 1.1.0013.  I tried changing it to 2013, but the album remains empty, and when I look at info again, it has reverted to 1.1.0013.
    Anyone else seeing something like this?  Any ideas what might be going on?

  • Smart album by date (calendar) not working

    Ok, so first off, I've got to say I think I'm all screwed...
    I'm trying to sort photos in a Project by using smart albums, I thought I would be able to do this by a date/time, but I'm having several issues.
    1. I have no idea of the date/time formart, I've been trying what is showen in Aperture, but that doesn't seem to be acurate for example:
    Show images between the following:
    From: 11/26/11 12:00 AM
    To: 11/26/11 6:00 AM
    2. What exactly should I use, exif? calednar? date? Capture Hour?
    I've been trying alternatives for the past hour and now luck, also the Calendar seems off, why would it show imaegs from 11/25 when I'm clicking on 11/26

    I think, the problem is the mixture of am/pm and time zone names. With time zone names you better use 24 hours format.
    I just managed to enter a time interval as:
         Date is in the range: 03/01/2010 14:00 UTC to 03/02/2010 23:00 UTC,
    but had no luck with MEZ (middle european time).

  • Smart Albums are broken!

    I upgraded to 3.3, and Smart Albums are now broken!
    For example, I have a recent event broken down into 3 Smart Albums for my 3 star, 4 star, and 5 star images.
    The 3 and 4 star albums display the photos correctly. But the 5 star album doesn't display anything!
    On another event from a few years ago, I have the something similar. I have 3 smart albums from one event corresponding to 3 different "Image Country" tags. Two of them display fine, the third doesn't display at all. On the one that doesn't display, if I change the star rating from 3 to 2, the images all show up (including the 3 star images.) If I put it on 3, nothing shows up.
    What's going on?

    That's a pretty obnoxious, blame-the-victim comment.
    I am not blaming you - sorry if it sounded like that. Really, I only discovered the information accidentally down at the bottom of the page I pointed to. You are right, usually you do not expect major changes between updates, if only the number behind the decimal point changes.
    But it is really not safe to update any software without reading the release notes - with some updates you may lose functionality you may need.

    I misunderstand or don't know how to use tags. If I have pictures for a sporting team, for instance, in several directories, I have a tag for the team name and apply the tag to the pictures. When I want to view pictures of the team from all folders,
