Smart Folders: Possible to exclude specific sub-folders?

I want to create a smart folder that shows all documents opened in the past two weeks within my user folder, but I want to exclude my browser cache and various Library files.
Is there a way to exclude certain sub-folders from a smart search? I'd like to figure this out because it would be really useful to me in other ways too.

Unless you have done a little hack you should not see any files from your ~/Library folder in a search, unless you explicitly tell Spotlight to display system files. Browser files are included if you start your search from the Spotlight icon. But if you start with a search window by invoking it with Command-F that won't happen. There is no way I know of to exclude sub-folders in a search. Try this and see if it returns what you want:
1. Open your home folder
2. Hit Command-F
3. Select your home folder rather than the idiotic default of This Mac in the search toolbar
4. Underneath that you should see Kind:is:Any--click the double arrows and change Any to Documents
5. Click the + button
6. Select "Last opened date" from the drop down menu, then "with last" and fill in 2, then select "weeks" from the final drop down menu
Be aware that the definition of "Documents" is pretty much everything, from Word docs to html files, to jpegs, tiffs, text files, pdfs, and so on.

    Hi,
    I would like to know if it's possible to exclude specific document types (credits) from the credit exposure calculation used during credit limit checks.
    The ideia is to exclude "DG" credits in customer GL that are related to Trade Deal/Agreements to avoid over-exposure.
    Let me explain:
    Currently, our credit management is configured to "Static" + "Open Items" for all credit groups in the CCA. Therefore, SAP calculates the credit exposure as:
              CE = OPEN ORDERS (S066) + OPEN DELIVERIES (S067) + OPEN BILLING (S067) + OPEN ITEMS (BSID)
    Regarding "Open Items", I understand that SAP calculates the net value between all debits (receivables) and credits (returns, overpayments, etc...) already posted and not cleared in the Customer GL account. This rationale is correct since the credits are due to the customers and should be deducted from their exposure (i.e. "you may not pay them if you don't receive").
    However, in our case, we also pay trade deals contracts (i.e. trade incentives and trade marketing investments) directly to costumers and apart from sales orders or credit memos. The flow is the following: (1) contracts are managed on a satelite system and interfaced to SAP; (2) contracts are created in the costumer GL as a credit (doc. type "DG"); (3) credits are sent to accounts payable for payment via F110.
    Problem is that, contract credits volume is significant and are impacting customers credit exposure and limit check, resulting in greater exposure than allowed. That is, orders are being released while contract credits are open in the customer GL up to the max exposure, but when contracts are paid the exposure goes above the limit. For example:
    Day 1:
              Costumer Credit Limit: 100
              Sales Balance: 30
              Open Itens: 50 (receivables: 70 / contracts: -20)
              Credit Exposure: 80/100
    Day 2:
              Costumer Credit Limit: 100
              Sales Balance: 50
              Open Itens: 50 (receivables: 70 / contracts: -20)
              Credit Exposure: 100/100 (no additional orders are released)
    Day 3:
              Costumer Credit Limit: 100
              Sales Balance: 50
              Open Itens: 70 (receivables: 70 / contracts: 0 - contracts are paid on day 3)
              Credit Exposure: 120/100 (exposure is above customer limit since contracts that were being deducted were paid)
    Any ideas or thoughts? Is something wrong in the explanation above? Should contracts credits be treated through special GL?

    the 2nd, System behavior (how do you interact the credit limit check (yes/no question) via DI?)
    Workaround:
    Before you issue the Document, you may do a manual check: BP balance againt Credit Limit, and make deceision.

    Hi,
    I want to prevent spam mail from being downloaded to my Macbook, also because the notifications for spam mail are very annoying. Is it possible to exclude an individual folder from syncing in Apple Mail using IMAP? I read that for example with gmail it is possible to adjust this setting in the gmail account. You can check/uncheck which folders to use for IMAP. I am however using a web.de account and I couldn't find a similar function there.
    Alternatively, if that is not possible: Is there a way to at least turn of notifications for an individual folder?
    I am using Mail 8.2 and Yosemite 10.10.2

  • Is it possible to create non-Smart Folders a la Entourage?

    Hello! I set up my girlfriend with Apple Mail recently and coming from Entourage myself, and her coming from an Entourage(y) mail app, we want to set her up with normal ol' folders to drag into as needed.
    I've scoured the search function and Apple's website to no avail, so any help would be greatly appreciated, if even to let me know that it simply cannot be done so I can stop my search.

    I don't think that is it... I have her set up with two Mailboxes for her two email accounts.
    What I want to set up is a folder where she can name it whatever, and just drag and drop incoming email from either mailbox. Since the smart folders require conditions to define them, it doesn't seem like she can't just create ad hoq folders for whatever content... Make sense?

    If you could tell me where to find it I would appreciate because it would be very helpful to create smart folders that exclude things. Especially with Leopard where there is no more (at least by what I know so far) the "is/is not/contain" switch in every search option.
    I haven't found it in the long and very detailed list of search option in "Other...".
    It is an Automator creature?

    no. it's not possible with Aperture. you'll have to work around this limitation.
    in my library, I use keywords including one ' unidentified'. when I decide to place an image into a smart album, I first apply the appropriate keyword and then remove (shift-click the keyword control button) the ' unidentified' keyword.

  • I am a Tiger user, with a question about Leopard's smart folders!

    I starting toying with smart folders under Tiger. It is my understanding that smart folders under Leopard have some different/improved features.
    What I was wondering is, is there a way to EXCLUDE a certain string of alpha-numerics as a refining search parameter? I am looking to better sift through Logic Pro projects and it would be amazing if I could weed out any project that had ".0" in the project name (to weed out the backup projects while still finding showing the core Logic projects).
    It would be very helpful to know if this is possible before I finally make the plunge into Leopard. Also, knowing might dictate how I am overhauling the organization of my files right now, at this time. Thanks!

    wow that is weird. Because I know that in tiger, you can check box as many folders as you like to be included in the search. In leopard, i guess they want you to have one smart folder for every folder you want to search the contents of?
    Hopefully, people can get around that by just consolidating some of the folders (putting folders within folders) that they wanted to search through one smart folder.
    But anyway, that is great news about the option to EXCLUDE! Tiger's is definitely missing that. I searched for Name Extensions that are ".logic", but that also gets me tons and tons of project backups. Those backups all have a number, such as ".01" or ".02" interjected before the ".logic" extension. Excluding ".0" would hopefully not include a file such as this one "mysong.01.logic"

  • Major change to how smart folders work?

    I'm an ex-PC user and one way I configured the finder to work more like how I was used to working was to color code all my folders red and the half-dozen files I work with on a daily basis green. I had smart folders for both in the Tiger sidebar and they were there all the time. In Leopard they are only there in a finder window and are in the search for area. When I am in a program and want to open a file, that search for section is no longer in the sidebar, so I have to drill down through all folders and sub-folders to find the file I want. Am I going to be limited to launching files directly from the smart folder to easily find the files I need and not open from within the application?

    By default when you make a Smart Folder and save it you get it saved into this folder:
    "/Users/yourname/Library/Saved Searches"
    If you open that folder you should see your Smart Folders. Drag them into the "Places" section of the Sidebar in your open Finder window. They will now show up in the Open dialog window of your application. Of course, you will have them listed twice in the normal Finder window: once in places, so you can see them in the Open window, and once in Search For. Jeez, don't the programmers ever have to talk to each other? Anyway, the sensible thing to do is to have other sorts of things, that you don't need access to from an application, in the Search For section--or just close that section up. This is definitely another "what were they thinking" moment.

  • Smart folders not working...

    I've got some smart folders that just stopped working... I haven't changed the definitions and they were working fine, but all of a sudden they are not.
    The one that is not working is defined with 3 things, one of them is another smart filter. This has always worked in the past.
    I booted the machine, and inso doing went in and out of mail. Is there anything to reset?

    I found a work around... but I'm still curious why this stopped working...
    The original logic was to have a sort of pre-filter Smart Mailbox with tons of conditions with "Any" selected. Then the second folder had "All" selected with "In the pre-filter mailbox" and "in the inbox selected". This stopped working and I had to then change it to "In the pre-filter mailbox" and "not in the specific folder I later sort into" This isn't quite as useful since sometimes I sort into different folders, but it did work.
    I'm on 10.4.10 on a PPC iMac G5 1GB DDR2 SDRAM... I've done all the updates Apple can put out here except the iPod stuff since I'm not in that world... yet.

  • Can I add/show a size column for smart folders?

    I've created a set of smart folders to filter the files on my system by size (e.g. <10megs, 10-499megs, 500-999megs and >1Gig.
    What I'd like to do is sort the files by size, so having the folder show a size column would be great... however it doesn't seem to be possible (or the how is not publicized). It just shows name, kind and last opened. If I change the view to ICON, I can get the size for some files, but others, like movies or music, show their duration, not size.
    Any ideas?

    If you want to report this to Apple, send a bug report (or enhancement request) via its Bug Reporter system. Join the Apple Developer Connection (ADC)—it's free and available for all Mac users and gets you a look at some development software. Since you already have an Apple username/ID, use that. Once a member, go to Apple BugReporter and file your bug report/enhancement request. You'll get a get a Bug or ER ID number; thus, starting a dialog directly with engineering.

  • Smart folders and .doc files

    Problem: Smart folders do not show Microsoft .doc files. I have created a smart folder to show all documents I worked on recently. The search criteria in the smart folder are
    kind -> document
    last opened -> within last 14 days
    The folder shows now all documents I opened during the previous 14 days, EXCEPT .doc files. Any solution?

    I can't imagine that that entry is changed by saving something as .doc rather than .docx, which is why the only thing I can think of that would cause the behavior you are seeing is a Spotlight plist that is somehow messed up and excluding the extension doc. But I can't imagine how THAT would happen either.
    As for AND searches: you already have that setup when you click the + button to add something. Thus, in the example above, the search is for files that are Documents AND were modified in the last 3 days, but are NOT jpegs, etc.
    I have difficulty with correctly setting up the OR function, I always think that an option click on the + button, then selecting "Any" and adding a criterion ought to do it, but that doesn't seem to work as expected (or at least as I expect it to!). Anyway, one OR method that would yield approximately the same results as the example search above would be to select Kind is Other and then put this into the blank space after Other:
    HTML OR text OR PDF OR RTF OR archive
    Trouble is that if there WERE some doc or docx files, or some other sort of text based item, it wouldn't show up. I find it easier to just exclude things I know I don't want.

  • Create Non-Smart Folders?

    I recently had to re-install my OS and now cannot find the command to create folders in Mail - NOT Smart Folders, just regular folders to organize my mail. I had these in my old installation (with POP accounts) but cannot now find the command to create sub-folders for organization under each mail account.
    Where'd the command go? I cannot find it in the help file or the on-line support.

    Should be Mailbox menu > New Mailbox... (just above New Smart Mailbox...), or alternatively click the + button in the bottom left corner of the Mail window, or click the gear next to it and select New Mailbox. If no folder is selected in the sidebar (i.e. the Inbox, Sent, etc. are selected), a new folder will be created at the top level of the mailbox list; if a folder is selected, the new folder will be a child of the selected folder.

  • Smart folders duplicating emails with IMAP

    I have set up smart folders for one imap accounts but notice that I get duplicate emails showing in the smart folder because it is listing items from All Mail and Inbox. Is there any way of having the smart folder only show the inbox items?

  • Smart Folders, Spotlight comments and Apple mail messages

    Hi,
    I have a simple question, but couldn't figure it out yet:
    I have a workflow that tags specific mail messages according to the specific mail inbox folders I assign them to (be it via incoming rules, or Act-On rules) by automatically adding specific Spotlight comments.
    My mail messages, therefore, have text in their comment boxes (if you check via GetInfo).
    When I use Spotlight, I can find mail messages by searching for the comments - this is exactly as expected.
    I however also have smart folders (searching for a specific Spotlight comment) that list other files that I tag with the same Spotlight comments - but my Smart Folders never find the mail messages with the requested tags (at most they find the folder that contains the messages if this folder is tagged - which it is generally not).
    Question: how can I make sure that the Smart Folder does indeed identify and list the mail messages that I have tagged via Spotlight comment ?

    I cannot reproduce this problem myself...I see the same results in both the Mail spotlight and the spotlight menu bar item. I'm not sure if after installing 10.5 a new spotlight index is created, but it might be worth a shot to create a fresh index and see if that helps.
    I haven't tried this, but it was the easy way I could find to reindex.
    Open Spotlight Preferences
    In the privacy tab, add the volume you want to reindex
    After a few moments, remove that volume from the privacy list
    Allow Spotlight to reindex the volume
    Please let me know if that works for reindexing.

  • Smart Folders: filtering file labels by the NAME of the label

    I am using Smart Folders to organize some files. Spotlight searches are quite powerful, but I'd like to know if there's more I can do with file labels.
    I am using kMDItemFSLabel values to filter my smart folders, but this presents a small inconvenience: finder's kMDItemFSLabel values for the colors are not obvious (orange = 7, red = 6, yellow = 5 - which is orange higher than red? And green = 2?) and I would prefer use my own priority choice.
    Can either:
    Finder's values for kMDItemFSLabel associated with each color label be changed? (this sound unwise to me, however)
    or
    Can I use the text value I attach to each value as a sort? Say rename "red" label to "100" and "orange" to "90" and then filter by THOSE values?
    Any ideas?

    Thanks for your response. Yeah, I'm aware of that. The problem is that I'd like to do sort or filters with those values, but they aren't very practical. I can assign text values to each label, but I don't seem to be able to use those in sorts.
    So kMDItemFSLabel > 4 yields all orange, yellow and red files. Not bad, but the fact that orange is a higher value means I have to work around this odd enumeration.
    So I'd like to either: change the system values (not ideal) or find a way to filter or sort the text values I can assign to each label. Any idea if either of these are possible?

    I have yet to upgrade to Leopard, and I have a specific question about Mail. In Tiger, I can assign a color to an email message, and I use this as a way to set categories for emails. However, smart mailboxes in Tiger cannot sort emails by their color. Do smart mailboxes in mail have this ability?

    No, Leopard hasn't added that feature. Best you can do is create a rule that adds a color to specific emails based on your criteria, then have it move that email to another folder. But this won't be a Smart folder but an actual one that the email moves to and out of your inbox. And if you are adding the colors manually then you can't even do that unless there is a specific criteria that all red emails have that you can make a rule from.
    There is a third party app called MailTags:

    That allows for all kinds of tagging and will then sort those tags into Smart folders. I haven't used it but I've had my eye on it. Just can't live with the $30 price tag. If it was $15 I'd have snapped it up.
