Smart mailbox problem

I have several mail accounts under my Inbox.
I've set up a "Smart Mailbox" to receive/contain all my "Outlook" sourced mail, which indeed it does OK.   But the same mail also still appears in my "Inbox", duplicating that in the Smart Mailbox.
Is there a way to just fill the new Smart Mailbox but not have it appear also under the Inbox ?

Smart Mailboxes aren't actually separate mailboxes - they're saved searches. So they don't move the selected mail from your inbox - they just link to it. Confusing, perhaps.
If you want to get the mail out of your inbox, create a new ordinary Mailbox and then create a Rule (Mail, Preferences, Rules) whose action is to move the mail to that mailbox.

  • Smart Mailboxes empty / dumb

    I'm syncing Mail over four computers using my mobileme.com. All running same version of OS 10.6.8. Periodically after I MERGE my "Mail Rules, Signatures and Smart Mailboxes" they still appear, but no longer function. When I go to edit the smart mailbox, the criteria have all disappeared and I get four blank windows. I have had to recreate smart mailboxes twice and reset sync data from one computer to mobileme to reverse sync to the other computers. The mail server is Exchange 2007. Could that have something to do with it?

    I guess if you wait long enough, you can answer your own questions. I realized that at least one of my computers had an older version of Mail.app (4.4) and none of the computers were running the program in 32-bit mode. I didn't even know that was an option. However, I have since updated all versions of Mail (on 3 computers) to 4.5 and am running them all in 32-bit mode. This has fixed the mysterious empty smart mailboxes problem. In short, my smart mailboxes are, once again, my friend!

  • Smart Mailbox Technical Problem

    I have 3 email accounts set up in Mail. I set up a smart mailbox and used the criteria "messages flagged" and "messages unread" to describe what emails should go into the mailbox. Each time I send an email, however, the sent emails end up in the smart mailbox. The "include messages from sent" box is NOT checked, yet this technical problem persists. Any advice on how to rectify this problem? Thanks.

    I don't think this is an "improvement", this is a bug, and needs fixing. I use "entire message contains" a lot in my smart mailboxes as it allows me to gather together a large number of disparate emails together by listing a handful of email addresses. I tried the solution of listing email addresses separated by commas: nothing. I tried putting them in quote marks. It worked but gave me inconsistent results; sometimes it listed all the emails containing one of the addresses listed, sometimes it listed only the emails that contained all the address listed. As an experiment I tried changing the setting to 'entire message does not contain"; results remained the same. Fix this one soon, please, I have a lot of smart mailboxes that don't work any more!

  • Mail: smart mailbox contents disappears/search doesn't work & fix is only temporary

    Since installing Mavericks (including the Mail update), the contents of my Smart Mailboxes disappears (the Mailboxes themselves are listed, there's just no content) and my ability to get results from Search within Mail disappears. 
    I have done a lot of searching here and via Google and read other people with similar problems.  I have done the usual magical stuff: resetting permissions (including the version that involves the command "resetpassword"), deleting caches, etc. - but to no avail.
    Spotlight clearly knows about all this mail, because I can find it with HoudahSpot, which uses the same database, but somehow Mail is not able to read what Spotlight knows.
    Now there is a commonly recommended fix, which is to go to Terminal and type some version of:
    mdimport ~/Library/Mail/V2
    This works (as does reindexing the entire disk)!  But only for about a half-hour to an hour, at which point Mail reverts to its previous state.  Running the command again works again, but once again the cure goes away shortly after.  Once again, the Smart Mailboxes are empty and search in Mail stops giving reslts.
    Can anyone suggest a real, permanent solution to this problem, besides switching to another email program?

    Okay, I think I understand better now.  So I just ran a test, by creating the following rule:
    I specifically chose an address (obviously not the one shown) that I had a message from in my Inbox, and a word that was present in the subject line of several messages in my Inbox.  When I ran this rule on my Inbox, it copied exactly the messages I would have expected into the test mailbox.  Are you seeing different behavior with the same rule, or is your rule constructed differently?
    If the difficulty is with running the rule, note that (as I said earlier) rules only run automatically on unread incoming messages.  It won't run automatically on existing messages or on messages on an IMAP mail server that you have read on another device using (in which case they will have been marked as read).  If you need to run this in such conditions, you'll have to either run the rule manually or run it via an AppleScript or something similar that is somehow (via something other than Mail) made to execute at certain times/intervals or under certain conditions.
    And you're correct, a smart mailbox would be totally inappropriate for what you're trying to do!  It would behave exactly as you guessed.

  • I need to transfer the Smart Mailboxes I have set up on one computer to another computer. Both are running 10.8.4 and Mail 6.3. None of the old solutions are viable since there is no longer a 'Mail' folder in the User account.

    I acquired a new iMac, and need to transfer the Smart Mialboxes I have set up on my Mac Pro to the iMac. Mail is already set up to sync thorough iCloud, but the Smart mailboxes are - apparently - set up for individual machines. The only solutions I have been able to locate involve moving Preference files from one machine to the other; the problem is that there is no longer a 'Mail' folder set up for individual Users (actually there is no Mail folder at ALL under 10.8.4), and I am unable to locate any .plist files for Mail at all. Any idea how to make this haoppen?

    Create a new smart mailbox. Does it sync? If not, do as below.
    Back up all data.
    1. Triple-click the line below on this page to select it:  
    ~/Library/Mail/Bundles
    Right-click or control-click the highlighted line and select 
    Services ▹ Open
    from the contextual menu. A folder may open, or you may get an error message that the item can't be found. Either result is normal. If the folder does open and has contents, move the contents to the Desktop. Relaunch Mail and test. If there's no change, put the contents of the folder back and quit Mail again.
    2. Repeat with this line:
    /Library/Mail/Bundles
    This time you may be prompted for your login password when you remove the items. Make sure they're removed from the folder and not just copied to the Desktop. If necessary, copy them first and then move the originals to the Trash.

  • Is there any way to have a smart mailbox search sub-folders

    My wife uses Mail.app for her business in which gets hundreds of emails a day and managing them all is quite a challenge. One important goal of e-mail management is archiving certain emails in folders (and sub-folders) without creating duplicates.  What I've done is to create rules to move e-mails into their respective the folders and flag them based varying criteria. This works great! 
    The problem is when I make a smart mailbox to include only flagged messages in a specific mailbox, only messages in the root mailbox are found.  All messages in the sub-folder are ignored or never considered. I used the "not in mailbox" option on my own mail.app but this isn't practical for her because she manages numerous e-mail accounts for clients and she adds new accounts frequently.  
    Is there a solution to my issue that doesn't involve puting all the messages into the root mailbox?

    Mine are showing emails in subfolders, but I don't have near that many emails.
    Maybe you need to reindex the spotlight database.
    The normal method is to add the Hard drive to the Privacy tab in Spotlight prefs. If that doesn't cause it to index, here is a Terminal way: http://www.maclife.com/article/howtos/how_reindex_spotlight

  • Is there a way to create a Smart Mailbox that shows Sent emails only?

    Hi there,
    I am trying to find a way to create a smart mailbox that only shows emails I have sent.
    If I receive 20 emails today, 10 yesterday say, I have a Smart MB where I have set up emails received today, another SMB for emails received yesterday and another SMB for emails I've received in the past week. I can very easily see what has come in during the last few days or whatever.
    What I also have are rules that move all emails received and sent to specific folders. The idea is that I will have nothing in my INBOX. The problem is that although it's easy to set up views to see what emails I've received on any day using the calendar option, I can't see a way of doing this to see what emails I've sent.
    So, if I receive 20 emails today and I replied to 3 of them, those 3 will get sent to whatever folder I've allocated for them - I put all emails TO/FROM in one folder for each email address. This way I don't have 2 email folders TO and SENT for each recipient.
    My problem is that I want to ONLY look at what I've sent today or maybe yesterday etc. if I can set things up the same way as receiving emails, But I can't seem to do this.
    Seems strange that there are options to see filter out what's coming in but not what is being sent! But if there's a way to do this, it would be appreciated.

    Mail creates a Sent mail folder automatically when you set up an account. All your sent mails are kept there. You configure how it saves your sent mail here:

    Ever since installing Mavericks, one of my Smart mailbox which shows emails in the last week with a Rule:
    Date received, is this week
    shows an empty mailbox.
    Is this a known bug?  There's lots of discussion around the GMail bugs, but this is a different issue.

  • Mail:  ANY doesn't work in smart mailboxes or rules?

    I want to create a smart mailbox that will copy and archive  all messages to/from a particular recipient and e-mails to/from others about the subject of most of the conversation with that recipient.  I want the archiving to happen as they arrive in my inboxes and not automatically remove them from the servers--some I still need on the servers to access from multiple locations/machines.
    But I can't even get to the archiving issue:  the smart mailbox that says 'contains ANY message' meeting these rules:
    contains recipient1
    contains subject2
    always has fewer messages than one that simply 'contains recipient1' so the ANY condition, that in boolean terms should be an OR combination, appears to functionally act as an AND.
    When I tried to create a smart mailbox folder to contain two mailboxes, one for contains name1 and one for contains subject2, each of which separately works fine, clicking the smart mailbox folder containing both leaves the window empty, so I can't see the messages name1 and subject2 interlaced in the date sent order or any other.  I just get one group or the other by clicking the submailboxes.
    And trying to bypass the problem using rules doesn't work either--the 'any' command is as dysfunctional there as it is in the smart mailbox dialog.  I can manually search for the relevant terms (recipient1 and  subject2) and option+drag them to a mailbox for archiving, but this results in many duplications, especially if repeated over time, not a happy result.
    Some searching here and googling suggests that the ANY command is problematic in this OS for a lot of people, but is there a known fix?  Or a better way to create a 'smart' archive to do what I want?

  • Mavericks Mail: Cannot exclude meeting.ics attachments from Smart Mailbox

    I'm trying to set up a smart mailbox in Mail (Mavericks 10.9.2) that searches for all email containing attachments, but excludes all meeting invitations (attachments with name = meeting.ics). Sounds simple, but I cannot figure out how to do it.
    I've got two filters in the smart mailbox:
    Contains Attachments
    Any attachment name > does not contain > meeting.ics
    Any ideas as to what I'm doing wrong and how to fix this?

    Tried all the fixes described.
    Mac User for >23 years.
    More than 30 Macs all types purchased
    Never had such a problem as with mail in mavericks.
    What a disaster!

  • Duplicate messages in search results (when using Smart Mailboxes, etc)

    I've recently started using Search Folders more and more in Mail.app
    I've encountered this very annoying bug/feature, where duplicate messages show up in a search (inside Mail). The duplicate messages are showing up multiple times (once, for each Smart Mailbox they reside in) as well as their physical Mailbox, as well as "All Mail".
    The lowdown:
    Mac OS X Leopard (10.5.4 Build 9E17)
    Dual 1.25 GHz PowerPC G4 -----(shut up! it still rocks w/my multiple 23'' apple displays)
    2GB RAM
    Mail.app Version 3.3 (926.1/926)
    This feature/bug makes it VERY difficult to find things when I'm forced to sift through at least 3 copies of any message that appears in Smart Mailboxes.
    Should I stop using Smart Mailboxes because this is a deliberate feature?
    Any suggestions or thoughts would be GREATLY appreciated.
    In a search, I think that a better way to display the multiple locations (through Smart Mailboxes, etc) that a mailbox "appears" would be to add something to the header section of a message, below everything else, or off to the right, which would indicate the Original (physical) folder a message exists in, as well as it's locations via Search Folders. This would at least eliminate the problem where they're showing up as two, three, or more COPIES within a search.

    Hi Christiaan !
    I understand your problem. Could you set your IMAP account to avoid multiple simultaneous sessions?? maybe if there is only one session allowed per user or per time, then parallel XI threads will not be able to start downloading the messages.
    If you cannot use a longer poll interval, then you could develop an adapter module for the Mail sender adapter that could be used to verify if the current mail is just being downloaded by other thread. This adapter module could check the unique mail data (date/time + subject + etc.) against a local table.

  • How to get accurate count of contents of smart mailbox?

    I have a smart mailbox defined as "sender is a member of a group x" and "date received is within last 2 days." When I click on it, Mail indicates "(8 messages)" -- but there are only 7 listed. I've tried the sqlite3 ~/Library/Mail/Envelope\ Index vacuum command in Terminal, I've rebuilt the individual mailboxes making up this count (and the smart mailbox itself) and I even deleted the smart mailbox itself and recreated it, to no avail.
    Any other suggestions for getting a correct count?

    Is it possible that mysterious 8th message is one you deleted, but is still registering as being there, even though you can't see it? Have you tried enabling the View > Show Deleted Messages command to see if it appears then?
    If that command shows you nothing, then you can completely rebuild your Mail index to see if that solves your problem:
    1. Quit Mail.
    2. Go to Home/Library/Mail and remove (+*do not delete yet*+) the Envelope Index file to the Desktop.
    3. Restart Mail and let it import your existing mailboxes. When that's done, your index will be brand new and with any luck that message should no longer show up in a count. Now you can delete the Envelope Index file you removed previously.

  • Smart mailbox not working properly

    Hi,
    I have about 10 smart mailboxes in Mail.app and sometimes when I start my day and all my mail has synced I go to check my smart mailboxes and there are a few that I have that will not show that there's any new mail, but when I actually click on the smart mailbox it will update to say that I have a few unread messages that came in from the night before.  I have other smart mailboxes that do not have this issue.  What could be causing this?  Thanks!

    My smart mailboxes are all showing empty, including one whose entire duty is to show unread mail.
    How do I restore their functionality?  I did the index build but from what I can tell that does not affect smart mailboxes.

    I am running Final Cut Pro 6.0.5. My Sony SR12's drive is recognized during the Log And Transfer process. The problems continue. All of the thumbnails have a grayish/brown band going right through the middle of each one. I am able to play the clip in the Log and Transfer window but as soon as I attempt to drag the clip to the media box, FCP crashes. I had this same problem with iMovie 7 and found that updating to the latest version solved the problem. In this case however, FCP 6.0.5 is the latest version. I have the same problem with Final Cut Pro Express 4.0.1 but again, not with iMovie 7.1.4. I loaded Sony’s XDCAM software as well just in case but it did not do anything to help the situation.
    When I trashed the Perian component along with QuickTime preferences it did the trick. I believe it was the old version of Perian causing the conflict with Final Cut Pro’s Log and Transfer option, not the Quick Time preferences. When I installed the newest version of Perian which is 1.1.3 there didn’t seem to be any conflict and the HD clips from my Sony SR12 imported fine with no further crashes.

    I setup a smart mailbox with the condition:
    Date Received is not in the last 1 year
    I get plenty of messages where the date received was within the last year. Anyone know how to fix this problem.

    David needs to get extra points for slipping in the Princess Bride reference.
    As he points out, this smart mailbox rule should exclude all messages not from THIS calendar year--2007. If you want all messages older than one year, do date received is not in the last 12 months, and it should give you what you want.
