Spotlight and Mail

Spotlight refuses to index my inbox or any archives after installing Leopard. This was not a problem before with Tiger. I noticed several posts on this but all unanswered. Does anyone have the same problem? Any solution? My mail search is pretty much useless. Thanks!

If your mail is encrypted, you will need to check the Include Encrypted box in the Search section of Mail /Preferences/General.
You may have a file permissions problem which is causing grief, or one of the system parameters saved in PRAM may be out of whack and causing Spotlight indexing to get confused.
So Shut Down the computer and then reset PRAM. To reset PRAM, reboot while holding the 4 keys Apple-Option-P-R until you hear the SECOND startup chime, then release them. Your computer will continue to boot up normally.
Then log in and run Applications / Utilities / Disk Utility. Select the line with the name of your main hard drive in the column on the left and click Repair Disk Permissions in the panel on the right. Be patient. This will take a while and the progress bar may not advance until the very end. Even if that generates notification messages, if it completes with "Permissions Repair Complete" you are good to go.
Now Restart and log in again to get things in a fresh state. Then go to System Preferences / Spotlight / Privacy. Drag the icon for your main hard drive from the Desktop into the privacy list (I'm assuming your mailboxes are on your main hard drive). Click Show All to exit the Spotlight pane. Go back into Spotlight / Privacy, select the line you just added for your main hard drive, and click the "-" at the bottom of the list to remove it from the list. Exit System Preferences.
Spotlight should now re-index your main hard drive from scratch. You can watch this by clicking on the Spotlight icon in the menu bar. Wait for indexing to finish.
Now see if your Mail searches work better.
EDITED TO ADD: Select About Mail from the Mail menu to confirm you are running version 3.1 and haven't, somehow, retained an older version of Mail not compatible with Leopard's Spotlight.

    I contacted Apple Support by phone and they had me go through all of the procedures to re-index the meta data and so on on my iMac and still my Spotlight and Mail searches are not working properly. (I cannot find certain files even though I know they exist...more often than not!) Supposedly, when I "forced" a re-index operation by going to Spotlight Preferences and changing Privacy settings for the entire hard disk and then changing them back, the Spotlight icon on the top right of the menubar was supposed to indicate that re-indexing was taking place, but that never happened. It seems that I possibly have a corrupt metadata file which just won't re-index, or some kind of permission changed which doesn't allow re-indexing to happen, or SOMETHING like that.
    Is there a singular hidden "index" or metadata file on the Mac under Lion where this information is stored, can I get at it so I can trash it, and if I do, will the computer automatically rebuild a new index file (if such a singular file even exists)?
    I asked this question at a semi-local Apple Store Genius Bar as well, and they were scratching their heads. I have not yet brought the machine in to the store --- if I can avoid that lengthy step, I'd much prefer to fix this here in my office. (The machine works fine otherwise, and I need it here all the time, it's just that searching doesn't work)
    I have also tried a re-install over the existing OS (leaving all my apps and documents in place), but have not tried a complete erase-and-install installation. I have a complete Time Machine backup of the entire drive, but the question remains...if I use Apple Migration Assistant to bring the apps and documents back in from Time Machine after doing a "clean" install on a wiped-clean hard drive, won't Time Machine also restore the old metadata that I suspect is corrupt? If so, how would I go about restoring all of my apps and documents without the use of the Migration Assistant or the Time Machine backup file (which may contain a corrupt index file)? If I do a hard drive clone with one of the available utilities dedicated to that purpose, how do I restore JUST the things I need (including serial numbers, etc) without risk of bringing over "bad" index files?
    By the way, this machine was running Snow Leopard for well over a year before I upgraded to Lion, with no searching problems whatsoever.
    Thanks for any help that anyone might be able to provide. I know I ask a lot of questions, but I don't want to go through the lengthy cloning of my hard drive and then doing a "clean" install and then be saddled with the same problem again.

  • Spotlight and Mail searches

    I have just replaced my 2007 MP with a shiny new one, (garbage can someone described it to me) !
    The computer is responding a bit slowly entering text into Safari fields, i.e. logging into sites, username & passwords - I type out a word and it takes seconds to appear in the box.
    Also searches in Mail & Spotlight do not yield any results and judging by other posts on the subject, is probably down to Spotlight indexing the 3TB of data on the Pegasus drive.
    I did not migrate any files over from my old MP as I wanted to keep a clean new drive.(I did this initially but ended up in a mess so had to erase the disk and reinstall Yosemite) I have reinstalled the majority of my apps that were on the old machine from the app store and note a significant difference in the sizes of the Libraries :

    User library   33gb               11 gb
    So some questions arising that hopefully someone will answer :-
    Doing a spotlight search of the Pegasus drive - there is no progress bar (as noted in other posts) - there is a message that just says "Searching Promise". So presumably it is indexing the drive. Not sure how long it will take to do 3TB of data (a lot of video)
    Mail - doing a search in Mail does not do anything, no dropdown etc. I presume that this is using Spotlight and once that is indexed then a Mail search should work?
    Is there a way to migrate specific apps from my old MP? 
    I am wondering why such a big difference between the libraries on the 2 machines.

  • Yosemite Very Slow, Spotlight and Mail not working.

    Yosemite has brought my iMac mid-2010 to a crawl. 
    Try to delete mail in browser and instead of deleting, just jumps to a different email and selects it. Also, spotlight's not doing anything.  I type the name and it just sits there. No movement, no acknowledgement.

  • Spotlight and mail notes

    Hi all.
    Is there a way of getting spotlight to index the notes within Mail? I've got lots of notes, with lots of info, but spotlight doesn't seem to index them, or at least report any results from them. My iPhone spotlight reports them, but not my Mac. Any ideas?

    Notes show up for me in Spotlight under Messages...
    Try a repair disk on Macintosh HD.
    Next, try adding Macintosh HD to Spotlight's exceptions list. I'd log out/in, and then remove it. Wait for Spotlight to re-index the drive.
    If that doesn't work, then try the commands here that V.K. and baltwo have posted. See if those help. Basically, you're going to wipe your Spotlight index and have it re-index the drive.

  • Spotlight And Mail: Links Not Seen?

    Hello everybody,
    I hope I am not making a fool of myself, but there it is: On my computer at least, Spotlight does not see URLs in links.
    If a link in an email is, say, "http://www.something.com/apicture.jpg", then I cannot find "apicture" with Spotlight.
    Is this Spotlight's usual behaviour?

    I just had a look at EasyFind. I would use it only in such cases where Spotlight doesn't yield the result I expect. Here are the reasons why:
    • EasyFind does no indexing. Furthermore, the ReadMe file says that this is a good thing, which is wrong. True, indexing takes some time... the first time or when you rebuild for one reason or another - but this is not frequent.
    • Because of the absence of indexing, EasyFind is slow *on each search*. Painfully slow, even on my Mac Pro 2008 with 10 GB RAM and all the frills. I bought this expensive machine for fast results, after all...
    • EasyFind has no Help menu. Spotlight, even if imperfect, is fully described in the Finder.
    • The Preferences dialog of EasyFind is so bizarre that I did not know what to do with it at first: No OSX buttons at the top, no OK or Cancel buttons, nothing but a rectangle. I tried Escape, and poof! It went away.
    • Searching in my emails for a given string was both slow and next to useless: 45 results, OK. But I get only a xxxxx.emlx identification. I have no idea about what that is unless I double-click and open it. Slower than slow.
    I admit that when I must find something that Spotlight overlooks for one reason or another, EasyFind is really useful. But Spotlight, with its ease of use and lightning fast searches, wins by a wide margin... for what it looks for.

    Background:
    I am using Mountain Lion and Mail App and running out of space on my small primary SSD drive (where I keep OS, apps, key user preferences/data and mail for speed). The mail data is the big variable (many GBs) and I want to "archive"/move some of the old mail to my 2nd drive inside the Mac. But I still want it searchable inside spotlight and preferably even inside Mail too. And I'd like to be able to still drag and drop old mails into this archive folder.
    What I've tried that seems to work:
    This seemed to work:
    1. Move the archive folder/mailbox to the 2nd drive/partition/folder (don't delete anything inside Mail App)
    2. Create a symbolic link from its new location to the original/old location
    This seems to work, it looks as "normal" and as if nothing happened inside Mail App but the folder now resides elsewhere and seems searchable etc. But I'm not sure that once caches refresh or over time with updates etc if stuff will break horribly or corrupt.
    Is that the right way to "archive" mails in Mail App to another internal drive/partition to save space but still have it searchable in spotlight and visible, searchable, draggable in Mail App?

    I'm having a similar but slightly different problem. My company just migrated to Gmail, and it's saving mail drafts every 30 seconds into my Trash folder.
    I unchecked the "Show in IMAP" preference in the Gmail settings, but my Drafts folder completely disappeared. I went back and checked it and the folder reappeared (with my drafts still in there).
    I like the idea if starting an email on my laptop and having the option of finishing it on my iPhone or iPad, so only saving Drafts locally would not be ideal.

  • Multiple issues with Mavericks update and Mail

    I have a MacBook Pro mid 2009 2,53 GHz 13-inch. It has 4GB of RAM and a Hitachi 500GB 5400 rpm disk with about 200GB of free space. After working on 10.6.8 for a long time I have upgraded to 10.9.2. I formatted the internal disk, made a clean install of the new system and rebuilt from a Time Machine backup I had made before. The system has slowed down to snail speed (even the simplest actions like opening a new window in the Finder take at times 10 to 15 seconds with the spinning beach ball appearing. Also (and maybe even more serious) my emails became completely messed up. First, all headers and mails got mixed up and several mails didn’t appear, after rebuilding the mailboxes about 60% of my emails were completely lost. I would like to recover my mails from Time Machine but it’s impossible to access emails from before the system upgrade. Am I doing something wrong? Is my computer really too old? How can I give a second try at importing all my mails from the old system? This is the crappiest update I have ever had (been working on Apple since 1994).

    1. This procedure is a diagnostic test. It changes nothing, for better or worse, and therefore will not, in itself, solve the problem.
    2. If you don't already have a current backup, back up all data before doing anything else. The backup is necessary on general principle, not because of anything in the test procedure. There are ways to back up a computer that isn't fully functional. Ask if you need guidance.
    3. Below are instructions to run a UNIX shell script, a type of program. All it does is to collect information about the state of the computer. That information goes nowhere unless you choose to share it. However, you should be cautious about running any kind of program (not just a shell script) at the request of a stranger on a public message board. If you have doubts, search this site for other discussions in which this procedure has been followed without any report of ill effects. If you can't satisfy yourself that the instructions are safe, don't follow them. Ask for other options.
    Here's a summary of what you need to do, if you choose to proceed: Copy a line of text from this web page into the window of another application. Wait for the script to run. It usually takes a few minutes. Then paste the results, which will have been copied automatically, back into a reply on this page. The sequence is: copy, paste, wait, paste again. Details follow.
    4. You may have started the computer in "safe" mode. Preferably, these steps should be taken in “normal” mode. If the system is now in safe mode and works well enough in normal mode to run the test, restart as usual. If you can only test in safe mode, do that.
    5. If you have more than one user, and the one affected by the problem is not an administrator, then please run the test twice: once while logged in as the affected user, and once as an administrator. The results may be different. The user that is created automatically on a new computer when you start it for the first time is an administrator. If you can't log in as an administrator, test as the affected user. Most personal Macs have only one user, and in that case this section doesn’t apply. Don't log in as root.
    6. The script is a single long line, all of which must be selected. You can accomplish this easily by triple-clicking anywhere in the line. The whole line will highlight, though you may not see all of it in the browser window, and you can then copy it. If you try to select the line by dragging across the part you can see, you won't get all of it.

    Copy the selected text to the Clipboard by pressing the key combination command-C.
    7. Launch the built-in Terminal application in any of the following ways:
    ☞ Enter the first few letters of its name into a Spotlight search. Select it in the results (it should be at the top.)
    ☞ In the Finder, select Go ▹ Utilities from the menu bar, or press the key combination shift-command-U. The application is in the folder that opens.
    ☞ Open LaunchPad. Click Utilities, then Terminal in the icon grid.
    Click anywhere in the Terminal window and paste (command-V). The text you pasted should vanish immediately. If it doesn't, press the return key.
    8. If you see an error message in the Terminal window such as "syntax error," enter
    exec bash
    and press return. Then paste the script again.
    9. If you're logged in as an administrator, you'll be prompted for your login password. Nothing will be displayed when you type it. You will not see the usual dots in place of typed characters. Make sure caps lock is off. Type carefully and then press return. You may get a one-time warning to be careful. If you make three failed attempts to enter the password, the test will run anyway, but it will produce less information. In most cases, the difference is not important. If you don't know the password, or if you prefer not to enter it, press the key combination control-C or just press return three times at the password prompt. Again, the script will still run.
    If you're not logged in as an administrator, you won't be prompted for a password. The test will still run. It just won't do anything that requires administrator privileges.
    10. The test may take a few minutes to run, depending on how many files you have and the speed of the computer. A computer that's abnormally slow may take longer to run the test. While it's running, there will be nothing in the Terminal window and no indication of progress. Wait for the line
    [Process completed]
    to appear. If you don't see it within half an hour or so, the test probably won't complete in a reasonable time. In that case, close the Terminal window and report the results. No harm will be done.
    11. When the test is complete, quit Terminal. The results will have been copied to the Clipboard automatically. They are not shown in the Terminal window. Please don't copy anything from there. All you have to do is start a reply to this comment and then paste by pressing command-V again.
    If any private information, such as your name or email address, appears in the results, anonymize it before posting. Usually that won't be necessary.
    12. When you post the results, you might see the message, "You have included content in your post that is not permitted." It means that the forum software has misidentified something in the post as a violation of the rules. If that happens, please post the test results on Pastebin, then post a link here to the page you created.

    Have you checked all your homescreens and app folders for them, and do they show on the iPad's spotlight search screen (swipe your first homescreen to the right and type in Safari or Mail) ?
    Safari can be hidden via Settings > General > Restrictions > Safari being 'off', so you could check that as well.
    If you still can't find then try a reset and see if you can find them after the iPad has restarted : press and hold both the sleep and home buttons for about 10 to 15 seconds (ignore the red slider), after which the Apple logo should appear - you won't lose any content, it's the iPad equivalent of a reboot
    There is also Settings > General > Reset > Reset Home Screen Layout which will reset the layout of your apps and might make it easier to find them.

  • Safari and mail stopped working

    iMac 27 just before the slim version, on latest operating system, mail and safari have stopped connecting to the Internet, diagnostics says everything is okay both for wifi and Ethernet but they will not work. Any sugestions my iMac 24, mac mini and iPad! Software update will also not work.

    Important Note
    Some web browsers and mail clients will automatically convert a domain name such as "www.example.com" to a clickable URL, such as http://www.example.com. That will interfere with the test. If necessary, edit the input in the Network Utility window to remove any added characters.

    which rebuilds spotlight and search indexes on the volume.

    Launch the Console application in any of the following ways:
    ☞ Enter the first few letters of its name into a Spotlight search. Select it in the results (it should be at the top.)
    ☞ In the Finder, select Go ▹ Utilities from the menu bar, or press the key combination shift-command-U. The application is in the folder that opens.
    ☞ Open LaunchPad and start typing the name.
    The title of the Console window should be All Messages. If it isn't, select
              SYSTEM LOG QUERIES ▹ All Messages
    from the log list on the left. If you don't see that list, select
              View ▹ Show Log List
    from the menu bar at the top of the screen.
    Click the Clear Display icon in the toolbar. Then try to launch one of the problem apps. Select any messages that appear in the Console window. Copy them to the Clipboard by pressing the key combination command-C. Paste into a reply to this message by pressing command-V.
    The log contains a vast amount of information, almost all of which is irrelevant to solving any particular problem. When posting a log extract, be selective. A few dozen lines are almost always more than enough.
    Please don't indiscriminately dump thousands of lines from the log into this discussion.
    Please don't post screenshots of log messages—post the text.
    Some private information, such as your name or email address, may appear in the log. Anonymize before posting.

  • Safari and mail icons disappear

    The Safari and Mail icons keep disappearing from the dock on my iMac. I've dragged them back from the Applications folder, and they disappear again within seconds. If I open the applications from the Apllications Folder, the icons appear on the right side of the dock. Then, as soon as I close the applications the icons disappear. I've deleted the dock preferences file, and i"ve also disabled dock synching from Mobile Me, but nothing seems to work. Any suggestions ?

  • Spotlight AND EasyFind do not find my emails

    Hi and greetings from Germany (hope my English is ok).
    I have been looking araound this forum for some hours today, finding that many, like me, have a problem with Spotlight finding data in Mail.app (yes, finding emails is enabled in SystemPrefs).
    I had spotlight re-index my library folder which includes the mail folder. Didn't work. I did not try any of the hints that involve using the terminal. I'm not a seasoned techie and tend to avoid sofisticated interventions.
    There were several in this forum who advised to use EasyFind instead. Well, I tried ... and failed.
    My search was for a specific name which is in a number of differtent files, as well as in more than 100 emails.
    Results (search all types of documents on the entire HD):
    EasyFind 3.9 - 9 (nine) objects
    Spotlight - 17 objects (including the 9 that EasyFind delivered)
    Mail.app - 164 (of course only emails, not the other files).
    Hmmm... strange.
    I noticed, that in: <User/Library/Mail/Mailboxes> there is a folder <Mail> which lists all the folders/mailboxes I created in Mail.app and a folder <Mail.bmox> which contains only <info.plist>. The same is true for a number of folders (and sub-folders) in <Mail> - e. g. <Business> and <Business.mbox>, the latter containing only <info.plist> plus a folder <Messages> which is empty.
    Hmmm... strange.
    After quitting Mail.app and backing up the mail folder I manually moved the stuff from <Business> to <Business.mbox> and did so for other folders, too.
    Started Mail and it found only the emails in the inbox, trash, sent (I think those were all). Restoring the backed up file and all seems to be as before.
    What suprises me is that EasyFind finds far less than Spotlight and it, too does not find any emails.
    Any ideas as to why this might be and how it could be solved? (While simple solutions would be preferred ANY advice is highly welcome!!!)

    Yes, EasyFind was instructed to search content. (The search took pretty long, too. There's almost 70 GB on my HD.) Upper/lower case is no issue either.
    Messages folders do contain .emlx files - well, some of them do, as described before (some mailboxes have two folders: one with the mailbox name only plus one with a .mbox extention. If that is the case, those with an extention do not contain .emlx files, they are in the other one).
    Now: for Spotlight you have really helped me!!! Via the menubar it does find all files and emails!!! Thank you greatly!!!! Strange thing though; doesn't seem logical to me to exclude then from the other search, but then... Anyway, thanks again!!!!!
    I am still puzzled, however, about Easyfind not finding the emails. They are there.

    I've gone through various threads and i'm aware of the Functional module's used to
    convert the report to pdf and mail it back.Like CONVERT_OTFSPOOLJOB_2_PDF, CONVERT_OTF_2_PDF and for mailing we have SEND_NEW_DOCUMENT_ATT_SEND_API1.
    I've worked with this but my problem is i'm not able to convet the report output to pdf.When i'm doing this i'm getting the output of my functional module converted to pdf like the number of header and item records available for the given data in the selection screen.
    Since all the threads i've gone through is converting the single internal table which has the output to pdf.
    But i've got the REUSE_ALV_HIERSQL_LIST_DISPLAY, hierarchial report which as known has got two internal tables.How to the same to this kind of report....More over is it possible to convert report to pdf in online without transfering it to spool and getting the spool id to convert it to pdf.........
    Any help or suggestions will surely be rewarded......
