Spotlight doesn'tsee content in Word files

Hi,
I'm finding that spotlight on my MacBook Pro running 10.7.4 does not see the content of Word files.  Is this a known issue or is there something anyone can suggest as a posible fix?
Many thanks,

I found out the reason:
The *.doc documents were rtf-documents with a doc at the end. Spotlight doesn't index rtf as it seems.
Saving them as word solved the problem.

  • Spotlight doesn't search in word documents

    Hello,
I have a Question regarding Spotlight: If I look for any phrase which is in word documents, Spotlight doesn't find it. (I got some documents from a friend, each about 100 pages). When I use OpenOffice and export the documents to pdf: no problem, Spotlight works perfectly.
Is there a way to force Spotlight to index this folder? I thought, Spotlight would index word documents automatically...

  • Acrobat 8 doesn't list Microsoft Word files as supported file types

I have Acrobat 8.1.2 Professional running on Vista SP1 with Office 2007.
When I try to convert files to PDF from within Acrobat, no Microsoft Word files (neither .doc nor .docx) are recognized, and Word isn't an option in the list of file types.
HOWEVER, Excel and PowerPoint are listed, and the PDFMaker toolbar in Word works perfectly. So I can convert to PDF from within Word with the toolbar, just not in Acrobat from the Create PDF... button.
This is a critical problem for me, because I need to make PDFs of dozens or hundreds of files, and it will take me a long time to do each one manually from the PDFMaker toolbar.
Any thoughts? I hope someone's already encountered this and knows how to fix it!
    Thanks,
    Ben

I believe this is all normal.

  • Spotlight doesn't find search results in .HTML file contents

When I use Spotlight to search, it doesn't find any .HTML file contents. If I rename an .HTML file to use a .TXT extension, the contents are found. Is there a way to enable Spotlight to find contents in .HTML files?

I remembered that used to be problem, so I just checked on my local version of my site, and Spotlight found the files on the basis of content without a problem. So I took a look at my installed mdimporters in /Library/Spotlight, to see what may have led to this happy turn of events. I thought perhaps the iWeb mdimporter might be doing it, but was unable to find a reference to HTML in its type declarations. I then took a look at in /System/Library/Spotlight and discovered that RichText.mdimporter has a declaration for public.html as a content type. You should have that mdimporter installed by default, but you might take a look to make sure it is there.
If the mdimporter is there, but the html files aren't being indexed, it could be that whatever program you are using to create them isn't giving them the appropriate content type. I code by hand using TextEdit, which saves them with the following metadata entry:
    kMDItemContentType = "public.html"
    kMDItemContentTypeTree = (
    "public.html",
    "public.text",
    "public.data",
    "public.item",
    "public.content"
They are then evidently indexed without problem by the RichText.mdimporter. You might try opening one of your html docs in TextEdit (as plain text), resave, and see if Spotlight then picks up the content of the file. Of course, the content means the words that people see when they look at the page in a browser. If the content you are talking about is stuff that is inside an html tag, you are out of luck. I know of NO way to get Spotlight to find that. EasyFind will though, but it is a brute force search and will take awhile, even when restricted to a particular folder.

  • Getting Spotlight to look inside Word files

    Hi,
I'm trying to get Spotlight to search the contents of Word files on one of my machines running Tiger (10.4.11). It works fine on one machine (fresh install of Tiger), but the one I want it to work on doesn't return any Word files on the same search. I've looked in system.log for error messages, but don't see any.
How do I get Spotlight to search inside Word files on a machine running Tiger that was upgraded from Panther to Tiger?
Also, is there any way to customize Spotlight to tell it to search just Word files in a given directory tree?
Thanks for any tips or ideas!
    Ed

    Hi BDAqua,
I looked into my problem more closely, comparing a typical search for a string that's only inside a specific Word file on two different G4s, both running the same version of Tiger and Spotlight. One machine was fine, returning the one and only file that had the string in the contents of the Word file. The same search on the problem machine returned other files in the search results, but not the one expected.
Turning to the issue of permissions, I note for others who may read this, that a full, clean install of Tiger on a new disc will, by default, result in each $USER belonging to a group with the name $USER. Whereas an upgrade install of Tiger on a machine that, prior to the upgrade, was running either Jaguar or Panther, will result in each $USER belonging to a group called "staff". This was the default setup on earlier versions of Darwin that has since changed under Tiger.
I changed the group from $USER to staff for my test Word file on both machines. No changes. Spotlight doesn't seem to mind, as I expected, the change of group from $USER to staff.
Then, based on your comment about Spotless, I downloaded and installed Spotless. Again no change. BUT, I started thinking about the indexing of files that Spotlight relies upon.
I then ran across Main Menu which allowed me to force a re-indexing of Spotlight. That did it! My test search then worked fine on the problem machine.
Thanks again for your help and getting me to think thru the problem.

  • Spotlight doesn't find the contents of at least one file

Goal - find a clever way to discover what Spotlight has (or hasn't indexed).
I have an xls spreadsheet that has the names and emails addresses of people who attended a recent course of mine. In the past few weeks I need to search precisely which course someone attended. The person had a unique last name and so I just put the name into
spotlight. Nothing found. A few minutes of digging manually confirmed the person had attended the course I expected.
    Related discoveries
none of the contents of that file is indexed by Spotlight - tested by searching other names
older xls files in the same folder are correctly indexed
Searching on the filename finds the file so the file itself is found by spotlight
Copy the column of names to a temp spreadsheet, save them and search - file find
Rebuilding the index from scratch warmed my CPU but didn't change anything
I've checked the simple spotlight preferences - xls spreadsheets aren't ignored
Since I don't know why its getting missed I'm concerned that other files might not get indexed properly as well.

I would suspect a corrupt file. It may be just damaged enough to stop Spotlight reading it properly.
If you select the file in the Finder and hit the space bar does it open in Quick Look? If it doesn't then it is broken.
Try opening it in Excel and copying and pasting everything into a new file.

  • Spotlight shows the result of old files doesn't shows words definition

    Hi all,
I am sick of my spotlight searchings, firstly it doesn't shows the latest file result as if i create a new document file it doesn't shows its existence and the matter inside that file plus one more than previously i used my spotlight for words definition which came from dictionary now it also doesn't shows that thing as well, from different forums i have search that for re indexing put the hd drive into spotlight preference privacy and than delete that, what i did i drag the hd drive into privacy setting quit spotlight preference and system preference and than open again spotlight preference and in the privacy tab it's nothing there the drive which i just added a few minutes back it was not there so how would i delete it again for re-indexing. i am running mac os x 10.6.6. Pleas help Me thanks =)

Could be many things, we should start with this...
    "Try Disk Utility
    1. Insert the Mac OS X Install disc, then restart the computer while holding the C key.
    2. When your computer finishes starting up from the disc, choose Disk Utility from the Installer menu. (In Mac OS X 10.4 or later, you must select your language first.)
*Important: Do not click Continue in the first screen of the Installer. If you do, you must restart from the disc again to access Disk Utility.*
    3. Click the First Aid tab.
    4. Select your Mac OS X volume.
    5. Click Repair Disk, (not Repair Permissions). Disk Utility checks and repairs the disk."
    http://docs.info.apple.com/article.html?artnum=106214
Then try a Safe Boot, (holding Shift key down at bootup), run Disk Utility in Applications>Utilities, then highlight your drive, click on Repair Permissions, reboot when it completes.
(Safe boot may stay on the gray radian for a long time, let it go, it's trying to repair the Hard Drive.)
If perchance you can't find your install Disc, at least try it from the Safe Boot part onward.

  • Spotlight doesn't search Word 2008 doc(x)s

Though Spotlight doesn't have any problems searching within older Word files (all with the .doc extension), it does not search within the new Word 2008 .docx files. It does include the file names of .docx files, but doesn't seem to be able to search within the docs themselves. Does anyone know how to fix this? Thank you so much!

    Hello arnoota,
for me Spotlight's content search works for docx, too. Are the info in your signature correct? If so you should install the 10.5.4 update of Leopard! At least for 10.5.3 some changes concerning Spotlight are documented by Apple, so probably this issue got fixed as well with one of these two updates.

  • Cannot open Word File because "there are problems with the contents"

    Hi Everyone,
I cannot open Word File because "there are problems with the contents" unspecified error; Location: 2.  Please help as I need this doc for work meeting this morning.  Nothing special about this doc but links were copied into it???  However I do that all the time.  I have never had this happen before.  I am on a 2010 machine.  I just ran a disk permissions repaired and emptied the trash but still no dice.  I had several other word docs up as well when I got up this morning but they are all fine.  I do not have Time Capsule turned on (which I need to do but that will be another thread/question).
    Thank you,
    sb

Ok, I found a way to open this but not sure what happened to begin with and the formatting setup is different now, almost like text editor?  Not sure what happened here but hope it doesn't happen again?

when trying to upload a MS word file (.docx) to gmail, it uploads as a 'folder' that doesn't contain the original document when i try to download it back from the e-mail.  how do i set the format to simply upload the document itself???  Thanks...

Yes, excuse me. attach a file.  I have separate folders on my desktop to organize my word documents, so I'm guessing this might be a part of the problem.  When I go to attach one of these documents into gmail, the resulting attachment is another folder icon (not the original organizational folders) with 4 subfolders containing a slew of .xml files reading things like "header.xml" "format.xml" "settings.xml" "style.xml" "contenttype.xml" There are also a few .jpegs and a small folder reading "word" as one of the subfolders.

  • Cannot search file content on Word document with embedded Excel table

Cannot search file content on Word document with embedded Excel table. I have Windows 8.1 64-bit and Office 2010 Professional. Only phrases from within Excel tables are not searchable. I have many Word documents with embedded Excel table.
I use it for my invoices. Those invoices are converted to pdf to be sent via mail. Searching the same phrases in related pdf files Works fine. And yes, folders are indexed, searching service is active......... For example I can find all invoices that have
specific address or name, which is located in word document, but cannot find invoices with specific item name or price, being that information is in embedded Excel table. (not linked, embedded). I thought that is a question for Windows forum, but guys directed
me here on Office forum. To clarify, I do not use Ctrl+F inside some document, but Windows Search in my folders. Probably the same happens in Office 2013.
    Thank you.

Hi, I have a lot of Word documents (invoices, offers). Main part of those documents is embedded Excel file because it is easier to do mathematics in Excel than in Word. There are columns with description, unit price, quantity, taxes... Now, I need
to find who bought HP switch 2530-24G last year. I open folder with last year invoices and search "2530". Cannot find any. But if that document was converted to pdf for mail, than I can find that phrase. Windows search does not work for content if the content
    is in embedded file.

I am trying to find out how to assign files with particular extensions to the appropriate software. At the moment when I create a file using Word it is apparently given the extension .docx but Word doesn't recognise its own files. How do I allocate the extension .docx to Word? There used to be a way of doing it, I think under "Preferences" but I can't seem to find it.

Maybe i do not understand the cfpdf tag the right way.
What i want is a kind of pdf-to-text conversion.
Do I have to use the processddx action? I do not think so.
But there is a property DocumentText .. ?
