SRM 7 Offline Approvals

Hi all,
We will be upgrading to SRM7 from SRM4 and would like to enable the outlook offline approval links in the email notification of cart.
I can get the email generated by the links will not be enabled, can anyone give some insight?
Also, once enabled I read that once clicked it will present a form for the end user to click send, is there anyway without customizing this to have the offline email immediately send without having to click send ?
Thanks all,
Robert

Hi - got this to work - great, have a few issues but looking at some of the reccomended notes -
question  - REALLY ????  "the email is not sent immeidately but opens a new session and then user has to click on SEND.This is standard function."  REALLY - this is the standard function?
do you know if a work around ?  I find it instresting that it is acceptable to have to click send after you clicked approve...
Let me know
Thanks
Robert
you have been a great help.

Email client should support HTML or plain text mail. I heard very old version of Lotus Notes does not support HTML mail. Please check your Lotus Notes version.

  • SRM Offline Approval via Blackberries

    Hi,
We're on SRM 5.5.  With the Offline Approval using RBBP_NOTIFICATION_OFFAPP or RSWUWFMLE programs,  has anyone managed to setup offline approval to work via Blackberries.
    Thank you for your help.
    Jennifer Tran

    Hi
Yes, but for this you need have SAP MI (mobile infrastructure) configured in the landscape. MI is part of SAP NW. Integration of MI is possible with SRM2.0 and upwards.
For details refer service.sap.com/mobile - mobile procurement

  • SRM Offline Approval via Blackberries is not working

    SRM Experts,
We are using SRM 5.0, PI-7.0. We don't have SAP MI (mobile infrastructure) configured in the landscape. Whenever user approves the Shopping cart from blackberry, it does not work. If user approves from MS-Outlook, it works. I heard that we can approve SC from  blackberry without configuring MI in the landscape.
I also observed that when SC is approved via blackberry, it does not have subject line and workitem number information whereas when it is approved via Outlook it has. Any idea why subject line and workitem number information is missing via blackberry?
    Can someone please help!
    Points will be rewarded..
    Thanks in advance!
    MP

    Hello,
I am assuming that you are using the standard out of the box offline approval process in SRM. What you are saying is that when someone clicks on the link using Blackberry, it does generate an encrypted response but does not populate subject text?
If that is the case please check the version of Blackberry operating system. Try using the functionality from a latest Blackberry model with latest device software installed.
Earlier versions of the BBerry devices/OS did not even support mailto: hyperlink inserted in the approval request mail.
    Abhay
PS: I have tested this functionality using Blackberry Pearl and I did not come across any problem of subject line not getting populated. The encrypted approval response also gets populated correctly.
    Hope this helps.

  • SRM - Offline approval of shopping baskets (avoid automatic email)

    Dear colleagues,
We are implementing SRM 5.0 and one of the key functionalities is the so-called "offline approval": the authorizer receives an email with the information of the basket he/she has to approve or reject. This email actually contains 3 links: one for approval, one for rejection, and another one to access the system (SRM).
When accepting or rejecting the shopping basket (that is, when clicking on any of the links for approval or rejection) the system automatically generates an email with a default text in the Subject and in the Body of the email. The user can INSERT some comments in the middle of the proposed character chain. Example of email generated:
    Send to: [email protected]
Subject: #EBP_GEN_REPLY#Reject of a work item
    Body:
    #WFTECHINFOS#444244093D34D87D43D6572D4#WFTECHINFOE#You can write a note#NOTM#Regards.
That is, the user can write a text replacing the "You can write a note". If, for whatever reason, the user deletes any of the other characters, or any character in the Subject, or writes the comments in the wrong position, deleting a "#", etc, the process will not work.
On the other hand, it is quite unlikely that the user needs to write a comment. Normally, he/she just approves or rejects, without comments.
Therefore, this email is unnecessary and dangerous indeed, as it is quite likely that the proposed characters will be deleted or overwritten by mistake, and the process (either approval or rejection) will not work.
We want to avoid this email, ideally making it work in the background, so that the user does not even see it, and does not even have the possibility to modify those characters or overwrite them. This is absolutely business-critical.
This is of course a modification to standard SAP. Do you have any idea what we have to do to avoid the email?
    THANKS in advance.
    Ray

    Hi Rick,
Thanks for your message, but this is not really what I meant.
We need the authorizer to receive an email with the message: "You have a shopping cart pending for approval, with these items ...item 1, item 2, etc... Do you want to approve? Yes / No".
We have managed to turn on this message, which is fine. The problem, however, comes when pressing Yes or No (which can be either a link or a button, depending on your email service, e.g. in Lotus Notes we get links, but I know that in Outlook you would get buttons). When you press 'yes' or 'no' we would expect that the system automatically approves or rejects the basket in SRM with no intermediate email which may be manipulated by the user. That is: you press 'yes' and the system approves the basket in SRM, no matter if the communication is via email behind, but the goal is to avoid that the user may see or manipulate the email.
The same with the rejection: the user should press 'No' and no intermediate email should be visible to the user.
I know for certain that this requires a modification to the standard, but the question is where and how.
    Thanks again!
    Ray

  • Offline Approvals via Lotus Notes

We are currently implementing SRM 7.0.
We have configured off line approvals and the email content is sent correctly to Lotus Notes.
When the user clicks "Approve" in Lotus Notes, the approval email is not automatically sent to SRM.  The user is presented with a second screen that requires them to press the "Send" button in Lotus Notes.
    We have a few questions:
Is this the standard function? If yes, can this behavior be changed?
If this behaior cannot be changed, can we edit/add text to the blank Lotus Notes email?
    Thanks!

    Hi,
It depends on how email client handles the mailto action in HTML form.
Outlook shows dialog box. I think this is related with some security setting in email client side.
    This is received HTML email.

    2) Some where in SMTP exchage server of Outlook
I have compared the Production Email Id and it is working fine and my IT team checked that PRD email Id also not maintained in the SMTP server, not sure where we are missing.
    Please help.
    Thanks,

    Hello Scott,
Check (with basis team) technical settings for e-mail by means of:
    - OSS note [455140 - Configuration of e-mail, fax, paging or SMS using SMTP|https://websmp130.sap-ag.de/sap%28bD1lbiZjPTAwMQ==%29/bc/bsp/spn/sapnotes/index2.htm?numm=455140],
    - basic settings configuration guide for SAP SRM 7.0 (paragraph 5.7 Technical Settings for E-Mail - page 40). This last document deals with profile partner settings ( RZ10 ), client assignment and SAPconnect administration.
If all those settings are correct, so problem is due to mail server: basis team will have to check with network/mail server team.
    Regards.

  • SRM : Offline approval process

    Hi All,
I'm working on SRM 5.0 . We want to send mail to users outlook/blackberry for their approval. We have scheduled a report RBBP_NOTIFICATION_OFFAPP periodically. The users do get mail in their inbox. But when they reply to the mail the workitem status does not get updated. We have scheduled RBBP_OFFLINE_EVAL for this purpose but still the problem exists.
Is there any setting / configuration that needs to be done ?
    Thanks,
    Shounak ..

    Hi again Shounak,
If all is OK with OSS notes dealing with reports RBBP_NOTIFICATION_OFFAPP and RBBP_OFFLINE_EVAL and Support Package, please have a look at information below.
SMTP service setup must be checked. For this, refer to OSS note 455140 - "Configuration E-mail, fax, paging/SMS via SMTP".
As report program RBBP_NOTIFICATION_OFFAPP, which creates e-mail notification, is already scheduled, there should not have to configure this step.
Nevertheless, SAPConnect administration wil have to be managed to allow SAP inbox mailing.
So, it will be necessary to setup incoming e-mail (use inbound processing transaction SO50 )
You should have one row with values:
    - Communication type = Internet mail,
    - Recipient address = *,
    - Document Class = ICS,
    - Exit Name = CL_APPOINTMENT_REPLY,
    - Call Sequence = 1.
Moreover, check that user whom execute both reports (he is a system user) receives correctly inbound mail in his Business Work Place ( SBWP transaction when connected with the user in SAP GUI).
For this, check with report RSBCSIN.
Workitem status will not be updated by this system user but by a dialog user whom will process e-mails.
So, you have to forward all mails that reach the inbox of your system user to this other user: use transactions SO36.
Finally, if all this is not enough, you will have to debug report RBBP_OFFLINE_EVAL.
    Regards.
    Laurent.

  • Changing the Offline approval email in SRM 7.0

    Hi all,
Im working on SRM 7.0(SP1).Im workng on customising the email content for the offine approval email for Shopping cart. The SAP help says the badi BBP_OFFLINE_APP_BADI needs to be used  for this.
Now I need to make some changes to the main body of the email. However when i tried debugging this badi,I found out that I cannot read the main body o fthe email in this BADI(Only subject line is available and the first 3 openig lines).I mainly need to change the Item details(dislayed in tabular format) and a/c assignment details(also displayed in tabular format). However I cannot read these details(Item n a/c assignment) in this BADI...
Has anybody worked on similar requirement?I have used this BADI previously in SRM 5.0 successfully. However in SRM 7.0,I found this problem in modifying the email contents for offline approval.
Any inputs will be highly appreciated.

which reports are using to send workitem ? since 2 rbbp and rsm  reports sends workitem so i think you must drill into the report how workitems are generated and that workitem needs to be modified.
In sost you might seen content of the mail which you are gonna sent.

  • Offline Approval using Workflow in ECC6.0

    Hi,
I wanted to know if there is any way in which we can enable offline approvals of work items in ECC 6.0.
I know that in a SRM system it is possible with the use of RBBP* reports, but these reports are not present in the ECC system. I have tried making use of swnadmin and swnconfig transactions, but I have not been able to achieve what I am trying to, which is offline approval (approve/reject) of tasks/workitems (without having the user to interact with SAP GUI windows/html).
An ideal scenario would be that a user recieves an email with Approve/Reject option, and on clicking any of these options, the necessary updates are registered by the SAP system.
So is it possible to implement the above by making use of WebServices or something else?
Any help or guidance will be very helpful and rewarded
    Thanks,
    Shailesh

    Shailesh,
Notrix is third party software and used to link between Lotus Notes and SAP.
A Job runs in Notrix and pulls all workflow work items and sent to approvers lotus notes inbox, also you gotta write down some FM into SAP as a plug-in to Lotus Notes.
its a collective effort from Basis team, Notrix, ABAP developer and workflow consultant. Most important client has to be in consent for this all cost.
hope that it will help. for more info about Notrix pls google.
    Cheers

  • Shopping cart offline approval with outlook

    Dear Experts,
Currenlt we are working on SRM 5.0 classic scenario and ECC 6.0. I want to implement shopping cart offline approval with outlook.
Can you please guide me what all are the settings need to be done for offline approvals....
    Thanks
    Ravi

    Hi Ravi,
The program RSWUWFMLEC was used to scehdule offline approval mails upto SRM 4.0(In SRM 5.0,report RBBP_NOTIFICATION_OFFAPP is used)..
Please see the foll link for more deatils:
    SRM5.0:
    http://help.sap.com/saphelp_srm50/helpdata/en/31/ec423b4ac8d506e10000000a11402f/frameset.htm

    http://help.sap.com/saphelp_srm2007/helpdata/en/31/47c6cb8e9249f2bc29444212e4704a/frameset.htm
You need to check the settings mentioned in the link above before you scehdule the report for snding the approval mails to the external email ID's of the approvers.
The job mentioned are only for sending the approval mails. To send the requester notification messages to external mail box (instead of SRM inbox),see the foll thread for more pointers:

  • Offline approval mail - change layout

    Hi all.
SRM 4.0, server 5.0, backend ECC 6.0, Extended Classic Scenario.
We only use offline approvals meaning that our approvers receive an email that they have to use - in here they are presented with two links; one for approval and one if they wish to reject the item. When pressing the link, this brings up the mail that should be used for the workflow, and this is a mail with a long piece of code like this:
#WFTECHINFOS#00F3D1395134D34D34D34E39F3BE81512DB5DB5FBE#WFTECHINFOE#Please do not change this automatically generated e-mail
Would any of you know how to modify this? Of course not the code itself, but I need to delete the "Please do not change blahblah". This is causing us the issue, that we cannot use Smartphones using Windows 5.0 or lower to approve the purchase, and we have tested that when the added text is not there, the approval is working from all smartphones.
    Thanks for input.

    Hi Dennis,
you can change this in program RSWUWFMLEC.
Search for program part with :
    mail body part 3 -
or with searching T19 which is the text that you search.
You can cahnge this program that generates the approval mails.
    Best regards,
    Laurent.
    Award points if helpfull. Thanks.

  • Regarding SAP SRM Inbox configuration

    Hello Guys,
We are in the process of configuring the SRM workflow approvals in Portal.
We made the basic mandatory configurations and we are able to see the workitems in the UWL.
But unfortunately, we need configure the Inbox iView comes with the SAP SRM business package to work.
With the configurations recommended, we manage to get the workitems in the standard Inbox iView.
Only the header items are shown and when opened, a new window opens with just the header. Information of the workitems are not shown. But the same is shown in Universal Worklist.
We are just wondering what could be wrong.
    Any suggestions are welcome.
    Thanks and Regards,
    Vivek

    Hello Siddharth,
    Thanks for the quick response.
I think it is POWL. After making some entries in the SRM system table, we are able to get the workitems in the Inbox view, but no details were displayed.
    We tries modifying the xml
    <ItemType name="uwl.task.webflow.srm.TS93107952" connector="WebFlowConnector"
    defaultView="DefaultView" defaultAction="launchSAPAction" executionMode="default">
    <ItemTypeCriteria systemId="SAP_SRM" externalType="TS93107952" connector="WebFlowConnector"/>
    <Action name="launchSAPAction" groupAction="" handler="SAPIACLauncher" returnToDetailViewAllowed="yes" launchInNewWindow="yes"

    <Property name="openInNewWindow" value="yes"/>
    <Property name="IAC" value="BBPCF02"/>
    </Properties>
    </Actions>
    </ItemType>
We just want to see the workitem details like we do in the UWL.
    Thanks and regards,

  • Lotus Notes Offline Password Change

Initial inquiry to determine if Identity Manager has a facility for managing the local "myuser.id" file maintained on a "Lotus Notes" workstation when the user changes their password while offline.
The requirement is that a user can change their password online/offline and that the passwordSync occur when reconnected to the network. The resource adapter in 6.x indicates support for the online password change but I cannot find a reference for offline password change support. Appreciate any feedback.
