SRM - Offline approval of shopping baskets (avoid automatic email)

Dear colleagues,
We are implementing SRM 5.0 and one of the key functionalities is the so-called "offline approval": the authorizer receives an email with the information of the basket he/she has to approve or reject. This email actually contains 3 links: one for approval, one for rejection, and another one to access the system (SRM).
When accepting or rejecting the shopping basket (that is, when clicking on any of the links for approval or rejection) the system automatically generates an email with a default text in the Subject and in the Body of the email. The user can INSERT some comments in the middle of the proposed character chain. Example of email generated:
Send to: [email protected]
Subject: #EBP_GEN_REPLY#Reject of a work item
Body:
#WFTECHINFOS#444244093D34D87D43D6572D4#WFTECHINFOE#You can write a note#NOTM#Regards.
That is, the user can write a text replacing the "You can write a note". If, for whatever reason, the user deletes any of the other characters, or any character in the Subject, or writes the comments in the wrong position, deleting a "#", etc, the process will not work.
On the other hand, it is quite unlikely that the user needs to write a comment. Normally, he/she just approves or rejects, without comments.
Therefore, this email is unnecessary and dangerous indeed, as it is quite likely that the proposed characters will be deleted or overwritten by mistake, and the process (either approval or rejection) will not work.
We want to avoid this email, ideally making it work in the background, so that the user does not even see it, and does not even have the possibility to modify those characters or overwrite them. This is absolutely business-critical.
This is of course a modification to standard SAP. Do you have any idea what we have to do to avoid the email?

Thanks for your message, but this is not really what I meant.
We need the authorizer to receive an email with the message: "You have a shopping cart pending for approval, with these items ...item 1, item 2, etc... Do you want to approve? Yes / No".
We have managed to turn on this message, which is fine. The problem, however, comes when pressing Yes or No (which can be either a link or a button, depending on your email service, e.g. in Lotus Notes we get links, but I know that in Outlook you would get buttons). When you press 'yes' or 'no' we would expect that the system automatically approves or rejects the basket in SRM with no intermediate email which may be manipulated by the user. That is: you press 'yes' and the system approves the basket in SRM, no matter if the communication is via email behind, but the goal is to avoid that the user may see or manipulate the email.
The same with the rejection: the user should press 'No' and no intermediate email should be visible to the user.
I know for certain that this requires a modification to the standard, but the question is where and how.

    Yes, but for this you need have SAP MI (mobile infrastructure) configured in the landscape. MI is part of SAP NW. Integration of MI is possible with SRM2.0 and upwards.

  • SRM Offline Approval via Blackberries is not working

    SRM Experts,
    We are using SRM 5.0, PI-7.0. We don't have SAP MI (mobile infrastructure) configured in the landscape. Whenever user approves the Shopping cart from blackberry, it does not work. If user approves from MS-Outlook, it works. I heard that we can approve SC from  blackberry without configuring MI in the landscape.
    I also observed that when SC is approved via blackberry, it does not have subject line and workitem number information whereas when it is approved via Outlook it has. Any idea why subject line and workitem number information is missing via blackberry?
    Can someone please help!

    Hello,
    I am assuming that you are using the standard out of the box offline approval process in SRM. What you are saying is that when someone clicks on the link using Blackberry, it does generate an encrypted response but does not populate subject text?
    If that is the case please check the version of Blackberry operating system. Try using the functionality from a latest Blackberry model with latest device software installed.
    Earlier versions of the BBerry devices/OS did not even support mailto: hyperlink inserted in the approval request mail.

    PS: I have tested this functionality using Blackberry Pearl and I did not come across any problem of subject line not getting populated. The encrypted approval response also gets populated correctly.

    This note proposes as solution
    "Users with Outlook 2007 should open the mail in a window (double click)
    and use the option "other actions" -> "view in browser" to see and use
    all functionalities of the mail."
    This is because Outlook 2007 does not support HTML forms.
    Please, generate the mail in browser and check how the system works.
    In order to use such functionality, you have to follow steps available
    in note 1247911.

    Hi,
    I am testing Confirmation/shopping cart/Invoice Offlline approval fesibility testing
    I am able to generate wokrflow mail in outlook for Approve or Reject
    in Outlook when I am clicking Approve or Reject it is generating one more response email in outlook with some link in mail
    and when I am clinking on send the email Id which generating at the time of clicking on approve or Reject bouncing back
    Please let me know ..
    1) Do I need to maintain that email Id somewhere in SRM system OR
    2) Some where in SMTP exchage server of Outlook
    I have compared the Production Email Id and it is working fine and my IT team checked that PRD email Id also not maintained in the SMTP server, not sure where we are missing.

    Check (with basis team) technical settings for e-mail by means of:
    - OSS note [455140 - Configuration of e-mail, fax, paging or SMS using SMTP|https://websmp130.sap-ag.de/sap%28bD1lbiZjPTAwMQ==%29/bc/bsp/spn/sapnotes/index2.htm?numm=455140],
    - basic settings configuration guide for SAP SRM 7.0 (paragraph 5.7 Technical Settings for E-Mail - page 40). This last document deals with profile partner settings ( RZ10 ), client assignment and SAPconnect administration.
    If all those settings are correct, so problem is due to mail server: basis team will have to check with network/mail server team.

    Hi All,
      I'm working on SRM 5.0 . We want to send mail to users outlook/blackberry for their approval. We have scheduled a report RBBP_NOTIFICATION_OFFAPP periodically. The users do get mail in their inbox. But when they reply to the mail the workitem status does not get updated. We have scheduled RBBP_OFFLINE_EVAL for this purpose but still the problem exists.
      Is there any setting / configuration that needs to be done ?

    Hi again Shounak,
    If all is OK with OSS notes dealing with reports RBBP_NOTIFICATION_OFFAPP and RBBP_OFFLINE_EVAL and Support Package, please have a look at information below.
    SMTP service setup must be checked. For this, refer to OSS note 455140 - "Configuration E-mail, fax, paging/SMS via SMTP".
    As report program RBBP_NOTIFICATION_OFFAPP, which creates e-mail notification, is already scheduled, there should not have to configure this step.
    Nevertheless, SAPConnect administration wil have to be managed to allow SAP inbox mailing.
    So, it will be necessary to setup incoming e-mail (use inbound processing transaction SO50 )
    You should have one row with values:
    - Communication type = Internet mail,
    - Recipient address = *,
    - Document Class = ICS,
    - Exit Name = CL_APPOINTMENT_REPLY,
    - Call Sequence = 1.
    Moreover, check that user whom execute both reports (he is a system user) receives correctly inbound mail in his Business Work Place ( SBWP transaction when connected with the user in SAP GUI).
    For this, check with report RSBCSIN.
    Workitem status will not be updated by this system user but by a dialog user whom will process e-mails.
    So, you have to forward all mails that reach the inbox of your system user to this other user: use transactions SO36.
    Finally, if all this is not enough, you will have to debug report RBBP_OFFLINE_EVAL.

  • Changing the Offline approval email in SRM 7.0

    Hi all,
    Im working on SRM 7.0(SP1).Im workng on customising the email content for the offine approval email for Shopping cart.The SAP help says the badi BBP_OFFLINE_APP_BADI needs to be used  for this.
    Now I need to make some changes to the main body of the email.However when i tried debugging this badi,I found out that I cannot read the main body o fthe email in this BADI(Only subject line is available and the first 3 openig lines).I mainly need to change the Item details(dislayed in tabular format) and a/c assignment details(also displayed in tabular format).However I cannot read these details(Item n a/c assignment) in this BADI...
    Has anybody worked on similar requirement?I have used this BADI previously in SRM 5.0 successfully.However in SRM 7.0,I found this problem in modifying the email contents for offline approval.
    Any inputs will be highly appreciated.

    which reports are using to send workitem ? since 2 rbbp and rsm  reports sends workitem so i think you must drill into the report how workitems are generated and that workitem needs to be modified.

  • Problem while receiving a mail in blackberry using offline approval

    Dear SRM Gurus,
    We are working with SRM Server 5.5, SP08.
    We are using offline approval functionality using <b>Blackberry</b> device. We
    have observed that in an approval mail sent to blackberry, the approver
    does not see hyperlink for "Approve by mail" or "Reject by mail" text.
    However, when the same approval mail is checked on any other mail
    application like gmail or yahoo, we are able to get an hyperlink and
    approve the work item.
    While execution of report "RBBP_NOTIFICATION_OFFAPP", we have selected
    a checkbox "with approval links".

    Classic scenario with offline approval
    We have the offline approval process configured in the system for approval of Shopping Carts.
    I have two queries -
    1. Once the email is generated for offline approval and transmitted to the respective email address the status shows as "Sent". This is a standard behavior.
    Is there any configuration or any report which can be scheduled to delete the entry automatically without manually having to delete it?
    2. After the email response is received (approved/rejected) we are able to view the response in the "Inbox Overview" section of SOST transaction.
    Is there any configuration or any report which can be scheduled to delete the entry automatically?

  • Offline approval - weird characters in Outlook

    We're on SRM 5.0, Server 550, SP12.
    Scenario: offline approval of Shopping Carts
    After running report RBBP_NOTIFICATION_OFFAPP, approver is getting an e-mail in Outlook 2003 with some weird characters:

    When I look at the same message in , these characters are not visible; but there seem to be spaces/blanks in those spots. Looks like Outlook is substituting spaces for some other character.
    Also, there're some extra blank lines, which we would like removed.
    Any ideas how to get rid of the unwanted characters and unnecessary lines, besides BAdI implementation?

    Please check the foll note:
    Note 1100912 - E-mail messages for work items with incorrect line break
    Also,sometimes some junk characters are inserted into the offline mail if the required services(for the generation of mail ) are not active in transaction SICF.
    Please see whether the following path is active in SICF:
    SAP/BC/BSP/SAP/SMART_FORMS/DEFAULT.CSS
    If the above service is not activated,then activate that and re-test.
    Last option would be to implement the BADI BBP_OFFLINE_APP_BADI (method ~MAIL_DATA_GET) to remove the unwanted characters.

    What is the meaning of Document Class and what value should be maintained there for the offline approval line? Is "*" an acceptable entry?

    Even i am getting the same problem. If i apporve the shopping carts through offline and then approval status are not transfering back to SRM.
    I have maintained the entry in S050 and i scheduled the below two jobs.
    RBBP_OFFLINE_EVAL
    RBBP_NOTIFICATION_OFFAPP
    Can you please let me know what all are the steps need to be followed to complete this activity.
    This is mandatory requirement for my client.

    We all know that during offline approval of shopping carts the approver used to get a failure mail if there is some error .
    Some cases even after approval the approval status is not getting updated which is still showing awaiting approval where the approver says that he has done the approval .In those cases how to check the status.Is there any special task avaialble by which we can configure in such a way so that user will get a confirmation mail for the successful approval of shopping carts through offline(email).The points will be provided relatively.Give your valuable comments.

    I was reading up on offline approval process and it seems that there are two methods of offline approval...one using the RBBP_NOTIFICATION_OFFAPP report and one using the RSWUWFMLEC report. Is that accurate? If so, what is the difference between the two methods?

    1. I see from SAP Note 1166763 there is a Consulting Solution for the Blackberry.  I see from various SAP Notes that other customers do approve Shopping Carts via the iPhone.*
    Does SAP also have a Consulting Solution for the iPhone?

    s the Offline Approval method configurable by user?  Can some users approve via MS Outlook, and some users by Blackberry or iPhone?

    The Blackberry Consulting solution can be used for iPhone too. The solution works this way, The email communication happens through SRM SErver and your mail server for these devices. When email comes back from these devices, the SRM programs for offline approval reads the emails for some particular action (may be YES NO or , APPROVED etc). If the return email has the information in it, then offline approval programs gets executed and approves the cart.
    So the solution is just to decode the incoming email and then process the work item
