Staffing of Project Roles with Resources

Hi PPM Gurus,
We have some gaps when designing workflow email to Resource Line manager in cProject (Project Management) in PPM. We working on scenario where,-
1.       1. Project Manager (PM) knows only roles required for project, but not resources
2.       2. Important Question: How PM will inform by SAP workflow to Resource Manager (RM) or Line Manager (LM) to update resource in cProject.
3.       3. Then we can use standard SAP workflow process as mentioned in 1013736 – cProject soft booking and hard booking approval workflow which is,
1) The process of approval of a Soft Booking of a Resource to a Project Role and the subsequent conversion of the booking from 'Soft Booked' to 'Hard Booked' is controlled by means of a workflow.
2) This workflow will be triggered when a Resource is assigned to a Project Role or an old booking is changed and the booking type of a resource is marked as 'Soft Booked' by a Resource Manager. A Resource can be soft booked by checking the 'Res.' checkbox within the staffing table against the resource which is being booked to a role.
3) The Line Manager of the resource which was soft booked will receive a mail containing a link to his SAP Business Workplace from where he/she can approve/reject the booking.
4) In the SAP Business Workplace of the Line Manager a work item would be present which will have the booking details, 'Approve Booking' and 'Reject Booking' buttons which shall be used to make the respective decisions.
5) If the booking is approved then the workflow will try to automatically convert this booking from 'Soft Booked' to 'Hard Booked' in the background. If it succeeds then the process will move forward; if not (say, because of reasons like Project/role being locked) then the Line Manager will get another mail informing him/her about the failure and would have to re-execute the booking through a new work item. Once the booking type is successfully converted from 'Soft Booked' to 'Hard Booked' then the Resource Manager(s), Project Manager(s) and the Resource himself/herself will receive a mail notifying the confirmation of the booking.
6) If the booking is rejected then the booking type will remain unchanged ('Soft Booked') and the Resource Manager(s), Project Manager(s) will receive a mail notifying the rejection of the booking.

Hi Diana,
Your questions can be answered through staffing type 'Resource manager via responsible organisation' known as extended staffing process in PPM-Project management.
There are many staffing types
1) Project lead
2) Resource manager via authorisation
3) Resource manager via responsible organisation (Extended staffing process)
4) Multi-Resource Scheduling (MRS) (If MRS is integrated).
Except the first one, all other staffing type involves resource managers to staff the project roles and these staffing types are cross-project view for resource managers. The first one is project-centric and it is always staffed by the project lead/Project manager.
Resource manager via authorisation: Here the staffing is carried out based on the authorisation the resource manager has for specific resource pools with staffing/candidate manager authorisation to a single/multiple projects.
Resource manager via responsible organisation: In this process, the responsible staffing/candidate manager is identified through the HR organisation unit assigned by the project manager to a project role. This extended staffing process has 3 steps–
1)     Staffing in preparation (Where the project manager select the suitable department/functions(org. unit) for staffing the resource manager)
2)     Staffing in process ( The responsible staffing manager of the org. unit staff resources from his org. unit)
3)     Staffing closed (The project manager closes the staffing process).
MRS staffing is also similar to the above with its own extra features.
Considering this, I feel that ‘Extended staffing process’ is more suitable for your scenario.

    The validity period '10.02.2008'-'01.03.2008' for the assignment of project role Product Manager and ' Rakesh Pradhan' overlaps with the validity period of the assignment ''.
    However, the project role type does not allow several staffings to be edited at the same time in the project role.
    System Response
    The system does not allow this constellation of data when saving.
    Procedure
    Check and correct the start and finish dates of the staffings affected.
    Request you to advise in fiixng the issue.

    Hi Biplab,
    For multiple staffings in the same time frame, check the option of 'Edit in Parallel' in the Role Type settings in SPRO.

  • For Migration: Staffing of existing Roles with Distribution

    Hi,
    As a part of Migration, we are trying to use a Report for Uploading Staffing data.
    The roles are having Distribution. We are trying to use BUS2177staffingadd BAPI which works only if Start and End dates are same as that of Role.
    We are planning to change the Start and End of Staffing using BUS2177*staffing*change FM
    But we are not able to change as it checks in standard commit class CL_DPR_CHECK.
    Is there any other way to upload staffing data.
    Can we use SET_ADVANCED_DISTRIBUTION method of CL_DPR_BUPA_DISTRIBUTION, if so how.

    When we call  BAPI_CPROJECTS_COMMIT_WORK it returns with an error. When tried to debug, found that system raises an event save_requested and then error occurs.

      This is caused by the default security policy which blocks file sharing with unidentified networks by making them public. (How it determines unidentified networks is another interesting question). To allow file sharing, you have to change the local
    security policy to allow unidentified networks to be private.

    The job synchronizes FND Users with the Workflow directory service (plus any other systems you specify). PER is a special case, and will only be synchronized with the Workflow directory service if they are associated with a user - otherwise the records are not included. If they have corresponding HZ_PARTY records, then these may be synchronized, but should not really be used for notifications, since there is no login mechanism for the users to view the notification sent to a party record.

  • Resource Staffing to a Project Role - Few queries :)

    Hi,
    There is a Newly created project role. Now the role needs to be assigned with the project task and also a resource needs to be staffed to the Project role.
    The role creation, task assignment are going good as per the defined processes. But I am finding difficulty to staff the resources to the role. On searching the resources (please note I have not mentioned any criteria in qualification) I am getting a list of resources but on staffing them neither of them is having the availability.
    My questions are..
    1) Are there any validity dates (for staffing) for the resources which are defined as the Busienss Partner in the BP T Code.
    2) On creataing a new Buseinss Partner in the BP and searching the same while staffing it does not show it. (Guess it can have some batch-job for updates as per requireement). Please suggest my guess is right or not.
    3) Do we have any functionality in cProjects wherein based on role requirement (with its availability dates) we can explore the number of resources which can be staffed with their availability dates. (I guess it is similar to the qualification criteria match functionality, but please note I have not used the qualification in my test case here).
    Please suggest. Full points for the correct and useful answer.

    Hi Nishit,
    1. I dont think there is any validity period explicity defined for BPs. The Business Partners can be staffed if they are not 'blocked'.
    2. Ensure that you create BPs with Employee role.There is no batch job update required if you have created BPs in the same system.
    3. Yes. This is possible. Check out the Resource Search Functionality in cProjects. Availability can be set as a desired search criteria there. You can maintain the BP availability in the t-code RPM_EMPDATA.

  • Export to MS Project and multiple resources to one role

    Ok, after this rather cryptic title i will explain my problem:
    We are currently in a project where we have the following requirement:
    A download of cProjects needs to be imported into MS Project 2007.
    When a project role is staffed with multiple resources in cProjects it is imported into MS Project as a single role with only the first resource attached to it. All the other resources are nowhere to be found.
    Does anyone have a solution to this?

    Hello Meil,
    You can try to implement your requirement in BAdI DPR_MSP_CUST_FIELDS method CUST_CONVERT_DPR2MSPINT. Here you have to convert each and every Resource assigned to a Role as individual resource in MS Project. You have to use method CUST_CONVERT_MSPINT2DPR to convert it back in Project's format.
    e.g. 1) Downloading Project to MSP --> Role 1 has Resource 1 and Resource 2 then in first method you need to Create entry for Resource 1 and Resource 2 and keep track of to which role these are staffed. But this will create individual entries for each resource and will not add the resources name to Project role. Other possible implementation would be that you can maintain the Employee number of each Resource in some Text field which is not used in Field Mapping and accordingly decode these Emplyee numbers while uploading the Project from Ms project.
    2) Uploading Project from MSP --> Use second method CUST_CONVERT_MSPINT2DPR to decode the above implementation to fill the Project structure for Role and Resources.
    You may check it if it is possible to implement it in that way.
    As a standard, as metioned earlier, it is not possible.

  • Resource search based on Customer and Project role type

    We are using cProjects 3.1 with WFM core and SAP ECC 5.0 We have been able to search for resources (created as Business partners) based on Org Unit, Qualifications and also Availability %.
    But while searching in the General tab, if we enter the
    Customer/Ordering Party field or Project Role type field, the search yields no results. However if both these fields are blank, the search gives correct results.

    You can implement it with custom logic
    Talking about PA-PSA based search, Is available using PFAL transaction for BP creation
    You need to Map your PA-PSA with Area-location of cProjects

    Hi,
    I want to staff the resources in project role. I have created project role, but unable to staff as the field is grey out.
    I have created org unit in T-code: PPOCE and try to assign in tab "Staffing process" but i do get error as "No org unit exists".

    I have already chk and I have full authorization.
    When I go to the Resource tab ---> Staffing Process where I change the status from "Staffing in Process" to "Start Staffing Process", system throws error as "No responsible organizational unit for staffing assignment". I have created org. unit in T-code: PPOCE but still i could not see the org unit in the drop down of org. unit.
    Beacuse of these i cannot assign the resources in the "Staffing" tab.
    Hope I am clear.

    Is it standard functionality?
    For Example:
    Project Definition                        Responsible role as Project Lead.
         Phase_1                                 Responsible role  as Design Lead
             --> Task_design_1               Responsible role as Design Engender   
              --> Task design2             Responsible role as Project Lead

    We are facing the problem with resource tab page.
    When User Click the resource tab page
    Runtime Errors         UNCAUGHT_EXCEPTION
    Exception              CX_DPR_FATAL_ERROR
    with the Exception error
    "Invalid parameters were transferred when calling"
    We notice that the problem is happen because "Role is assigned to a task that is directly assigned to the project Definition"
    We test it also, it works without any run time error.
    We just want information that it is standard Functionality or not with some SAP Document to prove this.

  • Project server 2010. Troubles with resource availability

    A problem occurred while checking resource usage using PWA. 
    Using the PS 2010 
    the total number of projects about 2000, about 1600 resources (for 5 years) 
    We have a project - project1 and resource involved in it - res1 
    In the project, each week for the resource specified work (20 - 30 hours), the project is saved and published. (When publishing a project there are no errors.) 
    In MS Project and PWA in Project center values ​ per weeks are the same. Go to the resource center, choose res1 and check its work in resource availability and see that for some weeks value of work is 0, at some 1.75. some 0.462 etc. 
    For other projects work of this resource displayed normally. Moreover, for all other resources is displayed correctly in this project. 
    When re-saving project data and republishing it the situation is same. 
    This issue takes place to be for some other projects. 
    questions: 
    1 - what database of PS take the data for plotting in resource availability? 
    2 - than similar behavior can be caused? 
    3 - how possible to solve this problem?

    Hi,
    The resource availability in PWA-resource center is based on the Published DB data.
    In order to trouble shoot, can you check in the data grid under the resource availability graph the capacity of the resource? Indeed the availability is calculated based on work versus capacity. The capacity might vary with calendar exceptions (holidays)
    and non-working administrative time in the resource timesheet. I'd suggest that you check in detail the periods where you have this unexpected behavior and see the resource calendar and timesheets.
    Also what you can do is to open a blank project plan (be sure to check the option "load summary resources assignments when starting MS Project Pro), insert the resource, go to the resource usage and add the remaining availability and work availability.
    Then you could confirm if the data are correct or not.

  • Project Templates with Enterprise Resources

    I'm using Project Server 2013 ( latets updates installed for both Client and Server)
    I've created a project template and attached this to a project type. My template has enterprise resources speciified. So far so good.
    Now I'm trying to create a project using this template and I'm getting some errors.  (See below)
    As soon as I remove the resources from my template the project creates fine.
    It looks like 'rsResourceCannotAddLocalWithSameNameAsEnterprise'  in the error below means that Project Server looks at the resource in the template and considers the resources in the template always to be a local resources. And of
    course the resource already exists in my enterprise resources and therefore the project creation fails.

    My questions are:
    Are Enterprise Resources in templates supported?
    Is there a way around this? We're trying to make it easy to select a subset of the enterprise resources available.

    I have experienced this exact same thing and my situation is highly irregular. 
    This is with Project Server 2013.
    I had an EPT with a Project Schedule that had Generic Enterprise Resources assigned and was able to create new projects without problems using the EPT from the New button in the Project Centre in PWA.
    I was creating new projects to test and demonstrate Portfolio Analysis and was able to model Organisational Capacity represented by my Generic Resources and also the Surplus/Deficit element of Resource Constraints on a Portfolio. The Hired Resource Report
    was failing.
    A Service Pack and Cumulative update were applied to the Server and now I cannot create new projects using EPTs that have a project schedule with Generic Enterprise Resources assigned to tasks in the schedule.
    I checked the error message for the Failed and Blocking job in the queue and the GUIDs were for my Generic Enterprise Resources. I deleted the offending Generic Enterprise Resources and then re-created them anew, edited the Project Template to have
    these Generic Enterprise Resources on the Project Team and randomly assigned them to tasks in the schedule to generate a notional demand for work in the Project Template. I then Saved the Template in Project as a new Project Template and edited my EPT
    to reference this new Project Schedule. 
    Same error encountered again.
    Perversely I can open the Template schedule in Project Professional and do Save As and save it as a new project to the Server and that works just fine - the schedule is visible in the Project Centre and I can edit the schedule in both Project Pro and in
    PWA.
    My hunch is that the Cumulative Update and Service Pack which were applied to try and resolve the failing "Hired Resources Report" in Portfolio Analysis, which sadly it didn't resolve - has probably provoked this interesting challenge as it is
    the only material thing to change on the Server during the time that this issue has manifested itself.
    Am I the only one to encounter this?

  • Project 2013 with Shared Resources(resource pool) stored in O365 SharePoint

    I am trying to use both a resource pool and storing all projects files in Office 365 document library. I have 3 project files, one with resources only and 2 for project scheduling. If I store the files on the local machine, when I open both resource project
    and the task project and use shared resources, it works as expected.
    I then copied the project files to a SharePoint library and attempt to do the same thing, project does not seem to know that there are multiple project files open and the shared resource option is disabled.  
    How does project determine that multiple project files are open to enable the resource pool feature?  I have tried faking it out my mapping a drive letter, etc to the SharePoint library.   Does project/WebDAV have issues?

    Yep I'm pretty sure that resource pools and linked master files don't work with SharePoint. Pools and linked masters should only ever be very carefully used on local drives (physically within same building) as the links use DDE (developed way before SharePoint
    was even thought of) which are very fragile and prone to file corruptions.

  • Project with Resource Related Intercompany Billing (D48)

    Have BP-ERP 604V1, and BP-SOLBLD 70V1 installed. Was able to install baseline package for Germany V1.604, including scenarios and building blocks.
    Now attempting to ...
    - locate where best practice for project with resource related intercompany billing (D48)
    - this would include scope (.xml file) and script files (.txt file)
    We have downloaded the Best Practices for Mining for service marketplace. I can see D48 files in the extraction once complete. The challenge is that I cannot seem to find the .xml file solution file to import. If I could, I would then follow similar process that I did for baseline package for Germany V1.604.
    Does anyone have any insights to the how one gets this loaded? I see a .bpp file, but was expecting an .xml file. I see the opportunity to import via Solution --> Import, but this is looking for .bps file as option other than .xml file.
    Appreciate any tips on this one.

    Thanks for your feedback,My scenario is like this,We have a Centralized Company which would be delivering directly to the Customers in other Countries through their plants through Plant abroad concept for Local companies in other countries who would be acting as Selling agents for a commision.
    I would require to design a Intercompany Invoice(Revenue Less Commison) where I require the revenue from the Customer Invoice to be transferred  on the Intercompany invoice.That is all the pricing conditions are required to be copied from Customer invoice to inter company Invoice.

    Hello Preddy!
    For hiding or setting the field "read-only" you can use the field control via customizing.
    SPRO > SAP Portfolio and Project Management > Project Management > Global Enhancements to Project Elements > Set Up Field Control
    The object type of a cPro role is "MTG" (or MTT for template roles).
    Use the External Attribute "ROLE_GUID" for dealing with this field.
    E.g. for setting the field "read-only" a very simple example would look like this (without dealing with special cases and conditions):
    Chose the value "private" for "condition fulfilled / condition not fulfilled" to hide this field.
