Below are some customization for status management:
Status Management
Use
Status Management allows you to control whether documents are visible to particular user groups. The system uses status management in the approval process.
Prerequisites
The status management service must have been activated for the repository in which the documents are stored. This setting is made by an administrator.
Features
The system sets the status automatically if you carry out an action, for example, if you send a document to be approved before it is published (see Publishing with an Approval Process).
The status of a document is displayed in its Details dialog box. A document can have the following statuses:
Status
Visibility
In Progress
Only visible to authors (users with write permission) and users with the service permission Approver Administration.
For Approval
Only visible to authors (users with write permission), approvers, and users with the service permission Approver Administration.
Rejected
Only visible to authors (users with write permission), approvers, and users with the service permission Approver Administration.
Released
Visible to all users with read permission.
Archived
Only visible to authors (users with write permission) and users with the service permission Approver Administration.
Status Management in Business Transactions
Use
You can use the general SAP Status Management when processing business transactions.
You can document the current processing status of an object (for example, a sales order), using status management. The current object state can consist of a combination of individual statuses. Any number of statuses can be set for an object.
The system statuses Open and Do not distribute and the user statuses Quotation created and Do not print can be active simultaneously in a quotation.
Each status fulfills two functions:
·        It informs you that a specific status has been set (for example, the quotation was released).
·        It specifies which step you can or cannot take next (for example, release is allowed).
If a business transaction is executed, this can set or delete one or several statuses for the relevant object. The switch between status and transaction can be portrayed as follows:
Statuses are portrayed in the system in two different ways:
·        As 30 character text
·        As 4 character abbreviation (only in status profile)
Both methods of portrayal are language-dependent.
There are two types of status:
·        System status: Status that is a status set by the system, which informs the user that the system has executed a specific business transaction on an object. You can only influence this status if you execute a business transaction that changes the system status.
If you release a quotation, the system automatically sets the system status to Released.
However, there are also some system statuses in CRM that the user can set or reset as he wishes, for example, Do not distribute. These statuses are defined in the CRMC_STATUS_PROC table.
·        User status: Status that you set, that you can create as additional information to the existing system status. You define a user status in a Status Profile that is created in Customizing for business transactions. You can define and activate as many user statuses as you wish. A status profile can then be assigned to the following in Customizing for business transactions:
¡        To a transaction type (for header status)
¡        To item categories (for item status)
A status profile can be assigned to several transaction types and item categories.
System status and user status influence the business transactions in the same way.
The header status is independent of the item status. One exception is the status Completed. If all items have the status Completed, the header status is also set to Completed.
Integration
A business transaction is not a static object, but it has its own life cycle, which starts when it is opened and ends when it is completed. During this time, different business transactions change the business transaction. It is, for example, forwarded for release or set to completed.
There are four system statuses that represent the life cycle of the business transaction:
·        Open: has been recently created and not yet processed (for example, contract from the Internet)
·        In process: administrator is clearing up questions
·        Released: contract is complete and legal. Follow-up processes can be started (printing, billing, distribution, releases and so on)
·        Completed: All actions directly linked to contract are completed
·        Closed: all actions indirectly linked to the contract are closed (for example, from R/3: batch run to actual costs)
Prerequisites
If you want to display and maintain the user statuses, you need to have maintained a status profile and assigned it to the relevant transaction types and item categories. To do this, go to Customizing and choose Customer Relationship Management  ® Transactions ® Basic Settings  ® Status Management. You have made the assignments in the activities Define Transaction Types and Define Item Categories.
Features
You can set and delete a status. Statuses that can be set and deleted always reflect the current document situation. However, the system only displays the statuses for setting that can actually be set, with reference to the current transaction status.
The following functions are available to you at header level:
·        Display of system and user status
¡        You have maintained a status profile: The system displays the user status that is assigned a status number, as well as the user status without a status number. The system statuses are displayed separately from the user statuses.
¡        You have not maintained a status profile: Only the system statuses are displayed.
The statuses that are not active are displayed for selection. During selection, the corresponding system status is executed according to the settings in the control table.
·        R/3 transfer and R/3 status: Display of distribution status to SAP R/3 and other statuses for the business transaction in SAP R/3
·        System status / user status: detail view of the individual status area with the option of setting and resetting the status
·        Total item status: Overview of statuses at item level, such as inquiry, quotation, rejection and block status. The individual status lines are only shown if they are relevant for this transaction type
The following functions are available to you at item level:
·        System status / user status: you can set and reset statuses with restrictions.
·        Block / reason for rejection: you can reject an item or set a billing block. You must select a reason in both cases. You can also set a delivery block and credit block
Specifics for CRM Enterprise and Interaction Center
The following functions are also available to you:
·        You can lock or cancel all items at header level. You can set a billing block or cancellation for all items. This is a kind of “fast setting” of the flag at item level.
·        You can display the distribution status to SAP R/3 at item level.
Specifics for the SAP GUI
You can display a status analysis. If you would like to analyze a problem individually, and would like to know for example why the system does not display a specific status for setting, you can use the status analysis to call up a technical analysis function.
Specifics for Channel Management
The channel manager can set all user status values, while partners can only set the status values that are relevant for them. This relevance is determined via Channel Management-specific authorization keys. You can find further information in the Implementation Guide under Customer Relationship Management ®Transactions ® Basic Settings ®Status Management ® Define Status Authorization Keys..

    Hi George,
    There are are two types of statuses.One is system status and second one is user status.These statuses will tell us current situation of an order.
    We can't change system statuses.But we can create our own statuses through status profile.With this profile we can control user statuses.
    In this status profile,
    1.We define the sequence in which user statuses can be activated,
    2.We define initial statuses
    3. Allow or prohibit certain business transactions.
    Selection profiles are used to select the objects (say production orders) with different status combinations.We assign status profiles to selection profiles in BS42 T-Code.

  • Error in activating status profile for SVT

    Hi,
    I've been trying to activate status profile EHS_SO for SVT in REACH compliance version 2.0 . But I am stuck.
    When I save a sales order, a message-'Error when activating status 0001 for status profile EHS_SO in order XXXXXX' has come up. My IMG settings are as follows:
    Sales documentr: No existing status profile used
    Status profile: EHS_SO added with status SD
    Environment parameter:SVT_SO_PROFILE: EHS_SO
                                          SVT_SO_STATUS: 0001 used
    Activate Status profile: STUCK (can't figure out the object type for VBP object type category)
    Does anyone know?

  • User status profiles for work orders and sub-orders

    Hi Experts,
    I have the following question regarding status profiles for SAP PM work orders (but I guess it relates to all user status profiles).
    Customizing
    A status profile is defined for order type "PM_A", which contains an authorization key "OP" for certain user states (to be set by the ordering party)
    Situation
    The ordering party A creates an order of type PM_A for contractor B, and B then creates a sub-order of type PM_A for contractor C
    Problem
    - If I assign the authorization key "OP" only to roles of party A, then party B can't set the user states reserved for the ordering party (correct for the order A->B, but not for the sub-order B->C)
    - If I assign the authorization key "OP" to roles of party A and party B, then B could set certain user states reserved for the ordering party in the order A->B, which is also wrong
    Question
    Is there a way to restrict sub-orders differently than "non-sub-orders", or do I have to create a "sub-order order-type" for each order type, in order to assign them different status profiles and authorization keys?

    since you have 3 roles to be assigned to the same order type with different authorization ,it is better you create an seperate order type for sub order and assign the user status with authorization for B and C

    Hi Anand,
    My query is while creating Status Profile in tcode OK02, there are various business transactions are available under status which one is No Influence or Allowed or Warning or Forbidd etc. I need to know the actual business transactions required for the status profile. Presently I have mentioned two business transactions which are Release and Write plan line item under status LKD(Locked). Release indicator is "Not Influence" and "Set". And Write Plan Line Items checked only "Allowed" as business transactions. But another user status "PLIM" I am not able to incorporte business transactons. While click on new entries A to W business transactions are appearing which are all "No Influence". But after saving the screen and back from the screen records(Business transactons) are not being saved properly.
    I want to know the actual reason... Kindly need your suggestion...

  • Need to Create the STATUS Profile for Q-Info record

    Hi Guys,
    Basically in the Q-Info record we have status profiles like VN, SP, MP OM and MP NOM etc... Under this status profiles there are few staus profiles assigned to it, in the same way
    I need to create the status profile for Q-Info record under the status profile MP NOM (Non Original Mfgr MP), so that when I am creating the Q-Info record I can select the status profile which is under the MP NOM.
    Guys anyone can guide me to create the status profile in BS02.

    BS02--->Select the status say " QM_P_001" ->Copy As F6  - >Enter new name>enter.
    Now chage the relevent data as per your requirement.

    You can call the inspectiion whatever you want up to I think 6, (maybe 8) characters.
    You can use 04pppp where pppp = your plant ID.  So 041000, 042000, 042010, 043000, 043140, etc...
    In the insepction type setup in the material masters you can set the inpsection type you want to use in that plant as the "preferred" one by checking that box in the inspection setup in the material master.

    After following the path CRM>SPRO>SAP IMG -->Customer Relationship Management -->Transactions -->Basic Settings --> Status Management -->Define Status Profile for User Status.
    the screen opens in change mode & allows user to carry out the changes, this is very crucial screen & hnece should not be in open mode ,kindly advice on closing the same.so that it opens only in display mode for production system.

                 To Block changes to any Object their is a Provision for the same in Client Deatils Screen
    Go to TCode:SCC4
    Check the Tab Cross-Client Object Changes
    Try setting the Option (3.No Changes To Cross-Client Customization Objs)
    Following Options Symbolises:
    Changes to the Repository and cross-client Customizing permitted
    There are no restrictions on the maintenance of cross-client objects for the client when this setting is used. Both cross-client Customizing objects and objects of the SAP Repository can be maintained.
    No change to cross-client Customizing objects
    Cross-client Customizing objects cannot be maintained in the client with this setting.
    No change to Repository objects
    With this setting, objects of the SAP Repository cannot be maintained in the client.
    No change to Repository and cross-client Customizing objects
    Combination of both restrictions: Neither cross-client Customizing objects nor objects of the SAP Repository can be maintained in the client.

  • User Status Profile for Process Order Operations

    Hello Experts.
    I have a need to set up a User Status at the Process Order Operation level that will prevent operation confirmation when the status is Active .
    I have been successful at the following:
       --- Created a new Status Profile (transaction BS02),
       --- Creating a u201CHoldu201D status,
       --- Defined the Influence on Business Transactions,
       --- Set the allowed Object Types for the profile.
       --- In an individual Process Order operation, I can now select the Status Profile, and set the Hold status, and it functions correctly.
    My problem is that I canu2019t figure out how to set my new profile as a default for Process Order Operations.  For Production Orders, this is done in the IMG definition for the Order Type (transaction OPJH), updating field T003O-VRG_STSMA.  However the Order Type definition for Process orders (transaction CORN) only has a field for a status profile at the header level.  Iu2019ve searched through Configuration and the Recipe, and the Production Version, and the Control Key, but can find no where to set the default status profile for a Process Order Operation..
    As a final desperate act, I manually edited a T003O record for a Process Order Type in our test system, but even this failed to set a default Operation Status Profile for subsequently created Process Orders.
    If you have any knowledge about this, then please help.

    As of this date, we have still not implemented a fix, but I did get some information from someone else who has.
    I'll post his information here for all to see.  Hope you find it helpful.

    Yes we managed to do it.
    After several false starts and CMOD/projects which suffered because only the default keys (for order number, aufpl etc) were in place and not the actual, we coded up the IN_UPDATE method in the WORKORDER_UPDATE badi. This gives us the final format after the DB save (but before the commit). The update of the STATUS using the SAP std function module was actioned successfully but the status profile was not actually passed through. We assumed that this was because of the update task - so we introduced an INSERT into JSTO instead (a bit naughty I know, but desperate needs etc). If you require anything more let me know.

    I have one requirement in PCUI i.e. can we personalize our Status profile for specific transaction in transaction search ??
    when we search any transaction from PCUI screen status wise we are getting all the statuses for same object category(All status for service orders) this create confusion for users, to restrict that can we create personalized status search, when user select particular transaction type he will able to see only status under that transaction not all.
    can we achieve this through user object if yes then which object to use ?
    Please help me to resolve the same.

    Are on using PCUI application in CRM 5.0, Please have a look at the section 5.1.7 Status Management in PCUI cookbook
    which is available in SMP. This section talks about the status management in Trasaction search.

    When I am trying to set the first status (OPEN) to the notification, it works fine but even after I am assigning the order to this notification, put notification in process, assign equipment I cannot set the next status (i.e., RUNG) it is showing me the following error:
    "Status RUNG is not allowed (QNF 100000000000) "  -> -> 
    Diagnosis
    The user status 'RUNG' has reference number 02.  In the current object status 'QNF 100000000000', the reference number of a status may not be higher than 01.
    Procedure
    You can only set user status whose reference number is not higher than 01.
    please help me solving this question its a bit urgent.

    use t.code bs02 and create your profile as required and assign the profile to the document type. With transaction control you can control further transaction for the particular status.
