When customizing your user profile (the customizing screen where define the texts of statuses) you have on the last column transactions. These are a group of system statuses that define the action you're doing while processing the transaction (Post goods received, Release order etc.)
You can maintain these in BS32. I don't recommend you to change it, I'm sure you will find one that answer to your needs, there are plenty..

I would need to know the use of the options 'no actions', 'set' and 'delete' under the Business transaction control in Status Profile (User Status) --> you will need to double click on each of the statuses to view the Business Transaction Control - they are the last 3 columns. Please provide specific example as well.
Also, could you help to advise the relevance of the 'lowest' and 'highest' columns in the initial screen? Please also advise the relevance of position and priority as well.

a). if someone suddenly do 'complete' (this is not a system status right?). as it is indicated as 'Set Status', what status will be set? user status or system status? What will be the value for the status to be set?

Personalize Status Profile for transaction search
Hi Experts,
I have one requirement in PCUI i.e. can we personalize our Status profile for specific transaction in transaction search ??
when we search any transaction from PCUI screen status wise we are getting all the statuses for same object category(All status for service orders) this create confusion for users, to restrict that can we create personalized status search, when user select particular transaction type he will able to see only status under that transaction not all.
can we achieve this through user object if yes then which object to use ?

which is available in SMP. This section talks about the status management in Trasaction search.

One of our requirements is that when the user status is Changed from "Status 08" to "Status 10", the only possible status available should be "Status 06" and the other statuses(07, 08 & 09) should be inactive or greyed out. Is there a possibility to hide status that is/are not required and the user should be able to see only 1 active status.
What is the significance of Auth Code and Select Profile? Where do we assign Select profile to a Status Profile?
Can anyone shed some light on this. Appreciate your response.

as far as I know, it is not possible to mark a status as inactive in certain cases.
However, there might be a solution to your question:
One ofcourse, is to change the order of the statuses so that you don't have to "skip" a status. For instance: switch status 8 with status 9, and change the properties of status 10 so that only status 9 can be reached (lowest status)
The other option is to use authorizations on statuses, that's were the AUTH_KEY comes in. You can use the standard defined key, or you can create additional authorization keys.
Let's say you create an additional key called Z_AUTH_1, and link this key to Status 08.
An end user would then need to have this authorization key value in his role profile (object B_USERSTAT) to be able to set status 08.

thanks for your reponds, but I think I give you a false description.
I have set the status profile using SPRO --> IMG etc.
When we config the user status profile, we will find the most right coloumn called "Transaction".
I want to know which code I can use for Campaign or Marketing. With this, I might control the accessability of the transaction. Which status will the transaction enable or disable.
I found the tCode is BS13, there we can find which transaction allowed to be set at the status profile.
But, has anyone succeed to set the transaction?
I have tried many transactions, but nothing can lock the transaction.

What is "Business Transaction" in status profile customizing?
Hi,
When I do customizing to define a new status profile, for each status line, the last column is "Trans.". And when I double click it will goto another screen "Transaction Control" to define business transaction and action, from F1 help it says:
Business Transaction
Transaction that the user executes on the screen.
Use
Objects that use general status management functions can define at business transaction level whether a function is allowed or not.
Examples
You execute a business transaction when you
Post to a G/L account
Release an order/project
Post goods received
Enter a confirmation
So could you please tell me what the functionality of "Business transaction" here? How can I define my own business transaction?
Thanks!This are some predelived functionalities that cab be triggered or forbiden and so on, when certain status is set. For example: you can create user status ZCOM (e.g. Completed) and set business transaction "Change document" to "Forbidden". This will mean that once this status is set, document is locked and can't be changed.

This is only used for CRM Activities. Press F1 when you cursor is in that field to get the explanation:
CRM: User Status Triggers Business Transaction
This field is only relevant if the status schema for object type CRM Activity is to be used. If you set a user status this triggers the execution of the business transaction assigned here.
This has the followig consequences:
The system status assigned to this business transaction by SAP is set/deleted (transaction BS33, menu option Follow-up actions)
The user status you assigned to the business transaction under menu option Business transaction control in this transaction is set/deleted

You want pricing for a certain sales order type to be checked before billing is possible. You can do this by specifying that the document automatically receives a self-defined status which prevents billing.
Actions
1. Define a status profile.
2. Assign one or more statuses to the status profile.
3. Determine for each status whether it is to be set automatically or manually when creating the document.
4. Define for the status which business functions should be suppressed or at least accompanied by a warning message.
5. Now assign the status profile to a document type or an item category, for which status management should be active.
Based on each status u can allow or restrict the documnets that would want to system to either create, give a warning, or simply ignore.

Status profile could not be set according to transaction type
Hello,
Error Status profile 'ZXXXXXXX' could not be set according to transaction type 'ZYYYYYY'.
Possible causes are:
1. Status profile 'ZXXXXXXX' has not been assigned to object type COH by the system administrator.
2. Initial statuses can be set in status profile 'ZXXXXXXX', which cannot be set using the current document attachment.
3. The current user XXXXXXX does not have the authorization to set an application status.
Though i have assigned Object type COH . and the user has the autherization. Pls Help.Hi ,
Please check you have assigned status profie to object type that is using this status profile. Ex. If you are assigning status profile to campaigns , you also need to check mark object type campaign under allowed objects types.

New user status profile applied to existing transactions
Hello experts,
We have been live for nearly a year and a half with CRM service 5.0 and are now preparing to upgrade to 2007. A new requirement to manage transaction item status through authorizations (B_USERSTAT) has been introduced at contract item level. We have tens of thousands of existing line items in production, but a user status was never maintained for the associated item categories.
We can apply a new status profile to the relevant item category, but that seems to only be enabled in new transactions, not existing ones. Existing transactions are therefore not relevant for the new authorization settings in B_USERSTAT authorization object.
Does anyone know of a utility or means by which we can "refresh" existing business transactional data to reflect the new user status profile?

I have requirement lilke this. In my case, i removed an existing user status 'Open' from the status profile for service ticket. it is reflecting in my new creating tickets..But existing all tickets have same status profiles (i.e) 'Open' is still there.. How to update the existing records???

How to restrict status profile for sales order.
Dear Friends,
Pl suggest me for follwoing scenario
► As per business process for tender/ institutional sales and exports, the order is complete once the complete delivery and invoicing for the same has been performed.
► It was also observed that a sales order may be modified (material, quantity, price etc) even after complete invoicing of the same has been performed in SAP.
The requirement is Possibility to enable a control to restrict any amendments to the sales order after complete delivery and invoicing will be explored as per business requirements.
Is there any solution above scenario without writing any code.

My understanding is, you don't want your user to be able to change the pricing and order quantity once the order is complete, i.e Delivered and Shipped.
The status profile will not help you in the above scenario, Price/Quantity changes will not come up as Business transactions that can be controlled at Status profile.
Standard SAP restricts the price changes to a completed item of the order, so no need to worry about this.
But order quantity can be increased any time.
So to restrict the user to increase the order quantity you need to use the User-Exits that SAP provided.
Use the MV45AFZB user-exit program and form FORM userexit_check_vbap to code this.

Workflow for Sales Order Release via Status Profile
Dear all,
i want to make a workflow for sales order which have 4 User Status in One status profile.
Once Event triggered for sales order
1. Mail should go to main authority with sales order number.
2. Once authority will do some changes in the required field then he/she changes
the user status-1 from defauts as per line Item and mail should go to department no-1 (Head authority).
3. Once again same changes in sales order but now user status-2 from user status-1
as per line Item and mail should go to department no-2 (Head authority).
4. Once again same changes in sales order but now user status-3 from user status-2
as per line Item and mail should go to department no-3 (Head authority).
5. Once again same changes in sales order but now user status-4 from user status-3
as per line Item and mail should go to department no-4 (Head authority) .
and parrally for each changes of Status mail should also go to User (Event Creator).
6. Finally mail sholud go to User as you are permitted to do next business transaction for this sales order

First of all start with SWELS and SWEL T-Code to check if any standard event is getting triggered or not. If event is getting triggered, then use the same event to trigger the workflow; otherwise create a custom event of BO and use the same to trigger the workflow.
Hope you are aware of T-Code SWO1 and delegation of BO. The BO used for your requirement will be BUS2000115.
As you want the workflow to get triggered only for one status profile and one of its status, so use check function module. There set the condition for you status profile and status.
The FM which you will be using the most is CRM_ORDER_READ. To read the status, you can also use CRM_STATUS_READ_OW.
Now simply make the approval steps in the workflow using activity. In the activity, you can use the standard method USERSTATUSPOPUP to send the workitem for approval. In each step use the same activity with different agents as approvers.
Just go with these things and let me know if you get stuck up somewhere.

WEB UI Status profile TPM transfer to APO
Hi,
We try to upgrade our CRM system from 4.0 to 5.2 at a customer. Now, the following problem came up with the transfer of promotions to APO;
We created our own status profile (ZTPM) which we configured in a way so that promotions were transferred to APO (This worked in CRM 4.0).
When we created a promotion and put the status to Unconfirmed (which in CRM 4.0 transfers the promotion to APO) and save, the necessary Bdocs are created and said to be fully processed. When you look in the error log for Bdoc Type MKTPL_MKTELEM, click on error and long text, it says that the promotion does not have a status which permits to be transferred to APO.
(Error message from SAP: BDOC status does not allow transfer to APO; Message no. CRM_MKTPL_APO_INT110 Diagnosis: The promotion has a status which does not allow it to be transferred to APO. Procedure: Check the status settings and either change the settings to allow the transfer to APO or change the status.
In customizing however, we have defined that for user status Unconfirmed (E0004) the business transaction CAPO is allowed. The same applies for status Released. Both statuses we have tested.
What happens in the WEB UI concerning the status profile? Has anything changed compared to CRM 4.0?
I hope someone can help me out. Points will be rewarded if we are helped, because we are dealing with a show stopper here!

In this case the transfer was failing because of two active implementations of BAdI CRM_MKTPL_APO_INT. There should be at most one active implementation for any BAdI.

Error in RFx with user-specified status profile

I am having an issue in SRM 7.0 creating status profile for RFx.
When I try to create a new RFx, I get an error screen with message "Status profile ZCCP is not allowed for "Bidding Header""
In order to configure this, I went through the steps described in SAP Library:
1- Define user-specified status profiles in Customizing for Supplier Relationship Management under SRM Server->Cross-Industry Functions->Application Settings->User-Specified Status->Create Status Profile for User-Specified Status:
I created status profile ZCCP with the following data:
10 SUSP Suspended 10 90 1 1
90 HABI Abilities 10 90 1 1
and I assigned the status profile to object type "Bid Invitation Header (PS_BBP)"
2- Assign user-specified status profiles to procurement documents in Customizing for Supplier Relationship Management under SRM Server->Cross-Industry Functions->Application Settings->User-Specified Status->Assign User-Specified Status Profiles to Purchasing Documents
I created a new entry with:
BUS2200 H Header 0 ZCCP
3- Assign user-specified status profiles for each transaction type in Customizing for Supplier Relationship Management under SRM Server->Cross-Application Basic Settings->Define Transaction Types
I assigned the status profile ZCCP to all relevant operation types of obj. type BUS2200.
Does anyone know where this went wrong??

You can use Status Management for records and documents. In Customizing, define the status values and the permitted sequence of these values. Users can then set these status values as attributes for records or documents.

Solution Manager Service Desk - Status Profile
Dear Experts,
I have implemented External Service Desk message forwarding and its working fine. I can see "Send to External Service Desk" function under the ACTION node and when I choose that and save the message goes to the external SAP Service Desk (VAR).
I have the following questions.
1) I need to create a new status under the status profile SFLN0001 as "Sent to External System". If I do that what should I select as the transaction (business transaction @ the last column when I go though Transaction: CRMBS02).
2) When I forward the message to the external service desk then the Status wont get transferred to the external service desk but everything else goes. What could be the problem ? (Changed status wont get updated once synchronized with the external help desk).

The user status is transferred as an additional attribute (parameter IctAdditionalInfos) with the attribute name (AddInfoAttribute) "SAPUserStatus". For this, it has to be included in the value mapping of the external interface. Prior to the mapping, the value with the ID of the status and the status profile is filled (for example, E0001SLFN0001).
Inbound processing:
When the attribute "SAPUserStatus" is transferred and the mapped value is not initial, the user status of the message is set to this value. The status must also be mapped here in the format <status ID><status profile> (for example, E0001SLFN0001).
If a user status is not transferred, or the mapping returns an initial value, the logic described above for setting the status based on the executed operation is carried out.
