Storing old emails on external hard drive in Lion 10.7

I have always had three stages for my emails
1 - current projects
All stored in folders on an IMAP server
2 - projects from last 12 months - but not really current
Stored in folders 'On My Mac'
3 - old jobs -
Emails from over 12 months ago - not needed, but good to have in case i ever need anything.
Stored in folders on an external hard drive
In the past I've always just copied the On My Mac mailbox folder from the Library to an external hard drive and then deleted it in Mail. Freeing up space 'On My Mac'. This also allowed me to search them for keywords or ever scroll through them if it was a photo or attachment I was after.
With the Lion upgrade I can't do this.  Archiving them doesn't work either as i need to search them.
Have you any  ideas?
Am I the only person who A) wants to do this... or B) can't do it?

Well, it was a new drive. After a couple of unsuccessful attempts at getting access to it I gave up, opened Western Digital's RAID management software and reformatted the drive to a RAID 0 set up, then back to a RAID 1 set up. And then I gave up on the idea of encrypting it, and loaded it up with stuff. Oh well!
Next time I'll know what to do - not screw up the cable while formatting an external hard drive!

    You will have to engage a split library which means you will have to start answering questions on this forum because you will need to learn a lot about how iTunes works in order not that have a big mess at the end of it all.  It also won't be easy when the time comes to relocate it all to different drives.
    You can go to advanced preferences and turn off organize media and copy to items to media folder when adding items to library.  Next read about how to selectively consolidate items to the external drive.

    Remember that when you start iTunes without the external drive turned on iTunes will present you with a bunch of broken links.  If you have automatic downloads enabled with iCloud you may have to turn that off to prevent iTunes from repopulating your drive trying to deal with those "missing" tracks.
    If you add tracks in bunches to iTunes and want them to go to different media folders you will need to either add them by holding down the option key while dragging if the desired media folder is not the one set in preferences, or by changing the media folder in preferences.  Changing media folder preferences only applies to new files added, not old ones.

    You will need a separate partition unless you plan to use the entire drive. You will need an amount of space somewhat larger than the total space now used on your startup drive. If you select the startup drive's Desktop icon, then press COMMAND-I to open the Get Info window. Used space will be shown in the topmost panel. Add a GB or two to that number to determine how much space you'll need for the backup.
    Do not backup on a drive that has any files you want to keep. You can make a bootable backup as follows:
    Clone using Restore Option of Disk Utility
      1. Open Disk Utility in the Utilities folder.
      2. Select the destination volume from the left side list.
      3. Click on the Restore tab in the DU main window.
      4. Select the destination volume from the left side list and drag
           it to the Destination entry field.
      5. Select the source volume from the left side list and drag it to
          the Source entry field.
      6. Double-check you got it right, then click on the Restore button.
    Destination means the external backup drive. Source means the internal startup drive.

    If they are "deleted" emails, shouldn't you just empty the Trash in Mail?
    I don't think you can move the storage location of the data files used by the Mail app, because they are stored in the Library folder of your user home folder, which is located on the startup disk (the internal drive volume) by default.  You can change the location of your entire user home folder, but you don't want to put it on an external drive volume, because there may be situations (especially for a MacBook) when the external drive is not connected.
    If you have a lot of stuff in your iTunes library, you may want to move your iTunes Media folder to an external hard drive volume, as a way to free up space on the internal drive

    I recently ran out of the 250 GB space on my 2010 Macbook Pro, so I bought a non-apple external hard drive. I plugged it in and Time Machine automatically popped up.
    I just wanted to know what the correct way to transfer all my old files that I'm not using any more and still want to keep to the external hard drive and not use the external hard drive as a "backup" for my laptop but rather as just a place to keep all the files I'm not currently using. Do I just use Time Machine and turn off the automatic back ups? Is there a certain way to transfer individual files to the EHD later (does this happen through Time Machine or just dragging them in through Finder?)?
    I've never used an EHD so I'm really unsure on how all this works on a Mac since the instruction manual only gave instructions for PC's even though it is Mac compatible.

    Apple doesnt make hard drives, they use Toshiba/Hitachi inside current macbook pro non-retina.
    You should always have a backup regardless, and 2 at that. One backup, and one archive, unless losing valuable data is no consideration to you.
    use time machine as a backup for restoration /emergency backup and use a separate HD for archiving valuable data.
    Using an external HD is as easy and falling down. Buy a nice Hitachi/Toshiba or Seagate external HD, format it in disk utility for MAC OSX extended journaled and drag and drop ALL your valuable data to same and updata as needed.
    a nice 1TB external HD is currently running $65
    backup with time machine,
    ARCHIVE all valuable data, ,music, pics, files, videos etc etc onto ANOTHER hard drive.
    2 backups is 1, and 1 is none. 
      If you always follow that rule that should be written in stone, you'll never be sorry.... (and I know countless 1000s that have been)

    Hi everyone,
    This problem has probably been discussed before but I have not been able to find a definitive answer.  Hopefully I can find a solution to this problem here.
    I am having trouble with my workflow in iPhoto.  Right now when I place an SD card full of digital photos into my Macbook Pro, I import all of them directly into iPhoto.  I use iPhoto to organize my photos and do simple edits and changes.  However, recently I have begun to fill up my 250GB hard drive with photos and HD video, so I use an external hard drive to backup my computer before deleting unneeded items.  Obviously, the purpose of backing up is to be able to go back and retrieve those items.  With items saved in Documents>Photos, they can be easily organized, and then retrieved later from whatever date they were saved on the external drive, adding them back to the existing photos currently on my computer.  However, iPhoto is a great tool, so I prefer to use it instead.  But I notice that saving an iPhoto library onto a backup drive is not the same as saving a folder full of pictures.  When I try to open an iPhoto library from my external hard drive, it tells me something about not being able to open it, or replacing my current library with the old one just to view my pictures.  I simply want to find old photos saved within iPhoto, and add them to my existing library.  Does iPhoto really only allow you to open one library at a time, and not browse them and add them together?  If so, then just saving photos outside of iPhoto in Documents seems like a better workflow for retrieval, but at the cost of not being able to utilize iPhoto's capabilities.
    If my view of how iPhoto works here is very wrong, please let me know.  I just don't want to have to save my photos outside of iPhoto just to be able to find them again without replacing my current photos.  Thanks everyone for your help. 

    iPhoto can only open one library at a time.
    Here's one way to do what you want:
    1. Quit iPhoto.
    2. Copy the iPhoto Library from your Pictures Folder to the external drive.
    Now you have two full copies of the Library. To choose between them:  Hold down the option (or alt) key and launch iPhoto. From the resulting menu select 'Choose Library'
    3. On the Internal Library, remove the pics you don't want with you all the time.
    Now you have one full library on the external and another smaller sub-set on the Internal.
    A couple of comments:
    a. The external disk needs to be formatted Mac OS Extended (Journaled)
    b: When you're removing the unwanted pics from the Internal Library you need to delete them in batches of about 100 or so. Trashing more at one time can cause problems with the database.
    c: Managing Multiple Libraries - including moving pics/albums/rolls and metadata between them - is greatly facilitated by using iPhoto Library Manager

    Hello all,
    I purchased my Macbook Pro about a year ago, and never really had any problems unless I was slow on updating. Well, I recently updated, and that's when everything went to pot. My computer became really slow - constantly giving me the spinning rainbow ball - and it would do this for up to an hour. I would have to keep manually shutting down and restarting. Then, it would show a loading bar when I tried to restart, but then it would just shut off completely by itself, without ever fully loading. I tried Safe Boot, but to no avail. After that, I attempted to boot from the Mac OSX Snow Leopard disc, but that didn't work either, because it said the disc was damaged when I did a disc repair. So, I did one the other options in disc utility: Restore. However, I did this on an external hard drive (1 TB, Western Digital) that I had just purchased after the Safe Boot failure because my 250 GB was too small for me to run Time Machine on. I placed the Macintosh HD as the source and the external hard drive as a recipient, for I had read that this works effectively in transferring files before erasing the hard drive. I then erased the internal hard drive, and booted from the disc, completely reinstalling the whole system.
    My computer works just as smoothly as it did before all this happened, but now there's just one problem - I cannot access anything off of the external HD. I can see the music and video files that I used to have in iTunes, and they are .m4v, .mp3 and .m4p, but iTunes and Quicktime do not recognize them. If I double click on them, it says the files are not complete (as with the Applications on the external HD). I cannot find any of my old Word Documents or pictures, just music and movie files, and Applications. When I plug my external HD into my computer, it shows up as "Macintosh HD" and a notification that it cannot be changed and that it needs to be reformatted.
    Is there no hope in recovering my old pictures and Word Documents? They were all on my first 250 GB hard drive, but I erased that in attempt to make more room for Time Machine.

    If you simply reformatted the drive, but didn't overwrite it with new data, there is a chance recovery software can recover your files.
    You need something like DataRescue that reads the 1's and 0's of your files directly off the platters (not what anything else says) and you need another new drive to send those recovered files too when your doing it. (can't write to the same drive, it would overwrite the deleted data)
    If you let TimeMachine use the drive, or you copied data onto it, or did a "Security Erase Option" then it's all gone, sorry.
    Next time, once your all stable again, take a look at Carbon Copy Clone your entire boot drive (no filevault or bootcamp) to another HFS+ journaled formatted drive, it's hold option bootable and will save your bacon if a boot drive dies or if OS X gets hozed due to some unforseen software issue.
    I maintain 2 clones, rotate them every few weeks, they get auto-upddated nightly.
    TimeMachine I don't use, but if I did, it would be in addition to the two clones, as TM isn't bootable and is not quite reliable when you restore back from it sometimes.

    Last year my G5 developed an incurable Kernel error issue. I decided to buy a new iMac and have been very pleased. I backed up my system to an external hard drive and now I would like to access an old project from the external drive.
    I selected the external drive and went to the last date of my backup. However, this is where I have no idea how to complete this task. Can I simply open FCE and import the project from the drive? Will all of the media transfer over?
    Would really like to know the ins and outs before I begin and paint myself into a corner. Any help would be appreciated.

    I'm an amateur at using external hard drives,so the first time I used one( Seagate Backup Plus 1T),I partitioned it so that way I could use half for Time Machine and the other half for storage.When I first partitioned it, I used the "erase" button" for the partition side that I was going to use for storing (even though it was a brand new exHD).My question is is it still okay to use, cuz I want to store my itunes library in it?

    Many people do that, alas....but if the HD fails,....you lose EVERYTHING...  putting a backup AND your files all on ONE drive is making a choke point of major failure.
    Anytime some of the pros hear the words..... "all my files.........on my new "X" hard drive" they wince.
    Thats ok as long as there is yet another HD exactly like it somewhere!

    I have a ton of folders that I store all of my emails in, so that I can easily find older emails. This email has been working fine for me for about the pass 5-6 years and now I have problems. I would like to be able to back up my emails onto my hard drive so that I have them on hand. What is the best way to go about this? Because of my file structure I am not able to see all of my messages on one screen. Is there a way to select emails from a certain year?

    Assuming that you have installed iTunes on you old PC and not yet added any music.
    With iTunes closed, drag the iTunes folder out of music to the desktop.
    Copy the old iTunes folder form the external drive into Music so that it replaces the iTunes folder you dragged out.
    Ensure that your account has ownership and full control of the itunes folder.

    You should have your old library when you next open iTunes.
    If you did have some music files in the folder you dragged out, you will have to add them back to your library.

From 'preferences' I have now directed the music to go to the external hard drive, my question is how to direct video / podcasts / etc to the external hard drive ...I haven't plugged the ipod in lest things get messed up and all is erased..

    That setting will also cause podcasts and videos (not just Music, as the name implies) to be stored in that location you specified. You should probably also choose Consolidate Library from the Advanced menu. That will copy over all of your iTunes media files to the location you selected. It will not delete them from your main hard disk though, so after you verify that they have all copied to the external disk, you can delete them from your main hard disk.
    The one exception to this is iPod games. They will not be re-directed to the external disk.

    Quite straightforward:
    Copy the iPhoto Library Folder from your Pictures folder to the external hd.
    Hold down the option (or alt) key and launch iPhoto.
    Use the dialogue to Locate, and navigate to the new location.
    From this point on that will be your default library, all new pics will be uploaded there etc.
    When you're sure that all is well you can delete the iPhoto Library Folder from your internal hd.
