hi,
we are currently implementing the execution of workitems by swnconfig.
the work item is of type webdynpro for java.
while executing from the universal work list, the workitem is executed properly.
But the when the workitem is executed from the outlook email, it is ending up with  JCO error.
are we missing any settings?

Are you perhaps missing a parameter (now it seems that you have work item id as only parameter)?
Answer: I compared with the one that is working currently, which has
http://ipaddress:50000/webdynpro/dispatcher/mycompany.com/abcmgrappl/Application?WI_ID=000000123456 &wi_id=000000123456
&wi_id u2013 the dynpram parameter from swfvisu (for the items that are not having any problem when executed).
Are you able to formulate a working URL manually by yourself - what is the difference to the URL generated by extended notification? If you launch the web dynpro application from UWL, which parameters does it seem to have?
Answer: the difference is that the one which is launched from the UWL will have a session id with it.
But in this case is not,
so is there a way to prompt the authentication screen, when the problematic work item is executed from outlook?

      You would have to check the workflow templates assigned to the Change Request Types that you want to use and then collect all the dialog tasks from these workflows and use them to restrict in SWNCONFIG.

    I've a problem, the task description is well in HTML but in a file attachement, what
    I want is the body of the email in HTML with the task description and no file attachement.
    Have you some idee ?

  • Swnconfig exclude outbox workitem

    Hi all.
    I have scheduled the SWNCONFIG to send out approval notification every 10 minutes in my system.
    However, users might manually approve them from SBWP.
    After they had approve the document, the workitem moved from INBOX to OUTBOX.
    Now, how do I exclude those work items from OUTBOX?
    As now the SWNCONFIG still sending out all notifications if they are not send yet.
    Please advice. Thanks...

    Hi Jack,
    If I am correct, SWNCONFIG will pick up all the new work items created during the interval of scheduled job and those will be send ( thro' SCOTS's settings ) to approver's mail adress.
    In the meantime, user has executed the particular work item in SAP Inbox , the queue of Notifications in SCOT / SOST will not be modified and the work item notification will still be sent.
    I think this is a user training issue and you need to infom the users that the approval should be done once they receive the notification thro' mail.

  • Alignment of body for work item via SWNCONFIG

    Hi All,
    As per my present client scenario, every work item will be sent to UWL and external mail also. It means, user wants to execute the work item from external mail (Gmail or outlook)through SWNCONFIG transaction. Here my issue is as follows.
    I am getting the below issue when work item goes to external mail.
    Body sequence is out of alignment as you can see it in Red color below(You can observe the placement of the symbol u2018:u2019 is out of alignment).

    Hi!
    You can try playing around with mail formats in SWNCONFIG, provided work item text is formatted using tabs, however I do not think that will help. You should format task description using SAPscript formatting symbols - SWN_SELSEN should convert it to correct output format.
    Or you can create work item description in HTML - that should keep formatting everywhere. Use tab "Work item display" in your WF step, there is a demo f-n module SWL0_PREVIEW_DEMO_HTML that can be used as example.

  • Enhanced Notifications (SWNCONFIG)

    Is there anyway to forward notifications (not work-items) from SAP Inbox to external email addresses (maintained in user master records) ?
    SWNCONFIG allows you to forward notifications for work-items to the external email addresses, but i am looking for something that can even forward simple notifications(not work-items) generated by the workflow system to external email addresses.
    I know setting up forwarding in 'Office Settings' could do this, but i am looking for some functionality that can use external email addresses maintained in user master record (su01) or HR Master Data IT 0105/subtype 0010 to do this forwarding.

    Fill in the e-mail
    Click on other E-Mail Addresses
    Mark "Home adress"
    Save
    From now on every thing coming into the SAP-Inbox will be also sent to the e-mail address.

    In SWNCONFIG -> General Settings -> WD_HOST, there is a option to embed the webdynpro application.
    whats the use of that? so we can design the webdynpro application and this webdynpro screen will reflected in the

    It depends on your scenario. Let's say that you have travel expense approval tasks to be approved. Then you also have a web dynpro application for approving those travel expenses. It is possible to configure extended notification in a way that when you click the link in the email, the approval application will be launched. I have never done this, and I am not sure, if it will work easily or not. You can find some discussions in SDN by searching with the key word "WD_HOST". Check for example this:  Extended Notifcations not sent
    BUT it is not possible to just build some kind of general WD application to execute any approval task (or well, of course it is , but it would be quite difficult).

    Well you could but you would need to extend the enhanced notifications by:
    Create a copy or subclass of class CL_SWN_SETTINGS where the inbox url is read and change the coding in method LOAD_VALUES to interpret the value of the URL - i.e. read your value and read the real URL from wherever it is held, e.g. a custom table
    Creating your own message template as a copy of standard message template BSP application SWN_MESSAGE1 to call your copy or subclass of CL_SWN_SETTINGS
    Change your configuration to use your own mesasge template instead of the standard
    You might be easier just creating new entries in General Settings for each of your links and then doing the changes above but instead of reading the URL from a custom table, just implement coding that decides which link should be used when formatting the email, and then use the appropriate link from General Settings.

  • Enhanced Notifications(SWNCONFIG) Vs Work-item Forward Program (RSWUWFML2)

    Is there an easy way to find out the advantages of using Enhanced Notifications SWNCONFIG configurations over scheduling the work-item forward program RSWUWFML2? We are on Ep 7.0/ECC 6.0 and configuring UWL for work-item execution and receiving notifications. For occasional users, we are planning to send email notifications to the Outlook email addresses using RSWUWFML2 and the the SCOT internet Send programs. Are there any added advatnages of configuring Advanced notifications?
    Appreciate any ideas.

    Yes, there are several advantages, but you may not need all of them. It takes a little extra effort to set it up, but that's a one-time effort and we are not talking weeks or days.
    However, the primary argument is that this is the standard solution for work item notification. So you are recommended to use the enhanced notification solution whether you need the advantages or not.
    One advantage is additional flexibility in which work items should be checked. You can choose to send notifications to people who don't have new work items, but have not yet completed the work items they (probably) have been notified about before.
    Another advantage is additional flexibility in message contents and the number of messages sent to the user. RSWUWFML2 lets you choose between one message and one message per work item. In the new solution you can also send one message per category, although I am not sure what a category is.
    Further advantages:
    - Multiple schedules can be set up, so you don't have to use SM37 to get an overview of your notification schedules and you can send notifications every hour from 09 to 15 and every 4 hours the rest of the day if you wish. There is a time zone field in the schedule configuration. Whether it is used just to make sure the job runs at the desired time or is even more amazingly advanced (only notifying users when their own time zone shows the same time) I don't know.
    - There's more, but since I have never set it up myself I have not read all of the <a href="http://help.sap.com/saphelp_erp2005vp/helpdata/en/b9/2a651eb04411d2b46f006094b9ea0d/frameset.htm">documentation from SAP</a> which includes typical scenarios to help you with configuration.
    After opening the link, expand the hierarchy as follows: Reference documentation => Workflow system administration => Extended notifications for SAP Business Workflow.

    May I know if it is possible to personalize the notification message (via SWNCONFIG) to include the name or user name of the recipient, for the notification sent ?
    Example : The leave notification will have the content with the name of the recipient on it :
    Dear Mr <u><b>ABC</b></u>,
    You have outstanding workitem pending your approval ....

    I think you will have to write your own class for message construction. I am not sure exactly which of the classes is responsible for putting the prolog into the message. I thought CL_SWN_NOTIF_WORKFLOW when I wrote the text below, but it seems to be more on an individual item level (not for collective messages).
    It could be the category handler CL_SWN_CATEGORY since this is where granularity is set. It could even be the message template handler (e.g. CL_SWN_MESSAGE_STD). It could even be the BSP that is referenced by the message template handler.
    Some debugging should help you along the way... Sorry I can't be of more assistance.
    The class CL_SWN_NOTIF_WORKFLOW implements interface IF_SWN_NOTIF which has the method GET_BODY (among others).
    Write your own class, inheriting from CL_SWN_NOTIF_WORKFLOW - no wait, the bright people working for SAP decided to make the class FINAL.
    Write your own class, implementing IF_SWN_NOTIF. Simplest workaround is probably to have a private attribute of type CL_SWN_NOTIF_WORKFLOW and just pass the calls on. The implementations of protected methods will of course have to be copied.
    Hmmmm... it is probably a lot easier to create a <u>copy</u> of CL_SWN_NOTIF_WORKFLOW, there are a lot of protected attributes as well.
    Anyway, in your implementation (which will now just be a change of the copy) of method GET_BODY you can use the protected member variable M_USER_REF to find the name that you wish to include in your greeting.

  • Queriries around SWNCONFIG, SWNADMIN and SWNSELSEN

    Dear Workflowers,
    After reading /people/saujanya.gn/blog/2006/12/19/how-to-get-work-items-your-outlook-inbox (its helpful blog) I have following questions:
    1. All steps as per blog 5314 has been performed including schedule report SWN_SELSEN in the background.
    Unfortunately this is not working. I could not find anything in SOST and there is no e-mail sending to the user as per my schedule that I configure in SWNCONFIG.
    When I executed report SWN_SELSEN manually (with option "No Time Check During Send), I can see e-mail in SOST
    2. How to change the standard notification text?
    I know its from SE61 but what should I put in dialog text.
    What is the relationship between this text and SWNCONFIG?
    3. Question on SWNADMIN and SWNCONFIG.
    Why in SWNADMIN I only see 1 scenario which is "Standard" (not configured) while in SWNCONFIG I can see 3 scenario? Should we maintain these two transactions separately?

    1. for the first question, please cancel both the jobs, create a new background job with the report SWNSELSEN, here the variant can be either no time check or check,
    coz it depends on the scenario, if u want to send mails only within a specific time, then u should set the value to false there.But if u want to send mails without any specific time check, then u should set it to true.
    As i described in the blog, this background job should be scheduled with a min of 15 mins and the report selects the workitems within that time limit.then the configuration should be done such that a valid message template with the link can be received to the user id.( i suggest try with internal user id of urs).
    Once u save the variant, the job is set to status released, got o job overview and select the scheduled job and check the spool.Gotto display of the details of the spool.There u can find whether some workitems were selected or not and the messages sent.
    If yes, then goto transaction : scot, sost, inorder to check it.
    2. the settings should be similar in both the transactions,then only it can pick the setting parameter for the text.
    3.Yes,SWNCONFIG, is only the configuration stuff, while SWNADMIN is done only by the authorized user like Administrator, here the standard category indicates for all the workitems ,yes its possible to maintain multiple categories in SWN ADMIN as well.but this is not advisable to do.

  • Difference between transaction SWNCONFIG/SWNADMIN and report RPTARQEMAIL

    I am new in ESS time management workflows. I have worked on workflows in other areas such as SD, MM & FI. In SD, MM workflows I used transaction SWNCONFIG/SWNADMIN to configure notification settings. But in ESS time management I have found that report RPTARQEMAIL is used to send notifications.
    Now I have to send notifications for ESS leave managment and CATS workflows. My question is that which option out of TCode SWNCONFIG or report RPTARQEMAIL I should use to configure notification settings for TM workflows. Also, please tell me difference betwen two ways.

  • SWNCONFIG and SWN_SELSEN relations.

    Hi All,
    I know SWN_SELSEN is the program that sends notifications for the workitems who ever is waiting for approval in sap inbox. As per the current configuration here, the job SWN_SELSEN is scheduled for every 5 minutes. Now the question is as far as I know the notifications goes only once everyday for one workitem.
    But the job SWN_SELSEN runs every 5 minutes. So how does the system knows ' these are the workitems for which the notifications should not go again? And these are already processed for today?'.
    I also have some enhancements in this program. There is a customised class in it. A 'Z" class. I know this because if I put a break point in this 'Z' class, the break point triggers when you run the program 'SWN_SELSEN'. So how to find if there are more enhancements like these? What are these enhancements called? Any details on this enhancement and scheduling will be helpful.

    Hello,
    Delta means you're only interested in changes. It's a common mathematical term. That's what you usually want - just the new workitems, not all of them.
    I don't know what these Z enhancements are, they're unique to your system.
    Custom filters are used very often, for example if you want to send emails for PR tasks every 10 mins and Leave tasks every hour. It allows you to distinguish by task.
