Synch Outlook Shared Contacts

I have a user who needs to access her boss's contacts(as well as her own) on her blackberry. Her email etc is handled thru Outlook 2007/Exchange 2007 / BES.  Her Outlook contacts synch correctly but her boss's shared contacts are not being synched to the device. She says that it has been working up until last week.  Any help in getting this to work would be appreciated.

Way old this but still needs correcting.  Above answer is not accurate - you can sync multiple contact Dbs off an exchange server.  Turn off PIM wireless sync for this user in BES then use Desktop Manager to select one or more public folders containing contact info to sync with device along with the users own contacts in their mailbox. In this example I believe that if the Boss's mailbox (and the contacts folder specifically) is shared with editorial permissions for the PA, then if she adds this mailbox to her Outlook profile such that she can see his contacts folder, then she will be able to select them in Desktop Manager. Haven't tried this myself but switching off wireless sync and use Desktop Manager and manual sync'ing is the way to go

    I have a user who adds emails to the "Notes" section of a shared contact.  It has worked in the past.  She now drags and drops the email into the notes folder, it shows that the email was added, she saves the contact, closes the contact,
    then reopens the contact and the information/email that was added is no longer there.
    Also, when she opens up the contact, on the top of the window it says "This item was not completely updated during the last server synchronization"
    On the bottom of the contact's window it says "Last modified by [email protected] on 11/19/2014"  So it doesn't seem to have updated for about 5 months.  
    The user is on Outlook 2010 - Cached Mode - Windows 7
    We use Exchange 2013
    We have checked her sync issues folder and see two messages pertaining to this shared contact.

    Hi Allen,
    Neither are correct.  They open a contact in their address book and drag the email into the "Notes" section of the contact.  So they do not drag the email into the Notes section of Outlook nor the Contacts section to create a new contact.
    There are no errors.  I have a screenshot with an example contact card but i can't add it because it says i need to verify my account.. I'm not sure how to do that.  I already clicked on the verification email.  For example.  An email
    to me from Bill titled "company announcement" is dragged into the notes section of in Bill's contact card.  This is so that i can go to my contacts, click on bill's card, and see emails from him that are important saved inside his contact card.
     After dragging the email into this location, I hit save and close the contact card.  Usually the email stays there in the notes section but lately when I reopen the contact card, the email that I dropped into the Notes section has disappeared.  Other
    emails are still in the Notes section but new ones just don't stay.
    Just tried doing a Send/Receive All and same issue.  User is in cached mode because they have a large mailbox.  Can try online mode.  Do you know if the Notes section in the contact list has
    a size limit?  

  • Cannot Delete a contact in Outlook Shared Contact List

    I have a user who has a Shared Contact List in Outlook 2010.
    He is added as Publishing Editor to the list. Whenever he tries to delete a contact from the list after the sync the contacts appears again.

    Hi Top,
    Please performing the deleting action as Administrator for testing if it is convenient.
    If we can do this via Administrator, it should be an permission issue. Please double check whether we modified the owner's permission.
    According to the log said, I found a point "There is not enough memory available to perform the operation."
    Can we add a contact via Owner?

  • Third party application can list contacts from shared contacts folder, but not retrieve

    I am working with a third party developer on a problem occurring in their application.<o:p></o:p>
    The software displays the contact list and retrieves a fax number from Outlook. I wish to
    return a number from an Outlook Shared Contacts Folder.
    This works well under Windows 7 with Outlook 2013 in cached mode..<o:p></o:p>
    Running the same software in a terminal services window on a Remote Desktop Server running
    Server 2008 R2 with Outlook in Online mode an error is produced when trying to
    do the same. The contact list is shown, but when the code tries to retrieve the

    Sorry to be away from this for so long.
    It looks like Outlook is not initializing shared folders when it starts.
    I confirmed this using the following code for the Outlook startup event:

  • KB2687455 (SP2 for Office 2010) Breaks Outlook Searches of Shared Contacts/Calendars

    Hello, everyone! I would love to know if anyone else is experiencing these issues. 
    I am an IT Network Technician for several clients that have had issues searching in shared contacts and/or calendars in Outlook 2010. These users are using Office 2010 in Citrix/Remote Desktop Services environments. When these servers automatically
    download and install KB2687455, the users can no longer perform searches in shared contacts/calendars. They receive an error stating, "The requested Upon removing this update, and having the user close and re-open Outlook, the search functionality is
    restored. Surprisingly, a reboot is not required to restore searching. 
    Is Microsoft aware of this issue? If so, what is being done to correct it? If not, is anyone else experiencing similar symptoms?
    Our firm has already observed similar failure of the search functionality in Outlook 2010 due to the installation of another Windows Update, KB2956128. The issues with that update are already well-documented, based on a preliminary Google search,
    and we have blocked the installation of that update, where possible, until we are informed of a fix for it from Microsoft. Any information on the repair of that update would also be much appreciated.

    Both KB2956128 and KB2956203 seem to cause this issue to some of our users, as you mentioned KB2956128, have you checked KB2956203? If you have installed this KB, uninstall it to check the result.
    If it is KB2956203, we have been aware of some issues caused by the recent updates, and would like to collect more information for further investigation.

  • Desktop Mgr 5.1 will not synch Outlook 2007 addresses/contacts now that rogers email added to my Bold 9900

    I have a BB bold 9900, use Outlook 2007 on my desktop pc, and use BB Desktop Manager v. 5.1. I used to be able to synch my BB 9900 for calendar, contacts, and memopad, until I added a data pack to my Rogers account and set up the BB 9900 to receive copies of my ****@rogers.com emails. Then all of a sudden when I went to synch the BB, everything else synched ok, except the Address Book (contacts). I got a message saying "the default service for your device's "Address Book" is no longer available. The new service is *****@rogers.com..." [ie. my email address]. It went on to say that if I wanted to try to use my original default service (which I do, I want it to synch addresses between the blackberry and my outlook 2007 contacts, which has always worked before), I should go to "advanced options" and "default services" on the BB9900, and try to reset it. I did this, but the only "option" the blackberry allows me to have for synching addresses is "[my email]@rogers.com". I am reluctant to choose this "new" system, because I suspect it means it will synch my blackberry contacts with the rogers.com online address book, which I have never used. Is that a correct assumption by the way? I have over 2000 contacts, and I've been very busy the past few weeks so have not had a chance to solve this problem (i've simply just been synching everything other than my contacts/addresses, but in the meantime, i've made several changes to them on both the blackberry and outlook, so it's important that I be able to synch those two databases in order to update them.) I would prefer not to update my Desktop Manager from 5.1 because that version has always worked flawlessly for me, and I have heard of people having major synching problems with later versions. Rogers wouldn't help me with the problem, but "hinted" that it might be a setting in the DM 5.1 that needs to be adjusted. Any advice from anyone on how to rectify this? thanks in advance

    Yep so crazy that Microsoft still refuses (by design) to enable address book option for Shared contacts!!!!!!!  So I am asking what do they suggest then for my clients to have a shared contact list that is available as an address book and available
    to sync to your phone?

    I have a client that the boss has a contact list in his outlook that he has synced to his phone that is shared so that everyone else on his team can see the contacts, since it is a shared contact list users are not able to add it to their address book (by

    1.Use public folder for contact list...= Nope public folder contact list will not sync with his iphone/ipad...(yes there are 3rd party tools but I would prefer to not go this route)
    2.Sharepoint....I have heard this one but don't know much about it.   How does it sync to outlook and phones?  Is it seemless?  can user add contacts in outlook?

  • Exchange 2010 with Outlook 2007 Shared Contacts with Attachments

    We have an Exchange 2010 server. There is only one Exchange server so all roles are on this server.
    Found out that sharing contacts between users misses something. 
    If a user has Attachments or Notes in their contacts we can see via the Attachment column in Contacts that there are attachments.
    But another user viewing the shared Contacts of the user above, cannot see if the Contacts have Attachments unless they open each one. The Attachment column states there are no Attachments. Is this how it is? Is it a syncing issue? 
    The image I have attached is what the user sees accessing a shared contact address book. It shows Notes and the Attachments columns. The contacts with partial words visible in the Notes column should have a Paper Clip Icon as they also have attached items.

    There is no related feature in Exchange server to manage Outlook view.
    Additionally, I shared my Contact with another user in my Exchange 2010 SP3 with Outlook 2013 environment. And it showed the same results as yours. The attachments icon was not shown in the list view in another user’s Outlook but it appeared in my own Contact.

  • Importing Shared Contacts into the Global Address List (Outlook 2013)

    A colleague of mine has made a contact list which is going to be shared with other colleagues to increase productivity.
    His question is, if it's possible to import the contact list into the Global Address List after it has been shared?
    The contact list does not appear in my Global Address List, instead it appears in the People section (next to Calender).

    You can import contacts into Active Directory, so that it can be included in GAL. There are some gotchas with that however. Maybe, a simple Outlook folder sharing is more convenient for you. You can share Outlook Contacts folders among collagues just the
    same as Outlook Calendar sharing works. Start here:

    The ideal situation would be if the shared Contacts Folder shows up in the Offline GAL, but I'll try to fiddle around with it for a bit. 
    Is there also a possibilty that users can import a contact list so that appears in their Offline GAL?, I do think that it might be a hassle to keep the contacts updated....

    These two commands only belong to Outlook, so we can’t add them to QAT in Word 2010.

  • Outlook 2013 not properly indexing shared contacts

    I'm having an issue where Outlook 2013 does not appear to be properly indexing most shared contacts. These contacts can be found using the "advanced
    find", but this is a bit cumbersome and not the desired solution since this is a feature we use to use very frequently in Outlook 2010 without issue. More details:
    Account is Office365
    Connected via domain
    Contacts shared via GAB

  • Shared Outlook Addressbook Contacts not displaying

    We have a shared Exchange addressbook with distribution email groups.
    When someone connects to the shared addressbook, composes an email to a group, the email distribution list is empty.
    In troubleshooting, I noticed that when we expand the distribution list to view the recipients, most of the recipients are missing and only semicolons appear.
    Further troubleshooting, I notice that when I open the distribution list with my Outlook client and click on the Update Now icon, and then go to create the email then when I expand the group the email addresses now appear.
    Now, my Outlook profile is a cached profile.  The shared contact list that I pulled the distribution list from is an online/non-cached shared contact list.
    What I also found is that if I switched my Outlook client to be online only(not cached) the share address book lists appear properly when expanded.
    Is there any way to make this list appear correctly without having to click on update now for each and every distribution list in the shared contacts list we have on the server?
    I would really prefer that every time one wants to use this shared contact list, they do not have o click the update not button or switch from cached mode to make this work.

    Hi,
    I noticed that the issue didn't happen when you were using Outlook in Online mode. Please also check whether the issue happens in OWA.
    If OWA works well and the issue only happens in Outlook Cached mode for some users not all users, we can do the following steps in Outlook to download Offline Address Book to check whether the issue persists:
    1. Delete the *.oab files in the following folders in local machine:
         \Users\<username>\AppData\Local\Microsoft\Outlook\Offline Address Books
    2. Create a new Outlook profile that uses Cached Exchange Mode.
    3. Start Outlook 2010 with this new profile.
    4. In the ribbon click Send / Receive, click
    Send/Receive Groups and then click Download Address Book.

  • How do I setup useful shared contacts with Exchange OWA Outlook 2013

    I have a non profit I'm helping out. They have Exchange 2013 Sp1 & outlook 2013 .
    How can I setup shared contacts for Outlook and OWA users?
    I have been struggling to setup a useful shared contacts folder. No Matter what way I do it there seems to be major shortcomings.
    They have 1 "Shared" mailbox account [email protected] and many user accounts [email protected]
    I first imported the contacts from csv into a contacts folder in the info@ account, which works great for the Info@ user. When I share the folder with other users they can see it listed in "People" in full Outlook, but if they're addressing a message
    they can't see the contacts when they hit the TO button. If I look at the properties of the Info@ Contacts folder in the folder list of the User, the Outlook Address Book tab is missing. Also can't find any way in OWA for User@ to open the shared contact folder.
    I also tried using Public folders to share the contacts but found problems there too. Using Full desktop Outlook, users can share contacts, add to their Outlook address book etc. Great, but... there's no way to access Public Folder Contact folders in OWA.
    They're a fully volunteer organization so many people are using OWA from home, they're not IT people so it needs to be easy. 
    Is there something I'm missing, when I started out on the task I thought it would be simple. Its hard to believe after all this time MS hasn't addressed these major shared contact shortcomings.

    I decided to go with a mixed solution.
    Not every member has a society email account, only the executive and key volunteers have society exchange email accounts.
    I imported the society member list into the the GAL, this allows any society mail users to email other members easily 
    I then imported the larger marketing list into the shared mail account which is restricted to a few users. They can be shared from there to other users, but they can only access those shared contact from Outlook (not OWA)
    It's not ideal as OWA users cannot access the contacts from the Shared Mailbox but they can at least find other members addresses easily. 
    It looks like I could also setup a new GAL and share it with only some users, haven't dug too deeply into this yet.

    Custom view won't be shared when you share your Contacts or Journals. You'll need to copy the views you want to share to a pst-file and then share the pst file to others.

  • Outlook 2010 - disconnected shared contact folder and unknown source of it.

    Hi All,
    We have quite tought problem, but quite easy do describe so i will do it in two words :) Two of the users have such a folder:
    But they can see nothing inside - the mailbox has been migrated/deleted/whatever :) Those shared contacts wasn't from pst -for sure, I have asked those users, they told the they reaching that together, and if one of them added some contacts - it appeared
    automatically.
    And now the thing is - how we can get to know where was it from :) it would be easier - but users has changed the name of the folder to "Team Contacts", if she haven't, we would have mailbox name - and no problem at all.
    Does anybody knows how to retrieve the source of that folder? Maybe - as it wasn't de-attached from outlook, will there be some information in some sort of outlook logs? Like "Outlook tried to connect to the folder but blabl bla " :)
    We cannot see anything in mfcmapi either.

    Hi,
    If the two users received an email when the contacts are shared, we may let the users check in the Inbox to see who sent the email.
    We can search the email by some key words, like "Sharing""Share""Sharing invitation", don't forget some folders like
    Deleted Items.
