Table/figure numbering

Hello all,
I'm in the process of updating a document that we publish annually at my workplace using CS4.  I have figured out how to use paragraph styles so that tables and figures update themselves automatically, and also how to create a crossreference within the text that does the same.  However, I am stuck on a few points:
Our figure numbering can go: Figure 1, Figure 2, Figure 3-1, Figure 3-2, Figure 4, etc.  Or Table 1, Table 2a, Table 2b, Table 3...  Is there a conditional that can be inserted?  Can I create a style so that it does # - # when necessary, and just the number alone when appropriate?  I have a feeling that I have to pick one format or the other...
Our figure numbering starts at Figure 1, and after about 10 figures, the tables start at Table 1.  I cannot figure out how to get the figures and tables to number themselves separately.  My only choices were to have all tables labeled '1', or start where the figures left off (so the first one is labeled '11').  In addition, tables that span multiple pages have different table numbers (probably because they were created as separate tables, so I have to figure out how to join them).

  • Automating Table and Figure Numbering

    I have a large document with many figures and tables that get removed/added or just change locations throughout the document while being reviewed.  It is also required to have a sentence in the text referring to the table/figure.  My question: is there any way to make the table/figure numbers automated so I don't have to keep renumbering them and the corresponding text as they get moved around? 
    I have checked forums and reference books but haven't been able to find anything about this.  Has anyone else run into this problem?  If so how did you work it out?

    This looks exactly like what I need to do and sounds like it would work perfectly but I ran into a small problem...
    Got stuck at the first instruction: "Open the Window-Type & Tables - Cross Reference"
    Cross Reference doesn't appear in the Type & Tables window.  I'm wondering if this may be the difference between CS3 and CS4.  We are currently using CS3.  I checked the Visual Quick Start book that I have to see if it was just in a different location in the CS3 version but wasn't able to find it. 
    Do you know of a way to do this same thing in CS3?

  • Table and figure numbering in multi-chapter book

    Using InDesign CC 2014 I am editing a book that consists of 23 chapters. Each chapters are added to the book separately. There are 5 levels of titles, level 1-4 is numbered (first level is the chapter title), the 5th is not.The numbering of the titles in chapters works very well, but I have problem with numbering of figures and tables.
    The numbering of tables and figures should look like this: Table 1.1., 1.2., etc, Figure 1.1., 1.2., etc. The first number is always the chapter number, the second is the number of table/figure in order - within the chapter. I want the second number to re-start in each chapter. But if I select "continue from the previous number" (or something like this - I have Hungarian version, tried to translate to English), the numbering does not re-start with each new chapter, however gets the correct ^H number. If I select "start", all tables and figures will be ^H.1.
    My question is: what should I do on one hand to be able to use (and sync) all formats (including tables' and figures' captions with numbers) in the whole book, in the same time making the figures' and tables' numbering having ^H followed by a number re-starts in each chapter? For this, the table and figure number should be which level on the list? What to do with "restart numbering at this level after" option?
    I have searched the www from A to Z and back but could not find the answer. Please, help me! Oh, and please, write the how-to description step-by-step (maybe illustrated?), as I use Hungarian version, which makes applying the suggestions a bit difficult. Thank you, in advance, for your kind help!

  • Best practice - updating figure numbers in a file, possibly to sub-sub-chapters

    Hi,
    I'm a newbie trying to unlearn my InDesign mindset to work in FrameMaker. What is best practice for producing figure numbers to accompany diagrams throughout a document? A quick CTRL+F in the Framemaker 12 Help book doesn't seem to point me in a particular direction. Do diagrams need to be inserted into a table, where there is a cell for the image and a cell for the figure details in another? I've read that I should  use a letter and colon in the tag to keep it separate from other things that update, e.g. F: (then figure number descriptor). Is there anything else to be aware of, such as when resetting counts for chapters etc?
    Some details:
    Framemaker12.
    There are currently 116 chapters (aviation subjects) to make.
    Each of these chapters will be its own book in pdf form, some of these chapters run to over 1000 pages.
    Figure number ideally takes the form: "Figure (a number from one of the 1-116 chapters used) - figure number" e.g. "Figure 34 - 6." would be the the 6th image in the book 'chapter 34'.
    The figure number has to cross reference to explaining text, possibly a few pages away.
    These figures are required to update as content is added or removed.
    The (aviation) chapter is an individual book.
    H1 is the equivalent of the sub-chapter.
    H2 is the equivalent of the sub-sub-chapter.
    H3 is used in the body copy styling, but is not a required detail of the figure number.
    I'm thinking of making sub-chapters in to individual files. These will be more manageable on their own. They will then be combined in the correct order to form the book for one of these (1 of 116) subject chapters.
    Am I on the right track?

    Many thanks for the link you provided. I have implemented your recommendation into my file. I have also read somewhere about sizing anchored frames to an imported graphic using 'esc' + 'm' + 'p'.
    What confuses me, coming from InDesign is being able to import these graphics at the size they were made ( WxH in mm at 300ppi) and keeping them anchored to a point in the text flow.
    I currently have 1 and 2 column master pages built. When I bring in a graphic my process is:
    insert a single cell table on the next space after current text > drop the title below the cell > give the title a 'figure' format. When I import a graphic it either tries to fit it in the current 2 column layout with only part of it showing in a box which is half the width of a single column!
    A current example: page 1 (2 column page) the text flows for 1.5 columns. At the end of the text I inserted a single cell table, then imported and image into the cell.
    Page 2 (2 column page) has the last line of page 1's text in the top left column.
    Page 3 (2 page column)  has the last 3 words of page 1 in its top left column.  The right column has the table in it with part of the image showing. The image has also bee distorted, like it's trying to fit. These columns are 14 cm wide, the cell is 2 cm wide at this point. I have tried to give cells for images 'wider' attributes using the object style designer but with no luck.
    Ideally I'm trying to make 2 versions. 1) an anchored frame that fits in a 1 column width on a 2 column width page. 2) An anchored frame that fits the full width of my landscape pages (minus some border dimension),  this full width frame should be created on a new proceeding page. I'd like to be able drop in images to suit these different frames with as much automation as possible.
    I notice many tutorials tell you how to do a given area of the program, but I haven't been able to find one that discusses workflow order. Do you import all text first, then add empty graphic boxes and/or tables throughout and then import images? I'm importing text from Word,  but the images are separate, having been vectored or cleaned up in Photoshop - they won't be imported from the same word file.

  • Why does consecutive figure numbering break when using anchored and in-lin objects

    I have an ID CC2014 document that contains graphics with figure numbers associated (using a defined paragraph style - numbered list - continue from previous) and when I place these into the flow of the document with a wrap associated to them they maintain the consecutive numbering that was set up in the figure style sheet. However when a table or graphic is placed in-line with the text (anchored graphic box or inserted table) the consecutive figure numbering doesn't continue, it restarts as #1. The next anchored or inserted item then sees this figure number and follows as if the list was restarted.  What is up?
    I have found that if all items are used as wrap graphics or separate text/table boxes the figure numbering functions as it should.
    Is this a glitch?

    I had that happen a month or so ago. What I discovered was there was another numbered list setting in the anchored frames. That's what was restarting the numbers. No glitch. User error.

  • How do I paste a table from Numbers or Excel into Ibook Author exactly as the original?

    I am new to iMac and Ibook Author.
    I am writing a statistical paper in Ibooks Author.
    I have Chapter heading, now section heading and body.  I want to paste a table from numbers or excel into my iBook as this has the results of my analysis.
    As part of my analysis, I want to copy a 5 column table with 633 rows, which is essentially my table of data.  I have the table in numbers and excel.
    When I copy the table in numbers or excel, followed by pasting (CmD V) into iBooks, I get the first 20 rows in a table format and the remainder of the table is missing.  The table appears to end at the end of the page.
    I can not figure out how to paste the entire data as my table.
    Its holding me back...
    Any ideas?

    I am not fully sure if I understand but I gather since there are so many rows only a certain amount fits on a single page.
    How many rows does actually fit on a page in iBooks Author?
    There is a method that would look pretty cool that is used to create a double page spread that would look great but instead of having a double page you could maybe have three or four pages.
    Here is a quick idea that I stuck together, additionally when you are copying and pasting form Numbers to iBooks Author just select the cells that you want.
    Copy and paste within iBooks Author and then go back and get the next row of the table that you want.
    I hope I am clear in what I am describing.

  • Why does figure numbering re-start in each of my chapters?

    For some reason, figure numbering just stopped spanning chapters in my book.
    That is, the first figure in each chapter is labeled Figure 1. All chapters use same
    paragraph definitions for "Figure Caption," and that paragraph definition includes
    autonumbering. And when I generate an LOF file for the book, FM has no trouble
    finding them.
    This is a recent development because all the figures in the book used to be
    numbered correctly. I just can't figure out what changed.
    My figures are built this way: start with an anchored frame,  Import>File , then
    below the imported graphic frane itself, I insert a text frame and put the figure
    caption in it.
    I have never fiddled with any text flows in the book -- I just use whatever
    defaultes FM gave me
    As I said, this scheme used to work. Is there any way to explicitly
    tell FM to use continuous numbering?

    I still can't get figure numbers to continue but I did determine the following behavior.
    If I set numbering of a chapter via the book file to this:
    Chapter: Continue numbering
    Page: Continue numbering
    Paragraph:Continue numbering
    and then update the book file with Edit -> Update References, then heading numbering continues from the previous chapter (for example, chapter 3 starts with heading 3.6) but figure numbering restarts at 1.
    If I reset numbering of a chapter via the book file like this:
    Chapter: Continue numbering
    Page: Continue numbering
    Paragraph:Restart numbering
    the heading numbers immediately revert to 3.1, 3.2, 3.3 and the figure numbers remain at 1, 2, 3.
    This is too frustrating. I can't spend any more time trying to figure this out so I'm going to switch to a <$chapnum>-<n+> format for figure numbers (and probably for tables too). I used to use that format at another company. At least it gives the user a clue as to what chapter the figure is in.

  • Autoatic Figure Numbering

    Hello,
    We are using InDesign CS3 for a large document. We have heading styles 1-5 defined in in the paragraph styles, they are done as a list called "Headings" so that you get
    A. Heading 1
    A.1 Heading 2
    A.1.1 Heading 3
    A.1.1.1 Heading 4
    A.1.1.1.1 Heading 5
    We are trying to have our figure numbering done automatically and we have a figure style defined similar to the above. It is a list that relies on Headings list. The figure is set to level 6 in the list
    We want the figure numbers to follow the Heading 2 part so that the figure numbers would look like
    Figure A.1-2 where the "-2" designates it as the second figure in the A.1 section.
    The problem is that 90% of the time it works, but it seems that sometimes, if you are in an H3,4,5 section, then the figure number starts back over at 1 instead of continuing. If we adjust the level from 6 to a lower number, then the headings start to skip numbers that the figures have.

    Ok, let me clear up my original message...
    H1-H5 are all in the same list (Section Headings) and are Levels 1-5 respectively. We want the figure numbers to build off of H2 (We always have at least 2 levels)
    I have two more levels than the H1-H5, they are Figure Number and Table Number. I have them based off of the "Section Headings" list. I have tried them both at Level 6 or having one at level 6 and one at level 7.
    I guess my question for pixelstuff is "how did you assign them to a different list?" Obviously 1. Heading is the top of a list, but how can you have two different lists dependent upon it, that puts it in two lists, correct?

  • Figure numbering AND paragraph numbering in the same document

    Hi everyone,
    I have a document with both figure numbering and paragraph numbering. So let say I am in section 4, then the first paragraph would be "4.1. Introduction" and the first picture would be "Figure 4.1: Cool pics".
    I created two different lists, one for the figure and another one for the text so that figure numbers and paragraph number don't conflict. However I cannot add the section number in the figure numbering since it's on the other list... I tried to have the figure numbering and paragraph numbering in the same list, but then the numbers conflict (e.g it gives 4.1 Introduction and Figure 4.2: Cool pics).
    Can anyone help me, doing what I want (which is "4.1. Introduction" and "Figure 4.1: Cool pics")? Any help would be appreciated.

    Thanks for your answer Jump_Over, but my project is already divided into chapters (themselves divided in sections) in a book.
    I found a way around by having the figure numbering in the same list as the paragraph numbering, the twist : while I use level 1 to 4 in paragraph numbering, I use level 5 for figure numbering with a numbering definition like ^1.^#, so no more conflict between numbers.
    It's working fine so far...

  • Inline Figure Numbering: Best Practice

    Hi all,
    I'm seeking input into what the best practice is for numbering images/figures that are placed inline in a document. I want these figures to have consecutive numbers and to move with the text as the text is edited.
    The crucial part is that I want to do this in a way that I can put a new figure into the document, and all the following figures will be renumbered automatically.
    I can do this if I use a different "Figures" master page that is applied to pages that contain ONLY figures and no text, but I can't seem to figure out the best way to do it inline throughout the document.
    If I anchor objects inline, in the order that I want them to appear, the numbering works just fine, but as soon as I insert and anchor a new figure in the middle with automatic figure numbering, the newest anchored image becomes "Figure 1" and renumbers the entirety of the document.

    As long as I have all my figures I want to use, and I insert and anchor those figures in the text in the order that I want them to be in, it works. I am using a paragraph style for figure numbers.
    The issue is that as soon as an update to the manual occurrs (a common occurrence in this manual) and I need to add a new figure (with a new figure number) halfway through the document, it numbers the new figure as Figure 1, and completely screws up the number formatting the rest of the way through.
    I'm trying to set it up right the first time, so it works correctly for years to come.

    Yes thanks. I had all of those requirements. I ended up deleting the table and re-adding. I think the issue was I was pasting in values from Excel (on OS X Yosemite) into the Numbers app on Yosemite, then accessing on my iPhone. Basically I think I just really confused Numbers on iOS. It's working fine now.

    The answer is (sort of) in your subject, but edited out of the problem statement in the body of your message.
    When you use a stepper or a slider, the value in the cell is always numeric, and is always placed on the chart if that cell is included in the range graphed by the chart.
    But if you use a pop-up menu cell, you can specify numeric or text values in the list of choices for in the menu. Numeric values will be shown on the chart. Text values will not.
    For the example, the values list for the pop-up menu was:
    5
    3
    1
    Choose
    -1
    -3
    -5
    The first pop-up was set to display Choose, then the cell was filled down the rest of the column. Any text value (including a single space, if you want the cell to appear blank) may be used instead of Choose.
    For charts with negative Y values, the X axis will not automatically appear at Y=0. If your value set will include negative values, I would suggest setting the Y axis maximum and minimum to the maximum and minimum values on your menu list, rather than letting Numbers decide what range to include on the chart. Place a line shape across the chart at the zero level, and choose to NOT show the X axis.

    when adding a new sheet or table in numbers 3.0 you get them in a horizontal bar under the symbol-bar.
    If you need severals sheets it directly get confusing.
    In numbers 09 numbers used to add new sheets in a list view on the left side of the window. And the tables
    subordered to each sheet. Is there a possibility to change this view in numbers 3.0 to the same view
    as used in numbers 9.0?
    If not I will directly change again to 9.0 and hope the apple starts beeing again the big company they
    used to be a couple of years ago. They start sucking!

    I already switched back to 9.0! To have the sheets and their subtables on left site in listview matches my business scenario. For making calculations for severals companies working on the same project, it is more comfortable to have one sheet per company and for each related service an exra table. For me it wouldn't be clear anymore while using 3.0.

When I am sitting on my computer I want WORK and not getting one alert, warning, interaction behind the other. I want work! I want to be effective! So please, give up from this method of interacting with the user.
    Why has Iphoto to be so aggressive? I dont want to put pictures in events. And neither and predifend events respecting the time stamp! I just want to have a file watcher which keeps up to date a tree (with the manipulating options of Iphoto) of a certain folder structure. NOTHING ELSE!
    APPLE = GOOD PRODUCTS, BUT ALMOST NOT USABLE
    Maybe I should switch again to SuSe Linux ;-)

    Ok... I see your problem... when pasting into Pages, the formulas from Numbers are included. Perhaps this is really more of a Pages question (in which case I'm far from expert). A couple of ideas:
    • In Pages, try "Edit"/"Paste and Match Style", which may insert tab delimited cell values (no formulas). Then, if you want the table format back, select these newly pasted tabbed values and use Page's "Format"/"Table"/"Convert Text to Table"/
    • In Numbers, before copying, make a temporary table of the plain values first, then copy and paste that into Pages. To do this, select the range of cells you desire in the Numbers and "Edit"/"Copy". Then "Edit"/"Deselect All" and "Edit"/"Paste Values" and "Edit"/"Cut". Now just a table of values is on the clipboard and you can head over to Pages to paste.

    I am new to Framemaker.  I am currently learning/working with Framemaker 10 to create a user manual for my company's product and having some difficulty with the captioning of images in the text. 
    I intend to number each figure in the manual according to the chapter and figure number.  For example, the first figure in Chapter 1 would be labeled as Figure 1.1, etc.  For Figure 1.1, I placed the image itself inside an anchored frame within the body text frame with the label centered in the text frame one line below the graphic as such:
    I set the "Figure 1.1" label by creating a paragraph tag called "Figure".  It is formatted as such:

    How can I insert references in the body text which will be updated whenever a new figure is inserted into the document in the same way the title directly under the graphic itself is updated? 
    For example, I might have a sentence in the body which says "Product X comes in the color shown in Figure 1.1".  How can I make sure that if a new image is inserted into the manual ahead of Figure 1.1 that the Figure 1.1 currently there will have its displayed title automatically changed to "Figure 1.2" and the example sentence above will automatically be changed to "Product X comes in the color shown in Figure 1.2" within the text body?

    When you make the cross-reference to the Figure title paragraph that contains the figure numbering, use the <$paranum> building block in the cross-ref format to get the figure numbers. This will automatically update as figures are added or removed before the target cross-ref.
