Training & Event management - Sessions & Instructor Assignment

Hi
We work on Indian T&EM scenario.  (not LSO)
A trg program which is for 1 or 3 days' duration may have 2 to 8 sessions. And each session may have 1 or 2 instructors.
Now the questions are
1. How do we split the program into sessions (1 day may have 2 to 3 sessions with 1 or 2 insturctors for each session)
2. How to assign instructors for single session (in addition, I should be able to lock the instructors)
3. Regarding attendees - after creating event and nominating attendees, now the event is postponed to next month. I m able to change the dates but loosing the nominated attendees. is there a way to change the event dates as well as retain the attendees (without having to book again the entire set of attendees - say 50 attendees from various points of orgn).
Please suggest.

But, can u pl elaborate points 2 and 3.
I assign the instructor through t code OOER. But i m not finding B 023 relationship in OOER. Should I enable that through SPRO? or else is there any other t code i have to build the mentioned relationsihp.
same way, pls elaborate "retain the attendees you can maintained relationship A 615 Mandatory" point. i mean thro which t code. also, comment whether these are under SAP best practices. bcos i heard in recent times, SAP itself gives best support to LSO and not TEM. Hence, I dont want my client to be in trouble in future. (i dont prefer to have something apart from standard).
btw, how do i give marks (i tried to click on the categories of marks, but its not taking the screen further) here in the forum.

  • Attendance Requested Status in Training & Event Management

    Hi Friends,
    In Training & Event Management, the  User goes to the u201CTraining Centeru201D in ESS to submit his nomination for a Business Event to the Immediate Superior. (Path : ESS, Training Center, Booking Offer, Add to Basket, To Basket, Proceed to Request, Request Attendance).
    Now for that User, the Status comes as u201CAttendance Requestedu201D  for that Business Event & a Workflow is triggered to his Immediate Superior for Approval.
    When the User refreshes the screen or logs in the ESS again the Status u201CAttendance Requestedu201D for that Business Event vanishes although the Immediate Superior has not approved his Attendance Request.
    It is desired that the Status u201CAttendance Requestedu201D should be displayed in the Users  u201CMy Bookingsu201D  till the Immediate Superior approves it.
    Also it is desired to have a report of how many such  u201CAttendance Requestedu201D nominations are pending for a specific Business Event.
    Pls advise.

    1.  define factory calendar in the tcode SCAL and the same thing you have to assign in the img-training and event management-business event preparation-location-create location- there you have to assign factory calendar.
    2. if you want training schedule you have to go img-training and event management-business event preparation-define time schedule if you enteer into that you should in the first coloumn any number for ex 01 3 day schedule and you have to select this and click on day segment in day segment give normal again select normal and click day schedule there you should give start and end times of the schedules for morning,afternoon and evening and this time schedule you will assign to the business event type which comes under business event preparation

    Hi All,
    Would anybody be able to help us with the below scenarios, Thanks in advance for the help.
    1. How do, I do Billing in Training & event management?
    2. Can we have more than 1 one time customer for different departments in training & event management. if yes, what would be the process?
    3. Integration table _T77S0,_ have only 1 one time customer as integration between training & event management and sales & distribution, but if we assign different one time customer at Attendee level, there is a confilict, how we can assing different one time customer for different attendees( say department wise)?

    Hi,
    One time customer itself means that there is no regular transactions with this customer, so that is why a generic account is created for such customer and the transaction for various one time customers posted with such generic account.
    The credit check is not relevant to the one time customer.

    Yes, Training & Event management and Appraisal are available in ITS based ESS business package.
    But latest ESS business package(webdynpro based) do not have training and event management. You may need to deploy Learning solution. Full functionality of Appraisal is available with ehp4 of ESS BP.

    Dear MHP,
                     there are lots of things you can do as an end user in TEM.   You could create new events (not events types), book peoples, fix the date of the event, then create califications of the event (about the event or about the atendee).  Please, read sap help issues:  (in Training and Event Management)  day-to-day activities, Recurring Activities and Reporting.

  • Training & Events Management

    Hi all,
    We have implemented Training & Events Management & ESS.  The employees can book their attendance through ESS.  Now the user wants that the Training Calender should be viewable according to Employee subgroup.
    Eg : Employee A belongs to Top Management employee group then he should be able to view all training programme and if Employee B belongs to General staff employee then he should be able to view only training programmes related to him.
    Where can we configre this in T & E Mgt. that this Training programme is valid for this Employee subgroup.

    Hi,
    In the ESS, all the Employees in the Organisation are able to view all the list of Training Programs that are going to occur.In standard SAP there is no provision in SPRO to restrict the user to view the Training programs based on ESG.
    The display of the Training Programs in ESS as per ESG cannot be controlled.
    However we can restrict the Booking & Pre-booking of the Business Event & Business Event Types by making custom tables specifying which ESG are eligible for which Business Event & Business Event Types.
    These Custom Tables will be referred before the execution of Booking/Pre-booking Badii.

    Till date whichever document I have read regarding ESS, it says that "Training & Event Management" is part of it. Today when I am implementing ESS for my client, I see that ESS is having all the functionalities e.g. Leave request, Who's who, Life and work, Benefit & payment, Travel etc., but not TEM anywhere.
    My client needs Training related functionalities in ESS.
    Can anyone help regarding how do I add TEM in ESS?

    If you are on ECC 5.0/6.0, then you still use the ITS based services PV7i and PV8i.....which are older ones.
    Tie up these services in homepage framework page and use it.
    Else, try to explore the LSO component available with your ECC 5.0/6.0. Check System component versions (System -> Statuses -> available components).
    Available service is based on BSP technology which is nothing a pre-packaged application (HCM_LEARNING). You can see this from your object browser - se80.
    HCM_LEARNING is far better service with more avanced features.

    As I replied in previous post yes it is part of TEM as a basic process. Tcode is PV15.

    I am working on R/3 4.7 Ext 110 HR module. While creating a training event in Training and Event Management, I need to include the name of the internal instructor (not external). Where exactly do I do this? I do not find this option in PV10. Kindly help.

    Hello Phoebe,
    For this, first you need to maintain the Relationship A 022 (Requires) for the Business Event using the Tcode OOET with the Resource Type (Instructor).
    Then use the Tcode PV10 and select data screen for the Business Event. Then make the necessary entries on the screen and then select Resource Selection on the left top of the screen. After this the new screen will pop-up of all the resource type with which u maintained the relation. Select instructor from there and click on the select resource in the left side. Again a new window will appear and select Temporarily Add Resource from there.

    I am asking this question because I have no idea of FICO. This question is on integration of Training & Event Mgt with Cost Accounting. What is the meaning of Internal activity allocation & Cost transfer posting? What is the purpose of this integration & how it is reflected in FICO? What benefit a client gets when it is integrated? Who is the sender cost center & who is the receiving cost center and where it is maintained in TEM?
    Please help. Please try to reply it in simple language, not in FICO language.

    Activity Allocation and Billing >
    This process comprises all of the functions for settling fees in Training and Event Management, as well as the functions for recording costs and cost transfer posting. In addition, this describes all other functions that are in any way connected with fee processing in Training and Event Management. This includes the following functions:
    Billing, which involves creating invoices and credit memos for attendance and cancellation fees
    Internal Activity Allocation, which involves settling attendance and cancellation fees and instructor costs
    Cost Transfer Posting, which involves transfer posting of event costs in which the cost center of the resource is credited and the cost center of the organizer is debited
    Price Proposal, which involves calculating a price proposal on the basis of the cost items stored for a business event. The proposed price can be adopted as the event price.
    Budgeting, which involves creating a training and education budget for organizational units and comparing budgets with the actual costs accrued for attendance fees

    Do we have any option for Training Calendar in T&EM? Where can we create it?
    My client has a requirement that if he designs a training calendar for a year or a quarter, relevant employees at supervisory level has to get mail about the designed training calendar. I hope this is possible through workflows. Please correct me if I am wrong.

    Dear all,
    Wish you all a very Happy new year.
    I hve two questions.
    1. For e.g. there is one trainer who has conducted many training program in an org and business event appraisal has been performed where there is criteria to capture instructor information. Then how I can get a report for that trainer only. There is one selection criteria in the report of business event appraisal where I can select the instructor(appraisee) id. But it is not working.
    2. When there are more than one instructor in one business event, then how attendee appraisal and business event appraisal are done?
    3. In training & event mgt is it possible to perform periodic appraisal?

    Hi Daniel,
    There is no SAP standard report on Trainer wise attendance history for this purpose you have to define the Adhoc query.
    When there are more than one instructor in one business event it is a tough scenario to have attendee appraisal .
    In TEM it is possible to have periodic Appraisals.

  • Training & Event Management - Budgeting

    Dear All,
    In Training & Event mgt, there is one Budgeting function. It budgeting function what I know is some amount is assign to the head org unit & to its all corresponding org units. Then when an employee from the org unit is booked with attendee fee then the same amount is deducted from the org unit to which he belongs to.
    But is it possible if I assign amount only to the head org unit, and not to the org units which comes under the head org unit and book an employee with attendee fee who do not belongs to the head org unit but belongs to some other lower level  org unit. So in this scenario whether the Budgeting function will work? And whether the cost items which are maintained in business event level can also be taken for budgeting?

    Hi,
    If you mean how to include pricing within the TEM system, than you may do so on the Prices tab at Business Event Type level - you may specify the internal activity allocation and the external one for pricing.
    You may also use the functionality of Price Proposal for automatic price calculation.
    This prices can be transferred to the SAP CO system by an interface (transaction PV18): the participants' cost centers are debited and the cost center of the cost object of the business event is credited.

  • Peculiar quesries on Training & Event Management

    Dear All,
    I have some peculier quesries on TEM --- from your experience please let me know how to go about resolving them ---
    Is it possible to capture multiple test results for an attendee in the same business event ? Ex - In a 3 day trg program where diff subjects are taught on each day, there are tests conducted at the end of each day. How can this be stored in SAP ?
    Is it possible to capture any additional info on attendee/instructor in SAP that can be displayed in a report? These are in addition to the attendee/business event appraisal.
    Ex: the trg dept wants to store info on an external instructor that he was not punctual or he frequently reschedules his trg programs. Similarly for an attendee - he was disturbing the class, or was going on long breaks etc.

    Whats ur question is basically from business point of view that you would like to do Appraisal/ Evaluation of following
    1. Attendee - 
    2. Business event/ training program
    3. Instructor/ Faculty performance
    Now there is full functionality avaliable in SAP hr module for evaluation the performance of above all via Appraisal template.... please check the appraisal part and create appraisal template.
    Once the training program is over, in system you conduct FOLLOW - UP activiites .. these follow up actiivtes is nothing but performing appraisal for attendee/ business event and instructor, transferring qualification to attendee, posting cost to controlling and raising billing doc so on and so forth
    trust that from business perspective u  may be clear ... check how to do in SAP..
