Trex failing to index word docs in FS repository

Hi,
I am having errors while indexing a FS repository.
The errors in TREX monitor are
return message:Content-Length -vs- Actual Read mismatch
return code:8030
Document Status: Preparation Failed
I tried reindexing these failed entries, but did not work out.
All of these are word docs. Moreover Crawler errors for
folders are also visible in the errors list.
Looking into the TREX trace , was able to get the follwing.
HTTP-GET failed for URL <............>with Errorcode -30 , but HTTP-HEAD worked, trying again,
Mimetype application/msword is not based on TEXT, but was detected as text type; content might be corrupted and will be ignored
When I tried opening some of these docs from Windows,
I did not have access to the same itself and got an error. Would this also be the case for the index_service user?
Also not all docs which are visible on the Windows side are visible from the portal in the KM nav iview.
Platform :EP 7.0 SP13, TREX 7.0
Any help would be appreciated
Rgds

Hello,
A problem related to the search for this FS repository is that search takes a very long time to display results.
The datasource is quite big with nearly 90,000 docs and the index is supposed to index external links too with
indexContentOfExternalLink, indexContentOfExternalLink properties set also. The search scope is based on Indexes in the search iview .
When a normal user who has the relevant role for the searh iview runs a search it takes a very long time, nearly 30 min!!
But if a super admin runs the same , it comes up with results immediately.
Is this some kind of authorisation issue. The index is having everyone full control and I was not able to see any thing much in the default trace too.
Is there any particular trace/log file to be checked for this?Has something been missed out in the index creation process?
Hope someone can comment on this

  • Problems creating/altering index with certain Word docs

    Hello,
I am having an odd problem when attempting to drop/create or alter my index after entering certain MS Word docs in my table.
Has anyone run into this? Does anyone have any insight as to which features in Word docs (e.g. macros, etc.) might cause this problem?

  • PDF indexing of Word.doc Keywords: kind of disappointing

If we could embed document properties like Keywords in Word, and then convert Word.docs to PDFs , and then index the PDFs using Acrobat Pro, theoretically it would allow for lightning-fast keyword search and review, through a zillion PDFs.
Except, there are unexpected glitches that are either undocumented... or, if the documentation exists, it's either hard to find or too scantily worded.
Here's a few things I've observed, using Windows XP, Office 2007 and Acrobat 8 Pro:
    1. Word document properties only transfer over to PDF if you use the Acrobat tab in Word's ribbon to generate the PDF via PDFMaker, which apparently invokes some 'more robust' implementation of Distiller, than occurs if you simply use the print dialog to print to PDF.  THIS IS PROBABLY A BIG SOURCE OF USER CONFUSION THAT DISCOURAGES MANY USERS FROM GOING ANY FURTHER WITH EXPERIMENTING WITH PDF INDEXING OF WORD DOCUMENT PROPERTIES.  IT CAN LEAD YOU TO CONCLUDE THAT NONE OF THE WORD DOCUMENT PROPERTIES EXCEPT FOR TITLE, CAN SURVIVE A PDF CONVERSION.
    2. When you invoke PDFMaker, when the "Save Adobe PDF File As" dialog appears, you must click on the button at the bottom that is labeled "Adobe PDF conversion Options' and verify that the "Convert document information" check box is checked. (This may be able to be set as a permanent user preference somewhere, but I'm not quite sure where.)
    3. The Properties fields in Word that will come over, include Title, Author, Subject, and Keywords.  (The Comments field is ignored, as far as I can tell.)
    4. You can now index the PDFs, and these Properties fields will also be indexed.....well, Sort Of.
    5. "Sort Of", because if you then search for any of the text in your Properties fields, (like for example you search for a word or phrase that you've embedded in their Keywords fields), the advanced search result won't be displayed quite the way 'found hits' normally display in a PDF index search results screen.   You may expect to see the contents of those Keywords fields, show up in the search results in a long list of 'found' file icons with ALL (or a generous selection) of their surrounding Keywords also displayed, and with the specified found keyword highlighted in BOLD.
But, that's not what happens. What you really get is an icon showing the contents of the Title field (which you didn't search for.) It basically means that Acrobat has found a document with something you searched for, in it....but Acrobat is not going to show it to you as easily as you are accustomed to seeing it. You only have two choices: (1) either hover your mouse over each found file's Title icon, one by one, until its screentip-type popup window appears, showing you all the contents of all four of that document's Properties fields; or (2) click on the icon, display the PDF, go to File Properties, and observe that file's properties dialog box.
This is disappointing: the fast, easy, contextual lookup advantages you've enjoyed with regular PDF index searches appear to be unavailable when it comes to viewing search results on indexed document properties. I can understand the logic; (why show other keywords surrounding the searched-for keyword? If they're not in a sentence, there's really no contextual relationship, and therefore no reason to show them.)
However, what if users wanted to store logically related keywords in a deliberate organized pattern..ie,
Texas, Car, 1999, Ford, Mustang, Green
Texas, Car, 2000, Ford, Mustang, White
Texas, Car, 2000, Ford, Mustang, Yellow
Texas, Car, 2000, Chevrolet, Corvette, Blue
Ohio, Car, 2006, Honda, Civic, Silver
    ...etc.
In this context, all keywords are logically related; it could be a big advantage to be able to use PDF Index search to instantly find and view a list of all 5,328 White 2000 Ford Mustangs located in Texas....then pop up their insurance.doc PDFs for further details.
Allowing the user to set a preference to 'show all stored propery values in the search results' instead of an arbitrary length string of surrounding values, could also be very helpful, so that the full information depicted in the above example could actually be fully displayed, not arbitrarily truncated.
I guess the only workaround is to forget Word's Document Properties, and just embed keywords within the document itself, such as maybe at the end of the document, maybe colored white (so they can't be easily seen).  Formatting them as hidden text doesn't work; Acrobat ignores hidden text when you convert from Word to PDF.

I seem to get hard returns in all cases. That is why I had the short answer. I do not remember if saving as a DOC got rid of the hard returns. Of course the simplest way to find out is to try it. I went to another machine and the Save As to a DOC file did not put in the hard returns (cut and paste did). I should note that the PDF was produced from a totally different word processor and was not a WORD native document. That would suggest it is not dependent on the tags that can be included by WORD and PDF Maker.

    Hello Rao,
yes, there is a workaround to solve this. Basically you should explicitly specify a <i>System ID</i> for the <i>IndexManagementTaskQueueReader</i> task.
Surf to <i>System Administration -> System Configuration -> Knowledge Management -> Content Management -> Global Services -> Scheduler Tasks</i>. Click on the Index Management Task Queue Reader, and assign the correct CM System(s).
Have a look to these threads for more info:
    No crawler tasks?  EP6 SPS16 Patch 2
Configuration Error: No CM system assigned to this task.

  • File fails to convert online from a PDF to a word doc.

I've tried multiple solutions to attempt to get my pdf. files to convert to word doc. It was working fine back in September. I have since tried the other solutions listed on the discussion board, such as signing in and out or going to the following address https://exportpdf.acrobat.com/app.html , but neither seem to work.  The latter will upload the pdf, but I receive a message saying that there was an error when trying to save the doc.
Is there a fix for this? I paid $20 for an annual membership and this stopped working for me back in October...

I attempted all of the following, but with no luck...
    1. Clear your browser cache (steps to do this vary by browser)
    2. Try to update your version of Flash Player by visiting: http://get.adobe.com/flashplayer/
If you’re still having trouble after those steps, please try this:
    1. Go to this link where you can manage your Flash Player Global Settings:http://www.macromedia.com/support/documentation/en/flashplayer/help/se ttings_manager03.html
    2. Ensure the "Allow third-party Flash content to store data on your computer" option is checked.
    3. Make sure the slider is set to a value other than 0
    4. Restart your browser to accept these changes.

  • TREX does not index documents

Now this one is a bit strange. We have created an index on a file system repository that contains a number of different types of files including plain text, MS-Word, Excel and Acrobat PDFs. The queue now has a red status showing a sizeable number of documents failed the preparation, but a few are ready to be transmitted.
We found that none of the MS-Word, Excel and Acrobat documents passed the preparation stage. Anything that passes preparation is either a directory or a plain text file, though this is not consistent either since a number of files that did not pass preparation where als plain text files.
What gives? Am I missing something here? Any hints would be very much appreciated.

    Hello Wolfgang,
we faced exactly the same problem. To be more precisely, documents with more than 10kb were not indexed. The reason for this is, that doc´s smaller than 10kb are automatically transmitted to TREX by the crawler. For documents bigger than 10kb the crawlers only transmit the URI and then the TREX fetches them by itself.
The URL´s that are sent to TREX are normally built by the URL generator using the host entry. If you have a clustered landscape this might not work, because the Firewall, Load-Balancers, WebServers, or external authentication Systems might cause problems when they are directly called by TREX via the normal portal URL.
In this case you must specify the name of a specific server (e.g. http://server.com:50000) as Alternative Host in the URL Generator Service. But be careful with that setting. A wrong setting might crash your system (happened on our productive layer unfortunately).
If you use SSL for the communication between TREX and portal it even gets more complicated. Fortunately I did not have to deal with that.
Thus, if you have clustered system, be sure that the communication TREX to Portal can take place without problems. Take a look at the trace files of the TREX preprocessor, this should give you a hint on this.
    Hope this helps.
    Kind regards,
    Christopher Höfele

  • Importing Word docs from a RH for Word project

I have a HUGE RH for Word project that I'm trying to convert
to RHTML (RH Office X5). We generate CHM with this project, and
we've got map ids for all topics. I've been to Peter Grainge's site
to get some ideas, but I don't think they're going to work. There
are so many Word files and topics (537 and 2,974, respectively)
that the more I think about it, the more I think that a conversion
to RH HTML might not be worth it.
When I tried to import all of the Word documents and also
convert the TOC (converting the Index isn't an option since it
never worked with our large number of Word docs) and use the
HTMLHelp.css (using the Import wizard), RH HTML crashed twice after
    40 minutes.
So, I created a new RH HTML project and tried to import just
one Word doc from the RH for Word project, and selected the same
wizard options. As I expected, the Word doc imported, but even
though I told RH to split the topics on Heading 2, it also copied
in the characters (#S+@) that preceded every topic heading and
incorporated them into the Topic Title. AND, RH HTML did not
"convert" the TOC - it was blank.
In another post I saw a reference to this patch -
    http://www.adobe.com/support/security/bulletins/apsb07-10.html.
I'm not sure it's related, although when I examined my second
failed import attempt, the imported topics were visible in the
project folder only by using Windows Explorer - RoboHelp HTML did
not display them from within RoboHelp.
Does anyone know if this is the patch that will fix this
    issue as well?
By the way, based on the number of questions I've seen posted
about RH for Word 7 with zero replies, I'm thinking I'm going to
run into issues as well, even if we leave it in RH for Word when we
upgrade to version 7. It seems that its size is an issue for RH
    HTML.
    Thanks,
    Jim
    Thanks,
    Jim

    Hi Jim,
just as an encouragement: we sucessfully converted a HUGE RH
for Word project (4,300 topics) to RH HTML a while ago, including
TOC, index and everything. I must admit though that we had all
those topics in only 25 word documents. Maybe you can reduce the
number of documents by moving the topics? There will always be
problems you run into and afterward, we had to go through every
single topic and check the formatting, but I guess you'd always
have to do this. But I think it's worth it, working in HTML is so
    much more convenient.
    Good luck!

I have just finished the grueling process of

  • Clicking a link to a Word doc and it tries to open it with Adobe Acrobat

I recently upgraded to Firefox 4 on my Windows XP Pro SP3 machine. I have Microsoft Office 2007 and Adobe Acrobat 9.4.3 and Adobe Reader X (10.0.1) installed. I clicked on a link to a MS Word doc and I got a dialog box asking what I wanted to open it with. The default option is Adobe Acrobat 9.4.3, which, of course fails with an error message saying it is not a supported file type. I looked at the other options and Microsoft Word is not among them.

Save the Word document. Create your email in your normal mail application (Mail?), click on the add attachment icon (the paperclip if you are using Mail). Navigate to where you saved the Word file and select it. It should now appear as an attachment in your email. If you are sending it to a PC user and you are using Mail make sure 'Send Windows-friendly attachments' is selected in the edit menu. And if you don't want the attachment to display inline within the body of the email Control+Click on it and select 'view as icon'.

I downloaded a word doc and can't open it on my new computer that has pages installer

Have you tried dragging it onto your Pages icon?
Is it by any chance passworded?
It helps if you give some details:
eg What version of Pages you are using?
Can you just open Pages on its own?
The file extension and origin of the word doc
What message does the computer pop up when it fails to open?
Otherwise it is all just guesswork.

  • Trouble creating a pdf converting Word doc ..."Could not find the application that created the file"

    Hello,
I am working with Acrobat Pro 8 and am trying to create a pdf by converting a word doc. When I try that, I keep getting an error message, " Could not find the application that created this file...please select a file created by an application that resides on your computer." I can always convert a word into pdf first and then insert it into the pdf project that I am working on, however I have multiple files and I really would like to bypass that long step.
I found another thread in this forum which talks about a simillar issue (http://forums.adobe.com/thread/429585).I tried the solution suggested there by Bill@vt regarding the print menu. I am not really sure if t have distiller installed, so I tried opening it in acrobat, but it failed. During the process, I got the follwing message "Check the Status column for a list of files that could not be printed".I do not have any clue how to check for AcroTray running in the background.
I would really appreciate any help.
    Thanks!

If Distiller failed to open, it sounds like you need to do a repair of your Acrobat installation. Have not heard that one before!

  • InDesign refuses to import Word doc

    Hello.
Ran into a strange one today.  I have 27 word docs to assemble into a book.  Most of them import (Command "D") perfectly. But 6 of the docs have an end note styled into a table.  When i import these i get the import options box but when i'm finished there the rainbow wheel comes up and then... nothing.
On my import options dialogue box i have everything on the "Include" field checked, For formatting i have "Remove Styles" checked and local formatting preserved.  I've also tried it with Preserve Formatting from Text and Tables but it's the same result.
This isn't a huge deal because I can spend a little extra time and just reassemble the tables by hand in InDesign.  But what's got me doubly perplexed is that when i go to copy the content from the Word doc and paste it into InDesign all the formatting is retained except for "superscript"  My client has his footnotes marked in superscripted arabic numerals. But when i paste them into the InDesign document they are lowercase, full-size roman numerals.
So I think there must be some import preference somewhere that's making this happen.  Any ideas?

Having some similar issues in regards to font attributes that are very strange to me.  I hope it's something obvious that you can point to. When i import some Word documents into an InDesign CS4 document the font families are changed.  The original Word document uses an Arial font with local overrides for bold and italics.  When i import it I am told that "Calbri" is missing in four different flavors: regular, bold, italic and bold italic.  But Calbri is not anywhere in the original document. No problem right, I mean just use the Missing Font dialogue box to replace the fonts with the ones used in the InDesign document (Cronos MM).  But even though i've specified the fonts that are to be replaced what comes in is ONLY Cronos regular and even though i replaced bold with bold everything is of the regular weight.  Bleh.
And when i copy from the original Word doc (Arial font) and paste it into InDesign it by default pastes it as Times (TT) and again all formatting is lost.
Is my InDesign CS4 set up wrongly?  Is there some preference hidden away that's tweaking all of this?  I know i'm asking a lot of questions, including the original tables import question, but if anyone has any insight i would kiss your feet.

I think that I can gin up some rough answers for you; no foot-worship, please. In reverse order, because your last questions are the least indeterminite:
And when i copy from the original Word doc (Arial font) and paste it into InDesign it by default pastes it as Times (TT) and again all formatting is lost.
I have pasting set up to be stripped of all styles; I paste raw text only. You might not be pasting raw text; the setting is in the Clipboard Handling section of the preferences. If you are pasting raw text, then look inside your Basic Paragraph style; I'd bet that when you paste you are acquiring the settings of Basic Paragraph. To prevent this, only paste text into a text frame where there is already styled text.
Um, do you have any footnotes, endnotes, TOC, or index in these Word docs? You can highlight all the text in Word and change it to Arial or Cronos or whatever, but there are some Word features (for example, automatically generated footnote numbers) that are given styles that are carefully hidden from the end user. You have to dig really deep into Word in order to find 'em. They can use whatever font is specified in the style.
Also, I think I must be misreading your post, or you must have posted something misleading, because I can't tell if your Word doc is set in Arial or Cronos. It sounds like you're trying to replace Arial Bold with Cronos Bold with Find Font in ID and getting Arial Bold replaced with Cronos Regular. Which is odd, but I don't want to try explaining that until I'm sure I understand your question.
So, you're removing styles, but preserving overrides. That will keep the manually applied italics and bold, but you'll lose all of the styles. You must be doing this on purpose. What do you get out of it? Because, if you're stripping all styles, then the formatting applied is either coming from InDesign or coming from Word. If it's coming from ID, you should ask yourself "what's in my paragraph styles?" because that is where Calibri will be hiding. If it's coming from Word, you should ask yourself "what is being hidden by the "Normal" style?" Because if your Normal style is Arial text, it's getting stripped out when you place the document.
I really can't figure out your initial question at all. I would guess that, going back to the beginning of my post, you have ID set up to copy styles and formatting on your clipboard. I've always hated that and have no idea how it works, but I would guess that the superscript footnote numbers are not actually superscript numbers with styles manually applied, but more Word auto-symbol styling that is concealed from the end user. That kind of stuff crashes InDesign - it also crashes Word too, when it gets even a tiny bit broken.

  • Importing Word docs from RH for Word X5 - out of memory error

I've tried a few times to import 537 Word docs (2,974) from a
RH for Word project (RH X5 for Word, CHM output) into a new RH HTML
5 project. Each time, RH HTML "hangs" and I've seen "out of memory"
at least once at the very end. The original RH for Word project has
conditional build tags defined, but only one tag has been assigned
to one topic, so far. We've never been able to build an index in
this RH for Word project (it's mostly blank), but we've built a
    search and contents without problems.
Is an error related to Word? Is it a bug that was fixed for
version 6? Is it somehow related to this fix:
    http://kb.adobe.com/selfservice/viewContent.do?externalId=kb401651&sliceId=1?
If it's a known bug that was fixed with a later version, then
it would further help me build a case for converting to RH 7, with
the end result of converting the whole thing eventually to RH HTML.
    Thanks,
    Jim

I don't do much import but if you are trying to import 537
documents in one go, nothing would surprise me. Have you tried one
at a time or a small batch at a time?
The bug you point to arose in 6 and was fixed so it is not
    relevant.
My guess is it is down to memory and that most PCs would

Word docs don't display fonts since upgrade to 10.6.  Got this error message in Console:
    6/14/11 9:38:14 AM          [0x0-0x11011].com.microsoft.Word[140]          Tue Jun 14 09:38:14 Michael-2.local FontCacheTool[144] <Error>: ATSFontGetPostScriptName failed: error -984.

Thanks but I searched and searched there.  Nothing listed that addresses this issue.  Am I the only person to upgrade to 10.6 and have a problem with seeing type in Word afterwards?  Does anyone understand what the error message means?

  • Insert a spreadsheet and word docs into a PDF with hyperlinks

I have a spreadsheet index with hyperlinks to 455 single page word docs. I want to make a single pdf by inserting the spreadsheet followed by the word docs.
Is there a way of having the hyperlinks recognize the inserted word docs pages inside the pdf via the original hyperlinks, or do I need to remove the hyperlinks before inserting the spreadsheet and then do bookmarks for all 455 pages? Or some other method?

    James,
I doubt that will work. But it should be easy enough to find out. If you
print to pdf from ID, I guarantee is will not work. If you export from
ID, I doubt it will work, but ask in the ID forum, since the creation
    does not depend upon Acrobat.
