UDF's in XL Reporter

Dear all,
UDF's are not appearing in the report composer area from which we can drag the required data.
Tools>UDF's>Activated visible in XL reporter
But still the UDF's created not coming.Can anyone helpme regarding this issue.

              Try this Exercise: Sales report with UDF. This Exercise will help to how to get UDFs in XL Reporter.
6-1     Create a Sales report definition for UDF in Report Designer. Do not assign a template
6-1-1     In Organizer choose the folder Sales, in the pane located on the right, and select New, then Report Definition.
Type in the name: Sales report with UDF, and press Enter.
Click on No to respond to the message: Do you want to assign a Template to you new Report
6-1-2     Select Cell B4, type: Sales report with UDF, give the text a bold font size 16
6-1-3      Select Row 8 and in Advanced Report Builder choose Row Expansion.
6-1-4     Choose Business Partner in the list and choose three dots button to the right
6-1-5     In the Dimension Lookup window select all Business Partners  *
Click OK in Dimension Lookup window and choose Apply button in the right corner of Advanced Report Builder screen.
6-1-6     Select Cell A8 and click on Formula Builder - the fx button in Report Designer toolbar.
6-1-7     Choose to press the plus sign in front of the Business Partners, double left click at BP Code, and double right click at the BP Name
6-1-8     Select Cell C8 and in Formula Builder double-click on Sales A/R – Document Total
6-1-9     Select the Parameters in Advanced Report Builder, select New and enter:
Name     : Period
Category     : Dimension
Type     : Financial Period
Attribute     : Code
Default value:Leave Blank
Prompt     :Specify the Period
Choose OK
6-1-10     Select Column C and in Advanced Report Builder choose Column Expansion
6-1-11     Select Financial Period in the list and choose three dots button to the right
6-1-12     In the Dimension Lookup window choose Parameters tab, select the Financial period parameter @Period. 
Go into the value field, select the button to the right, and select the YEAR TO DATE function from the list. The selection should be YTD(@Period)
Choose OK in Dimension Lookup window and select Apply - button in the right corner of Advanced Report Builder.
6-1-13     Select Column C and select expansion symbol in the Advanced Report Builder to make it the active – changes color to blue.
6-1-14     Click on one right corner of the symbol and drag it to include Column D, Press Apply.
6-1-15 Select the different columns and adjust column width.
6-1-16     Select Cell A7, type: BP code and Name
     6-1-17     Select Cell C7, type: Amount
     6-1-18     Select Cell D7, type: %
6-1-19     Choose to click the Save icon
6-1-20     Select Generate Report from the Report Designer toolbar
6-1-21 After you review the report, click the close button (X) in the upper right corner
          of the screen
6-1-22     Select Cell A9, type: Total
6-1-23     Select Cell D8, type in formula: =C8/C9
6-1-24     Select Cell C9, select the Formula Builder (fx) from the XL Reporter toolbar, and select the Functions tab. Select: Total  Column Total
6-1-25     Choose to copy the formula in Cell C9 and paste it into Cell D9
6-1-26     Select to display the Period Code in Cell C6
6-1-27     Select Cell C6 – D6, right-click → format cells…→ tab alignment →text control → flag Merge cells
Select to center the text by selecting Center from the toolbar
6-1-28     Select Cell A9 to D9, give the area the color Gray-25%, and make the font bold.
Select Cell C6 to D6, give the area the color Gray-40%, and make the font bold.
6-1-29     Choose to click the Save icon
6-1-30     Select Generate Report from the Report Designer toolbar
6-1-31 After you review the report, click the close button (X) in the upper right corner
          of the screen
6-1-32     Choose Column C
6-1-33     Select Cell C7, type: UDF
6-1-34     Choose to click the Save icon. Close XL Reporter
6-1-35     Choose to make a User-defined field in SAP Business One
SAP Business One  User-Defined Field  Manage User Field  Master
     Data  Business Partner  Business Partner
     Choose to create a User-defined field, name the field: BP_UDF
6-1-36     Choose to add some data to the field for five – 5 Business Partners under Business Partner Master Data
6-1-37     Select to go back into XL Reporter and choose to make the User-defined field visible. Choose from the toolbar: Tools  User-Defined Fields
     A list will appear. Choose to flag the User-defined field, named BP_UDF, with the Category Business Partner  OK
     Follow instructions: Updates were successful. You must restart XL Reporter for changes to take affect. Press OK
6-1-38     Restart XL Reporter
6-1-39     Select the Sales folder and choose to open the Sales report with UDF
6-1-40     Select Cell C8 and click on Formula Builder - the fx button in Report Designer toolbar.
6-1-41     Choose to press the plus sign in front of the Business Partners, double left click at BP_UDF
6-1-42     Click the Save icon
6-1-43     Select Generate Report from the Report Designer toolbar
6-1-44 After you review the report, click the close button (X) in the upper right corner
          of the screen
6-1-45     Close the Report Definition

  • Cannot make UDF visible in XLR report composer

    Hi,
    Customer is using 2007A PL30. There is an UDF in Marketing document title. Title=NumAtCard, Description=Vendor Ref No  Type=Alphanumeric(100). We had made this UDF visible in report composer(light dimension) and refresh XLR but we still cannot view this UDF. We can view other UDF in XLR.
    May I know how to fix?

    i also face this problem lot of times .First add the udf using "use other data options. and then check the udf list which is added to the XLR, there is a check button in front on udf if it is added in xlr .save that list . may be the list is not saved .try one more time amd pls let me know u r facing the same gain or not .

  • UDF on Customer Aging Report PLD

    I have a UDF on the Marketing documents. I would like to display/print this UDF value on the Customer aging reports (Detail, statement, etc.) However, when trying to get this UDF to print, I am not finding that the PLD will allow access to the document (OINV) directly. Therefore, I cannot get the UDF to display.
    All data on these PLD reports is referenced using "Free Text". Most of the standard fields can be displayed, but how do I get the data in the UDF available to dispaly?

    Hi Terry,
    Please search the forum first. You will find out the same question has been answered.
    All those Free Texts are hard coded by application. UDF is not possible to show there. You need to create your own report.

  • UDF at balance sheet report

    Hi All,
    When we run the finance report (Trial balance,profit and loss statement,Balance sheet) then there are two parameter to bifurcate the reports on Expended button.These parameters are working well on Trial balance and P&L but not on Balance sheet.
    Dont know what is the issue? I am working on 8.81 PL 0

  • Udf Data is not being displayed in the report

    Hi all,
    i have designed one report in which i am displaying some udf fields along with other system fields.
    i have not used any selection criteria.
    when i run report it doesn't display udf data of some random rows in the report even if data is peresent in that udf field.
    If i open sales order and press 'Shift-F2'  and update the document and now if i run report then i get that udf value in the report.
    why this happening. data is there in the udf field only its not displayed in the report with out updating the that udf.
    pls suggest some solution.

    Hi Ashish,
    I ran the "ZPS/!ZPS" in RSRT where ZPS is the infoset name. In Dev, it displayed the values. In QA, it displayed the below messages:
    ECharacteristic 0TCAKYFNM does not exist. Check authorizations
    WThere are calculated elements. These results are bracketed [  ]
    and below that, it displayed the values for Number of records. But, it has not displayed the values for the other figures.
    Does this has any impact in QA.

  • UDF Value is not coming in the query report

    Hi all,
    i have designed query report based on AR Invoice which has some UDF .
    all udf have FMS applied and all these udf has values.
    when i run report some times udf values are coming in the report and somtimes not even if udf contains values.
    if i open perticular invoice and again update that udf and again run report now udf value will come in the report.
    every time i need to manualy update the udf even if that udf contain value.
    how to avoide this problem.
    Pls suggest solution.

    Try this,
    -> Open the require document(module).
    Assign this procedure and then ADD the document
    and Run the Query Report.
    1. Goto the UDF and Click (ShiftAltF2).
    2. Select the SEARCH BY SAVED QUERY.
    3. Assign the FMS Query in UDF.
    4. Select the AUTO REFRESH WHEN FIELD CHENGES.
    5. Select the Auto Refresh Field (for example CardCode (or) Remarks).
    6. Check the Display Saved Values.
    OR
    -> Open the require document(module).
    1. Goto the UDF and Click (ShiftAltF2).
    2. When will you add the document at that time
    you can Click the SHIFT + F2 and than ADD the document.
    and than Run the Query Report.

  • XLR old reports not working with UDF from Marketing docs

    Hi,
    We are using SAP Business One 2005 A (6.80.318)  SP: 01  PL: 16 and the following version of XLR.
    XLR Version 6.80.367 (under about XLR) or 6.80.01.26 (under Add-ons manager).
    We have just gone from 6.80.01.25 to 6.80.01.26 version of XLR and have had an issue with the reports that contain UDF's. 
    Previously when doing patches of SBO we have had issues with the UDF's renumbering eg.  SalesEmp_1 becoming SalesEmp_2.  Within the XLR reports we would simply update the identifier of the UDF and it would report correctly.
    The issue this time is that the identifier has disappeared.  ie. SalesEmp_1 has become SalesEmp.  When you create a new report the data can be retrieved correctly however when you change the existing report to reflect SalesEmp (rather than SalesEmp_1) it reports no data. 
    I am not keen on re-creating all of my reports with UDFs and was wondering if anyone else had encountered the same issue and come up with a solution. 
    It may have something to do with the UDF's being available as Dimensions now whereas previously they were only Light Dimensions?
    Let me know if I need to clarify further - although it will probably make perfect sense if you have been through the same issue - and if you haven't you may not be able to help.

    ...but anyway, this Forum is focussing on the SAP Business One SDK.
    In principle the Implementation Forum in the PartnerEdge P2P (http://p2p.sap.com/businessoneforum?type=join) area should more suitable for such questions.
    I suggest that you raise your issue there - and hope that you will get the right answer.
    ...or since the issue came up when you changed from one version of XLR to another - log a question to SAP Support on the XLR component.

    Hi guys this is the error i encounter while checking the udf from banking module in SAP.
    "An error occured while trying to write to the database.Original error-message was: A view was encounter that is not mapped in the ModuleToViewMap. ViewName:ixvBankCHH1 Fact Module: BANK"

    i have created a report on xl reporter using an udf. however, i would like to create a parameter on the udf and i am not able to do this. is it possible to create a parameter on a udf on an xl report?

    I never tried, but my guess is that you can create a parameter for the UDFs in the selection Window.  The UDF has names to and you can match them there with a parameter that you define in the menu.  You just have to know where is your UDF and see what is its description.

    I'm need to group the report using the UDF.  When I run XL reporter, group the data by UDF generate or Edit report, the XL reporter shut down.

    Group by UDF in XLR is always problematic.  You should check other option to group by system field.  Otherwise, try Crystal report or other tools.

  • Retrieving UDF in XL Reporter

    Hi,
    We have added UDFs to the sales order.  The UDFs are our estimated costs to fulfill the sales order (raw materials, labor, etc.)  We are trying to create an actual vs. budget report in XL Reporter.  We are having trouble retrieving the UDFs.  I have tried "Get Other Data", but am not able to write a WHERE statement in the Conditions box that the system will accept.
    Any help is greatly appreciated!

    You can retrieve your UDF's in XL Reporter. When in Report Composer - Tools>User Defined Fields. You can select which UDF's you want to display in the composer window. The fields will then also be available once you are in the Excel designer window. If you have a problem with displaying the fields you should log a support call with SAP.

    Is it possible to incorporate Master Data UDF's in XL Reporter? In the XLR Manage UDF menu, I can only see the Marketing Doc UDF's (eg AR/AP). Thank you.

    All UDF's should be visible Allan. The only time I have seen UDF's not appear is when they have the same name in SAP in different areas, which you can do in SAP, but cannot do in XL Reporter ie a BP Master Data UDF "Account No", and a UDF on Marketing Docyments "Account No". Only one will be visible in XL Reporter.
