Unclear if Illustrator or InDesign should be used - advice needed

I've been using Illustrator for 10+ years to design my companies brochures, logos, business cards, forms, advertisements, instruction manuals, etc.  LOTS of stuff.  Lately it's been bothering me that I have so much duplicated content spread across many .ai files, for example let's say we have 20 different usual manuals.  Currently they are all saved as .ai files and if I want to change an element that is present in ALL the files I need to edit each one.  This is not a smart way to work, I know this.  I have tested "placing" ai files but that has created some problems as well.
I'm wondering if InDesign is what I should be using for creating and managing assets like this?  Rather than download and install the trial and learn the basics, I thought I would first ask what the community thinks.
To ask my question in a simpler way: Which is more appropriate for designing instruction and user manuals, InDesign or Illustrator?

I'm assuming that InDesign will also support some sort of "linked" workflow where I can "place" or "include" an ai file in 20 different InDesign files and if I update the AI file I will see the changes in all the InDesign files.  In other words it will reload or pull in the changes automatically when it loads.
Everyone has told you that it will do this - but they all are referring to logos, not actual text content. I think that you intend to do the updates to text content this way, as well. It'll work, of course, but the efficacy is going to depend on your ability to keep track of which .ai files contain the "master content." There are other ways to do this that are more ID-centric, like storing your content in a database that spits out XML, which you then flow into your ID document.
That will take a lot longer to set up & understand, and it might not pay off for you to do all that work, since you already have all of your content in Illy.  However, I think it's best to know what the best methods are, so you can know exactly what you're losing out on by using a less flexible method. I work in a translation firm, and whenever I get an InDesign doc that just has text-laden .ai files placed therein, I always bill high. It's about 3x as much work to localize an Illustrator file, when compared to an identical layout in InDesign.
So, if I was asked by your organization to make a plan for you as a workflow consultant, I'd tell you to go through with your plan of using Illustrator content placed in ID, with instructions to get used to the tools in ID so that a nice, slow, easy migration of text content out of Illustrator could take place at some point in the future.
(Lastly, look at the Preferences in InDesign; under "File Handling" there are some options like "Check links before opening document" and "Find missing links before opening document." Those prefs will be very important for your workflow...)

  • Illustrator and InDesign should work together

    My general request is that since they are produced by the same company I believe that AI and ID could be made to coordinate with each other. At present they have difficulty "talking" to each other. It think it would be a good idea to have them work in similar ways and be able to transparently trade information between them. Some specific points where I would start:
    The print dialog. AI allows you to position what portion of an oversized image you'd like to print. ID does not, but should.
    Text handling. Text copied in one application loses all its attributes when pasted in the other. The default should be for the attributes to be conserved, but as far as I can tell this can't even be selected. Text handling is VERY basic!
    Put things in the same place. Many, if not most, of the commands are in different places. Hyphenation, for example, is handled completely differently in the two applications. The maximum sizes of the art boards are different in the two applications. Clearly not much thought was put into what features could be handled the same way.
    The two applications have their separate roles, but there is quite a bit of overlap in what they do. Those things should be done the same way as much as possible, eliminating the need to memorize two keystrokes, etc for the same feature.

    I won't deny that a lot of things could be smoother betrween the two, but I'd sure hate to seeID's text handling dumbed down to the level of Illustrator, and I'm not sure they can port ID's text engin over all that easily. While the programs are owned by the same company, and there is effort underway to unify a lot of features, all of the programs in the creative suites have unique histories and independent development teams, so it isn't going to happen overnight.
    I't not particularly intiutive or user friendly, but you actually can print a section of an oversized layout in ID. Raed about custom Tiling in the Help Files.

    Hello all,
    When creating a new DPS, should I use the sizes offered by InDesign or the display size of the device?  I ran into this question when I was looking up the sizes of different devices and found that iPhone 5s, iPhone5c, and iPhone4s sizes differ than the defauly dimensions offered by InDesign. 
    Also, should I worry about the ppi resolution?  With iPhone, they all seem to be 326ppi but when dealing with other devices is this something that I should take into consideration?  Ideally, I could be creating DPS apps for all devices offered in the Digital Publishing drop down in InDesign (iPhone, iPad, Kindle Fire/Nook, and Android).

    By the way, if it helps I am using InDesign CC.

    Using 1024x768 and creating PDF articles will get you OK with both iPad resolutions, and, as Bob L. says, quite decent "one size fits all" result for all other devices.

    Your purchase of licensed version of Adobe applications does apply to CC subscriptions.  If you subscribe you will pay for the subscription on whatever periodic basis you choose (monthly versus annually).

    The short answer is this is not possible. 
    The long answer is Photoshop & Illustrator use print fonts installed on your system (True Type, Open Type, Post Script).
    Web fonts (ie: Google, TypeKit, Edge, etc...) need a web browser to display them because they use file types that are not recognized by other applications.

  • Copy & Paste from Illustrator to InDesign CS4

    I am aware that there are issues when copying/pasting from Illustrator to InDesign, in particular:

    I have the following problems:
    1- I copy and paste text from Illustrator to InDesign on the same platform and some (not all) of the text is converted to outline in InDesign. The same font is available to both applications. Why this behaviour?
    2- I copy and paste objects containing text from Illustrator to InDesign and some of the objects appear to have moved respective positions when pasted into InDesign. Is this to be expected?
    Are there solutions to these problems? Note that if I expand everything in Illustrator prior to copying and pasting into InDesign, none of these issues occur, but everything is obviously in outline form, with the limitations it entails.
    My clipboard settings are as indicated in the link above, but I have tried other settings with no more luck.
    (Important: Before pasting a graphic, make sure that Illustrator is configured to copy as AICB (see Illustrator Help). In InDesign, make sure that Prefer PDF When Pasting isn’t selected in the Clipboard Handling preferences. If these options aren’t set properly, the Illustrator graphic cannot be edited in InDesign.)
    It is not practical for me to create an Illustrator file for each of the Illustrator graphics and import those files via Place into InDesign. I must use Copy/Paste.

    You can copy/paste from Illy to ID by selecting the text with the type tool in Illy and then pasting it into ID. You will not be able to maintain the formatting. If you want to maintain the appearance the text will be converted to outlines.
    If you need to get anything other than very simple objects from Illy to ID then you should save as AI and use the file > place command to place those objects as linked graphics into ID.
    Your closing statement is irrelevant. Whether you like it or not, this is the way it is.

    My UI preferences are set to identical settings in Illustrator and InDesign ("scale to lower supported scale factor") and AI looks perfect, ID is too big. Why don't they look the same if the settings are the same? Driving me CRAZY. I have my windows scaling factor at 124% and it needs to stay enlarged, otherwise nothing else on my system will be readable. The inconsistency of the workspaces is so annoying.

    Illustrator layers are preserved here with Photoshop whether copy/pasting or using "Place."
    Indesign should link to the original AI file then your layers will be in tact. Copy/pasting to Indesign won't ever get you layers, just embedded vector data.

  • Printing problem with Epson R290 Illustrator and inDesign

    I am running CS2 on Leopard and have recently purchased an Epson R290. The first time I used it with Illustrator and InDesign it worked fine but now whenever I print anything it prints a tiny version (about a sixth of the real size) of the design in the top left corner of the page. It does this both with new documents and old ones that used to print ok.

    Since I posted the message about this problem I have discovered that it can be worked around by choosing a higher quality print. ie if you choose plain paper when printing from Illustrator or InDesign the printer prints a reduced size image but if you choose Ink jet mat or glossy the print comes out fine. I don't have this problem with Photoshop but that may be that I always print high quality from that application. I don't use Appleworks Draw so don't know whether this solves the problem for that application but iWork documents print ok.
