Unexpected email notify to user for random Workitem

Hi Experts,
In my company, we have configure workflow for Appraisal System. In our situation, we have disable the Extended Notification because we don't want user to receive an email when a workitem is created for them. In contrast, there is an email sending randomly to user when the workitem is created for them.
We have check, there is no send mail task in the workflow.
The sender of the email is the user who trigger the action, and the receiver is the owner of the workitem. The subject of the email is the subject of the workitem itselt. The content is like bellow:
"Work Item in R/3 System: XXX
You have a new work item in the SAP System.
Note the following instructions.
  You have just received the TYR Form for XXXXXXXXXX which needs to be reviewed and approved, in your UWL."
Is there any possibility that the email is sending out without using "Extended Notifications" and "Send Mail Task"?

There are 3 scenario in the configuration. The OSP and UWL have empty configuration in Scenario, Filter Setting, and Delivery.

    Yes, that is built right into Business Catalyst comments.
    In the admin under the comments section you can select wether or not comments need to be approved first. You can then set up a user or workflow to be sent through email to the user to be able to approve it. Only catch is the user would have to have admin rights.

  • Can we set "IN PROCESSu201D status for multiple users for a single workitem?

    Hi,
    As per my client current scenario every work item will be sent to 3 useru2019s (One is the supervisor of the other two users). If any one of the user executes the work item it will automatically call a Ztransaction and displays the screen. When the user without taking any action, he presses the BACK button (in Ztransaction) and comes out of the transaction. Then the workitems for the rest of the users will disappear from there inboxes.
    But my client requirement is such that, whenever the user click on back button the workitem should be "IN PROCESS" status for two users(One is the supervisor and one who executes the workitem) out of  3 users possessing the workitems.
    Please provide me any advice to the above requirement.

    I think this can be done either by putting a check whether the user does anything. If he does a flag should be set which can be used in the Codition Tab of the Activity step that will prevent the workitem from completion.

    I have been searching for a while but haven't found anything yet that I can see that covers my question, so please redirect me if this is a common/easy question!
    This is not a matter of the user clicking on some icon in their browser window to convert the on screen HTML to PDF
    I am not a developer, but may need to get one of my dev team involved in this discussion but thought I'd outline our situation
    I work for a software company and as part of our product range, we offer online ticketing. We use ASP.Net as the development tool so all pages are aspx, we use a SQL back end, we use a CMS to plug our web modules into.
    Scenario
    You want to go to the local zoo. Rather than lining up and buying a ticket, you wish to purchase an entry ticket online. You go to the zoo's website and notice a Purchase Tickets link, which is where my company steps in, as the builder of the business logic behind purchasing the ticket
    As part of the purchase process, you submit your name and email address, which is then stored in a SQL database.
    At the end of the purchase process, you receive an email with two PDF attachments, being:
    1. your ticket(s) and receipt, which shows details extracted from the SQL database. The tickets will include a barcode image (currently 1D, would stick with this for now)
    2. ideally you will have a separate PDF that contains Terms and Conditions of Entry to the zoo
    We have a solution that covers almost all of this, although currently we produce a single PDF that includes receipt, tickets and terms and conditions
    The PDF generation is currently handled within our web modules, so effectively the ticket is being generated by the Web Server. We are currently using a product from Winnovative to produce the PDF pages
    However the ticket generation is somewhat restrictive, and ideally we want to create much better looking tickets, that cater for formatting (font, color, etc) and ideally the ticket design could be changed by our clients (someone at the Zoo wants to add some static text, or an image, or move stuff around)
    The barcode generation seems to work well for us at the moment, though our current solution only supports 1D barcodes. I don't think Adobe is the answer for the barcode generation, but the PDF needs to display the barcode we generate
    I guess the first thing is, is there an Adobe product that sounds like it would suit our purposes? What would that product be?

  • IBot user not receiving dashboard alert/email not the case for other users

    Hi,
    I have a user who can create iBots and is able to deliver them to other users. However the user themselves cannot receive any iBot alerts on the dashboard or via email, even for iBots that they create themselves.
    I've checked their account setting and their email is configured, they are part of the correct user groups etc. This user has never been able to receive any iBot alerts or any iBot content.
    Can you let me know what else I can check as iBots are working for other users?

    They are part of the same group (in fact thety are part more groups as well) as other users for whom alerts and iBots work. They have the relevant priviliges under Delivers, their email is correct.
    They have access to the relevant Subject Area as it is ther user themselves who create the report and try to send it out using and iBot, other users receive the report apart from themselves. They themselves don't receive any alerts or emails.

    Hi ,
    You can create a single dynamic distribution group with the condition to have only the mailboxes in exchange as its members . Then when a person send an email to that  Dynamic distribution group it will get distributed to all the mailboxes
    in exchange.
    Note : Most important feature in the dynamic group is that the membership of that group will be maintained automatically and also along with that we can have group membership by defining the recipient types/OU /rules.
    I agree with ED and also based on my knowledge you cannot achieve your scenario without Distribution groups or dynamic distribution groups.

  • Email Notifier for Mountain Lion

    OS Mountain Lion is due out later this month.  I find that the email notifier appearing as a small tick on the email dock icon with OS Lion is hit and miss.  Is it true that an improved notifier will be available with OS Mountain Lion that will appear on the desktop as a pop-up?

    I have to check 1 email, and do not want to have open thunderbird (or something similar) just to do that...

  • Notifying a user that an Urgent Change Request has been Approved, or Denied

    Trying to figure out the best way to have an email go back to a user after a Change Request has been updated with either an Approved or Deny
    What we do now is after a user creates an Urgent Change Request, and email goes out to all of our Managers. One of them will reply all to the email with either an [approval] or [deny] in the message body so Service Manager gets the email and acts on
    it and the other Managers know it was acted on.
    Problem is, if the Manager forgets to add in the Change Requester in the email, they don't know it was acted on. I tried using WorkFlows for Change Request to update the Change Requester of an update but there is nothing in there for  Approval or Deny.
    I then resorted to subscriptions but can't figure out how to configure the subscription so that only the Change Requester gets the email. We can configure different email templates based on the whether the change was approved or denied. Just need to figure
    out how to configure the Recipient.

    I've checked the link and found it working. Of course, it works only if the RA is a direct child of work item itself (so for RAs encapsulated in SA or PA it doesn't work).

    It does work even if it is within a PA or SA or even deeper, you "just" have to follow the path to the CR from there. But then you would need a subscription for each RA depending on where it is in the flow. Try to make your users understand that :D

    Is there any way to setup tuser to contain multiple email addresses?

    Is it a bad idea to try and send email to up to 50000 users at once using IDM? Besides the fact that I would need to search for specific users and get their email addresses based on their capabilities.

    it will be a good idea to break down the email that you are sending into groups/batches. If possible, you can send email to DL s
    Else, you can segregate the users based on roles and send emails. This will reduce the load. Hope it helps

  • Email Notification after User Self Registers in OIM

    Can you please tell me how can send an email notification to users as soon as they register themselves in OIM using the OOTB OIM Self Registration.
    Actually I am generating a unique User ID as a Post Insert in Create User Event Handler. By real question is to actually send this particular generated User ID to the user in an email - how can I do that?

    The exact scenario is an end-user directly self registers himself providing all the necessary values of User ID, First Name, Last Name, Email, Password (mandatory fields). But I want this request to be directly completed/approved. I don't want any kind of administrator intervention in creating these users in OIM such as providing approval details, etc. So I have added the remaining necessary fields on self registration page itself for users to be filled out - Organization Name, User-Type, Employee Role. The user provides all these details on OIM self registration and it directly gets created in OIM.
    I have made an email definition of type "provisioning related" and included the necessary UDF's in it. And I have added this email defn to the "Email Notify" task of "Xellerate User" process. I have already checked the "Assignee", "Requester", "User" option box in the "Notification" tab. So now the problem is after user creation - the administrator is receiving an email containing the UDF values but the user is not receiving that. But the user is receiving the "Self Registration" email definition email which I don't want to send.
    So really speaking I want to send an email on User creation containing the UDF values - but it is not sending it. I have integrated the "Email Notify" task with "tcCompleteTask" system adapter. Am I missing anything?
    Please let me know as this func. needs to be in place asap.

  • Multiple Languages in Outlook mail for a workitem not working(Note 1230808)

    I am on ECC 6.0 with the below system details.

    We have implemented Extended Notifications in our system and it has been working fine so far with a single language EN. Now, we got a new requirement to generate Outlook mails corresponding to a work item in multiple language (FR for French apart from EN). Towards this, I applied OSS Note 1230808, with all the pre-requisites taken care as mentioned in the Note in our Sandbox system. I found this note from following blog (Thanks to Mike Pokrara !!!)

    The FR text has been maintained for a standard task (Created by us only) as below:
    1. Task Description in FR is maintained thru' PFTC txn, by choosing the FR option, and
    2. Work item text for task is maintained thru' SE63.
    Also, as mentioned in the OSS note, a value 'C' has been maintained for Parameter "WI_TASK_LANGUAGE" in SWNCONFIG.
    Even after this implementation, when the emails are generated for an EN user, the Outlook mail is fine with all the text in EN, as expected. But, when the FR email is generated for a FR user, only the Workitem header text, the std. Header and Footer (maintained and picked up by std. SAP SO10 text) are translated into FR. But the Task Description part is still displaying in EN only.
    Anybody had same / similar issue for this reqiurement ?. Can anybody tell me if anything is wrong in the way we are implementing or any limitaitons or known issues of this note / requirement ?

    It was a type from our side while implementing the manual corrections that were part of the OSS note 1230808. We found this with SAP's help and it's fixed now.
    So, closing this thread.

  • Notifying Related Users in Incident Tickets

    Hey All,
    What I want to achieve is Notify Affected User and Related Users when Analyst comments in the Incident.
    So I got the email user subscription working when Analyst adds a comment with the guide below.

    After I followed this guide to add the related users:

    The subscription works but the Related Users are still not getting any emails.

    Have you tried looking at the workflow in the GUI to see if the related config item show there?
    I'd double check your references and aliases in the MP and make sure those are correct.
    You should also verify that your criteria is correct.

    I've configured this template in my process tasks notifications. The e-mails for C and R status were sent OK but the values were all empty. Below are the subject and body of this email definition.

    For all custom process tasks I have set this definition to notify the target user, for example, when the task is Completed or Rejected. For all all I've got the same problem: the notification e-mail is sent but the values are all empty.
    I thought the tags were based on the fields returned by the getProvisioningTaskDetails that returns the information below. But you can see the tags are different from.

  • Send email from PA30 user exit

    When I try to send an email from user exit in ZXPADU02 it never makes it to SOST.  WIll always go to SBWP outbox if I set the flag but never gets sent to receiver address.
    If I paste the following code into a report it works fine.  Is there some other parameter for this FM or some additional process needed to send email from a user exit?
